Purpose of this Manual
It’s important we all maintain high standards for inbound deliveries to Tesco distribution centres.
These standards are not only in place for health and safety reasons, but to ensure a smooth supply
operation when you deliver. By working together, we can improve stock availability for customers,
and help to reduce cost throughout the supply chain.
This manual sets out those Inbound Delivery Standards. These form part of your Terms and
Conditions of supplying Tesco.
It is each supplier’s responsibility to ensure the deliveries being made are in line with the standards
set out within this manual.
There are also some bespoke manuals available which cover exceptions to the standard process.
These provide further detail on areas such as barcoding, breakdown packs, pallet standards and
how to use and navigate the Transporeon booking system. All these are available to access on:

An Introduction to Inbound Standards
Dear Supplier Partner,

Implied in that is how we work with our supplier partners, to deliver great products and ranges for
our customers. Partnership is important to us at Tesco and to us personally. We don’t believe we
can do the right things for customers without working together with our partners, so we build our
businesses successfully together. In that partnership there has to be long term value creation for
all, space for creativity and innovation and smooth operational execution to underpin that. The
inbound standards in this manual are designed to make sure that our collective operational
execution goes as smoothly as possible – so we keep trying harder together every day to deliver for
our customers.

TescoLink Microstrategy is Tesco’s web-based data system which allows suppliers
free access to key business information including sales, profit, margin, waste,
service levels, stock holding & range conformance.

Tesco Connect www.tescoconnect.com
Tesco Connect is a Tesco web portal available to view the latest forecast orders
and promotional details. It was developed by Tesco Supply Chain in conjunction
with suppliers and allows us to work more collaboratively to improve service levels
and increase availability for customers in store.
Tesco Connect is accessed by using your TescoLink Microstategy username and password.
Mercareon Booking Management https://tsm.mercareon.com/login.html
The Mercareon booking management system is an online web based system, which suppliers
use to manage their booking slots in to our depots.

Tesco Partners Toolkit https://partnerstoolkit.tesco.com
The Toolkit is an online portal which aims to standardise and simplify the way we work with our
supplier partners. It provides access to all supplier facing systems, key documents, information
and support that enable you to work with us.

This manual also assumes the following preliminary tasks have been completed:
A full product set up process has been implemented ensuring that all attributes are accurate
on the system. Of key importance to the Tesco supply chain are the product attributes relating
to product dimensions and configuration. These include:
o Packaging quantity for carton or box
o The pallet quantity in which the product will be presented
o Full product dimensions
o Product Description
o Product weight (3 different measurements required by law under WEEE directive)
o Stack Height in units
o Product Barcodes
o Pallet build specifics (Ti Hi)
o Shelf Life Requirements

Orders have been raised in accordance with the set Tesco commercial process. If you have
any questions around the orders being raised, please contact your buyer, merchandiser or
supplier performance manager to discuss.
Orders have been communicated to the supplier via Electronic Data Interchange (EDI) – if
you need any further support on this, please contact the EDI team
ASN and SSCC process is set up and fully functioning – if you need any further support on
this, please contact the EN Queries team on [email protected]. ASN’s are SSCC labels are
required for every vehicle and pallet delivered in to our depots.
Distribution Centre Visit- A visit to a relevant distribution centres has taken place, to ensure
personal and physical understanding of the processes followed by the distribution centre.

conducted at any of our UK Mainland sites.

Part 2 - Bookings and Barcoding
Pre-arrival
Pre-arrival is the most important part of the order process and covers many aspects of the delivery
format.
By working together to the below processes, we can avoid delivery non-conformances and minimise
any load rejections.
Bookings and Barcoding
This section explains how bookings are made into our sites, and also barcoding standards and
capabilities. If you need more detail, look on the portals for separate Supplier user guides which
can take you through how to book a delivery using the Transporeon booking systems.
Please note – fixed booking slots are not available to any suppliers. Any previous agreements given
are no longer in effect and will not be honoured by the depots.
Booking a Delivery
Booking slots and despatching vehicles on time is the first and most fundamental of delivery criteria.
If you are not already set up on the Transporeon booking system, please contact
[email protected]. You will then be provided with documents required to
sign up, be given a log in ID and training will be provided.
Please note that, due to how background systems operate and the time sensitive nature of our
business, fixed booking slots are not available at any of our depots, however there is the possibility of
a fixed booking window for some of our sites between 00:00 and 06:00. Please contact
[email protected] to discuss further.

further assistance.
This is only to be used in the case of a system failure, and not to book in deliveries as a standard
process.

For Deliveries Going to: All sites other than Oakwood (510) and 2 man site (050)
Bookings for all Grocery sites are made using Tesco’s online booking system, Mercereon. Every
supplier is required to sign up to this system, in order to manage their bookings. This can be done by
contacting [email protected].
For Deliveries Going To: Oakwood depot (510)
All vehicles delivering to Oakwood must be booked in at least 24 hours prior to the delivery. We
encourage you to book in with 48 hours’ notice where possible, for optimum supply management.
The date for stock to arrive is given on the Purchase Order (PO).
Contact the Booking Line on 01942 844190 Ext 305, Monday to Friday between 9.00am-4.30pm.
When booking, you should have the following details to hand:
Supplier/distributor name and client name
Carrier details
Delivery date
Total number of pallets or cartons, if the order is less than a pallet (maximum five cartons
without a pallet)
Total number of titles on the delivery
All Tesco Purchase Order (PO) numbers
Contact name and number of supplier
Any additional information to support the delivery For Emergency Orders, Oakwood can arrange
out-of-hours delivery slots. These are available only on request and with explicit agreement from
the site.
You will be issued with a booking reference number, which the driver must quote at the security
gatehouse upon arrival. Failure to provide a valid booking reference number is likely to result in the
vehicle not being permitted on-site.
For Deliveries Going To: 2 Man Deliveries Nottingham
Bookings for this depot must be made directly with your commercial contact.
Late Deliveries – All Sites
We understand sometimes there are circumstances out of your control which cause a delivery to be
delayed. However, we expect you to make every effort to mitigate avoidable delays e.g. allowing
enough time for traffic.
A vehicle is late if it arrives more than 30 minutes past its booking time. If you arrive late, the site
may refuse the delivery completely, or re-allocate you the next available booking slot (which may
not be for some time). If your driver thinks they might be late, please update Mercereon ASAP to
give the site advance notice of the vehicles revised ETA and the root cause for the late delivery. This
is to be updated using the online booking system. Supplier may also choose to phone the depot,
however this is not in place of updating the booking system. Any late delivery notifications must be
made before the vehicle is due. Where possible we will try to accommodate the delivery but are
unable to guarantee acceptance of the load on all occasions.

When you’re late, it impacts a site’s ability to deal with incoming deliveries efficiently, so late
deliveries are a non-conformance and incur a charge. We really appreciate the advance warning, so
for pre-warned late deliveries the charge is halved.
A pre warned late delivery is defined as the Transporeon booking system having been updated with
the late arrival details, before the original booking time. Notification after this time will be
considered as a non-notified late delivery.
Accepting Booking Slots
It is important that a booking slot is only accepted if you are intending to deliver on time against it.
We have been made aware some suppliers are accepting booking slots and intentionally running
the deliveries in late. This not only impacts the depots ability to plan their resource efficiently, but
also prevents other suppliers from utilising the booking slots correctly.
Consolidated Deliveries
If a supplier chooses to use a non-primary consolidator for their deliveries, suppliers stock may
arrive on a vehicle with other suppliers. This may lead to multiple booking times being given for that
vehicle.
In the event of this, the vehicle must arrive in time for the earliest delivery slot and ensure the site
are made aware of all of the PO numbers on the vehicle. The site will try and accommodate the
unloading of all PO numbers at the same time, however this is not guaranteed.
Booking Times
All deliveries into a Tesco depot must have a pre-booked date and time, and fulfil a Tesco Purchase
Order.
Booking times will be given over the 24 hour delivery window. We are unable to offer fixed delivery
slots to any supplier. We can however work with any supplier partner wishing to utilise the 00:00-
06:00 booking window, to more efficiently plan their loads. Please contact
[email protected] if you wish to discuss this further.
A depot cannot accept vehicles that arrive without a pre-booked appointment time and a valid
open purchase order (PO).
If your delivery is running more than 30 minutes ahead of schedule, you can call the depot’s Goods-
In contact number (see page 9) to enquire if they can accept an earlier delivery. If an earlier delivery
is authorised, please make sure you take down the name of the person you spoke to – it’s really
important we know who authorised it.
Unfortunately, sometimes depots cannot accommodate an earlier delivery. In this case, your driver
should aim for the original booking time. If the driver continues to depot too early, they may not be
allowed access until the original booking time and may be asked to return for their scheduled
booking time, this will be at the supplier’s own risk. There is no on-site parking for supplier who
have arrived early.
Any non-conforming delivery may be subject to rejection, and/or incur a charge.

Inbound Vehicle Scheduling Procedures/Standards for Suppliers
The Mercereon system manages all appointment scheduling online, so it’s a pre-requisite that you
have an adequate internet connection to access the system.
If you have any issues about the system operation or access, please e-mail
Generally, you’ll receive 24 hours’ notice (lead time) of an appointment for your delivery. If you
need longer lead times as standard, you’ll need to discuss this with your commercial contact,
ensuring the ordering system is set up correctly.
Mercareon receives all the POs from around 04:00 each day. Each order is given a priority rating of
High or Low.
Un-booked orders will be auto-scheduled at 11:15 each day if this has not already been
done by the supplier.
Orders may be allocated at any time of day based on priority, availability and our need for stock.
If you are unable to find your PO number in the bookings screen, please contact the IVS team on
[email protected] for further assistance.
If the delivery appointment is unachievable, you must try and find an alternative appointment
within the same calendar day. However, once a depot has filled all its appointments, it has no
further capacity to take goods in. If you can not meet the booking time given, please ensure your
rescheduled the order to a different date, rather than just running the vehicle late. This is not an
acceptable practice and should never be done.
An FTA is considered as a failed delivery when it fails to arrive within the planned calendar day.
Failed To Arrive (FTA)
As part of serving Britain’s shoppers a little better every day, it’s very important we maintain
availability of all our customers’ favourite products. A failed delivery will jeopardise that, as well as
causing resource issues in depot.
We recognise that problems happen from time to time. The important thing is to work together to
minimise any negative impact, and to respond pro-actively to any transport issues that may arrive.
We have an ambitious target for no more than 0.2% of haulier/supplier deliveries to be attributable
to transport issues. We can only achieve this by working together.
The commercially acknowledged FTA codes that are directly due to the actions of the haulier or
supplier are as follows:
Arrived or departed late at the DC / Supplier
Admin Error
Vehicle Breakdown
Driver / vehicle was held up at previous drop
No haulage / drivers available
Delivery not confirmed with IVS
Driver arrived late and ran out of hours
Poor planning
Non availability of vehicles for accepted loads

Arrived late and pulled out
Non availability of vehicles for accepted promotional loads
Driver availability /replacement did not facilitate the delivery of the load
Incorrect paperwork
Driver ran out of time and could not facilitate the delivery
Road Traffic Accident
Unsafe vehicle /load prohibited the completion of the delivery
Any vehicle that arrives after 23:59 on the date of delivery will be considered as an FTA.
Any failed deliveries are automatically re-scheduled for the next available delivery appointment.
Delivery on Time
As with FTAs, it is critical that orders are delivered according in the timeframe booked.
We have a grace period of 30 minutes either side of the scheduled delivery time, to allow for
reasonable flexibility in delivery. If deliveries arrive more than 30 minutes after the scheduled time,
they will be considered late.
Late deliveries have a knock-on effect to depot and even store operations. If as a supplier or haulier,
you deliver fewer than 90% of your deliveries on time, we will have to review your performance.
The aim of this is to resolve any root issues that are causing the delays. Please note, if you wish to
challenge our reported delivery times, then we can only accept satellite tracking data as evidence.
Manual tachograph data or delivery paperwork will not be accepted.

Part 3 - Barcodes
Barcodes are a fundamental requirement in retail and
distribution. Every movement of a unit of stock involves
interaction with a barcode of some sort. By familiarising
yourself with the details here, it will prevent issues in the
future with deliveries at our depots.
For the customer to buy your stock through our tills, we must have:
Correctly created the barcode;
Set it up accurately in the Tesco system; and
A format that our technology can scan and process with ease.
This section contains all the information you need to be compliant. Remember, if a barcode does
not scan correctly at our depots, then it will not work for our customers either. A barcode scanning
correctly on to your own system, does not mean that it will scan on ours.
Excluding break packs, every outer case is required to have a minimum of two outer case barcodes,
on adjacent sides, that are unobstructed, registered on Tesco systems, scan within distribution
centres and be verifiable using an ISO/IEC 15426-1 standard verifier. (Grade C for labels and D for
direct print on brown board). The agreed product description and unit quantity must be clearly
applied to every outer case.
Each pallet delivered must have the SSCC barcode present on two adjacent sides, one facing the
back door of the vehicle in the top right hand corner, in the positions advised in the Tesco Barcode
Quality Standards V9 document. Please try to minimise any other labels on pallets presented to
Tesco Goods In teams. This helps avoid confusion. No other barcodes should be present on the
pallets.
Barcodes should:
Be positioned on adjacent sides and not printed on the top or the bottom of the case unless
this is unavoidable. This must be agreed by the Barcoding team and Inbound Standards
team prior to any delivery being made.
Be unobstructed by any other component of the packaging, including tape, strapping or
stretch wrap. Barcodes must be positioned to avoid this occurring.
Be facing the outside of the pallet, on all four sides of the pallet.
Remember: have at least one case bar code

Basic requirements
Please be aware of the distinction between OCC and EAN. Where case sizes differ and have
different OCC barcodes the EAN must be the same. This should be agreed when the order is
generated.
Break-down cases
Break-down cases are defined as a sales cases inside shipping cases to be broken down in the
assembly process.
There are several different presentation standards for barcodes and how they are applied to
products, in particular break-down cases. The following are extracts from Tesco Barcode Quality
Standards V9 and are intended for general guidance. Your ordering teams will give all advice and
direction on barcode specifications and requirements.
Break-down cases must be in a minimum of four cases (dependant on size, weight and product-
specific requirements). This will not only reduce supplier packaging costs but will save on assembly
time in the depot and reduce cardboard waste. There is no upper limit as to how many cases can be
in a breakdown pack, provided the case are within the weight limits set out within the manual.
There are specific barcode rules on break-down cases.
On domestic supplied stock there should be no barcodes on the outer packaging. If the product
outer packaging is clear wrap then no barcode should be visible from the inner cases.
All outer packaging should have clear identification that it is a break-down. The label below is an
accepted method for the outer of break-downs. There should be two labels for each B/D case. The
photo below shows an example of how this affixed to the case.
There is to be a minimum of 4 picking units (cases) in each break-down case delivered.
Any breakdown packs delivered must contain the same number of cases in each. Part breakdown
cases are not acceptable and must not be delivered. If the stock has been ordered in the incorrect
multiples, please speak with your commercial contact.

ease of access for the Tesco assembly process.

Part 4 – Packaging & Delivery Presentation
Packaging and Loading
At Tesco we care a lot about customer perception. What our customers see on the shelves
influences how they view Tesco. Customers should be able to find what they want, when they want
and find it in perfect condition.
The packaging used, whether Primary, Secondary or Tertiary is hugely influential over what
condition the product is in when it is decanted onto our shelves in our stores. Equally as important
is how the stock is loaded onto the vehicle – ensuring the correct loading procedures will enable the
most effective, safe and incident-free unloading in our distribution centres, protecting the stock
from unnecessary flaws.
Tesco Distribution is committed to ensuring the most appropriate packaging is used for the
containment, protection and sale of its products. Working with you, our Supplier partners, this
section will give the information required to ensure packaging is fit for purpose, while using the
most environmentally-friendly materials.
General Packaging Requirements
All packaging should be fit for purpose and designed to fulfil the following criteria:
Provide adequate protection of the product throughout the supply chain.
Provide containment of the product and all its components.
Comply with all relevant legislation.
Satisfy the requirements of the Environmental Policy.
Be easy for the customer to dispose of (recycle).
Fit for purpose
Be aesthetically pleasing to the customer.
Be economical.
Legal Obligations - Packaging (Essential Requirements) Regulations 2015
These are specific to the composition of all packaging, implementing parts of EU Directive
94/62/EC on Packaging and Packaging Waste. These regulations cover the key issues of minimising
materials used and the end life environmental impact.
Essential Requirements
The essential requirements are, in summary:
i) Packaging volume and weight must be the minimum amount to maintain the necessary levels of
safety, hygiene and acceptance for the packed product and for the consumer.

ii) Packaging must be manufactured so as to permit reuse or recovery in accordance with specific
requirements.
iii) Noxious or hazardous substances in packaging must be minimised in emissions, ash or leachate
from incineration or landfill.
Producer Responsibility Obligations (Packaging Waste) Regulations 2015
A levy is imposed on the use of packaging materials (or packaging waste) by weight.
To comply with these regulations Tesco must know the weight of packaging that it handles
annually. As a result, all suppliers of own brand and branded products provide us with a line by line
breakdown of the weight of packaging. The packaging levy placed on each pack is dependent on
the materials used i.e. paper, plastic and glass.
To minimise the cost to Tesco, the weight of the packaging must be minimised – but subject to the
constraints of safety, logistics and marketing in compliance with the Packaging (Essential
Requirements) Regulations 2015.
Key Environmental Principles for Packaging
Working with industry leaders, packaging suppliers and product suppliers, we have established
some key principles to ensure that we apply a consistent approach to our packaging selection. Their
importance will vary depending on specific product categories.
It is fundamental that we develop a holistic approach that considers packaging performance and
environmental impact across the supply chain, without creating extra waste or environmental
impact.
Fit for Purpose
Packaging specification should not compromise the pack’s ability to fulfil its primary functions of:
Product protection and preservation
Promotion (communication and selling)
Performance (functionality in use such as ease of handling)
Packaging reduction causing an increase in product damage would not be considered ‘fit for
purpose’.
Sustainable Materials
Consideration should be given to the best route for paper and board, balancing the environmental
credentials with commercial as appropriate. Tesco has committed to use legal sources for wood
and paper. When selecting recycled board or paper, you will be able to specify either a virgin source
or a recycled content source. A recycled source will benefit the environment by encouraging the
recycling stream to exist. However, a recycled board is generally heavier than their virgin
equivalents (a recycled board tends to be thicker than virgin for carrying out the same function). If
a virgin board is selected, then it should be from certified sources, with the FSC certification being
the choice of preference.

Overall, either recycled board or certified virgin board is acceptable, but due care and consideration
should be given to the overall balance of weight and functionality.
Recyclable and Recoverable
Our choice of packaging material and design should maximise opportunities for recovery through
recycling.
Low Carbon Impact
You need to ensure that fit-for-purpose transit packaging is used. Our policy is to minimise the
carbon footprint in the chain, and packaging has a part to play. By reducing the overall weight and
ensuring minimal size of transit packaging, the carbon footprint can be minimised. However, the
packaging needs to protect the product for transit – carbon benefits will be lost if the product
becomes damaged.
The key is to provide absolute product protection, with the least amount of transit packaging
possible.
Reduce Unused Space
Minimise pack headspace by modifying filling process or changing packaging format.
Optimise Pack Dimensions
Identify the best pack dimensions to optimise space in distribution. This helps minimise primary,
secondary and tertiary pack materials.
Pack-Size Packaging and Product Protection
Products sent in pack-sizes must be sealed in their individual pack-sizes and be as robust as
possible to ensure product arrives in Tesco stores fit for the customer. This should be tested
thoroughly, and take into account a sustainable approach to packaging manufacture and
materials.
Packaging Performance
Check with your relevant Commercial contact to establish any performance testing that you may
need to carry out and pass to supply products to Tesco. It is recommended that your packaging will
pass the Tesco “stack test”, details for which are below:
Weight Guidelines
For deliveries into sites, no individual case of product should weigh more than 25kg for Health &
Safety reasons. Large products likely to weigh more than 25kg must be highlighted to the Tesco
contact prior to delivery, in order for the most appropriate storage solution to be found.
Please explore alternatives for delivering products in smaller components to reduce the weight of
one, individual shipping unit.

Pallet Build Changes (TI HI)
Any changes being made to the build of pallets being delivered must be communicated to the
depots, through the inbound standards team. This will ensure the depots system can be amended
correctly, before any deliveries are made with the changes pallet build. This must be communicated
by the supplier partner involved, before the deliveries are made.
If this is not actioned correctly, you will receive a non-conformance.
Handling Labels
Cautionary and Handling Advice Labelling
In addition to individual pack identification labels, the product should carry any cautionary
indicators. These are international product handling symbols and safety warning advice
statements, as applicable.
It is your responsibility to ensure that all legally required warning, safety information and markings
are applied to the product. Products must also conform to the current UK and European statutory
regulations.

It’s important they provide all the necessary information, prior to any movement of the pack,
without detracting from the pack presentation.

Additional Warning Labels
These labels are to be used on all packs where applicable to the product or the contents. The label
sizes are to be relative to the primary pack dimension. The position of the label should be an
obvious position where it can easily be seen on the external of the pack. Labels should not detract
from the pack presentation or obscure other labels.
All packs containing glass must be packed in accordance to the generic specifications detailed in
this document.
Plastic Bag and Film Anti-Suffocation Warning Notice
All plastic bags with an aperture of 190mm or greater and film wrapping, irrespective of the gauge
and vent size must carry anti-suffocation warning notices.

Dunnage Bags
Please note that the use of Dunnage bags in the example below is a suggestion only. Dunnage
bags are not mandatory, but are advised.
Stock that arrives at the depot and has shifted in transit due to the load not being secured is the
supplier’s responsibility. All reasonable measures need to be taken to ensure the load is secured.
Weight Restrictions
For deliveries to Tesco Direct please refer to the document - Tesco Direct Packaging Guidelines V1.
For deliveries to all sites the same 25kg weight restriction for one case is also applicable.
All products should have advisory stickers informing depot colleagues of the weights when over
20kg in order that we can minimise risks to staff regarding manual handling. Under no
circumstances should product weighing greater than 20kg be stacked inside a container over 1.4m
in the interest of the health and safety of our colleagues.
To reduce the risk of movement and damage in
transit, you are requested to fill the gap with air
bags which deflate to allow for easy unloading
access.

Delivery Presentation
The way you present your product on the vehicle has a significant impact on the efficiency of our
network and the speed at which we can unload and turnaround your vehicles. By getting these
basics right, you will speed up the route and receipt of your products to the customer and improve
availability.
Key Points
SSCC labels must face the back door of the vehicle.
Vehicles should be loaded to match the tipping order. They should be loaded to ensure the
earliest booking is at the back of the vehicle, and so can be tipped first. Tesco stock should be
unobstructed at the time of delivery to our sites. Our depots will not handle stock that they are
not due to take delivery of and your vehicle will be rejected.
Products are to be grouped by type and size – i.e. like products are to be grouped together and
not spread throughout the load.
Products are required to be stacked in accordance with product specific orientation (TixHi) and
stacking instructions.
Products should be loaded so as to minimise the risk of their being damaged.
Products are to be securely and adequately packaged. Damaged products/packaging will be
considered a delivery conformance issue and may result in the refusal of the product and an
appropriate cost recovery.
Products are to be secured in accordance with the trailer specification, e.g. securing straps are
to be used on both sides of a curtain sided trailer.
For non-palletised products (i.e. domestic appliances) a clamp truck may be used to unload the
vehicle. You should therefore, use spacers of at least 75mm to leave appropriate clamp gaps to
enable unloading. Products should be in the correct orientation to ensure safe unloading with
no product damage.
Labelling should also be utilised to instruct Tesco operatives which orientation to clamp
products and, where relevant, the clamp pressure to be applied.
Products should be loaded so as to maximise efficient tipping of the vehicle.

Different brands are not to be mixed in the same packaging.
Present products so they require minimum handling to offload – e.g. TV screens should face
inwards to allow clamping.
Leave at least 75mm between stacks to allow for clamping.
Leave sufficient space between the top of each stack and the roof of the container/trailer. N.B
(Intermodal) containers can only be delivered by prior arrangement.
Product descriptions and barcodes should face outwards for easy access and reading, on all
four sides of the pallet.
All POs are to be kept separate within the trailer/container for ease of receipt even if they are
the same TPND.
All trailer straps are to be cleared to the sides of trailers or containers when not in use to secure
the load. This is for optimum health and safety and time management.
Pallets cannot be cross stacked within trailers (see below) as we have no way to offload these
pallets.
Mixed Pallet Deliveries
Mixed pallet deliveries concern loads where you have made an agreement with Tesco, prior to
orders being delivered, where more than one TPND (product) may be sent on one or more
pallets.
Agreement and Process
Without a prior agreement from both Tesco Inbound Standards and the buying category, loads
must be delivered with one product per pallet. Stock delivered to the sites without an agreement
will be rejected by the depot and subject to non conformance.
Any deliveries of mixed product pallets must be agreed on a delivery by delivery basis by the
receiving depot and inbound standards.
With Agreement from Category & Distribution
Following confirmation of mixed pallet delivery the following guidelines are set:
Maximum of seven pallets of mixed product sent in any one delivery.
Maximum of four TPND (products) sent on any one pallet.
Tesco has no capability to
remove pallets that are
cross-stacked within a
trailer.

Any mixed pallets must only contain one PO number.
Each product must be placed separately in each corner of any mixed pallet.
Products must be clearly separated and highlighted individually.
Each mixed pallet must be clearly identified as a mixed TPND pallet.
Mixed pallets must not contain colour or pack size variants of the same products.
All mixed pallet deliveries must be sent in either blue totes or black crocodile lidded trays (as per
your agreement with Tesco).
Any products of more than four cases, must be on its own pallet.
Explanation of rules
The tray restriction is designed to isolate small products – there should be no reason for a larger
product to require delivery on mixed pallets.
Limitations on numbers are required for ease of delivery.
Product separation is required for accuracy of delivery.
Pallet identification is required to increase receipt accuracy.
Format for Identification
Identification of any of the above criteria should be on a clearly typed A4 sheet of paper attached at
the appropriate corner (for product) and prominently on the lead facing side (trailer doors facing) of
the pallet for the mixed pallet signage.
Exceptions to the Rules
Certain suppliers may be exempt from the above restrictions. This again is with a clear written
agreement from both Tesco Inbound Standards and the category buying team for your product
group.
In this circumstance, an individual agreement for product delivery specification will be made at the
time of the order being placed.
Code Dated Product
For suppliers delivering date-coded product, the following rules must be adhered to:
Dates must be clearly displayed on the outer case of the product and pallet SSCC label.
These dates must match.
Dates must never be mixed on any pallet.
Dates must be clearly visible on the outer case of the product.
Failure to adhere to the above guidelines may result in non-conformance cost recovery.

Part 5 – Pallet Standards, Container Loads, SSCC
and ASN
We constantly strive to make our distribution and transport network the most effective it can be. We
are aware that over the years, different parts of the industry have evolved at different times with
different retailers having different specific requirements for the same criteria. This section is
provided to eliminate confusion, giving clear direction so that you are able to understand the Tesco
standards and requirements.
Whilst not all the criteria will be relevant to your company in this section, the information here helps
us to work together to create a simpler and more cost effective supply chain. If you believe the
standards do not apply to your business, please seek confirmation from
[email protected] before assumption.
Pallet Standards and Pallet Presentation
There are many pallet providers active in the UK at present, using many materials to provide a pallet
solution for businesses. These often vary in their consistency, quality and dimension.
At Tesco, we use a uniform design standard. We also use automation within many of our facilities
which adds other, more finite criteria to the presentation of the pallet when received at Goods In.
Pallets should conform to the British Standard 2629, i.e. 1000 mm x 1200 mm, four way entry, non-
reversible, full perimeter base.
All pallets provided should conform to the standards detailed here. Unfortunately, we cannot
accept any pallets used outside of these standards, unless this has been agreed in writing from the
inbound standards team.

All pallets are to be of a strong construction without broken, cracked, missing or damaged slats. The

White pallets are not to be used for deliveries in to our sites, as the quality of the pallet cannot be
guaranteed which constitutes a health and safety risk.

Overhang
There should be no overhang outside the pallet perimeter for products with dimensions of less than
the footprint of the pallet. This is to ensure the stock
can be handled and stored safety within our
warehouse.
For product in excess of this size, please speak with
your commercial contact in order to find the most
suitable site for storage of the product.
If pallet quantity has to be reduced to achieve this,
please ensure you make your buyer aware so the
ordering multiples can be updated correctly.

Pallet Stacking Specification
To give the pallet the most effective stacking structure, all layers on the pallet must be interlocked
(brick stacked) to ensure stability of the pallet through the supply chain. Each layer on the pallet
must contain the same number of cases to allow for efficient and accurate receipt of the stock upon
delivery.
The below image shows a pallet delivered to a perfect standard.
Pallet Wrap Specification
There is a specific way that we request supplier wrap pallets to ensure the maximum stability of the
pallet through the supply chain.
Wrap at Top.
This should finish 20mm from the
top of the pallet load. If you place
the traded unit barcode at the top
right or left hand corner, the wrap
will not interfere with the barcode
upon receipt.
Wrap at Base.
This should finish 20mm over the
bottom of the stock, overlapping
the pallet itself in order to secure
the load to the pallet.

Stacked Pallet Requirements
Our distribution centers are happy to accept stacked pallets, up to a maximum height of 280cm
including the height of the pallets. This is not to be exceed for any reason.
Any stacked pallets that are delivered must be wrapped in a specific way. Each pallet must be
individually wrapped and then wrapped again as a stacked pallet. The pallet stack is not to just be
wrapped as one.
Stacked pallets must be able to be unloaded through the back door of the delivery vehicle. Any
pallets which the site are unable to unload safety will be rejected. Please ensure your vehicles meet
the required specification.
Each pallet must have its own SSCC label, and not one SSCC label per stack. The SSCC label must
be on the outside of the shrink wrap, not under it or stock to the stock.
Pallet Presentation
You must ensure that the pallet heights are agreed prior to initial delivery.
Standard Pallet max. height 168cm
MU (Merchandising Unit max. height 168cm.
Both of the above include the height of the pallet.
Weight
Standard Pallet (including the pallet) not to exceed 1250kg. Any pallet to be delivered above
1000kg must be approved before delivery by the commercial teams and Inbound Standards.
Pallet wrap tension
needs to be adjusted.
Pallet wrap end tail
needs to be secured.

MU (Merchandising Unit) (including the pallet/ Dolly) not to exceed 1250 kg
Merchandising Unit (MU)
The product is packed into each Merchandising Unit or UDP and secured by stretch wrap or
banding tape. It is imperative that each MU or UDP is in good operational order and is not damaged
in anyway. If you deliver any MU or UDP which are deemed to be a health and safety risk at depot
level then the offending MU or UDP will be rejected and returned.
To ensure that the MU and UDP’s arrive safely and without damage, please fulfil the following
mandatory criteria:
All MUs / Dollies are secured safely on the vehicle by straps or bars.
All MUs are wrapped with stretch wrap twice and banded in pairs, to ensure no load shift
during transit.
MUs should never be double stacked.
All MUs with wheels (UDP/K-roll) can move freely and are free from debris.
Each pre-filled off-fixture display would be delivered as one Tesco Product Number but
may have several products within (ratio pack).
An SSCC Barcode must be rear facing. And on each unit.
MU’s must be delivered 60 per load.
Dolly/MU Damage Prevention
In order to prevent product damage and potential loose loads when moving dollies and
Merchandising Units (MUs), we recommend you use the ‘Strap 2000’ diagonal load restraint
system.
All store delivery / front haul contractors need to have the strapping system used in their trailers
verified and signed off by the depot Health and Safety Officer and the Site Engineer.
Merchandising Unit Pallet Base (800 x 600 mm) (e.g. UDP or K-roll)
Either, a four sided square which sits upon four moveable wheels at each corner of a plastic frame,
(retractable wheels in case of K-roll version), or a semi pallet (e.g. Dusseldorf).

Beverage Tray Deliveries
CHEP are Tesco’s preferred supplier of Beverage Trays which are compatible to the Tesco Half
Pallet (UDP) as part of the original load.

Quarter Pallet Instructions
We have introduced a new reusable Quarter Pallet (600 x 400mm) for use through the supply chain
and in store for seasonal events and promotions. If we have agreed with you that you can deliver
using Quarter Pallets, please refer to the full Tesco Quarter Pallet information pack.
Tesco are also able to accept the Quarter pallets provided by CHEP, LPR and IPP during seasonal
peaks and are advised for use by the Equipment Control Team.
CHEP Quarter Pallet* (600 x 400)
Quarter pallets weighing under 23kg total weight, must be delivered in to the relevant distribution
centre, 4 to a pallet. These are picked as a normal case of stock.
Any quarter pallets over 23kg total weight, must be delivered in via the trunking station. These
must be in banded pairs to ensure stability in transport and unloading.
Stock delivered outside of these standards will be rejected by the
depot.

Container Load Presentation
Tesco accepts containerised loads from around the world in order to maximise the cubic capacity
and therefore manage the cost effectiveness of deliveries from suppliers upon agreement.
The efficiency of vehicle turnaround at Tesco distribution centres is entirely dependent upon your
ability to achieve the standards detailed below. Safe structuring of the load will result in reduced
damages in transit while clear product identification will reduce receipting errors and close
inspection of the container prior to loading will ensure the goods arrive at Tesco sites in a manner fit
to present to the customer.
Please ensure that if goods are to be sent in containers that the key people in your organisation
understand the requirements and procedures in order to make a cost effective supply chain. All
container deliveries must be agreed by the commercial and stock planning teams, as additional
resource is required.
Whether loading a container at the factory or delivering into the consolidation centre, the following
requirements apply:
1. Loose Loading Containers
Cargo should be loaded horizontally and sequentially in LMPO / TPN order.
Every carton is required to have a carton label which faces the container doors.
No additional banding or strapping should be used.
You may incur cost recovery charges for rework where the above does not happen.
2. Snake Loading
Whether CFS or CY loaded, cargo should be loaded in CBT PO and TPND sequence in a
pattern known as ‘snake loading’.
Labels - Cartons should be loaded with labels facing the container door.
3. Mixed Cargo & Double Drops - CFS ONLY
Cargo for different destination countries should never be consolidated.
Clothing and hard-lines cargo can be consolidated * Hanging and boxed cargo can also be
consolidated.
Corporate Purchasing cargo should never be consolidated.
CE clothing and hard-lines can now be mixed with Clothing loaded by the doors.
4. Palletised Loads
1250kg inclusive of the pallet weight.
5. Maximum Height
Pallet - 167cm including Pallet
Product cannot overhang the pallet.
Pallet is required to be shrink-wrapped.
One TPN per pallet.
6. Other
For small products, pallet corners and shrink wrap or banding tape may be required.

All cases stacked on the delivered pallet are required to have the barcode labels facing out to
facilitate Goods In scanning in the DCs. Outer case barcodes should be readable and of consistent
quality.
Container loading
This section covers loading standards required for containers and is designed to provide all the
necessary details on what to consider when preparing stock in containers for delivery into the Tesco
distribution network. This will help optimise space within the container, drive costs down and
enable the least amount of damages.
These are relevant for international suppliers of stock.
Container Standards
Snake Loading
Whether CFS or CY loaded, cargo should be loaded in CBT PO and TPND sequence in a pattern
known as ‘snake loading’.
Labels - Cartons should be loaded with labels facing the container door.
Where breakdown cartons are used, all cartons that have 'punch panels' must face outward where
possible.

Step-loaded containers
If there is not enough cargo to fill the container then the stock must be step-loaded at the doors to
prevent movement of cargo in transit.

Slip-sheet cargo – hard-lines only
The booking made must reflect the correct loading type i.e. Slip-sheet or Loose Loaded.
If a container is the majority slip-sheet with part loose cargo, all PO detail must be entered as Slip-
sheet Cargo.

Advanced Shipment Notifications (ASN) & Serial
Shipping Container Code (SSCC)
Providing an ASN significantly expedites the delivery turnaround of a palletised load and increases
the accuracy of receipt of the goods delivered. The below details provide everything required in
order to successfully compile an ASN for a load. This is a mandatory process for all palletised loads.

Advanced Shipment Notification
To improve the supply chain efficiency between Suppliers and Tesco, you are required to send
Advanced Shipment Notification (ASNs) which are to be sent prior to delivery of a purchase order.
The ASN will contain the exact information of the configuration of the vehicle, including
information of the POs, SSCC codes of the pallets, products, quantities and code dates included in
the shipment.
To ensure this process operates at the optimum level of efficiency it is required that SSCC labels,
and at least one case barcode on each pallet, are rear facing when loaded for delivery.
ASNs can be transmitted via EDI or through Tesco Information Management System (TIMS).
Key Points to Focus On
Understand the ASN, SSCC, EPOD and EGIN requirement documents.
Engage your IT and Operation departments with the project.
Decide which system you will use to move to Electronic Notification.
Ensure you achieve 100% conformance.

Serial Shipping Container Codes (SSCC)
This section explains the Serial Shipping Container Codes (SSCC) pallet label requirement for
Electronic notification.
SSCC Label Presentation
Pallets should:
Be labelled with two identical pallet labels, one on the short side and one on the long side.
An SSCC label, on each pallet, should be facing the rear of the vehicle when loaded onto the
vehicle. This allows the pallet to be easily scanned upon delivery.
A sticky label should be used, to ensure it does not get lost in transit or fall out of the pallet.
For pallets taller than 1000 mm barcodes should be no higher than 800 mm and no lower
than 400 mm.
For pallets lower than 1000 mm – as high as possible but no higher than 800mm and no
lower than 32 mm from the base of the unit.
The Tesco Barcode Department will be happy to provide any assistance and guidance for
any queries relating to barcoding and their formats, and can also supply further copies of
the ‘Code of Practice’ booklet. Tel: 01707 381 360.
Tesco require all suppliers to meet GS1 standards for all barcodes. Our store and
distribution systems are some of the most advanced and it is essential that all barcodes
work first time every time.
Every barcode meets GS1 EAN standards, and will be approved by the Buying teams and
Barcoding team before first use.

The SSCC pallet label is mandatory for all pallets delivered into Tesco. The SSCC label represents
the physical link that relates pallets delivered to the Advanced Shipping Notification (ASN). Tesco
use supplier provided SSCC pallet label to receive pallets into our distribution centres. We are then
able to send an Electronic Proof of Delivery (EPOD) note to the supplier, removing the paperwork
from the supply chain.
Please note, the EPOD process is only available to a small number of suppliers whilst testing
is ongoing, however ASN’s and SSCC labels are still required.
GS1 is a global organisation that develops and implements global standards and solutions for the
supply chain. GS1 have issued standards relating to the SSCC barcode and label positioning.
Complying with these standards removes conflicting ways of working, simplifying the supply of
goods to multiple customers. Tesco are therefore keen to align with these standards.

Site Operations
Achieving great availability and well-presented, undamaged stock is a big challenge and is affected
by how smoothly stock is delivered to our distribution centres. Understanding basic site operating
procedures that would affect a delivery will minimise any disruption and enable the fastest and most
safe method of receiving goods.
Delivery Paperwork
All delivery paperwork is required to include:
1. Your correct company name
2. Tesco order number and order date
3. Tesco TPN (product identification code)
4. Clear product description (no abbreviations)
5. EAN number (Retail and Outer)
6. Total delivery quantity, listed by line with number of cases and sales units
7. Number of pallets
8. Tesco booking reference (supplied by bookings team)
9. Delivery address
10. Delivery date and time slot
11. Trailer seal numbers
12. ASN and SSCC label numbers
If a driver fails to present the correct delivery paperwork on arrival at site, this will be considered as
a delivery conformance issue and we may refuse the load.
If you are delivering to more than one facility the delivery driver should present a separate note for
each delivery. Delivery notes will only be accepted as originals and not handwritten or photocopied.
They are required to be clear to read and in English. The vehicle must be loaded the correct way
round.
Delivery documents must accurately reflect the products and quantities delivered. They must not
be attached to cartons within the load. It is essential for the driver to hold them separately, ready
for inspection, and present them to the goods in clerk upon arrival at the depot.
Drivers are required to wait patiently while delivery documents are checked. They will be asked to
countersign the paperwork as requested by us. If a driver refuses to wait we reserve the right to
refuse to tip the load.
If a site refuses a delivery, a Tesco or associated third party staff member giving the reason for the
refusal will sign the paperwork.

Site Health and Safety
Tesco takes the health and safety of all colleagues and visitors extremely seriously – this includes
delivery drivers and contractors. The below details relating to health and safety are fundamental and
these details are to be adhered to at all times for the benefit of all.
Arriving at the site
Deliveries are to arrive within 30 minutes of the agreed delivery slot.
Drivers arriving more than 30 minutes before the booked delivery slot may not be allowed
access to the site.
All drivers must arrive with enough legal working and driving hours remaining for their
allocated slot and for their exit from site.
Vehicles and drivers may be subject to security checks and searches at any time whilst on
site. These checks may be carried out at random, or where a trailer seal is found to be broken
when entering the site.
Prior to unloading the vehicle it will be checked to ensure its security seal has not been
compromised. Any serious risk will be reported to the appropriate authorities.
We operate 24/7 CCTV at all our sites to ensure delivery and safety procedures are adhered
to.
It is Tesco policy to attach the greatest importance to the health, safety and welfare at work for all
our employees, customers and visitors, accepting that this is a vitally important management
responsibility.
In the operation of our business, and in the maintenance of premises, plant and equipment, it is the
specific responsibility of management to prevent hazards to the health and safety of all employees,
our customers and any other people who may be affected by Tesco. In order to assist us with this
responsibility, the duty to take all reasonable precautions must be delegated throughout the
management structure and to all colleagues.
Health and safety law places specific duties upon all of us, Tesco and its employees, to protect health
and safety ‘so far as is reasonably practicable’. Tesco supports both management and colleagues
with a comprehensive range of measures designed to assist with these duties. These measures
include the objective assessment of the risks presented by our work activities, the development of
effective safety measures to control those risks, and the provision of appropriate training and
information to all employees. The effectiveness of our Health & Safety measures is dependent upon
the commitment of all suppliers.

Supplier Driver Requirements
To promote safety standards and practices at the Tesco
distribution centres, the following guidelines must be adhered to
by all suppliers and hauliers:
Everyone has a responsibility to adhere to the guidelines issued
by Tesco. These can be found in the ‘Health & Safety Leaflet’ which is available on entry to the
distribution centre. All drivers entering a site must read and comply with the site rules detailed in the
Health & Safety Leaflet.
You must adhere to the relevant regulations under the HEALTH & SAFETY AT WORK ACT, 1974.
ALL drivers must wear hi-visibility jackets or vests at all times whilst on site. Our yards are full hi-
visibility vest zones and anyone working or walking on the yard must wear as minimum standard
Class 2 hi-visibility vest that conforms to BS EN 471. Failure to do so will result in the vehicle not
being allowed on site.
Hi-visibility coats or vests must be in good repair, clean and fastened up to enhance their visibility
from the front.
ALL drivers must wear ‘Safety Shoes’ when on Tesco premises. The shoes must be robust and
comply with British Standards EN345. Failure to do so will result in the driver being asked to leave
site.
BE AWARE of shunter vehicles and fork lift trucks operating on this site. These vehicles operate
two-way in some areas.
ALL drivers must keep to the safe walkways when walking on site.
Smoking is prohibited on site apart from in the designated smoking areas. Any driver caught
smoking will be asked to leave the site immediately.
UNAUTHORISED PERSONS - No unauthorised personnel or animals are permitted on site.
No persons under the age of 18 are allowed onto a Tesco site – this prohibits visiting drivers from
having children seated in their cabs when making deliveries to Tesco.
It is mandatory that drivers hand their cab keys for their vehicle into the Goods In office. Both
driver and passenger doors must be locked. This is to ensure the vehicle cannot be moved until
Tesco Operations are complete and the Goods In bay shutter is closed and a green light is
illuminated.
Drivers and any authorised passengers must wait in the ‘Drivers Rest Room’ while vehicles are
being unloaded and must not sit in their vehicles during the unloading / loading operation.
Drivers and any authorised passengers can only enter the warehouse if requested to do so by a
colleague.
SUPPLIER / HAULIERS VEHICLES - Drivers should exercise caution when manoeuvring their
vehicle, taking into account pedestrians and other vehicles moving around the distribution
centre. The speed limit, as indicated by the signs, must be observed at all times. Parking is not
allowed on the site at any time apart from off-loading / loading or in the designated parking
areas. Attention should be paid to warning lights, traffic lights, and signs. Passengers in vehicles
may use the site services at the discretion of the Shift Manager.
Random checks are in operation on site - the trailer contents may be checked and matched to
paperwork.
Use of gas cookers in cabs whilst on Tesco site is strictly prohibited. All distribution centres have
Driver Rest rooms where drinks are available.
Loading Bay Doors are equipped with a pair of control lights, one red and one green. Code of
operation is RED – vehicle is currently being worked on is GREEN – When work is completed, the
vehicle may be moved when authorised to do so by the Goods-in personnel.
Mobile phones are prohibited from use in the yard and whilst driving in the yard.
Vehicles must not be uncoupled or coupled in the yard.
Fire Register details will need to be taken.
Any driver found to have broken any of the above rules will be asked to leave site immediately
and may be banned from all Tesco sites.

Tesco distribution centre procedures
On arrival at the unmanned gate, the driver should: -
Enter supplier lane and approach barrier.
Push intercom and speak to goods-in colleagues.
Inform Goods-in colleagues of supplier name and booking reference/ PO number.
Take and familiarise themselves with the health and safety leaflet found beneath intercom.
Wait for barrier to rise fully and enter distribution centre.
Park up as directed and report to Goods–in office with paperwork and keys.
Continue as directed by Goods-in colleagues.
To exit distribution centre, the driver needs to: -
Ensure they have all paperwork (including exit code for gate) and vehicle keys
Approach barrier slowly
Enter exit code into keypad
Wait for gate to rise fully and exit distribution centre.
Should the gate not open, speak to security colleagues via intercom
Trailer / Load Presentation
Doors must be open before backing onto a bay.
Restraining equipment such as bars, straps, bulk heads etc. must be moved and stowed
safely in a manner that will not obstruct tipping.
The vehicle will be marked as arrived, when the vehicle is ready to tip.
If bars, straps and bulkheads are not immediately available and need to be moved whilst
tipping is in process, the driver will be asked to escort a member of the warehouse team to
the rear of his vehicle where the equipment will be moved, as long as it is safe to do so.
Trailers must be level with the bay and safely accessible from the dock levelling plate. Failure
to level may result in delay or refusal of the vehicle.
Escalation procedure for late arrival
A delivery is classed as late if it arrives at the security gate more than 30 minutes after the
agreed booking time.
The driver contacts the haulage company stating the delivery will be late.
The haulage company follow late arrival process, updating Transporeon with the new
expected time of arrival.

Drivers
All drivers must also
Hand their cab keys (including all duplicate sets of keys) for their vehicle into the goods-in
office. This is to ensure the vehicle cannot be moved until the goods-in bay shutter is closed
and a green light is illuminated.
Park on a waiting bay or the goods-in bay as instructed by the goods-in department.
Return any pager issued to the goods-in office before leaving site (a pager may be issued if a
goods-in bay is not available). This helps to maintain vehicle turnaround time.
Wait in the drivers’ rest room whilst pallets are being unloaded.
Leave site with any delivery or collection paperwork issued.
Not park or wait on yellow hatched areas or walkways.
Direct Deliveries / Foreign Drivers
It is your responsibility as our supplier partner to ensure that drivers of direct deliveries understand
the Distribution Centre site regulations. A brief of generic regulations must have been read and
understood and you must be able to demonstrate under audit conditions that this has been
completed. Failure of compliance may result in the load being rejected. A contact name and
telephone number should be available with each direct delivery to report any non-conformance.
Drivers must have a comprehensive understanding of English, to ensure they can be
communicated with and any issues reported.
Control of Contractors
If for any reason a delivery vehicle becomes faulty to the point of recovery or repair on or from site is
required, the Duty Manager must be informed. If the repair is to be made on site, relevant method
statements, confirmation of competence and a site permit to work must be completed before any
work is started.

Access to all vehicles must be restricted to
authorised personnel only.
Any vehicle which has previously been
used to carry livestock must NOT be used.
Vehicles must be clean, dry, and free from any debris or taint resulting from previous use.
Decks, sides and roof must be free from any adhering matter or infestation. Vehicle floors
must not have central struts and they must be flat, safe, solid and free from any damage.
All internal fittings must be in good condition and securely fastened. Procedures must be in
place to ensure product is held under secure conditions during distribution, loading and
unloading.
All deliveries must be unloaded through a Tesco bay door. Any vehicle that is unable to be
unloaded through a Tesco bay door will be rejected by the distribution centre with the
haulier/supplier liable for the re-delivery costs.
No vehicles that arrive at our sites should have a tail lift of any description.
Vehicles fitted with rear roller doors prevent our MHE from accessing the pallets within the
vehicle. These trailers must not be presented to our sites.
Planned maintenance schedules must be in place and adhered to. The haulier/supplier must
ensure the safety, legality and quality of products are not jeopardised during maintenance /
repair operations.
The haulier/ supplier shall have in place an operating procedure to verify that the process and
equipment employed are capable of consistently maintaining product safety.
Cleaning systems/ procedures shall be in place in order to ensure that appropriate standards
of hygiene are maintained at all times and that the risk of contamination is minimised.
Cleaning chemicals shall be fit for purpose, suitably labelled, secured in closed containers
and used in accordance with the manufacturer’s instructions.
All external contractors/ engineers shall be made aware and shall adhere to all the operating
standards.
Due to the types of unloading vehicles at Tesco distribution centres, suppliers must ensure
that all trailers are presented with floor construction that is compatible with ISO 1496.
Vehicles should comply with the Food Safety (General Food Hygiene) Regulations 1995,
Schedule 1, Chapter IV, which details transportation specifically:
o Maximum External Height: 4.70 meters
o Deck Height: 1.32 meters
o Vehicle Width: 2.10 meters
All vehicles not complying with the above criteria may be subject to rejection.
Suppliers and hauliers should not use non-complying vehicles such as vans unless in extreme
circumstances and with prior agreement of the Tesco distribution centre involved and Inbound
Standards. This will be on a delivery by delivery basis with written agreement from both.

When delivering to a distribution centre, to maximise efficient unloading, the following rules must be
followed:
Load pallets with the SSCC pallet labels facing the back door.
Multiple products on containers should be ‘snaked’ when loaded.
No damaged cartons/ packaging to be loaded.
If cartons are numbered, they should be in numerical order.
If product is date coded, there must only be one code date per pallet.
Slaved pallets are not to be used under any circumstances.
No pallets are to be mixed with multiple products.
Onsite systems and facilities
Electrical hook-ups
There is NO provision of electrical hook-ups to power refrigerated trailers on any Tesco site.
All refrigerated trailers should arrive with sufficient fuel to keep the fridges running until the
products can be unloaded and it is the responsibility of the driver to keep the fridges fully
fuelled.
The vehicle driver is solely responsible for monitoring fuel levels. If at any point, a trailer’s
fuel level is such that the driver believes the fridges may not continue to function, the driver
must leave the site, refuel and return.
Tesco accepts no liability whatsoever for any costs, expenses, damages, claims and/or losses
(including but not limited to any direct, indirect or consequential losses, loss of profit, loss of
reputation, interest, penalties, legal costs or professional costs and expenses) incurred as a
result of any fridge ceasing to function or reducing functioning capacity as a result of a lack
of fuel for any reason whatsoever, including in circumstances in which any delay causing or
contributing to such lack of fuel is the result of delays caused by Tesco, its employees, agents
or contractors.
Traka key control red light bay protection system
All Tesco distribution centres are fitted with a red light bay protection system.
This system is designed to prevent any vehicle from pulling off a bay with the bay doors open.
Drivers will be required to secure their cabs once on the bay, and then hand vehicle keys to
the goods-in clerk.
The keys are then locked into the system and cannot physically be removed if the bay door is
open.
Under NO circumstances are drivers permitted to wait in cabs, even if the keys have been
locked into the protection system.

Discrepancies
Damages / Incorrect Products Delivered
If an incorrect product (not booked) or damaged product is found at the time of delivery, the driver
will be required to take it back with him/her, having signed for it as a return. Failure to accept the
return may result in the entire delivery being rejected.
Tesco will notify you as soon as possible if any product is found to be incorrect or damaged after the
delivery has been completed.
You must then contact the site team as soon as possible to arrange the date and time when you will
collect the rejected products (this must be within seven days of notification). If you fail to collect
them in this time-frame, we may return them to you at your cost or dispose of the stock.
Short / Over-Deliveries
Products delivered in excess of the quantity ordered or which have not been authorised by Tesco
for delivery will not be accepted and where possible will be returned with the delivery driver unless
there is no provision to do so (backhaul Deliveries etc).
Any shortages noticed on the delivery will be marked on the delivery note which the driver will be
asked to sign. Due to the nature of our receiving check process, discrepancies may not always be
identified at the time of delivery. If this happens, we will notify you as soon as possible after the
discrepancy comes to our attention.
If we notify you of an over delivery, you must contact the site team immediately to arrange the date
and time when you will collect the excess products (this must be within seven days of notification).
If you fail to collect them in this time-frame, we may return them to you at your cost or dispose of
the stock.
Our commercial teams have introduced a process to manage the impact of short deliveries more
efficiently. Any products you are out of stock on, must be notified to your commercial contact, prior
to the orders being raised. For details on this process, please contact your Supply Chain
Collaboration Manager.
Any short deliveries being made must be notified to the depot via an ASN submitted by your
business. This is a mandatory process for all deliveries in to our sites.
The driver must sign in acknowledgement that he/ she has removed the stock from site for the
reasons stated by the distribution centre, regardless of the cause.

Conformance
This manual has been created to provide clarity for the delivery standards needed in order to
achieve the most cost effective and error free supply chain. The result of conforming to these
expectations will be faster turnaround of stock, greater availability of stock for our customers and a
greater quality of product, free from damage, provided. This will mean a great shopping experience
for customers and a simpler and more cost effective supply chain for suppliers and Tesco.
There may be occasions when, for a number of reasons, things do not go as planned or were not
planned in the first place. In these instances Tesco will strive to accept the stock wherever possible
and work a financial solution through the process of Inbound Standards.
Deliveries made outside these guidelines have four impacts:
Additional cost of re-working product into a compliant manner – this will also cause delays
in taking further scheduled deliveries into the affected site, also preventing other time
sensitive tasks from being completed.
Increasing the time it takes for getting our product to stores and customers.
Increasing the potential for customer dissatisfaction due to product damage.
Potential for suppliers’ deliveries to be refused from site.
Non-Conformance Programme Scope:
Working with supplier partners to drive compliance.
Cost recovery to Tesco distribution as a result of delivery non-compliance versus the stated
expectations and requirements.
Excludes:
Commercial cost recovery to Tesco for lost sales or incurred promotional costs
Charges made by any other department within Tesco.
Tesco reserves the right to seek compensation for commercial impacts via a separate
process where necessary.
Tesco does not accept any delivery related charges issued by a supplier partner for any
reason, including but not limited to delays at our depots.
What is this cost recovery?
These Charges are raised to recover costs incurred by our Distribution Centres where your delivery
has not met Tesco’s inbound delivery standards. Delivery non-conformances slow down the whole
delivery process, as the delivery has to be manually re-worked and corrected which is time-
intensive.
How is it calculated?
The costs are calculated in accordance with the non-conformance table of Charges as listed in the
Tesco Inbound Standards manual in the appendix below in this guide. The costs are to recompense
for the additional admin and re-work time required to resolve non-delivery conformance issues.
VAT is not applicable on these costs.

How will you be informed of the charge?
A non-conformance report sheet is sent via email to you. This details which delivery has not met
Tesco Inbound Standard, and why (along with photographic evidence where available).
Please accept, challenge or decline the Charge as soon as possible after you receive notification. To

How to challenge this charge
You have 30 days from the date of the non-conformance report to challenge the Charge. To do so,
please logon to the TIMS Inbound Standards system: https://b2btims.tesco.co.uk/NC/ and click to
decline the Charge, giving your reasons for doing so. The Distribution Team will be informed by
email that you have declined, and the reasons you gave for doing so. They will follow up with you to
discuss, and to correct the details so you can accept the Charge.
For any non-conformance you wish to decline, you are required to provide evidence to dispute the
information provided. If we do not receive a response and supporting evidence from you within 30
days, we will take that as your implicit acceptance. Failure to provide the required evidence will
result in the costs being recovered.
The tables below set out the cost recovery which may be debited for a non-conformance and the
‘reason’ under which it will be raised.

You will be notified daily by email when a non-compliant delivery is received from you. Information

Tesco order number
Date and location of delivery

Carbon Reduction Programme
In 2009, we set ourselves the ambitious target of reducing carbon emissions in our supply chain by
30% by 2020.
The carbon emitted in growing, manufacturing, processing and transporting the products we sell
calculates to around ten times our direct carbon footprint. And we know that reducing emissions by
conserving resources in our supply chain can pay big dividends on other priorities, such as ending
deforestation, reducing waste and using water more effectively.
With hundreds of suppliers in many countries, many with expertise in different aspects of
sustainability, the best way to make progress is to share knowledge through our supply chains,
across the industry, and across national boundaries. This year, we asked the suppliers to our UK
market to complete questionnaires on their carbon reduction, water-saving, and waste and
packaging reduction projects.
To share knowledge and expertise more widely across our supply chain, we have set up a
Knowledge Hub - an electronic space to share best practice with our suppliers on a daily basis to
help them gain the confidence they need to invest in carbon reduction.
We are mapping the biggest opportunities to cut carbon in the supply chain – our ‘carbon hotspots’
– and will use this information to drive collaborative projects with our suppliers to reduce emissions.
We are developing an improved carbon data management solution, which will help us to accelerate
our carbon foot printing.
In 2007, Tesco committed £25 million to create a new Sustainable Consumption Institution (SCI) at
the University of Manchester. The SCI is a multidisciplinary centre of global excellence, researching
major national and international issues associated with sustainability and encouraging consumers

Primary Logistics
‘Our Goal in the Primary Network Team is to deliver stock from our Tesco suppliers to our
distribution centres in the most cost effective way by road, rail or sea’.
Tesco is committed to an on-going reduction in its carbon footprint. As part of this important policy
the company has developed a unique Primary distribution operating model.
The goal of primary distribution is to deliver on-time and in-full for the lowest possible cost. The
introduction of the Tesco Primary distribution service has also allowed us to implement
environmentally responsible and sustainable solutions, whilst at the same time taking cost out of
our end to end supply chain. That means Tesco can provide even more savings for our customers
through lower prices and better services.
Primary distribution combines the experience of selected partner hauliers and consolidators with its
own inside knowledge and experience of Tesco special requirements, to provide an industry-
leading transportation and delivery service for its suppliers. Whether it is a collection from a factory,
dockside operation or local depot, we will work with each supplier to tailor a solution suitable for
both operations.
There are over 1,500 Tesco suppliers using primary distribution delivering over 75% of all goods
into Tesco distribution. In a typical week, the Primary distribution network is responsible for
managing around 12,000 loads. Tesco Primary distribution remains one of the largest single road
haulage operations in Europe.
With its focus on service, the Primary operation will manage the end to end logistics solution from,
creating a booking, collection, consolidation / re-work (where required), and final delivery to any
part of the Tesco global distribution network. Primary service levels are consistently higher than
non-primary operations into every depot in the UK and central Europe meaning a better service
level for ‘our’ customers and lower supply chain costs.
As we develop our end to end supply chain proposition - in partnership with our suppliers - to
increase service levels and drive down cost and environmental impact, the Primary logistics
operation offers a real competitive advantage for Tesco and its supplier base.

DCP (Delivery Conformance Program) – Program to ensure supplier partners meet delivery
specifications as communicated in the latest version of the Supplier Delivery Manual.
RDC (Regional Distribution Centre) used for Branch Deliveries
Booking Slot – Dedicated time for single delivery (date and time)
EAN – Product Bar Code Specifications as identified by the European Article Number
Clamp Truck Unload – Ability to unload using a weighted balanced clamp truck
Site Number – Numerical Code identifying a Tesco receiving site
Rest Area – Area designated for drivers to wait prior to being called for unloading
Trailer Seal Number – A unique number identifying a trailer’s security seal.

Frequently Asked Questions
Q. What would happen if a supplier arrives at site earlier than their booking time?
A. The supplier would be asked to leave site and return at the correct time. The depot may accept the
vehicle earlier, however at their discretion. There is no guarantee that an early delivery will be
unloaded.
Q. What would happen if a supplier arrives at site later than their booking slot?
A. If the load has arrived up to an hour late then the supplier will be granted entrance to the site and
advised that they will be unloaded at a time that resource is available from the site. However, without
prior notice or sufficient available resource, they may be rejected. If the load arrives more than one
hour late the load will be rejected.
Q. What would happen if the supplier driver is running out of time after arriving at the site late?
A. The supplier would not be given any preferential treatment and would have to leave site before
their driving time runs out. The delivery would be classed as a failed delivery and the relevant cost
recovery applied to the supplier.
Q. What would happen if a supplier arrived at site without the relevant paperwork?
A. The site would reject the supplier as a non-conformant load and the relevant administration cost
recovery would apply.
Q. Would there be any site tolerance on non-conformance issues i.e. ASN’s not submitted for
deliveries?
A. No. The guidelines in the supplier conformance manual are non-negotiable. If the loads do not
adhere to the guidelines they will be rejected and/ or incur the relevant cost to the supplier.
Q. What would happen if the supplier vehicle did not meet the site criteria i.e. had support
beams down the centre of the trailer?
A. The delivery would be rejected as a health and safety concern. The supplier would incur the
relevant administration costs and the delivery would have to be rebooked through central bookings.
Q. Does the site offer any opportunity for on-site parking?
A. No. The supplier would be expected to leave site as soon as their delivery is accepted. It is the
supplier’s responsibility to ensure that their driver has the necessary driving hours to complete the
delivery.
Q. Is there any PPE provision on site?
A. No. As per the supplier conformance manual, it is the sole responsibility of the supplier to ensure
that its employees arrive on site with the relevant PPE to comply with site health and safety policies
and procedures.
