Chapter 1

IntroductionThis guide contains the information you need to understand how to generate loan data that can be uploaded to the Nationwide Mortgage Licensing System (NMLS) and applied to a Mortgage Call Report.

NOTE: Your access to the features described in this guide depends on the settings in your User Profile as defined by your system administrator.

Chapter Descriptions• Chapter 2, “Generating and Uploading Mortgage Call Report Data”, provides

step-by-step instructions for gathering loan data required by NMLS and thengenerating an NMLS data report in Encompass. Once you verify that the data isaccurate, you can then upload this data to the Mortgage Call Report section ofthe NMLS website.

Generating and Uploading Mortgage Call Report Data Encompass enables you to generate NMLS data reports that can be applied to Mortgage Call Reports when uploaded to the NMLS website.

Mortgage Call Reports - A Quick IntroductionAs described on the HUD website, the SAFE Mortgage Licensing Act was established in 2008 to “enhance consumer protection and reduce fraud by encouraging states to establish minimum standards for the licensing and registration of state-licensed mortgage loan originators and for the Conference of State Bank Supervisors (CSBS) and the American Association of Residential Mortgage Regulators (AARMR) to establish and maintain a nationwide mortgage licensing system and registry for the residential mortgage industry. The SAFE Act sets a minimum standard for licensing and registering mortgage loan originators”. The act was later updated to require licensed companies to file a Mortgage Call Report through the NMLS within 45 days of the end of each quarter. (Enforcement of this requirement began in May, 2011.) The report contains loan activity and financial condition details.

Who is Required to Submit a Mortgage Call Report? All state licensed companies and all state registered companies that employ licensed mortgage loan originators (MLOs) are required to submit a Mortgage Call Report. Most state agencies require that companies complete the Mortgage Call Report in behalf of their MLOs. (Foxx (Lenders Compliance Group), Mortgage Call Reports, 2, 2011)

Encompass provides the ability to collect much of the data required for these Mortgage Call Reports, however it is up to the individual generating the data to ensure its accuracy. They may also manually enter required data that is not available from Encompass loan files. It is important to note that although Encompass automates the collection of Mortgage Call Report data, a substantial amount of time may be required for an individual to research and collect loan data that is required by Encompass in order to generate accurate reports.

PrerequisitesThe Encompass system administrator can use tools in Encompass Settings to grant users access to the Generate NMLS Call Report feature based on persona, designate the field that will be used as the loan’s application date, and configure how Correspondent loans and loans without a loan channel selected are treated when generating NMLS Mortgage Call Report data.

Grant User Access to Generate NMLS Call Report Data FeatureAdministrators can use the Personas tool to grant users access to the Generate NMLS Report Data feature.

To Grant Access to the Generate NMLS Call Report Data Feature:1 On the menu bar, click Encompass, and then click Settings.

2 On the left panel, click Company/User Setup, and then click Personas.

3 In the left panel, select a persona.

4 Click the Pipeline tab.

5 In the Pipeline Tasks section, select the Generate NMLS Report check box.

6 Click the Save icon.

Configure the NMLS Report Setup SettingBy default, Encompass considers the 1003 Signature Date (field ID 3261) to be the loan's initial application date. When generating NMLS Mortgage Call Report data, the initial application date determines whether or not the loan file is included in the report (based on the time period the report is covering). Administrators can use the NMLS Report Setup tool to designate the date field that will be used as the initial application date.

To Set the Initial Application Date:1 On the menu bar, click Encompass, and then click Settings.

2 On the left panel, click Loan Setup, and then click NMLS Report Setup.

3 Select each state in which your company is licensed and is required to submit an NMLS Mortgage Call Report.

• Click Check All to select every state in the list.

• Click Uncheck All to clear the check box for each state in the list.

NOTE: When generating an XML file version of the NMLS Call Report, the states selected here are the only states included in the report; in the Applications in Progress at the Beginning of the Period section of the NMLS Call Report window, only data entry fields for these states display and the drop-down list used to select states is disabled.

4 To change the initial application date used when including loans in NMLS reports, in the Reports Setting section, select a date from the Initial Application Date list. The option selected here determines the date that is populated to the Initial Application Date field in the NMLS Report Information quick entry window:

• 3261 - Date when the 1003 form was signed; this 1003 signature date optionis selected by default

• 3142 - GFE Application Date

• 745 - Application Date

• Other, and then select a date field from the fields in the Reporting Database.

5 To prevent NMLS Mortgage Call Reports from reflecting fees collected after credits to the borrower have been deducted, select Exclude Origination Credits from Fees Collected.

6 When finished, click the Save icon.

Configure NMLS Channels OptionsThe Channel Options tool includes two drop-down lists that allow administrators to configure how NMLS reports will handle Correspondent loans and loans that do not have a channel option selected.

To Configure NMLS Channels Options:1 On the menu bar, click Encompass, and then click Settings.

2 On the left panel, click Loan Setup, and then click Channel Options.

3 In the NMLS Channels Options section, select an option for Correspondent loans and loans without a channel selected.

4 Click the Save icon.

NOTE: For more information about how the channel determines how the loan is categorized in the NMLS Mortgage Call Report data, refer to “How does Encompass categorize loan files as Brokered, Closed-Retail Application or Closed-Wholesale Application?” in Chapter 3, “Frequently Asked Questions”.

Recommended WorkflowThe following is the recommended workflow for collecting, generating, verifying, and uploading Mortgage Call Report data. Following this workflow should minimize common errors or roadblocks that can occur when generating loan data and uploading these reports to the NMLS website.

Step 1 - Collect the Required DataThe first step is to locate all loan applications that were in process during the quarter and year specified in the NMLS data report (i.e., the “Applications In Process at the Beginning of the Period”). Perform this step for each state in which your company is licensed.

Specifically, you need to determine the following for each state:

• The total number of applications that were in process at the beginning of thequarter and year covered in the report that were received from a Borrower, and

• The total dollar amount of these applications.

• The total number of applications that were in process at the beginning of thequarter and year covered in the report that were received from a Third Party, and

• The total dollar amount of these applications.

NOTE: You must determine which of your loan files are considered “Applications In Process at the Beginning of the Period” based on your company’s own classifications and business practices. For suggestions to locate or designate these types of loan files, refer to the “When I want to generate an NMLS data report for the first time, how do I determine which loan files are considered to be “Applications in Process at the Beginning of the Period”?” question in Chapter 3, “Frequently Asked Questions”.

Step 2 - Generate Report Data in Excel SpreadsheetIn Encompass, generate Mortgage Call Report data in a Microsoft Excel spreadsheet.

1 Click the Pipeline tab in Encompass, and then click the Pipeline menu.

2 Point to Compliance Services, and then click Generate NMLS Call Report. NOTE: Your system administrator controls who can access this feature based on persona, using the Personas tool in Encompass Settings.

The data for the report is pulled from the Reporting Database in Encompass. If any fields required for the report have not been added to the database, a pop-up window will ask you to contact the Encompass administrator. If necessary, ask your administrator to open the Reporting Database. Encompass will prompt the administrator to add the missing fields.

3 On the NMLS Call Report window, in the Report Options section, select an option from the Format drop-down list:

• Excel - Standard: Generate data for a Standard Mortgage Call Report inMicrosoft Excel format.

• Excel - Expanded: Generate data for an Expanded Mortgage Call Report inMicrosoft Excel format. The Expanded report is intended for companies thatare approved Fannie Mae or Freddie Mac Sellers/Servicers or are GinnieMae Issuers.

• XML - Standard: Generate data for a Standard Mortgage Call Report in XML.

• XML - Expanded: Generate data for an Expanded Mortgage Call Report inXML format. The Expanded report is intended for companies that areapproved Fannie Mae or Freddie Mac Sellers/Servicers or are Ginnie MaeIssuers.

NOTE: Typically, the XML format is used when generating data for all states in which the company is licensed. The administrator must specify these states using the NMLS Report Setup tool in Encompass Settings. For detailed information, refer to “Configure the NMLS Report Setup Setting” on page 2.

4 Select the time period for the report (a year or three-month period, followed by the specific year).

NOTE: By default, the Initial Application Date (field ID 3261; 1003 Signature Date) determines whether a loan file is included in a report for a specified time period. Your administrator can use the NMLS Report Setup tool to designate another date field to be used as the Initial Application Date.

5 Select a Version. The versions below are selected by default based on the filing period:

• Version 1 is selected by default for the period prior to April 1, 2012.

• Version 2 is selected by default for periods from April 1, 2012 toDecember 31, 2013.

• Version 3 is selected by default for periods on or after January 1, 2014.

• Version 4 is selected by default for periods on or after April 1, 2015.

• Version 5 is selected by default for periods on or after January 1, 2016.

6 If exporting to Microsoft Excel, in the State(s) list, select All or select a state as needed.

7 In the Loan Folders section, select one or more loan folders to include in the report.

8 In the Applications in Process at the Beginning of the Period section, enter the number of loan applications that were in process from borrowers and from third parties at the beginning of the period covered by the report (in the appropriate Count field), and then enter the total dollar amount for borrower and third party loans (in the appropriate Amount field).

• This is the information you collected in Step 1 of this workflow.

• If exporting in XML format, enter the information for each state in which thecompany is licensed.

NOTE: Failure to enter this data may result in an Invalid MCR Schema error when you are uploading this report data to the NMLS website.

9 Click Generate.

The data for the report is pulled from the Reporting Database in Encompass. If your Encompass administrator did not add the required fields to the database in Step 2 above, a pop-up window asks you to contact the administrator.

10 If all the fields required for the report have already been added to the Reporting Database, a navigation window enables you to select the location where you want to store the Excel spreadsheet.

11 If required NMLS data is missing from one or more loan files in the report (or if the data is invalid), a pop-up warning displays. Click Yes to generate an error report in an Excel spreadsheet that lists the missing data and a list of fields that are missing in each loan.

• If you click Yes, a navigation window allows you to select the location where you want to store the Excel spreadsheet.

NOTE: The data in each loan file that will be used when generating NMLS Call Reports can be accessed form the HMDA Information form within the loan file. Click the NMLS Info button to open the NMLS Report Information quick entry window, where you can view or edit the NMLS data for the loan.

Step 3 - Verify the Report Data (No Negative Loan Counts)Now you can review the data provided in the Excel spreadsheet and look for discrepancies, missing data, or other potential issues such as negative numbers.

Line AC080 - Applications in Process at the End of the PeriodWhen reviewing the loan data, it is important to verify that line AC080 in the Application Data section of the report does not contain a negative number. NMLS does not accept negative numbers in this field. If you submit this data to NMLS with a negative number, you will receive an Invalid MCR Schema error.

Why do I have a negative number here?

A negative number will display on line AC080 if you did not enter the number of loan applications that were in process from borrowers and from third parties at the beginning of the period covered by the report as instructed in the Step 2 - Generate Report Data in Excel Spreadsheet section of this workflow. (A negative number occurs if you did not enter the total dollar amount for borrower and third party loans as well.)

• A negative number will also display on line AC080 if you enter zero (‘0’) in the Amount or Count fields on line AC010 of the report.

• If the number on line AC080 (or any other line in the report) is in parentheses, it is a negative number.

If a negative number occurs, return to Encompass and enter the values for the Applications In Process at the Beginning of the Period (as instructed in Step 2 of this workflow), and then regenerate the report data.

Run a Report to Locate Missing DataIf you come across missing data or other issues during your review, you may want to run a report using the Reports tool in Encompass to help you locate loans that are missing data.

NOTE: Set up the report to include each field that will be used when generating an NMLS data report. (For step-by-step instructions, refer to Appendix A, “Run a Report to Locate Missing NMLS Data”.) To view these fields, open the HMDA Information form within the loan file, and then click the NMLS Info button to open the NMLS Report Information quick entry window.

For example, if the Count numbers in the Property Type section of the report (lines AC200, AC210, AC220) seem low, run a report in Encompass that includes the Subject Property Type field (field ID 728). Then you will be able to identify loans where the Subject Property type has not been indicated. Open these loan files, select the Subject Property type, and then save the loans. Generate a new NMLS data report in Excel format and verify that the Count numbers in the Property Type section of the report are accurate.

Step 4 - Generate Report Data in XML, Upload to NMLSOnce the report data has been verified and licensed states identified, generate an NMLS data report in XML format. You can then upload the XML file to the NMLS website.

To Generate the Report Data in XML:1 Click the Pipeline tab in Encompass, and then click the Pipeline menu.

2 Point to Compliance Services, then click Generate NMLS Call Report.3 On the NMLS Call Report window, in the Report Options section, select XML -

Standard or XML - Expanded from the Format drop-down list:

• XML - Standard: Generate data for a Standard Mortgage Call Report in XML.

• XML - Expanded: Generate data for an Expanded Mortgage Call Report in XML format. The Expanded report is intended for companies that are approved Fannie Mae or Freddie Mac Sellers/Servicers or are Ginnie Mae Issuers.

8 Click Generate.

9 A navigation window allows you to select the location where you want to store the XML file.

10 Open the file and manually enter any additional data as needed.

To Upload the XML File to the NMLS Website:1 Visit the NMLS Resource Center website at:

http://mortgage.nationwidelicensingsystem.org2 Log into the site and then follow the instructions to upload the XML file to the

website.

NOTE: At any time you can correct or modify loan data in Encompass, and then repeat this workflow to overwrite the current report on the NMLS website.

Frequently Asked QuestionsThis chapter features a collection of common questions from current Encompass users regarding Mortgage Call Reports and generating data for these reports. Here you can quickly find detailed explanations, tips, and answers that can help you get over common speed bumps that can pop up when generating Mortgage Call Report data and when uploading the data to the NMLS website. Answers include practical examples and expert advice from expert Encompass users, implementation specialists, programmers, and designers.

When I want to generate an NMLS data report for the first time, how do I determine which loan files are considered to be “Applications in Process at the Beginning of the Period”?You must designate which loan files are “Applications in Process at the Beginning of the Period” based on your company’s own classifications and business practices. Ellie Mae Customer Support representatives cannot make this determination for you.

One method to locate these loan files (once your criteria for a loan that is “in process” is established), may be to run a report using the Reports tool in Encompass. Here is an example of a report you can run to help identify loans that were “in process” at the beginning of the first quarter in January, 2015:

NOTE: After you generate an NMLS data report for the first time, lines AC010 and AC080 of the report are populated automatically. Therefore, when the next quarter (and subsequent quarters) ends and you need to generate a new NMLS data report, you will not need to manually collect and enter this data again.

WARNING: These steps provide instructions for creating a report, however this is only a suggested method. The filter you apply to the report in order to designate loan files that are “in process” must be created by you. Ellie Mae cannot guarantee NMLS will agree with your designations.

To Run a Report to Identify In Process Loans:1 In Encompass, click the Reports tab.

2 Click the New icon.

3 In the list of reports area, type a report title. The title displays above the tabs in the right panel.

4 On the Reports tab, locate the Data Source section and select Loans.

5 Select Table from the Report Type drop-down list.

6 Click the Save icon to save your changes.

7 Click the Fields tab.

8 Ensure the Use fields from the Reporting Database for better performance check box at the bottom of the screen is selected.

9 Click the New icon to open the Field Properties window.

10 Select the Encompass Field option.

11 The first fields to add are the borrower’s first and last name (field IDs 4000, 4002). To enter the field ID for a field, click the Find icon (magnifying glass). On the Select Field window, enter the field ID or the field name in the text box at the top, and then click Find. Click to select the field in the list and click OK.

• You can also type one or more characters and click Find. The firstoccurrence of the characters in any column is found.

12 Click OK to close the Field Properties window.

13 After adding the Borrower First Name, repeat steps 9 - 12 to add the Borrower Last Name.

14 Next, add the Subject Property State field (field ID 14).

• When setting the field properties, set the Sorting Order to Ascending and set the Summary Type to Group.

15 Add the Total Loan Amount field (field ID 2).

• When setting the field properties, set the Summary Type to Total and set thethe Number of Decimal Places to zero (‘0’).

16 Click the Milestones tab, and then select an option to determine the loans to include in the report based on milestone.

17 Click the Folders tab, and then select the loan folders to include in the report.

18 Click the Filters tab, and then click the New icon.

19 Create a filter to apply to the report that includes loans where the:

• Application Date occurs before 01/01/2015 and

• Current Status Date is on or after 01/01/2015 and

• Current Loan Status is not Active Loan (These are loan where the loan status was Active Loan at the beginning of the first quarter, but was later updated toa new status.) or

• Current Loan Status is Active Loan.

20 Click the Generate button to run the report.

The resulting Excel spreadsheet will list each applicable loan, grouped by state, and the total sum value (dollar amount) of loans that were “in process” at the beginning of the first quarter of 2015.

• This report does not distinguish between loans received through a wholesale (third party) channel or retail (borrower) channel. If your company hasreceived loans through a wholesale channel during the quarter, add anadditional filter that groups loans according to the value in the loan’s Channel field (field ID 2626). For example, if you set up the filter to include loanswhere the Channel field is set to Banked - Wholesale, these types of loanswill be grouped together and represent the total number of applications thatwere in process at the beginning of the quarter and year covered in the report and were received from a third party.

WARNING: Again, these steps have provided instructions for creating a report, however this is only a suggested method. The filter you apply to the report in order to designate loan files that are “in process” must be created by you. Ellie Mae cannot guarantee NMLS will agree with your designations.

When I try to upload my XML file to the NMLS website, why am I receiving an Invalid MCR Schema error? This error occurs when a negative number is entered on line AC080 (Applications in Process at the End of the Period) of the NMLS data report. A negative number occurs here when zero (‘0’) is entered on line AC010 (Applications In Process at the Beginning of the Period) or if the number entered on line AC010 is too low.

For instructions that may resolve this issue, refer to “Step 2 - Generate Report Data in Excel Spreadsheet” on page 4.

How are the values in the NMLS data report calculated?Refer to Appendix B, “NMLS Data Report Calculations” to view a list of each field in an NMLS data report and how each field’s value is calculated.

You can also view an Excel spreadsheet version of an NMLS data report where each calculation field (in Section I and Section II) has a comment to explain the calculation. (Hover the mouse pointer over the fields denoted by a red triangle in the upper-right corner to reveal the pop-up comment window.) This spreadsheet is located here:

Why is the number of loans included in the NMLS data report so low?When you view the NMLS data report you may find that many loan files are missing or haven’t been included in the report. Loans will be excluded from the report if they are missing data required by NMLS.

NOTE: If the Exclude this Loan from the NMLS Report check box (field ID NMLS.X15) is selected in a loan file, the loan will not be included in the report. This check box is available in the NMLS Report Information Quick Entry window. To access the NMLS Report Information Quick Entry window, open the HMDA Information input form in a loan file, and then click the NMLS Info button provided on the form.

One method for locating loans with missing data is to create a report using the Reports tool ion Encompass that includes each field that is required in a Mortgage Call Report. (For step-by-step instructions, refer to Appendix A, “Run a Report to Locate Missing NMLS Data”.)

To View the Required NMLS Fields:

1 Open a loan file in Encompass, and then click the Forms tab.

Why are loans not being included in the Closed Loan Data section of the NMLS report?In order for a loan to be included in the Closed Loan Data section of the NMLS data report, the Current Status field (field ID 1393) on the Borrower Summary form must be set to Loan Originated and the Date (field ID 749) on the Borrower Summary must fall within the quarter and year specified in the report.

How does Encompass categorize loan files as Brokered, Closed-Retail Application or Closed-Wholesale Application?The Closed Loan Data section of the report features three categories for loan files: Brokered, Closed-Retail Application, and Closed-Wholesale Application. When generating an NMLS data report, Encompass determines the category in which the loan file is placed based on the Channel type (field ID 2626) selected at the top of the Borrower Summary form. For example, if the Brokered channel is selected, the loan is placed in the Brokered category, and so on.

Channel Options SettingThe Encompass administrator can use the Channel Options tool in Encompass Settings to indicate the options available on the Channel list (field ID 2626) on the Borrower Summary form and to configure how NMLS data reports will handle certain types of loans. The option selected on the Borrower Summary indicates how your company is handling a specific loan, such as Brokered or Banked. The NMLS Channels Options section includes two drop-down lists that allow administrators to configure how NMLS data reports will handle Correspondent loans and loans that do not have a Channel option selected.

To Select Channel Options and Configure NMLS Options:1 On the menu bar, click Encompass, and then click Settings.

2 On the left panel, click Loan Setup, and then click Channel Options.

3 On the Channel Options tool, all four options are selected by default. Clear the check boxes for the options that will NOT be available for selection on the Borrower Summary form.

4 In the NMLS Options section, select an option from the drop-down list for each loan type.

5 Click the Save icon.

NOTE: These settings affect the Closed Loan Data section of the Standard NMLS data report only. Data in lines I210 - I230 in Section II of Expanded NMLS data reports must be entered manually.

When I select a Channel type on the Borrower Summary, why is it showing as Retail in the Lender/Bank Channel field on the NMLS Report Information quick entry window? The Lender/Bank Channel field (field ID 3332) on the NMLS Report Information screen is intended for use by wholesale bankers only to show through which channel the loan was received: Retail, Wholesale Banker, or Wholesale Correspondent. The table below shows how the Lender/Banker Channel field is populated (by default) based on the Channel (field 2626) selected on the Borrower Summary.

When the Banked - Wholesale channel is selected, you can select the appropriate channel from the Lender/Bank Channel drop-down list. When any other channel types are selected on the Borrower Summary, it is assumed the loan was received through the bank’s Retail channel. Therefore the field is populated with Retail. Authorized users can click the Lock icon for the Lender/Bank Channel field to manually select a channel option and override the default value in the field.

Why isn’t data being generated for the Lines of Credit at Period End and all of Section III?The LINES OF CREDIT AT PERIOD END section and all of the fields in Section III of the NMLS data report are not calculated because Encompass loan files do not provide this data. These fields are included in the report because they are required by NMLS, but you must use another application to gather this data or manually enter it on the Excel spreadsheet or XML file before uploading the data to the NMLS website.

Why does Encompass not support the new Gross Revenue from Operation field?The field definition for Gross Revenue from Operations states “All revenue from whatever source received by your company on loans originated in this state during the reporting period before any expenses are deducted. Include gross revenue from sales or mortgages at or subsequent to closing.” This indicates that the requirement is to captured not only fees collected at or before closing, but also revenues generated from sales of loans on the secondary market aside from losses incurred at or after point of sale. There is currently no standard support for capturing total loan revenue on an individual file basis in Encompass. Additionally, any attempt to capture and report this information without guidance from a customer’s secondary marketing and accounting departments would result in an increased risk of inaccurate filings. We recommend that MCR filers coordinate with their secondary and accounting departments on how to aggregate and report gross operational revenues within the MCR filing.

What format should I use for the NMLS Data Report: Excel or XML?When setting up the NMLS data report in Encompass, select the Excel format when you want to generate a report, review the report data, and search for potential problems, such as a negative number in line AC080 (Applications in Process at the End of the Period). You can also generate an Excel version at the end of each quarter and save it on your computer to keep a record of your NMLS data reports.

Once you are satisfied the report data is accurate, select the XML format when generating an NMLS data report. When uploading your report data to the NMLS website, it must be uploaded in XML format.

NOTE: When choosing between the Standard or Expanded format options, note that the Expanded report is intended only for companies that are approved Fannie Mae or Freddie Mac Sellers/Servicers or are Ginnie Mae Issuers.

Why are some fields on the NMLS Report Information quick entry window always blank? The following fields on the NMLS Report Information quick entry window require data to be added manually since there are no other fields in Encompass that contain this data or satisfies NMLS requirements:

Run a Report to Locate Missing NMLS DataIf you come across missing data or other issues during your review of an NMLS data report, you may want to run a report using the Reports tool in Encompass to help you locate loans that are missing data.

Follow these instructions to set up the report to include each field that is required by Mortgage Call Reports and are used when generating NMLS data reports in Encompass. Then run the report to identify the loans where data is missing from these fields.

NOTE: To view these required fields, open the HMDA Information form within the loan file, and then click the NMLS Info button to open the NMLS Report Information quick entry window.

To Run a Report for Missing NMLS Data:1 In Encompass, click the Reports tab.

2 Click the New icon.

3 In the list of reports area, type a report title. The title displays above the tabs in the right panel.

4 On the Report tab, locate the Data Source section and select Loans.

• Select Internal Organization to create a report on loans originated in Encompass; or select TPO to create a report on loans submitted by TPO contacts.

5 Select Table from the Report Type drop-down list.

6 Click the Save icon to save your changes.

7 Click the Fields tab.

8 Ensure the Use fields from the Reporting Database for better performance check box at the bottom of the screen is selected.

NOTE: In addition to the Section I fields, the fields below are required when generating an NMLS data report in Expanded format. Expanded reports are intended only for companies that are approved Fannie Mae or Freddie Mac Sellers/Servicers or are Ginnie Mae Issuers.

In addition to the required NMLS fields, add identifier fields so you will be able to identify the loan in the report.

NOTE: The data on your report is collected only from loans available in your Pipeline and depends on your access to the loan files, as well as the criteria you select when you define the report. Your ability to access loans assigned to other users is based on your position in the organization hierarchy and User Group settings. Your report will include loans assigned to you, and loans of users directly below you in the hierarchy.

14 Click the Milestones tab, and then select Include all loan files without regard to milestone.

15 Click the Folders tab, select Select loan folders manually, and then select the loan folders to include in the report.

16 Click the Filters tab, and then click the New icon.

17 Create a filter to apply to the report that includes loans where the:

• Current Loan Status field (field ID 1393) equals Loan Originated

• Current Status Date (field ID 749) occurs between 01/01/2016 and 03/31/2016.

18 Click the Generate button to run the report.

The resulting Excel spreadsheet will list each loan that matches the loan criteria you entered. (You can identify each loan based on loan number, borrower name, or other identifying fields you added in step 13.) Search each column (GFE Application Date, Action Taken, Property Will Be, etc.) in the spreadsheet for empty cells. If a cell is empty, it means the data is missing from the loan file. You can then open the loan file and enter the missing data.

NOTE: When a calculation field (such as NMLS Loan Type (field ID NMLS.X1)) is added to Encompass as part of a new release or hot update, the field will not be included in loan files that existed (i.e., files that were created and saved) prior to the new release or hot update. Therefore, when you generate NMLS report data or run a report to locate loans with missing data, you may find that these types of loan files are missing this data. In order to include these types of calculation fields in these types of loans, you must open the loan file and then save it. When you save the loan Encompass automatically adds the field and calculates its value based on data in other Encompass fields.
