MINUTES Saint Bernadette PTO Minutes Tuesday, January LO,2012 7:00 PM ln Attendance: Mrs. Beeks, Mrs. Richard, Tracey Pilone, Sandy Barrick, Yvonne Horner, Becky Garcia, Mandy Molinari, Laurie Altdorfer Opening Prayer 1-) President's Report: Tracey Pilone a) Catholic Schools Week will include PTO events - Open houses, B&N night, Auction. Becky will report on these. b) Proposed Charter will be proposed at next week's general membership meeting. Joan Cantarelli will present the proposed Charter, and a vote will be taken. c) Survey for parents: Last year a parent survey was done to assess volunteer hours. After discussion, it was decided that this year's parent survey should focus on fundraisers, events, \-" online sign-ups for volunteer activities, and planning for next year. Tracey will work up a draft for the Board to review. The survey will be sent out after Catholic Schools week. d) A Finance Committee will begin working on next yearrs budget. The Finance Committee will consist of the Treasurer, Ways and Means, Bookkeeper, Mrs. Beeks, and up to two other volunteers. Tracey will put out a request for volunteers. Once the Budget is drafted, it will go to the Executive Committee in March for approval. The proposed budget will be presented at the General Membership meeting on March 20th, and will be voted on in May. e) After School Activity Process: The school is open to new ideas for after school activities. ldeas should be presented to Mrs. Beeks. Programs need to have a dedicated volunteer directing the activity, with resources and volunteer staffing and other responsibilities covered by the main program volunteer. lf approved, she will check on space availability, liability issues, etc- RunFit program was recently suggested, and information will be forthcoming. Tracey will contact parent who brought to her attention. Mrs. Beeks is happy to attend this meeting. 2l Vice President's Report: Mandy Molinari a) Boxtops: Still cutting, will be finished by the end of the week. Winning class will be announced next week. Opening Prayer

1-) President's Report: Tracey Pilone

a) Catholic Schools Week will include PTO events - Open houses, B&N night, Auction. Becky willreport on these.

\/' 3) Treasurer's Report: Laurie Altdorfer

a) Financial Report: OPT OUT money is being spent, but needs clarification on the financialstatements. Mrs. Beeks said she would meet with Mrs. Fraze and Mrs. Monroe to ensure thattime cards reflect OPT OUT funds to be used to pay salary for lunchtime monitors

b) Faculty Lunch Expense: Mrs. Beeks asked if PTO could cover expense of faculty lunch nextThursday during teacher in-service, this was approved. This is money from the faculty coffeeaccount from the PTO budget that has not been spent or requested.

c) Faculty Coffee Expense: Mrs. Barrick will survey teachers to see if PTO needs to buy coffee as

allocated on the budget.

4l Ways and Means Report: Becky Garciaa) Guest Speaker Rene Hackney at January Membership Meeting. lt was discussed that this should

be advertised through flyers and signs around school.b) Barnes & Noble bookfair: February 1't, 6 -9 pm. Discussed Teacher wish lists, vouchers, e-mail

notices, parish bulletin notices. During the event, Mrs. Monroe will hand out stickers forparents and students to wear, so that purchases are tracked to St Bernadette School. lt wassuggested that a spate e-mail be created to promote the B&N online fundraiser, for parents toforward to relatives.

c) Auction Update: we have DJ, food, Matt Barrick as photographer. Carolyn is requestingvolunteers. Auction items are coming in. We will have a raffle for an l-pad. We will have a silentauction, no live auction. The closing of the silent auction will be staggered to reduce traffic jamsat check-out. It was discussed that an announcement should go out to request donations tocover faculty tickets. We still need beer and wine donations, would be nice to get from a

vineyard or beer distributor. Will need a thank-you writing committee afterwards.d) Spring Fundraising: We will have Sockhop, but will hold off on any more fundraisers for now.

5) Mrs.Barrick: ThankyoufromFacultyandstaffforthebonusfromthePTOinDecember.

6) Principal's Report: Mrs. Beeksa) Catholic Schools week is coming up. The schedule has been revised somewhat from previous

years. This will enable class instruction time to continue during the week.b) Open houses and registrations coming up. lnformation will be going out soon.c) Still working on the numbers for the Enhance, Revive, and Renew initiative to renovate

classrooms as needed- Discussion was held about the possibility of using retention fromprevious years' budgets toward the renovations. The board will review this request once Mrs.Beeks has received the remaining cost estimates. She is waiting on desks, chairs and classroomfurniture.
