InformationNOW – AL Guidelines

Overview

This document is intended to provide Alabama users at both the school and district levels with instructions for setting up

InformationNOW for the collection and reporting of state-required data.

Document Revisions

Revisions have been made to the sections of this document listed below to incorporate changes for the 2016-2017 school

year. Changes are based on InformationNOW v7.3.11.

• Added Exit Types (Locked) on page 7.

• Removed Residency Status codes as these are no longer required for AL state reporting.

AL Lookup (Codes)

All State Codes are stored under System Preferences | Setup, along with any non-state-specific codes used for other

reporting purposes. The Lookup drop-list provided here is used to access all types of codes.

User access to and maintenance of lookup banks may be secured through Permission Maintenance.

The following codes are required for AL state reporting. Code Name and Description are required fields (marked with

asterisks within the program display) but are user-defined. The corresponding State Code field, however, is used for state

reports and must be entered exactly as it appears below.

Note: Some code banks are locked and no changes may be made. Those code banks will be noted

below.

District Services are assigned to students under Students | Student Maintenance. Click to View a student and click

the Services option under the Manage menu on the left.

District Services used for Career Tech/Credentials are preloaded and do not have to be entered by the district. Please

refer to the Quick Reference Guide entitled InformationNOW AL - Extended Enrollment.pdf for more information on

tracking and reporting of Career Tech credentials.

One additional district service should be added to the bank if the district is utilizing the CRDC export.

Additional district services can be added by the district (if desired) for any local tracking of district services.

Attendance

Settings Tab

In order for InformationNOW to calculate daily attendance per established guidelines, the following settings should be

entered on the attendance settings tab. To enter these criteria, go to Attendance | Setup. Click the Settings tab.

• Attendance Unit: Select the Percentage of Minutes Absent option.

• All Day: Enter 51

• Half Day: Enter 50.99

• Tardy Day: Enter 0.01

• Skip Reason: Select the Absence Reason to be assigned to students who are marked as missing from the

teacher Grade Book.

• All Period: Enter 51

• Half Period: Enter 50.99

• Tardy Period: Enter 0.01

• Daily Tardy Assignment: Specify the type of Tardy record(s) to be assigned to students based on checking

in late or leaving early.

o Never Allow Tardy Records: No daily tardy record will be created regardless of a check in/check out.

o Only Allow Tardy Records for Late Arrival: When a student receives a check in record, the program

will determine if the student only has a check in record for the day. If the number of minutes missed is

calculated as a tardy and the student has a check in only for the day, a daily tardy record will be created.

o Only Allow Tardy Records for Early Leave: When a student receives a check out record, the program

will determine if the student only has a check out record for the day. If the number of minutes missed is

calculated as a tardy and the student has a check out only for the day, a daily tardy record will be created.

o Always Allow Tardy Records: This option is selected by default as it reflects the tardy attendance

calculation prior to the summer 2009 update. If the program determines that the student qualifies for a tardy

record, a record is created regardless of whether the student checked in our checked out.

Note: In all cases, the reason used will be the reason associated with the CICO record. The Reconcile

Attendance routine will also use these settings when calculating attendance portions.

Attendance Months

To generate the monthly attendance register, the attendance months must be established.

• Go to School/District | School. hs

• Search for and select to View the school.

• Click the Acad. Sessions tab.

• If necessary, select the appropriate year from the list and click Refresh.

• Click to View the academic session.

• Select the Attendance Month option under the Manage menu on the left.

• Click to Add a month.

o Name: Enter the month name (ex. August or Month 1)

o Start Date: Enter the Start Date or click the ellipsis button to select the date from the calendar view.

o End Date: Enter the End Date or click the ellipsis button to select the date from the calendar view.

o Is Locked: Check if the month is locked. Modifications to attendance records are not allowed if a month

is locked.

o For Alabama customers these months are set to include 20 in session days. Holidays or breaks are not

included.

• Click Create.

• Continue adding all attendance months.

• After creating attendance months at one school, they can be pushed to other schools using the Mgmt Console | Console | Share School Setup option.

Career Tech Tracking

A course will automatically be flagged as a Career Tech class if the appropriate course State Code is assigned under

Scheduling | Master Schedule. The State Code must be a Career Tech Course Number. Assigning a Career Tech-

associated course State Code is the only way to flag a course as a Career Tech course.

Students must then be assigned an Average and a Status for each of their career course classes. To edit the information

for a student, go to Students | Student Maintenance.

• Search for and select to View a student.

• Click the Schedule option under the Manage menu at left.

• Click to View the Career Tech class.

• Two fields will display only if the class section has been given a Career Tech State ID number:

o Average: Enter the student’s average for the selected course. This field will be automatically populated

when grades are posted.

o Status: Status options are Passed (State Code 20) or Failed (State Code 30). Based on the grade posted for

the student, this field will automatically be populated if the correct grading scale has been assigned to the

course section.

To determine if a student has passed or failed, InformationNOW will refer to the grading scale assigned to the course

section.

• Letter Grade: If a letter grade is posted for the student and the letter grade in the grading scale is set to Credit

= Yes, the student will be marked as passed. Otherwise, the student will be marked as failed.

• Numeric Grade: If the numeric grade is within the Low/High range on the grading scale of a grade that is set

to Credit = Yes, the student will be marked as passed. Otherwise the student will be marked as failed.

Note: If the average is greater than maximum-failed grade then it is considered a passing grade. If no

section grading scale is defined, the status will be blank for that section. If a student is currently

withdrawn from a section, the average will be 0.00 and the status will be set to Withdrew (State Code

10).

Scheduling

Master Schedule

State Course Number and Class Type To access the Master Schedule, go to Scheduling | Master Schedule.

• The State Course Number is a pre-populated drop-list. This field is required. All valid courses and sections must

have a valid state course number. The list will be updated each year through an import under Utilities | State Imports | SDE Files tab. The ALSDE will automatically push down new Valid Course files as they become

available. The State Course Number appears in the format of State Course Number – Subject Description.

• Class Type is a pre-populated drop-list. This field is required for both the Valid Course file and the Master

Schedule. The Class Type is inherited from the valid course file but may be changed on the individual sections

in the Master Schedule. The Class Type field will not be active until the state course number is assigned.

Teacher Role Staff roles should be created and assigned to the assigned teacher under the section in the Master Schedule.

To create the staff role, go to Scheduling | Setup. Select Staff Role from the lookup list and click Refresh. Click to

Add a new role.

• To assign a role to a teacher, to go Scheduling | Master Schedule.

• Search for and select to View a section. Once a teacher has been assigned to the section, click the Teacher link

to edit the record of the teacher.

• Click to View the teacher record.

• Assign the appropriate Role to this teacher for this course section.

Valid Course Changes

Tracking Online Course Requirements

In order for Met Online Requirements to print on transcripts, the following must be set up:

Goals Sought

A Goal Sought must be created. Go to System Preferences | Setup | Goals Sought | Refresh.

• Goal Name is a required field. Enter MetOnlineRequirement or similar description.

• GPA Method is a required field. Select appropriate GPA Method.

• Select Print on Transcript.

• Once the user clicks Create, the Add buttons on the bottom of the screen become active to allow entry of

Course Type and Standardized Test, which are both optional (for more information on how to use Course Type

and Standardized Tests requirements, see the InformationNOW – Goals Quick Reference Guide).

• Click OK to save.

Assigning Goals Sought

In order for this goal to print on a student’s transcript, the user must assign it to the student.

To assign goal to an individual student:

• Go to Students | Student Maintenance.

• Search for and view the student.

• Click Goals Sought under Manage.

• All goals, including the MetOnlineRequirement goal, will appear on this screen. Put a check beside the

MetOnlineRequirement goal.

• Click OK to save.

To assign the goal to a group of students:

• Go to Students | Mass Manage | Student Goals/Career Plans. This will open a wizard.

• Use the wizard to select the students to whom the goal is to be assigned.

• Select the goal to assign (Note: It is not necessary to check Set as Diploma or Replace and Clear Existing

Goal/Plan).

Below is a flow chart illustrating the movement of school data when State Enrollment is NOT available.

New enrollment and withdrawal actions will be added to InformationNOW in order to support the various statuses that

currently exist in state enrollment. The enrollment codes in the following section are hidden and cannot be selected when

enrolling or withdrawing students. These codes are used by the State Enrollment program only.

Enroll a Student

When a user clicks the Enrollment menu item, for installations with State Enrollment enabled, a search screen will

appear with two options to search (if a connection to State Enrollment can be established). In the event that no

connection to State Enrollment is available, the user will only have a single search button called Search that will allow

them to search the InformationNOW database.

When the connection to State Enrollment is available, the system will require that the user enter at least one search

criteria before continuing in order to reduce the time it takes to retrieve data from State Enrollment. When searching the

InformationNOW database (no connection available) the system will not impose this constraint.

When enrolling a student always do “Search District” first. If the student isn’t found then do “Search State”.

Once the search has completed, the user will be presented with a list of students that meet their criteria. In the case of

searching State Enrollment, a maximum of 200 users will be returned and those results will not be paged. When

InformationNOW is searched, the results are paged with 50 results to a page.

The Add button will be used to create and enroll a brand new student. Only use this option when a student is not found

in Search District or Search State enrollment. The Enroll button will be disabled until a user selects someone from

the list.

The user may either click the Search Criteria link to return to the search screen, or choose someone from the list and

click Enroll to enroll an existing person/student; or click the Add button to enroll a new person into InformationNOW.

If Enroll or Add are selected, the following will display:

If the user selected someone from the previous search results screen, that person’s information will be populated on the

screen, otherwise the information will be blank.

User must complete a minimum of all required fields which are indicated with an asterisk (*) and click Enroll. The

system will perform validation and enroll the student in InformationNOW. If the connection to State Enrollment is

established, some duplicate checks will be made and some other data will be synchronized through State Enrollment,

including SSID. If a duplicate is found, the user will be presented with an error message and not be allowed to continue.

The user will be returned to the enrollment search results screen. You do not want to create duplicate enrollments.

Users may edit and delete enrollment and withdrawal records from this screen. Edits to enrollment and/or withdrawal

entries will not be reported to State Enrollment Locator, but deletions will be reported.

Withdraw a Student

To withdraw a student, go to Students | Student Maintenance. Search for and select to View a student. Click the

Enrollment tab.

Bullet the appropriate enrollment entry record and click Withdraw. The withdrawal screen will display for the user to

complete. If there is currently no connection to State Enrollment, the withdraw action will be automatically assigned a

W97. Otherwise, the user may choose from the appropriate options. Locators will be updated if State Enrollment is

available.

No Show Students

Users may mark enrolled students by group or individually as No Show students. No Show students are students who had

intended to go to a particular school, identified through registration in InformationNOW, but did not show up to attend

that school. Typically, schools enroll students as part of the start-of-year process and then make corrections for No

Shows per district or state policy.

To mark a student as a No Show, perform the following steps:

• To mark a student as a No Show, go to Students | Student Maintenance.

• Search for and select to View the student.

• Click the Enrollment tab.

• When the user selects an enrollment item from the student's enrollment history, the No Show button will

become enabled and allow the user to mark them as a No Show. This action is only available for the student's

initial enrollment into a school. If any other enrollment actions have occurred, withdrawals and/or

reenrollments, the student may not be marked as a No Show. If the student must be marked as a No Show and

they have withdrawal and/or reenrollment records, those records must be deleted, leaving only the original

enrollment record. Then the user may select the enrollment record and mark the student as a No Show.

• Once the No Show button is clicked, a screen pops up allowing the user to enter a date and the reason for No

Show: Non-return in the Fall (student is enrolled to attend the school but DOES NOT ATTEND on the FIRST

who have a status of registered and who were not enrolled during the academic session.

• The No Show available is controlled by the academic year and end date under School/District | District |

Enrollment tab | No Shows section.

Mass No Shows Students

To mark groups of students as No Show’s, perform the following steps:

• To mark a student as a No Show, go to Students | No Shows (existing No Show records will display).

• Click on Add to select students to mark as No Show.

Users may search for Currently Enrolled Students and/or Registered students.

• Select students and then click on Next.

• Enter date and reason for No Show records.

When InformationNOW is installed with State Enrollment enabled, additional logic will need to be performed per State

Enrollment. If no connection can be made to State Enrollment, the user is not allowed to mark a student as No Show. If

the user selects No Show, and a connection cannot be established, an error message will display.

If a connection can be established, the State Enrollment Locator will be queried to ensure that State Enrollment believes

the student is present in the district. If the student is not, an error will be presented to the user and the process will end. If

the student is found in the district, InformationNOW will handle the No Show as mentioned above and State Enrollment

will be notified of the change either through a delete or an update. Update will be sent if State Enrollment Locator shows

a value in the student's last enrollment code; otherwise a delete message will be sent.

Revisiting Incomplete Enrollments

When users are members of the Enrollment Clerk group login to InformationNOW, they will be presented with a State

Enrollment, Enrollment Maintenance wizard that will guide them through some cleanup tasks regarding any of the in-

progress enrollment items; i.e., items with a status of E97/E98/E99 or W97. In order to prevent multiple users of the

same group from processing the same students, the wizard will implement a form of locking that will only allow one

Enrollment Clerk user, per school, to be running the wizard at one time.

Users will only be shown the wizard steps that actually need user input. For example, if there are no E97 or W97

students, then the second step in the wizard will be skipped. If a connection error occurs prior to the start of the wizard,

the wizard will not display. If a connection interruption is experienced during the wizard, the wizard will display an error

detailing this to the user and the Back and Next buttons will be replaced with a Cancel button. The Cancel button

will terminate the wizard and return the user to the home page of InformationNOW.

The user will first be presented with a dialog identifying students who now have SSID’s available for assignment.

Once the user clicks Next, the SSID’s will be assigned to the student and the user will be presented with any students

who currently have an enrollment action (status) of E97 or W97.

The list of actions will be appropriate to the particular enrollment class (E or W) of the student in the list. It will only

contain actions that the users have defined in the system.

From here, the user will be able to update each student with a new Enrollment Action through the grid. Once the user

selects a new action for each student in the list, the Next button will become enabled and the user will be allowed to

continue by clicking Next.

The user will then be presented with a list of students who are currently assigned an Enrollment Action of E98. If all

E98’s must be resolved before continuing, the user must update the Enrollment Action of every student in the list before

Next is available. Otherwise, the user may continue without updating every student. If the user does not resolve all

students, the wizard will display on their next login.

The user will choose a student from the list and click Enroll. From this point the user will continue through the

enrollment process similar to the process that is already in place for E98 students with the exception that the user must

change the student's Enrollment Action from E98 to a valid Enrollment Action.

When the user clicks Next, the system will check for any E99 students that exist in the scope of the user's school.

The user will need to process each outgoing E99 student by selecting them from the list and clicking the Withdraw

button. When Withdraw is selected, the user will follow the Withdraw flow defined in the section “Data Flow”

beginning on page 38. The Locator will be updated and then the user will be taken to a screen with incoming E99

students. Once all outgoing E99 students are withdrawn, Next will be enabled for the user to continue.

The list of actions will consist of only actions that relate to enrolling students. The user will select the appropriate

Enrollment Action(s) for each of the students and then click Finish. Finish will be disabled until all students have been

given an Action. At this point the Locator will be updated and the user will be transferred to the InformationNOW

home page.

Assigning Temporary Social Security Numbers

Each child enrolled in an Alabama public school Grades Kindergarten through 12 shall have a Social Security Number

and a valid Social Security Card to be presented to school official(s) at pre-registration/registration for verification and

returned to child/parent/guardian/custodian. For each student who is otherwise entitled to admittance but does not have a

Social Security Number, the local superintendent or agency shall assign a temporary number in accordance with the

directions as specified by the State Department of Education. The temporary identification number shall be uniquely

assigned as follows:

• Must be nine numeric digits (the same number of digits as the Social Security Number).

• Reading from left to right, position 1 must be a 9.

• Position 2 must be the last digit of the calendar year; for example, this is 2017 and therefore position 2 is 7.

• Positions 3, 4, and 5 represent the unique 3 digit system number assigned by the State Department of Education;

for example, Montgomery County is 051 and Huntsville City is 159.

Home Schooled Athletes

A new Non Traditional School Type field has been added to the student Custom tab for AHSAA requirement to

designate home-schooled students who will participate in athletics.

Special Schools

There are three types of special schools that some districts will need to add based on their local requirements.

*All of these schools must be marked to Report to State.

Bed Count (3999)

• A Bed Count school is used by the fiscal agent (LEA) of a Specialized Treatment Center (STC) to record

the licensed bed count for ETF appropriations.

• The homeroom number must be numeric and must be 7 characters long and is assigned by the ALSDE.

• Social Security Numbers are required and are to be created using instructions found in the Temporary

Social Security Numbers section of this document.

• Student Last Name should be the word “Bed” followed by the sequential number assigned in the social

security number.

• Race = any race

• Gender = M or F

• Grade Level = 01. Any grade other than “01” could cause fewer teacher units to be earned based on that

grade divisor.

• Date of Birth = January 1 of the current decade. Example: 01/01/2000

• There can be no Special Education data associated with a “Bed” record

• These students are counted in the ADM (Average Daily Membership) report. Only grade level 01 will be

included.

Preschool (0000)

• If a school does not have a preschool program and a free appropriate public education (FAPE) for a preschool

student is provided in other locations (child care center, home, etc.), the preschool student may be assigned to

the school in which the child is zoned or the School Code 0000. Public agencies should use the chosen code

consistently. Preschool students receiving a FAPE should not be assigned to the School Code 4999.

Attendance documentation that special education and related services were being provided on October 1 for

students assigned to School Code 0000 is required.

Shared Service/Child Count Only (4999) – (Private School)

• School systems providing equitable special education and related services for students located in another school

system (public or private - including home-schooled students if the system has determined through its LEA Plan

to provide services to these students) should assign these students to School Code 4999 (Child Count-shared

services/Child Count only). School Code 4999 is to be used to report Child Count only. This includes preschool

age children with disabilities who have been parentally placed in a private school that meets the definition of an

elementary school in Alabama.
