1. INTRODUCTION

iHounslow Pensioner Self-Service is a web-based application that provides a user friendly interface between Pensioners and their data held on the system. It allows you to view/update the following:

• Personal details

• Payslips/P60s

You can log into iHounslow using either Internet Explorer or Google Chrome.

To log into Pensioner Self-Service, click on the link below: http://www.hounslow.gov.uk/index/jobs/pensionerselfservice.htm By logging into Pensioner Self-Service, you are deemed to have accepted the terms and conditions of use.

2. LOGIN SCREEN AND MAIN MENU

Your username and initial password will be emailed to you. When you successfully log in

you will be prompted to change your password.

Enter your Username and Password then click “Login”.

If you are unable to login, please click on “Forgotten Password”. If you are still unable to log in, click on “Contact administrator”.

When you log in the below screen will be displayed. The following tabs will be at the top

of the page:

Personal – Click to view all personal information (e.g. Name, address, contact

details)

Pay & Benefits – Click to view your Payslips and P60s

Quick links to frequently used parts of the system are also available at the bottom of the

page.

3. MEMORABLE INFORMATION

Memorable information allows you to reset your password instantly should you forget it.

When you first log into Pensioner Self-Service, please ensure that this is set up.

3.1 Setting up Memorable Information

1. Click on the person icon and select “Memorable information”.

2. You will be required to create a prompt question and set an answer. If you forget your

password in the future, the system will ask you for the prompt question to which you will need

to provide the correct answer to.

Please ignore the error highlighted in red – this will disappear as you continue typing the answer.

3. Click “Save”.

3.2 Resetting your password

1. At the login page, click on “Forgotten password”.

2. Type your username, then click “Next”.

3. Your memorable information prompt will then be displayed. Type the answer to the prompt then click “Next”.

4. If done successfully, you will then be prompted to change your password. When you have typed in a new password, click “Next”.

5. If the new password has been accepted, the below message will be displayed. Click on the “X” to close the window and enter your new login details.

4. PERSONAL

This page holds your personal information which you are able to view and amend, if necessary. Please ensure your details are correct.

You are able to change your address, contact details and also bank details. Any change will automatically feed through to payroll.

You are unable to change your name in Pensioner Self-service, instead please contact Capita at [email protected] to advise them of the change.

4.1 Change address details

1. Click on the “+ Add” button and select “Add address”.

2. Type in your new address details and click “Save”.

4.2 Change bank account details

You are advised not to make any changes to your bank account 7 days leading up to payday.

1. At the bottom of the “Personal” page, click on your current bank details.

2. Type over the old details and then click “Save”. After clicking “Save”, Payroll will automatically be notified that you have changed your bank details.

Please ensure that you enter your bank details correctly as any errors may lead to you not being paid on time.

4.3 Add Next-of-Kin details

1. Navigate to the “Personal” page and click on the “+ Add next of kin” button.

2. Enter the details of your chosen Next of Kin. If their address is the same as yours, tick the

“Use my home address” button. Then click “Save”.

5. PAY & BENEFITS

The Pay and Benefits page allows you to view your payslips & P60s.

5.1 View a payslip

1. Navigate to the “Pay and Benefits” page and click on the pay period that you require a payslip for. If the payslip you require is older than 12 months, you will need to click on the search icon and enter the dates required.

2. The payslip will then open as a PDF document in a new window. You are then able to print the payslip if required. To print the payslip click on the printer icon. To close the payslip, click on the “X”.

5.2 View a P60

1. Navigate to the “Pay and Benefits” page. All available P60s are displayed at the bottom of the page. Click on the P60 that you would like to view.

2. The P60 will then open in a new window as a PDF document. You can then print the P60, if required, by clicking on the printer icon. To close the P60, click on the “X”.

7. Frequently Asked Questions

Can I access Pensioner Self-Service from anywhere?

Pensioner Self-Service can be accessed anywhere from any device with internet connectivity such as a Computer, Tablet or Mobile device.

Which internet browser should I use to access Pensioner Self-Service?

Internet Explorer (version 9 or above) or Google Chrome (version 46 or above).

Can I reset my own password?

Yes, click “Forgotten Password” on the login screen.

Please email [email protected] if your account has become inactive.

What should my password be made up of?

At least 8 characters

At least 1 Capital letter

At least 1 number

No special characters e.g. “£$$%^&*()_+~

Can I use the same password twice?

No.

I have tried to change my bank details but it will not accept my sort code?

We try to keep sort codes up to date, but sometimes yours may not have been used previously. In this instance please email [email protected] advising us of the sort code and the bank name so that this can be set up for you.

How secure is the system?

All connectivity from the user client machine (remote device) connects over a compatible internet browser, hitting a secure web server over standard port 443, hardened with an SSL certification to protect the connection between the client and the web server. Encryption keys will also be used within the SSL which will encrypt the data between the client and web server.

What happens if I forget to log out of Pensioner Self-Service?

Pensioner Self-Service will log you out after a certain time, where there has been no user activity. Closing the browser will also close the session.

Will my change of address feed through to other systems?

Your address change will go to HM Revenue and Customs and to Capita.
