Hamilton & WEStERn diStRiCt SHEEP SHoW REgulationS
1. Entries and Fees: No late entries accepted. Entry fee for all single classes $20.00 per entry. No entry fee for Group classes. All fees and prize monies are inclusive of GST.
2. Membership Fee: All exhibitors must be members of the Hamilton Pastoral & Agricultural Society. Membership is $60.00 per annum.
3. All sheep Entered & Exhibited must be the bona-fide property of the Exhibitor, and owned for not less than 12 months prior to Exhibiting.
4. unhoused Classes: All Sheep entered as Unhoused may be housed within one week after shearing, but shall not be otherwise housed or rugged in any way from the date of the previous shearing up to the 1st June preceding the ASBA show of that year.
5. All Merino Classes: All sheep entered must have been tested by the AWTA in May the year of the Show. Samples tested must come from the midside area on the near side of the sheep. Sampling and collection must be administered by members of the shearing tag committee or nominees of the president of the relevant State Stud Merino Sheepbreeders Association.
6. Merino restricted section: Once a stud has won an Open Championship it is ineligible to compete in the Restricted Section. Shows that account for eligibility are ASBA show, Sydney Royal, Adelaide Royal, Queensland State Sheep Show, Campbell Town, Wagin and Perth Royal, Dubbo, Ballarat, and Hamilton. Studs wishing to return to restricted status, through changed circumstances must apply to the Hamilton Sheep Show Committee for permission.
7. Poll Merino Classes: Horns to be no more than 25mm at its widest point and must be loose.
8. Merino – shearing regulations: All Merino sheep must be inspected and tagged to 15th August regulations the year prior to the Show, except for March shorn classes where the sheep must be inspected and tagged to 1st March regulations the year of the Show.
9. Corriedale sheep to be shornon or after 1st July in the year precedingthe Show, excepting shorn classes when sheep to be closely and evenly shorn with no more than 2cm wool.
10. Eligibility: All sheep show and ram sale entrants must be currently registered with their appropriate breed society to be accepted to enter the Hamilton & Western District Sheep Show.
11. British Breed Classes: Shorn classes must be closely and evenly shorn and no long wool sheep in shorn classes to have more than 4cm of wool at time of inspection. No short wool sheep in shorn classes to have more than 2cm wool at time of inspection. Under 1 year Romneys must be shorn on or after 1st June that year.
12. number of Entries in one Class: No more than three sheep can be entered in one class, excepting Merino classes. No exhibit or part of the same exhibit can be entered in more than one class, except in Group Classes and no sheep will be admitted to the show unless entered.
13. Conditions of Entry: Entries must be signed by the member, or his/her authorised agent, giving name, address, sheep breed, name of breeder, day and month of shearing, and if under 1 year old the month lambed. The member is responsible to ensure that all details on the entry form are true and correct in every detail. All such entries received are accepted subject to the rules of the Hamilton Pastoral & Agricultural Society and these regulations. The Committee reserves the right to accept or reject any entries or exhibitors.
14. Most successful Exhibitor: When awards are allotted for most successful exhibitor in any section, points will be allocated on the basis of three (3) for first, two (2) for second and one (1) for third; two (2) for the champion and one (1) for reserve champions. In the event of a junior and senior champion being awarded the supreme/grand champion is not eligible for points. In the event of a tie, the exhibitor with the most first prizes will be declared the winner. Group sections are not eligible for inclusion in Most Successful Awards
15. Champion and reserve Champion: The Judge when awarding a Champion prize is also to award Reserve Champion if in the Judges opinion the sheep are entitled to the award.
16. responsibility of Exhibitor: The signing of the entry form for any exhibit is accepted by the Committee as a guarantee that the animal specified is free from all disease as far as is known by the exhibitor, and in the case of infectious diseases being spread through or by an exhibit, the Exhibitor only, and not the Society shall be held responsible.

17. Animal Health status: a. All sheep entries will only be accepted from Ovine Brucellosis
Accredited Free flocks.b. Sheep deemed by the stewards in consultation with officiating
veterinarian to be an infectious risk are to be relocated to a site that is no longer deemed to put other exhibitors at risk .
c. Current and correct National Sheep Health Statement together with a copy of a current Brucellosis certificate must be completed and forwarded with entries. Sheep will be penned accordingly (at the discretion of the Sheepvention stewards).
d. Exhibitors are reminded that the Sheepvention site is compliant with National OJD MAP guidelines and information from National Sheep Health Statement will be used when allocating pens to ensure the site maintains this accreditation.
e. Sheep must be tethered whilst not being led or in allocated pens.18. Disapproved Exhibit: The Exhibitor of any such animal as determined
by the Committee must immediately upon notice from the Society, remove such exhibit from the Show.
19. Arrival, removal and Feeding of Exhibits: All exhibitors are to have all sheep entered by 8.00pm on Sunday 6th Aug. Some breeds are required earlier for scanning. Please refer to your breeds specific entry details.All Sheep Pavilion exhibits (except Merino) must be unloaded and loaded from the Shakespeare St doors of the sheep pavilion. Loading and parking areas will be signed. (Do not enter the Showgrounds). Merino entries are to be housed in the Wool Shed – Selling Centre and must enter at the College Street Gate on the eastern end of the grounds. Full details will be sent with entry confirmation for all breeds. Some doors will be opened at 3.30pm on Sunday and Monday night for Exhibitors to feed up sheep only. Note all pavilions will be locked up by security at 6.30pm Sunday and Monday nights.No sheep will be removed from the Showgrounds until 4.00pm on the Tuesday night of the show when priority regarding distance will be given.
20. non-Exhibiting of Entries: Fees will not be refunded.21. responsibility of Exhibits: The Society will not be responsible for any
accident or contamination that may be caused by the exhibitor or exhibit, and it is a condition of entry that each Exhibitor will hold the Society harmless and indemnify it against legal proceedings arising from such accident or contamination.
22. Any exhibitor, agent or attendant, without the authority of the Committee, render themselves liable to a $50.00 penalty for removing any official placard, ticket or ribbon affixed by the Committee, or by affixing any placard, ticket or ribbon over or alongside the same.
23. Judging times: Judging of all classes will commence from 9.00am Monday, except Poll Dorset classes that will commence at 8.30am.
24. Judging rings: Any person excepting experts, judges, stewards, reporters and attendants found within the judging ring or sheep pens during the adjudications shall be turned out by order of the Committee. Any person interfering with the judges, stewards or exhibits, or making audible remarks about them, (unless authorised by the stewards, or in reply to the judges) will be dealt with by the Committee and removed from the Show.
25. Classes: Will be presented at the discretion of the Judge.26. In the event of judges not being able to agree on Group Class Judging,
the Disputes Committee, consisting of the president, chief steward of the section concerned, plus one other Society council member shall appoint an appeal judge.
27. No person, except inspectors and judges will be allowed to examine sheep until after awards have been made.
28. Protests: Protests or complaints in writing against any exhibit or exhibitor must be lodged with the Administrator within 30 minutes of completion of judging, together with a deposit of $100.00 which may be forfeited in case the protest or complaint be considered frivolous. Such protests and complaints will be decided by a Disputes Committee as appointed by the Society. The Committee has the power to call upon any exhibitor for information and particulars as they may consider necessary; with the onus of proof on the bona-fides of the exhibit or of compliance with the rules and regulations shall rest upon the exhibitor.
29. Conduct of Exhibitors: the Hamilton Pastoral and Agricultural society (P & A society) is
committed to providing high quality dynamic events. the P & A society conducts events annually. P & A society volunteers and
staff will provide Exhibitors with prompt and courteous service. the expectation of the P & A society is for Exhibitors to follow the outlined Exhibitors Code of Conduct.
1. Be courteous during all dealings with staff and volunteers. No abusive or foul language will be tolerated.
2. Follow the direction of staff and volunteers, particularly in relation to parking and movement of vehicles.
3. Provide payment for all services and items requested and used prior to entering the Hamilton Showgrounds or using the service or item.
4. Provide correct information and refrain from deceptive conduct including but not limited to: (a) fraudulent, false or erroneous statement/s regarding an exhibit. (b) tampering with or improperly dealing with an exhibit.
CoMPliAnCE witH rulEs AnD rEgulAtions where an Exhibitor fails to comply with the conditions of entry,
rules or regulations outlined in any P & A society publication (including but not limited to schedules, guidebooks, prospectus, handbook, signage) the P & A society may impose one or more of the following:
1. In competitive classes disqualification or removal of awards.2. In non competitive classes ie trade exhibitors, sale exhibitors removal
of site/pen allocation if the breach occurs prior to Sheepvention.3. Removal from the Hamilton Showgrounds during Sheepvention.4. Require immediate payment of any fees owing.5. Non acceptance to Sheepvention and Hamilton P & A Society events
in the future.30. Banners and signs: Only signs, banners or product advertising
authorised by the Hamilton P & A Society will be permitted to be displayed on any area of the Sheep Pavilions. Signage permitted includes Sheep Show major sponsors, Breed Society and breed generic banners. Individual studs may only display information within their allocated penning Area. No signage is permitted on the front pen panels (facing the judging rings) of each row of pens.
31. Photographs: Exhibitors may be photographed during Sheepvention by the Society’s official photographer. Photographs may be used in promotional material, media or websites to promote Sheepvention and the Hamilton Showgrounds.
32. Feed and water: Exhibitors must supply their own feed and feeders and also water containers. Water taps are located in the Sheep Pavilions.
33. The Hamilton P & A Society retains the right to allocate exhibitors to any part of the grounds they feel appropriate.
34. restricting Entries: Should the numbers of entries exceed the accommodation available, the Hamilton P & A Society reserves the right to further restrict the number of entries
35. Electronic ear tags. All sheep born in Victoria from 1st Jan 2017 must be electronically tagged before leaving their property of birth.
36. wArning unDEr tHE FAir trADing ACt 1999: Under the Australian Consumer law (Victoria), several statutory guarantees apply to the supply of certain goods and services. These guarantees mean that the supplier named on this form (The Hamilton P & A Society) is required to ensure that the recreational services it supplies to you – are rendered with due care and skill; and are reasonably fit for any purpose which you, either expressly or by implication, make known to the supplier: and might reasonably be expected to achieve any result you have made known to the supplier.
Under section 32N of the Fair Trading Act 1999, the supplier is entitled to ask you to agree that these statutory guarantees do not apply to you. If you sign this form, you will be agreeing that your rights to sue the supplier under the Fair Trading Act 1999 if you are killed or injured because the services provided were not in accordance with these guarantees, are excluded, restricted or modified in the way set out in this form:
NOTE: The change to your rights, as set out in this form, does not apply if your death or injury is due to gross negligence on the supplier’s part. Gross Negligence is defined in the Fair Trading (Recreational Services) Regulations 2004.

2017 Sheepvention hoMe hoSting appliCationThe Hamilton P & A Society conduct a home hosting service for our exhibitors. This is supported by the Hamilton North Rotary Club and Hamilton Rotary Club.
Cost: $100 per room per night, incl a continental breakfast. Paid directly to your host in cash.
Accommodation varies from in home to separate bungalow. Bedding configurations and types and ensuite provisions also vary. You will be best matched to a home depending on your requirements and notified of the accommodation available as soon as possible.
The homes available are limited so we suggest you apply as soon as possible however, we cannot guarantee a placement for every applicant.
Those who have previously used the home hosting service will be placed with their previous year’s host (if the host is offering their home again). It is acceptable for exhibitors to make contact with their usual host and make arrangements directly.
Payment is made directly to the host or to the rotary club (if this is applicable). The P & A Society doesn't take any payment and therefore cannot provide receipts.
Should you not be able to attend Sheepvention or don't require the accommodation it is expected that you will notify both the Hamilton P & A Society and your host directly. Failure to comply with conditions may result in non acceptance into the service for next year.
Conditions of application
You agree to continually indemnify the Hamilton P & A Society on a full indemnity basis against any claim or proceeding that is made, threatened or commenced and any liability, loss, damages or expense that the Hamilton P & A Society incurs as a direct or indirect result of participation in the home hosting service for Sheepvention.
