How To Have a Memo on the Check Stub There are several situations to having a Check Stub memo: First Situation: Did you ever wish that you had some way to enter a company wide memo such as “Remember the company picnic this weekend” that would appear on everyone’s check stub. If this is the case, M3 (or Payentry) can help.

(1) Go to your company calendar, highlight the date you are working on, and click on “Details” to find out the Default Check Type (in this case “Reg”):

(2) Now, go to the Company Setup > Paycheck Attributes > [check type from (1)]

Click on the Checkstub Memo field and you can enter any type of message that you would like. To see where this message appears, look at the check image below. NOTE: This memo does not “erase” on the next payroll run. It will remain there until someone notices it. It could end up embarrassing to wish everyone a “Happy New Years” all the way to June!!! You must remember to go back into the Paycheck Attributes and erase the memo AFTER you sync with Pay-Net. Note on Payentry: The procedure is really the same as above, just the screens are different. Go to Company, Paycheck Attributes, find the “Reg” check, click on “Details” and scroll to the bottom of the screen. You will find the “Checkstub Memo” field there.

Second Situation: You need to put a specific memo on a certain employee’s check stub. This memo could be something like “This check covers your special vacation hours”. (1) When in Payroll Entry, click on the “Override Button”

(2) On the Override screen, click on Checkstub Memo.

(3) On the Checksub Memo window, enter your message:

(4) Click on “OK”, the window will close, then click on “Save Changes This Paycheck Only”:

(5) If you don’t click on “Save Changes This Paycheck Only”, the memo will appear on all the employee’s subsequent checks!

Note on Payentry: Again the procedure is the same, only the screen changes: Go the employee entry and open the employee’s check. Click on Edit:

Then, scroll to the bottom of the screen to find the Checkstub Memo:

Special Situation: Due to recent California law changes, if the check covers pay for a different period than your current pay period, the period dates must appear on the check that the pay covers. This provides some challenges for payroll personnel. You can use the Checkstub Memo procedure listed above. However, if you are issuing a Manual Check for this pay, you will need to make a notation on the check stub. If you use M3 to calculate and print this manual check, you can modify the period end dates at follows: (1) Enter your manual check information as before. Then, click on “Save Check”

(2) On the “Save” window that pops up, change the Period Dates before printing:

Now, when you print the check out, the revised period end dates will print on the Manual Check Note on Payentry: Again the procedure is the same, only the screens look different. The Period Dates are found on the bottom of the screen after you do a “Calculate”:
