This document is a compilation of best practices from the Health Index responses. Although there were many great answers, we attempted to provide answers from different sizes of Community Tennis Associations.

Corpus Christi Tennis Association:Executive Secretary - CCTA

Takes minutes at each Board meeting. Furnishes a set of minutes to each director prior to the subsequent meeting. Notifies each officer and director by telephone prior to each meeting unless the

director declines such notification.

Updates Board roster and distributes to all Board members each time there is a change of director or an information change on an existing director.

A CCTA membership roster shall be made available to each CCTA member at the annual meeting. Every other year a membership roster shall be mailed to every CCTA member. Board of Directors shall approve the mailing expense prior to distribution.

Shall pay all bills subject to prior approval by President, event chairman or Board vote.

A financial statement and set of prior meetings minutes shall be provided to each director prior to each Board meeting.

A tournament preliminary financial statement shall be furnished all directors at the Board meeting immediately following the tournament. A final report shall be furnished within 60 days.

Membership files shall be kept by the Executive Secretary. Renewal notices shall b mailed on a timely basis.

The annual luncheon fees due from each Board member shall be collected by the Executive Secretary.

Shall make reservations for monthly meeting and pay bill after the luncheon. Tournament entry and other fees shall be collected and deposited in a timely

manner Shall be available to assist officers, committee chairman, and tournament

directors with correspondence and secretarial assistance as needed All CCTA mail with exception of entry fees shall be submitted to President on a

Full-Time Salary $___The ED is hired by the board of directors. Responsibilities:

President-Elect Presides over meetings in President’s absence Coordinates and oversees all tournament committees. Appoints co-tournament directors for each tournament from the Board of

Secretary/Treasurer Records Board meeting minutes in absence of Executive Secretary. Chairs a committee for the formation of the budget for coming year. The

committee shall include President, President-Elect, and 1st Vice President. Proposed budget is submitted in November and voted on at December meeting.

Directors Each Board member shall be expected to attend monthly CCTA Board meetings.

If a director misses two consecutive meetings they will be asked if they wish to remain on the Board. If a director misses three consecutive meetings the director can be removed by the President.

Each director must serve on a tournament committee each year. Each tournament will have two Board members acting as co-tournament directors

to assist in the organization and running of the tournament. Each direct is expected to participate in the organization and running of the yearly

benefit tournament ‘Double Up’.

Referee The referee serves as a member o the tournament play committee, along with head

umpire and tournament director Assists the tournament play committee with the seeding and the draw The referee exercises general supervision over all aspects of play, including, but

not limited to, the conduct and actions of players, parents coaches, umpires, ball persons, groundskeepers, and administrative crew

The referee should use his best judgment in all situations not covered by the rules The referee decides any point of law an umpire is unable to decide, or which is

referred to him as an appeal by a player. The referee’s decision in such a case is final.

The referee is responsible for suspending or postponing play when weather, light, surface conditions or other circumstances justify so doing.

The referee may default a player for cause, and rule on appeals from players defaulted by an umpire

5. Please list your methods for recruiting volunteers in addition, describe how you match them with jobs that are of interest to them.

Southeast Texas Tennis Association:WE use our website, email, Facebook, and phone calls to recruit volunteers. We have developed an interest indicator which is given to each volunteer (attached). We also recruit during our events – Wooden Racquet Classic, Labor Day tournament and Gumbo Cook-off. Also, due to the growing tennis community, recruiting efforts must be at an all time high. We must act quickly and efficiently in order to gain new members for the 2011 year. One group that must be targeted is the college student. Many students enjoy the beautiful facilities at Lamar University but do not participate in local leagues or serve as volunteers. Our recruitment coordinator has distributed flyers at the university. He is also capitalizing on the new USTA rule that allows 18year old high school students the opportunity to participate in league play. He has contacted the local high schools and established communication to enable these vibrant young adults to work with our own youthful recruitment coordinator. His enthusiasm and love for our community should really help our recruiting efforts.

Fredericksburg Tennis AssociationOne of our bigger challenges is to find members willing to serve on the board. Recruitment is based on desire to be on the board, recommendation by others and skill set. Leadership is a primary quality we look for in potential board members, particularly

officers. Ability to devote time and commitment is another. Normally, we ask members to take on specific responsibilities that map to their skill set or passion. Most members tell us what they prefer to do. We also ask non-board members for certain duties and responsibilities. One does not have to be a board member to contribute their time and resources.

6. Has your CTA explored local/state opportunities to expand your volunteer base by working with other non-profit organizations with similar goals? If so, please explain.

Houston Tennis Association: We work with Special Olympics, Harris Country of Department of Education, Serve Up a Cure, Houston Parks and Recreation Department, School Districts, Houston Ladies Tennis Association (HLTA), West Houston Ladies Tennis Association (WHLTA), Jack Rabbit League, Houston Tennis Club (HTC), Local Clubs and other organizations

Laredo Tennis Association:We are working with Laredo Boys and Girls Club of Laredo, Laredo Country Club Women’s Tennis GroupLaredo Parks and Rec Dept, United ISD Athletic Dept, Texas A&M International Tennis on Campus Club, Laredo Crushers (NJTL), Webb County Sheriff Department

Southeast Texas Tennis Association:This year we are collaborating with Girls Haven. We have assembled a Gumbo cook off team and are competing in their annual fundraiser. Our participation not only helps the non profit but is an excellent way to market our organization to a large segment of the population not exposed to tennis.

Fredericksburg Tennis AssociationLocally we have allied ourselves with other organizations whose primary mission relates to youth development and/or fitness of one sort or another. For example, the local soccer and swimming organizations have joined with other groups like ourselves to canvass the community leaders for improved facilities. FTA has been interviewed by the local hospital Wellness Center as part of a needs analysis for a new facility related to improving health and well being. FTA is a dues paying member of the local Chamber of Commerce. We have also partnered with the City of Fredericksburg as part of an effort to improve tennis facilities. Perhaps our biggest contribution to the community related to a shared fund raising effort with HEB Grocery to build the HEB Tennis Center for FISD. Through the efforts of FTA and HEB eight tennis courts were constructed on school property. We continue to provide funding for miscellaneous items for the local school system. We provide annual college scholarships to graduating seniors on the tennis team and financial assistance to youth tennis camps. We also have a close working relationship with local FISD Community Education via the clinics we offer through them during the summer. We also work jointly with Baron’s Creek Club, a local private swim and tennis club, especially in the area of youth tennis. Furthermore we’ve worked closely with both Mason and Wimberley Tennis Associations with respect to inter-club play.

7. How does your CTA engage community leaders/elected officials in your efforts to achieve your goals? Please make a list of those whom you have recruited.

Houston Tennis Association:We recently added city leaders/officials to the HTA Advisory Board. A County Judge, Former City Council Member, and a Chancellor of Houston Community College System

Southeast Texas Tennis AssociationWe have a close relationship with our mayor and city council. One council member is a league player. We have on board member dedicated as the liaison to city and county personnel.

3. Board members recruit volunteers to be ad hoc committee members. After training and assisting at several events, they are asked to join the board.

Dallas Tennis Association The DTA abides by the inclusion principle: achieve diversity and inclusion in programs, volunteers, staff, and membership that is reflective of the demographics of the Greater Dallas community. Specific methods are:1. A Nominating Committee to provide a slate of officers to be voted on at the annual meeting.2. A call for nominations through emails, newsletters, and websites to assist the Nominating Committee.3. Nominations are then provided and announced as noted in the bylaws.4. The DTA President appoints at large board members that are approved by the board.5. Former presidents can automatically be on the board. If appointed, they can vote, otherwise non-voting.

10. Please describe the training that board/committee members receive once they have been selected.

Parker County Tennis AssociationBoard members are given the opportunity to attend the annual CTA Workshop. Members are generally put through an OJT session.

Brazos Valley Tennis AssociationA Board Responsibilities information document is provided to new Board members after having been selected. Although the current Brazos Valley Tennis Association has only existed for just shy of 3 years, the intent is to make maximum use of on-the-job training; i.e., promote Board members from within the existing Board members to make maximum use of their backgrounds and experience gained while serving on the Board.

Capital Area Tennis AssociationOn the job training is used to merge new board members to the procedures and processes of CATA. Once the revised bylaws have been approved, and all strategic planning complete and in place, all board members will receive Board Member Binders with all appropriate and necessary information to serve successfully on our Board of Directors.

11. How does your CTA recognize and thank its volunteers?

Amarillo Area Tennis AssociationAATA t-shirts, appreciation picnic, letters and notes of thanks throughout the year. Gift card at the end of year to tournament officials. Special thanks at regular meetings. Thank on web site. Houston Tennis Association

We have a captains’ appreciation day for all league captains. Board members or key volunteers may be offer HTA’s box seat tickets for the US Men’s Clay Court Championship. NJTL supporters receive a photo calendar as a thank you.

Capital Area Tennis AssociationCATA provides our Adult Masters Championship tournament volunteers with long-sleeved shirts along with free participation in any tournament party, food and beverage. Beginning in 2011 all CATA/USTA captains will receive a volunteer appreciation award at our Annual Meeting in December 2011. We provide complimentary food, beverages, recognition, as well as a tennis mixer upon conclusion of our Annual Meeting. CATA recognizes Volunteer(s) of the Year at the Annual Meeting as well.

12. Are there written job descriptions for your CTA’s board and committee positions? If so, please provide a copy.

Northeast Tarrant TennisA description of the board member and committee positions are described in the attached copy of the NETT bylaws.

PresidentA. Shall serve as Chief Executive Officer of the Association.B. Shall president at all regular and special meetings of the Executive Board of Directors and the General Membership.C. Brazos Valley Tennis AssociationWe support the Texas A&M University’s men’s and women’s tennis teams.

Keller Alliance Tennis CharterTennis pro, Sam Elliot, is the tournament director for all KATCH tournaments. He works with high school and middle school tournaments to recruit student volunteers for many KATCH programs. KATCH now offers two middle school tournaments each year, involving middle schools from Keller and neighboring school districts. Other tennis professionals in the area have assisted with events such as the Block Party and Kids Round-Up. The Keller ISD permits KATCH to use the eight courts at Keller High School for all KATCH events. Central and Fossil Ridge High Schools are also available when needed.

Southeast Texas Tennis AssociationOur city manager, Kyle Hayes was approached 5 years ago at a local Chamber of Commerce meeting regarding the shortage of centralized tennis courts in the city of Beaumont. A master plan was created through a collaborative effort between the city and the SETTA. The first phase of the 6.7 million dollar project was funded y the city after numerous meetings with city officials and town hall meetings within the tennis community. Meetings with the city manager bi-annually and ongoing emails and luncheons with council members are part of the strategy to keep the focus on the project.Parks and Recreation supervisors are contacted by email, phone, and quarterly to discuss improvements to the ongoing tennis complex, maintenance, and improvements. City leaders are invited to tennis events and attention to the Annual Labor Day Classic is brought before the city annually. Plans to have a SETTA speaker before each city council meeting are now being formulated. Statistics regarding local USTA tennis growth and upcoming expansion of JTT are also shared with city officials. Russell Grogan, local tennis professional serves on our board and disseminates information to other local pros. Our recruitment coordinator, Matt Minick, and JTT coordinator David Stovall are in contact with local school coaches.

Southeast Texas Tennis Association We have a budget and a report is prepared and reviewed at each board meeting. We are meeting our goals. Reports are attached to this document including a five year financial history of the organization.

Dallas Tennis AssociationThere is the annual fundraiser, the Invest in a Child Tennis Cup, which is done in partnership with the DPTA. The event raises between $30,000-$39,000 each year for the DTA.

Laredo Tennis AssociationCommunity proposals are sent each year to influential contributors in Laredo. Four raffles are also used as a method of fundraising. Many times as tournaments and tennis project events take place, donation of service and products are donated.

NJTL is extremely diverse in its program offerings throughout the greater Houston area with 88% multicultural registrants.

Concho Valley Tennis AssociationCVTA has always worked with the tennis wheelchair program, providing courts for their classes when they are offered. An Adaptive Tennis program was introduced in November 2010 during a play day. Classes will begin this spring, plus CVTA will host a Tennis Olympics on April 23rd with area towns, including Abilene. CVTA has reached out to the City of San Angelo Recreation Department and the local Boys/Girls Club that have not been receptive.

South Plains Tennis AssociationSPTA has provided funding for Special Olympic tennis.SPTA has tried to organize a program for wheelchair tennis but interest or response has been disappointing.TSR has conducted an NJTL program at they YMCA.
