Over the past eight years, we have been fueling innovation for education and life-long learning with our portable, data-driven solution. It has been our mission to directly address the challenges facing educators and students, from Early Education through Career, by focusing on advancing our service’s capabilities, alongside providing excellent customer service. Getting Ready

Computer Requirements

Here are some tips to help ensure the optimal experience.

Internet access HMH Portfolio is a SaaS offering delivered in the cloud, letting you access your

account anywhere, anytime with Internet access.

HMH Portfolio incorporates responsive design. For tablet use, users may simply log in through the tablet’s browser (Safari or Chrome recommended) for full functionality in their accounts.

Our mobile apps for phones are available in the AppStore and Google Play for

Android. Key word: SchoolChapters Remote

Our offline mobile app is available for iPad and is currently being updated.

Further, we recommend that Wi-Fi networks, if in use, are able to support a class of users with adequate upload and download speeds.

Browsers

For optimal use, we recommend using a browser that supports HTML5, such as recent versions of Chrome and Firefox. If you’re unsure of compatibility, try using

an online test such as the one found here: https://html5test.com/index.html

We support: Mozilla Firefox 22+, Chrome 25+, IE 10+, Safari 6+. There is a

known issue with the uploader when using IE11 that requires users to drag and drop files.

Hardware

Please ensure computers and tablets are compatible with a recommended browser.

HMH Portfolio

Users will need a username and password to log in to HMH Portfolio accounts, unless accessing from their school’s LMS. Usernames are email addresses.

Other Settings Considerations Allow Third Party Cookies - required for single sign-on (SSO). Please ensure JavaScript is enabled. Allow emails from @schoolchapters.com, @hmhco.com. (email filters)

Integration with LMS’s

Integration makes things easier for you and your students – providing single sign-on, assignment syncing and grade book integration, for example. HMH Portfolio integrates with many Learning Management Systems (LMS’s) and has an API for use by developers. Here is an overview of our integration capabilities available “off the shelf” along with resources to help you get started quickly and easily. For questions about testing LMS integrations in a staging environment, please contact us.

Blackboard Learn Blackboard’s Partner Cloud Building Block (PC) is the recommended integration.

General Site Map: The diagram below is a high level overview of the site

organization and features. Note that some features are only available to some users based on role. Role also determines some user capabilities in the My Courses area. For example, instructors and administrators have the ability to create assignments and course content, while students can access content and submit assignments. The same is true for some tools. Site Map - Details and Definitions

My Stuff: The My Stuff section includes files, customizable tags to sort files, badges

earned, portfolio frameworks such as standards, school-defined outcomes or user-created outlines, as well as the user’s Stories.

Storage: Use the Storage section to upload files, add links, and import files from Google docs for access and use anywhere in your account. Files uploaded directly to a portfolio or an assignment will also appear in Storage. Use the Detail View to organize and arrange files directly from this section. Tags: Create tags, such as “My Writing” or “Photography,” as a way to organize documents within the Storage section. Users can then add the tag to their Story as a way to showcase all files in the tagged collection. Badges: In this space, students can view all awarded badges, make them public to include in a Story or sync them to a confirmed Mozilla Backpack account. Badges are awarded by an instructor in connection to an assignment. Portfolios: Portfolios are considered to be frameworks or outlines showing the standards, competencies or outcomes to be met, and evidence of achievement. Portfolios can be associated to a course, and criteria can be aligned to assignments and rubrics. They are a cornerstone of accounts, and useful to accreditation and proof of competencies. Users can add files directly to portfolios, and showcase portfolios in Stories. Portfolios can also be created by any user for personal use or use in the course. Stories: The Story section allows users to showcase and share their accomplishments, in a form of an ePortfolio. Stories can include portfolios and all associated files, tagged collections of files, featured work, a resume, profile information and blog posts.

My Courses: All courses a user is enrolled in as an instructor or student.

Schedule: The Schedule tool allows teachers to make items within a Course active (visible to students) or inactive (not visible to students). Announcements: Using the Announcement tool, instructors are able to create and send e-blasts to students in the Course. The Announcement will also appear on the Course Home page. Blocks: Blocks are units within a Course. For example, in a history course, there might be a unit on the Renaissance and another unit on the French Revolution. Assignments: Instructors are able to create Assignments, which students can then work on and submit evidence to. Next instructors can grade the student’s work using the Rubric as well as upload any feedback or guidance they might have. The student can view the grade and guidance the next time they log in.

Resources: An instructor is able to add and arrange files that are relevant or helpful to the Course into the Resources area. These documents are then available to any students in the Course. Assessments: Assessments are a review of an entire portfolio that has been associated to a course as a standard or framework. They are created by instructors viewing a student portfolio and then clicking the Assess button. Assessments are not visible to students, but can be generated as a PDF if you would like to provide a copy to students. Quizzes: Course instructors are able to build quizzes, which students can then take. Quiz reports for the class as a whole are available to the instructor, as well as individual grade reports for the instructor and each student for his or her own quiz. Portfolios: Course Portfolios allow an instructor to build a portfolio at the class level, for reflection, intentional teaching, or demonstration of effectiveness. These are not to be confused with individual or student portfolios. Stories: Not to be confused with personal stories, instructors create a Course Story in order to showcase the Course Portfolio for accreditation. Conversations: Conversations on a Course level allow for users in the Course to more efficiently communicate with each other.

My Connections: In the My Connections section, a user will find the Groups in

which they are included in, as well as all of their Conversations. Groups: Users can work together in Groups to add evidence to a Portfolio or Group standard as a team. They can also have conversations on a Group level, and add Resources to a Group. Conversations: A user is able to create Conversations with other users for efficient communication. Online chat is also found under conversations.

My Institution: Only instructors and admin users have access to the My Institution

section, where they are able to access tools and reports. User Management: In the User Management section, admins are able to create and edit Schools, Departments, Courses, and Users.

Schools: Lists the schools managed by the administrator. Edit the school to import users (not needed if integrated with an LMS) and manage standards portfolios available to all users. Departments: Departments can be set up to include a group of courses, in order to pull a report on the group.

Courses: Lists all courses in the school, usually those created from an LMS launch. Enrollment is automatic with LMS integration. Edit courses to access course copy. Users: There are three different types of users: Admins, Instructors, and Students. Admins manage the School from a higher-level. Instructors are teachers of Courses. Students are students in the Courses. Any user can have multiple roles. Deleting users is permanent and is NOT recommended, as students may continue to access accounts following graduation.

Tools: Tools include Rubrics, Assignment Templates, Crosswalks, and Evaluations.

Rubrics: Rubrics are used to grade Assignments. Instructors and admins can upload or build a rubric, and then align that Rubric to portfolio criteria and assignments. Assignment Templates: Admins are able to create Assignment Templates. Instructors are able to create assignments from the template if their Course is aligned to the same standard (portfolio framework) as is used in the template. Integrates with Blackboard Learn Partner Cloud. Crosswalks: A Crosswalk is used to align one standard criteria to another standard criteria. Evidence added to the origin criteria is automatically added to the destination criteria. Evaluations: Evaluations allow for portfolios (full set of standards, e.g.) to be evaluated based on a rubric.

Accreditation: Admin users are able to look at and revise Classroom Portfolios as well as build and review Accreditation Portfolios through the Accreditations section. Accreditation portfolios are useful in collecting multiple samples of students’ work that all meet the same portfolio criterion. Reports: There are three different types of reports: Rubric Reports (data on Rubrics), Standard Reports (data on Standards), and Engagement Reports (data on user-engagement). Instructors can access reports on courses they teach. Adminstrators can aggregate data from the full school.

Understanding Roles

HMH Portfolio has role-based permissions to provide users with an interface and abilities to meet their needs by role. Users may have multiple roles.

Administrator: The administrator role has the highest level of access within their

school or organization. Admins can:

View all courses, assignments, assignment submissions and course work.

Manage courses, groups and departments, including creating new courses ( if LMS integration not used), groups and departments; editing existing courses, copying course templates to a new course, and archiving courses.

Manage users including creating new users, assigning roles and editing names and course enrollment (if LMS integration is not used).

Generate and view reports on all courses, rubrics, standards, evaluations and assessments in the school(s) they administrate.

All abilities of instructors, except they cannot score rubrics of students as an admin (only an instructor).

Instructor: Instructors are users that teach courses within HMH Portfolio. Instructors

can:

Manage and interact with students in courses

View student portfolios connected to course standards, outcomes or objectives.

Create assignments aligned to course standards, outcomes or objectives.

Score assignments.

Track student progress on assignments and portfolios.

Add more to their course: add assignments, organize blocks, create polls and quizzes, and add course resources.

Build a course portfolio and a course story for purposes like accreditation and sharing evidence on course standards.

Create and score evaluations and assessments.

Create and upload rubrics.

All abilities of students, except they do not submit assignments as an instructor.

Student: Students are users enrolled in courses. Students can:

Build multiple “Stories” to demonstrate learning and competencies for a variety of purposes.

Access unlimited storage in the Storage section. Upload, tag and store documents, photos and badges.

Add and organize evidence in “Portfolios” to demonstrate standards, outcomes or competencies in connection to a course, or for their own purposes. Portfolios can be shared in the users’ Stories.

Work on and submit assignments for courses.

View scores and feedback on assignments, assessments and evaluations.

Access course resources and blocks, including the ability to take quizzes and polls.

Work collaboratively in groups, participate in conversations and use chat features.

Other Roles:

Kiddo: Kiddos are usually children. We use this role when a teacher is working on

building portfolios for a class of children, such as is done in early childhood classrooms. These users are added to a “kiddo course” to give the teacher the ability to upload for them. Teachers can upload and add evidence to portfolios, assignments, and assessments for the children in their class. Teachers can also set up parents or guardians and invite them to view their child’s Story.

Parent: The parent role is assigned to parent and guardians using HMH Portfolio to

view their child’s photos, documents and Story. The parent role is currently used for parents of children

Customized LMS Roles: If you use custom roles in your LMS, contact us to

understand role setting during LTI launch.

Guide: LMS Integration for Blackboard

Account Creation / Authorization

When using with an LMS, such as Blackboard, HMH Portfolio accounts are created through the integration.

Here is quick guide to account access from Blackboard Learn in a few easy steps. Click the links to go to online help for more detailed instructions. 1. Blackboard Administrator enables HMH Portfolio through Partner Cloud Settings. 2. Once enabled, instructors locate HMH Portfolio from the Course page under

Publisher Content>Commercial Content.

3. Instructors follow prompts in the Commercial Content tools to create a new account or authorize access to an existing HMH Portfolio account. NOTE: Authorization or account creation is only required the first time you access your HMH Portfolio account.

4. Instructors can add Course Content in HMH Portfolio to their Blackboard Course. Click “Create Assignment” to launch to your HMH Portfolio account and start working, or select an existing assignment or template. Remember you can edit an assignment until a student submits work to the assignment.

TIP: Assignment Templates are very useful for schools using Blackboard. They allow HMH Portfolio administrators to create reusable templates of assignments with standards or outcomes pre-aligned, so teachers can pull them into their course more easily. See page 32. NOTE: The main account contact will be authorized as an administrator by request. Additional administrators require written approval from main contact.

5. Once in HMH Portfolio, users can use the top navigation menu to access any area of their HMH Portfolio account. The “Return to LMS” button will allow them to navigate back to Blackboard.

6. Blackboard users can also access HMH Portfolio accounts by going to Tools > Commercial Content Tools > HMH Portfolio and selecting an option. This is useful for users that want to use features other than assignments or assignment templates. TIP: Add a TOOL LINK to the Commercial Content Tools. Name it HMH Portfolio.

Account Design

Initially, accessing and creating an account is an excellent first step, as an account is needed in order to start working in HMH Portfolio. However, HMH Portfolio is best utilized when course or program specific content items and information are added. Setting up accounts for your school’s specific purposes and goals requires intentional design and thoughtful planning. Usually at this point, you have already decided that HMH Portfolio is a good fit to meet the specific problem or needs of your institution. Often, it’s as simple as starting to take your information and putting it into our system. This is often best accomplished by a key contact person or small group that can work with us directly during the account design phase. This might be an instructional designer, a technology or media specialist, a department head or a designated staff member. This person or group will help get accounts ready so that instructors can easily set up their courses, understand what’s required of them, and feel prepared to use HMH Portfolio with students. To begin, the goal is to start the conversation and create a plan to implement, with clear objectives and responsibilities. The following questions and chart are only suggestions, and can be modified to fit your needs. On page 22, we provide more details on the mechanics of creating portfolios, rubrics, assignments, stories, and so on. A clear understanding of your account capabilities and functionality will ultimately help you achieve the results you want.

Questions to Consider

As you begin to implement HMH Portfolio for your program, here are some questions to discuss. Answers to these questions will help us better understand your needs and provide suggestions for account set up and design.

How do you plan to use HMH Portfolio, formerly SchoolChapters? What are your main objectives?

Is there a particular framework that you’d like to use to build portfolios? Frameworks might be a set of outcomes, standards or a list of requirements.

What artifacts would you like students to include in their portfolios?

How will students add to portfolios – through key assignments, on their own, a capstone course, or a combination?

Which students or courses will use HMH Portfolio?

What data do you need to capture and display? Who will be responsible for entering data?

What is your main purpose for implementing an ePortfolio solution? (ex: accreditation, student employment, outcome tracking)

What are secondary or additional problems you hope to also solve in the process?

What resources do you have on campus to help support this initiative? (LMS admin, technology specialists, work study, media specialists, key faculty, computer labs, mobile stations, etc.)

What will be indicators of success? How will you measure if you are successful?

What is the timeline for implementation? As you discuss these questions with your team, use an excel file or a chart similar to the one on the following page to keep notes and set milestones.

Whether working with one class, a program or an entire campus, you’ll need to gather the information to set up HMH Portfolio. This list might be different for each implementation, but some common items to collect include:

Now that you have the resources and items needed to set up accounts, use this section along with our Online Help manuals and videos to understand how to use the tools and functions within your account.

Blackboard: Commercial Content Tools

In Blackboard, the HMH Portfolio tools are available in Commercial Content Tools,

once HMH Portfolio is associated to a course. The links allow users to navigate

directly to key areas in their HMH Portfolio account.

To access the HMH Portfolio Tools:

1. Log in to Blackboard and select a course. 2. Click Tools. 3. Click Commercial Content Tools.

4. Click HMH Portfolio under associated partners. HMH Tools will be displayed.

Portfolios (Frameworks)

Goals:

Understand the concept of portfolios as frameworks, standards or outcomes.

Know how to locate portfolios and understand how to create portfolios.

Be able to add portfolio frameworks to the course.

Key Ideas: Portfolios are frameworks of standards, outcomes, learning objects or

outlines.

Criteria in a Portfolio framework can be aligned to Assignments.

Criteria in a Portfolio framework can be aligned to rows of Rubrics.

Portfolio frameworks can be added to a Story to share with others.

Rubrics

Goals: Create a Rubric in HMH Portfolio.

Know two locations to use Rubrics: Assignments, Portfolio Evaluations

Understand value of rubric tags to reporting.

Key Ideas: Rubrics consist of columns and rows of criteria with points for each cell.

Rubrics can be simple or complex.

Rubrics can be created online or uploaded from excel (must follow correct format.)

Rubrics are added to assignments and scored by instructors. Rubric scores can be aggregated and summarized.

Portfolio criteria can be added as tags to rubric rows – this improves reports on the criteria and standards.

Assignments

While there are many uses of an ePortfolio service, one common use among HMH Portfolio users is the management of key assignments for the purpose of accreditation. This might involve the organization of specific items or artifacts into a portfolio over time, and the assignment features help students store, organize and track their progress. Often, there is a need to assess student progress in relation to the standards, outcomes or frameworks of a program. When set up correctly, assignments enable the reports needed to demonstrate student success.

Goals:

Understand the benefits and uses of assignments in HMH Portfolio.

Access resources to understand how to create, edit, submit and score assignments

Understand the assignment workflow.

Identify the pathways to copying assignments to multiple sections and understand the pros and cons of each.

Key Ideas: Assignments are part of a specific course. Copy features can replicate

assignments to another course or section.

Assignment templates are pre-made by admins or instructional designers for use by instructors in any course (using the same framework).

Assignments and assignment templates must include a name and an alignment type. It is recommended to include a description, a rubric and alignment to Portfolio frameworks. Due dates, documents and badges are optional additions to assignments.

Creating Assignments

From Blackboard Learn’s Partner Content area, users can click Create Assignment to create a portfolio assignment for the course. See resources on page 28.

Copying and Replicating Assignments across Sections

As an instructional designer or administrator setting up HMH Portfolio accounts with assignment data and information for the first time, there are likely some questions:

How can I set assignments up in advance to make it as easy as possible for instructors?

How can I copy assignments to multiple sections of a course? HMH Portfolio has several tools available to support your work flow:

OPTION 1: Course Copy in Blackboard

This option works well for schools that use developmental or course shells in Blackboard. These are master courses that do not have students in them. When ready, shells are copied by Blackboard admin to a new course.

Benefits Drawbacks

Consistent with a common existing workflow.

Assignments from shell copy over to child course.

Instructors will need to add portfolios to courses in HMH Portfolio.

May need to associate child course to HMH Portfolio before copying from master shell.

Sample Workflow:

• Log in and go to Master Development Shell in Blackboard - Designer should be enrolled as instructor n shell

Access • Designer uses Partner Content to access HMH Portfolio in Course

Create • Designer uses Create Assignment tools to set up assignments in HMH Portfolio

Sync • Designer follows prompts to pull Portfolio Assignments into Blackboard course shell.

Copy • Course shell can be copied in Blackboard to new course section.

• Users access set up assignments from section. Instructors need to authorize or create HMH Portfolio account & add frameworks to course.

OPTION 2: Assignment Templates

One option for users of HMH Portfolio and Blackboard Learn’s Partner Cloud is assignment templates. Assignment templates provide a way to set up all of the details included in an assignment (description, alignment, documents, rubric, etc) in advance, to be selected and copied into any course.

Benefits Drawbacks

Assignment Templates can be set up in advance with all requirements.

Instructors can modify assignment based on a template.

Templates are easily pulled into Blackboard Learn.

Only administrators in HMH Portfolio can create assignment templates

Instructors can modify assignment based on a template.

Only templates using the same portfolios (standards or outcomes) as are aligned to the course are available as an option. This is designed to help instructors filter and choose appropriate templates, but means they have to add standards to their course first, then choose a template.

Create •Admin/ designer creates assignment templates for use

Log In •Instructors log into Blackboard and go to course.

Associate

•Instructor uses Partner Content tools to associate HMH Portfolio to course

•Instructor clicks Create Assignment but only adds existing portfolio frameworks to course.

Select •Instructor Returns to LMS and and selects Template

Submit •Instructor uses template and submits update to course.

OPTION 3: Course Copy in HMH Portfolio

Course Copy is supported in HMH Portfolio by editing the parent course in the administrator’s user management section. The latest integration through Blackboard Learn’s Partner Cloud has provided easier options, but this pathway still exists as a viable option.

Benefits Drawbacks & Restrictions

Allows for copying of assignments, resources or units in one course into another “child” course.

Allows for copying between multiple schools.

Once a “parent” class copies to a “child” class, a second “parent” class cannot copy to that same “child” class.

“Child class” must be empty of all content to copy the first time. Once an association is created, additional items may be copied from “parent” to “child”

Only available to HMH Portfolio admin users.

Child course must exist in HMH Portfolio to copy to it, requiring instructors to launch from the new section.

Sample Workflow:

Launch

• Access HMH Portfolio through course in the LMS

Create • Use HMH Portfolio tools to add assignments to "parent" course

Launch

• Have instructors launch from new sections of course to HMH Portfolio. Notify admin this is complete.

Copy

• HMH Portfolio admin edits parent course to copy to new sections. Notifies instructors.

Sync

• Instructors need to use LMS Tools to sync assignments in HMH Portfolio to Blackboard LMS Content area.
