    Job Title: Receptionist/Administrative Assistant

    Wage/Hour Status: Non-ExemptReports to: HR Director

    Dept./School: Human Resources

    Position Summary:

    The Receptionist/Administrative Assistant, under the supervision of the HR Director, performs a varietyof complex, responsible, and confidential administrative duties requiring a thorough knowledge oforganizational procedures and processes. As the first point of contact for the HR Department, they willmaintain a friendly and professional manner at all times in both appearance and communication. They

    will continuously provide assistance to the Director and/or designated HR staff members. They willperform other department related work as required. The Receptionist/Administrative Assistant requiresthe ability to work independently, exercising good judgment and initiative. They will manage confidentialinformation with a strict scrutiny.

    Qualifications:

    Education/Certification Requires a High School diploma or GED. Bachelors Degree from an accredited College or University preferred. Professional Human Resources (PHR) Certification, preferred.

    Experience 2+ years of experience as an Administrative Assistant.

    Required Knowledge, Skills, and Abilities (KSAs) Excellent communication skills, both verbal and written. Basic knowledge of data entry, filing, and handling confidential information. Must have 2+ years of Administrative Assistant experience, including data entry, filing,

    computer programs, and office equipment. Proficient with Microsoft Office Suite products. Ability to manage multiple priorities effectively. Ability to stay organized and on task at all times. Excellent attention to detail is required.

    Preferred KSAs

    Experience maintaining and supporting public, private, or charter school employees in theState of Texas. Experience maintaining and supporting HR department and/or 500 or more employees.

    Responsibilities and Duties:

    Maintain calendars, track deadlines, route incoming calls, organize meetings, and prepare reports,presentations, and correspondence.

    Edit, proofread, and process HR related documents as needed. Assist with New Hire Orientation paperwork. General clerical responsibilities including: answering phone, filing, typing, copying, receiving

    department mail, monitoring the HRForms email box, and other duties.

    Communicate with ResponsiveEd staff via email, telephone, fax, in-person, and direct them to theappropriate HR Staff.

    Process employment verifications. Process TWC claims and FMLA requests. Create security badges for staff. Perform special projects and other duties as assigned by the HR Director. Learn duties of other HR staff to provide back-up as needed.

    Equipment Used:All equipment required to perform jobs duties and task previously described.
