How to create a webinar on your Mentice simulator

WEB CONFERENCING, OR WEBINARS, have become increasingly popular in recent years as mobile broadband has become standard. Today, more than 4 billion people have access to the web via their cellphones. This has created amazing, new opportunities to change the way we educate ourselves and learn new things. A low-cost software solution The first thing you need is a suitable solution for your specific need. For this you have several choices.

2. GoToWebinar - Use this solution if you would like to set up educational sessions where a large number of people are able to participate. 3. GoToTraining – Use this solution if you would like to create a web-based training program where it is possible to charge the participants. The payment option includes all major credit cards and PayPal. The solution includes registration, reminders and a web page with material. The price is 149 USD per month. What you need to set up a webinar

A microphoneIf you wish to hold web-based meetings with several participants in the physical room where you conduct the webinar, we recommend that you use any standard conference telephone. The suggested solutions offer a local call-in number for 14 countries.

If you are planning to hold educational sessions and web-based training programs, we recommend the purchase of a high-quality microphone, such as the Yeti from Blue which has a list price of 150 USD bluemic.com/yeti

A camera optionThe solutions we suggest have support for showing the screen of the simulator as well as HD video. This means that you can show the face of the educator, the room or focus the camera on the hands of the person operating the simulator.

The Mentice VIST simulatorThe Mentice simulator will make it possible for you to show your audi-ence what is happening on the simulator screen . Make sure your sim-ulator is fully functional. If you have any issues, you can always contact Mentice support at support.mentice.com

An additional laptop The simulator has its own laptop but you will need an additional laptop to manage sound, questions, camera, etc.



to do on the simulator Connect it to the InternetTo show the screen of the simulator you need to connect it to the In-ternet. Please make sure you discuss this with your IT department. The simulator does not have advanced anti-viral software installed and may catch a virus if it is unprotected. Please note that Mentice cannot be held responsible if the simulator becomes infected with a virus. Make sure you only have the simulator connected to the Internet during the webinar. Be-fore and after the webinar, make sure the simulator is disconnected from the Internet. That will lower the risk of catching a virus. You should also make sure you connect the simulator using a cable as this will guarantee a better Internet speed and high-quality image for your viewers.

Install the web meeting/web conference software on the simulatorThe steps you need to follow to install the software are provided by GoToMeeting, GoToWebinar and/or GoToTraining.

Make sure the technology worksYou have now set up your meeting/webinar and sent your participants all necessary information. Before the actual meeting/webinar, you need to make sure all the technology works. There is always a high risk that something is not going to work as it should from the start. Set up a test meeting and verify that sound, video, screen sharing etc. are working as expected. To be well prepared is a key factor for a successful meeting/webinar.

4. Now test video, sound, screen sharing etc. Make sure your colleague, logged in as a participant, can see the video stream, the screen sharing and hear you really well.

MAKE SURE ALL THE TECHNOLOGY is working before your first meeting. It is always a good idea to do several test runs to make sure you have a full un-derstanding of the technology and all its features. Our recommendation is to start your meeting/webinar exactly 1 minute past the scheduled time as this gives participants time to connect and make sure the technology works. We also recommend that you ask a colleague to log in as a partici-pant to ensure that sound, video and screen sharing are working well. Tips for a successful meeting/webinar

1. Prepare – It is really important to prepare well to ensure a successful event. Make sure you execute several test runs.

2. Script what you want to say – To do a meeting or webinar on the fly can work, but this is generally not a good idea. We recommend that you script the start and end of the webinar and, if you have not given the presentation before, we recom-mend that you script everything.

3. Test the technology – Since you will be using several dif-ferent computers and technologies, there is a high risk that something will not work. Make sure you test the technology thoroughly several times before the event.

4. A great headline and description – You are, as always, competing for the attendee’s attention. Make sure you create an exciting and interesting headline and description for your event.

5. Planning a PowerPoint presentation? No problem, but please go easy on the bullet points as they will quickly bore your audience. Instead, use big pictures and headlines that describe what you want to say. This will be more interesting for your audience.

6. Don’t go into details – You will naturally want to explain everything and give a lot of details but there is a limit to how much information your attendees can take in. Instead, focus on what is most important and repeat that message. This will ensure a more efficient knowledge transfer.

7. Engage your audience – Just as in a live event, there are ways in which you can engage your audience. Using the suggested technology, you can conduct a poll or Q & A and ask attendees to raise their hands. Audience engagement will ensure a more successful knowledge transfer.

8. Record your meeting/webinar – The suggested solution offers a recording facility that makes it possible for you to share a recorded version of the event. Make sure you always record your events.
