President Tom Minnaert opened with introductions and welcomed Neva Hutchison from Oregon State Fair, Event Coordinator. For Oregon’s 150th birthday, Neva is meeting with farm, garden, and floral organizations to invite each association to have a booth in the fair. The Oregon Garden association has already signed on. Competition is not strong in the herb and lavender area, and Neva hopes to make it stronger and more competitive. Are we as an association interested in competing? We would be able to pass out our association info as well as compete. There are prizes for winners. There is a Web page for the farm and garden. The fair is 11 days, from Aug 28 – Sept 7, and is open 10 am – 9 pm weekdays and 10 am – 10 pm on weekends. It would be better off staffed at all times. Best promotion is to talk to the public as they visit. For Oregon’s 150th birthday, there will be a lot of historical displays. Tables, chairs, etc. will be provided and there is no cost to us if we participate. The only cost would be if we decided to sponsor. Contact info is in the packet she presented. Detail work can wait until mid-July. Donna says our busiest season is July through mid- to late- August. Tom said lavender harvest would be done by the time the fair is going. Culinary committee: Chris Mulder, Chair, has been working on a lot of good things & is very popular. Education Committee: Sarah Bader, Chair Treasurer’s report presented by Donna Delikat. We have over $4K in our bank account after expenses. Expenditures include 32-page brochure for $2775 from New Seasons’ printer referral. We had a 2-page map done by In-House Graphics for $650, with insets for the outlying destinations. 32 memberships in OLA and 24 participants in the festival weekend generated $8K. Thanks to those who advertised or got businesses to advertise in the brochure. To date, we have collected $1845 for advertisements and have another $505 to collect. Next yea, if everyone could get one business, the brochure would pay for itself. Initial printing is 10,000 copies. A second printing would then be a little cheaper. 7:30 - 8:00 Education Committee Presentation Chris and Sarah encourage OLA/OLF members to submit requests for educational topics for future meetings. Chris and Sarah brought several different varieties of Stoechas cultivars, describing each in detail and giving some history of the varieties and their hardiness. Most are hardy to zone 7b, (0-10 degrees F). Chris and Andy brought several samples that are available in the US. Sarah developed and handed out a chart with the characteristics of many commonly named Stoechas (attached). 8:00 - 8:30 Committee Updates Culinary Committee met Feb 13 and April 17. The committee decided they would like to work on an OLA cookbook or general “uses of lavender “ book, as a long-term project. Currently there are 12 recipes and tips submitted to use in the 2009 OLA brochure and/or on the OLA Web site, which will also be used in the future book. The committee would like to start by educating the public about cooking with lavender. The committee is trying to acquire local chefs’ lavender recipes for food and drinks. Chris is asking all members to share ideas of how to use lavender and to reach out to local chefs for ideas. The committee wants to collect a variety of recipes and tips from each member to be included in the OLA book. For the festival last year, we sold a lavender and dark chocolate by Dream Chocolate in Idaho. It says Dream on each square and can be use in recipes. The label was the festival artwork by Susan Day. The committee recommends switching to the OLA picture for the artwork to avoid the set up costs incurred by changing the design each year. The price will come down to $1.70 a bar. A larger order will reduce the cost, and we could sell year-round and on our Web site. Ordering chocolate now will avoid heat and save on expedited shipping. Chocolate sold last year for $3.50 per bar. McTavish shortbread: We ordered $1K in shortbread last year, which comes in cases of 48, pre-packaged cookies. Sold for $2.50 and did very well. Chris is taking orders from OLA/OLF members that are interested in selling Dream lavender chocolate bars with the new OLA logo and McTavish lavender and lavender lemon shortbread cookies again this year. (See attached order forms.) With a large OLA group order, we will receive a better-discounted price on these products from both

companies. Call or e-mail Chris Mulder with your orders no later than June 1st. Laura Grady reported that she and Chris are working with Honest Chocolates in Carlton, Oregon to develop an official OLA lavender-chocolate. In a blind taste test, Honest Chocolates were preferred over Dream Chocolate. Costs $1.25 per ounce and we are exploring packaging ideas as this is not a strong point. The committee liked purple boxes with a star or a heart the best. Label samples were presented. Is there interest? Honest Chocolates does not have as long a shelf life as does Dream Chocolate. Honest Chocolates makes a salted-lavender caramel, which was voted as one of the five favorite chocolates made by Honest Chocolates and tasted by the committee. Samples were available at the meeting for tasting, and the salted-lavender caramels were again picked as the favorite. (See attached order form for Honest Chocolates.) If you are interested in a possible group order of one or several kinds of lavender chocolates made by Honest Chocolates, please let Chris know no later than June 1st. Lillie Belle Farms in Southern Oregon also makes salted, lavender caramels (as seen on Oprah), but they are spendy at four for $10. See sheet for ideas and submit your vote. Next Culinary Committee meeting is at Barn Owl Nursery on May 15. The committee will be tasting different herb/lavender blends (using cottage or cream cheese as a medium) and different tea blends. The committee would like to develop one or more official OLA Herbes de Provence type herb blends and one or more tea blends using lavender.

Food Permit information (if available) Donna provided some information regarding permits for food at festivals. She is waiting for a response from Yamhill County Health Dept on her inquiry as to whether the OLA could get a permit for all locations as one event. Packaged food sold on the property does not require the presence of a handicapped portable restroom. If it is not packaged and is consumed on the property, a handicapped restroom is required. Check with your county about this. Editor’s Note: We received this statement from the Yamhill County Health Department: Question: Please advise if we can purchase one permit by the association for all participants in Yamhill County. Answer: No, each site is licensed not the event. Marketing & Advertising update

• Rack Cards Nancy Miller, Chair, was absent so Chris Mulder gave the Marketing and Advertising update. Refer to handout. We purchased a rack card distribution through the Travel Oregon Business program. We will start with 300 rack cards in eight Travel Information Centers around the state. The Ashland Travel Information Center sent an e-mail about wearing OLF T-shirts at all the travel Oregon centers if we provide them. If you have left over T-shirts, this would be a good idea. Please take rack cards for distribution in your area and include them with any orders you

may ship. We distributed 8K at the Yard, Garden, and Patio Show. Take to the Chamber of Commerce if you are a member.

• Press Release Update We need someone who can do the press release and e-mails, follow up, etc. Georgine Merz was managing this until her mom became ill.

● Rosie Veatch volunteered to help fill in until Georgine is back.

• Pre-Festival Promotional Event at 9 New Seasons Market, June 20, 11-2pm New Seasons is our official sponsor this year. They want us to participate in their in-store event to promote lavender and the festival, which will give us great visibility. New Seasons will advertise, “Come and Meet the Lavender Growers”. They will send out a cooperative press release with their name and ours, and will promote the festival in their Oregonian insert. As a non-profit, we can promote the association but not one member over another. The OLA will not be selling products at the New Seasons Market event. All stores need one or more volunteers, and four key stores would like to have oil distillation demonstrations outside their stores. They are Cedar Hills, Happy Valley, Mountain Park, and Orenco Station. (See attached sign up form; we need more volunteers.) Please contact Donna Delikat or Chris Mulder as soon as possible if you can volunteer at one of these stores. Please wear your OLA nametag and give out OLA business cards. Their chefs will make some lavender flavored foods to sample. They will have their own lavender plants and products to sell. OLA volunteers are encouraged to be there to answer questions and hand out OLA / OLF literatures. We recommend that volunteers avoid discussing medicinal uses due to liability, unless this is your area of expertise. Brochures will be available to hand out as well. New Seasons is sponsoring us with a $500 donation as well.

• OLA business cards, postcards, magnets available (samples were passed around at the meeting)

OLA business card at 5 cents each; members could order a blank back and add their business information, or they could order the two sided card with the lavender image on the front, and information about the festival & destinations on the back.

o Postcards are 25 cents each. o Small magnets are 50 cents each o Large magnets are $2 each. o T-shirts didn’t sell as well last year, so we are hesitant to order them this year.

• Other avenues on which we are working: Outside of PDX Metro area we are targeting the wineries to help promote the OLA. Still working on this. Would like any other ideas. Check out your local areas & see what can be done.

8:30 - 9:00 Festival Information

• Master Gardener Volunteers Aileen will coordinate the Master Gardener volunteers for those locations that would like them. In 2008, there were approximately 30 volunteers from 3 counties who participated; all with good feedback.

• Portable restroom quote from United Services (order form attached) An order form is attached for the festival weekend at very good prices. If you need to rent for a longer period of time, Cheryl at United Services will work with you. Dale Harris reported that in the fall, used portable restrooms are available for good prices as well. He paid $300 each for his. Check with your county to see if you can do this.

• OLA booth at Yamhill Artisan Fair We may have an OLA booth at the Artisan Fair to showcase the OLA and members’ information and products. Is there anyone who is not open that weekend who wants to volunteer for this? Or, maybe we can we pay to staff it? Or, ask the Master Gardeners? We want to try to get as much information out as possible in order to promote everyone. Q: Could we maybe do a raffle? Donna: we will check out.

• Festival Participation agreement Tom Minnaert has drafted a festival participation agreement for those on the tour. It is modeled after the Hood River Fruit Loop agreement provided by Dale Harris. Members are encouraged to sign and return ASAP. Q: Should lavender festival members have insurance for their events? A: Yes, we should. Please review your coverage. Make sure you have enough for the festival weekend. The OLA Board is still looking for a group deal on insurance. U-cut bundle tie size was discussed. We recommend 8” as the standard tie size for festival weekend. Any type of tie is acceptable so long as it is 8”. Suggested retail price for an 8” tie bunch is $5.00. We recommend that you be consistent with your size and price for u-cut lavender bundles during the festival. Lavender Festival Tour signs were also discussed, specifically those who need signs and those who still have some from last year. Non-tour members need to turn in their signs for redistribution. The OLA will order more and make sure each member has at least 8 signs. Make sure you put your contact info on the back of the signs so if ODOT picks them up, they will call you. Don’t put out until Friday evening if possible, and then collect Sunday evening or Monday morning. Destination brochures: Marketing and Advertising committee meets on May 4 for final proof review before going to print. Estimate is a 2-week turn around on this once it goes to print.

Distribution Day – We are hoping to have all orders available for pick up on June 19 at Barn Owl Nursery. New Seasons event volunteers especially will need to pick up items for use at the stores the following day, June 20. OREGON LAVENDER ASSOCIATION ANNOUNCES 9T H ANNUAL OREGON LAVENDER FARM TOUR & FESTIVAL

JULY 11 – 12, 2009

Plan to join us at the 2009 Oregon Lavender Festival to enjoy the Oregon countryside at its fragrant best. More than twenty separate lavender destinations throw their doors open to the public for visitors to experience lavender in Oregon firsthand by touring lavender farms, lavender nurseries, and the lavender-themed Artisan Fair in Yamhill.

Tour Lavender Farms and Nurseries, each with its own selection of different varieties of lavender, and each with its own activities arranged for the festival. At lavender farms, you can cut your own bouquets of fresh lavender, and at many sites, you can purchase specialty lavender plants and products and speak to experts on growing and cultivating lavender.

The Yamhill Artisan Fair and many of the farms feature lavender-centric booths with fine arts, crafts, local lavender products for sale, lavender oil distillation demonstrations, live music, craft classes, lavender food, activities for kids, master gardeners to provide gardening advice, and much more. At the Yamhill Artisan Fair, don’t miss the Art Show and Sale of plein air paintings of Oregon lavender farms.

OREGON LAVENDER FESTIVAL PARTICIPATION AGREEMENT

As a member of the Oregon Lavender Association and a participant in the Oregon Lavender Festival, I agree to the following terms and conditions:

• I agree to maintain business hours on festival weekend as advertised in the OLA/OLF literature and website.

• I will comply with all OLA by-laws, state and county laws and any other rules and regulations of governmental authorities.

• I will not engage in any conduct detrimental to the rights or interest of the OLA/OLF.

• I agree to provide the goods/services advertised within reasonable limits. I also agree to use the standardized bundle ties to promote uniformity

• I will maintain all areas open to the public or available to the public in a clean and sanitary condition.

• I agree to display, while supplies last, copies of OLA/OLF literature for patrons to pick up.

• I will cross-promote members of the OLA/OLF and make referrals to other members who carry products/services not available at my location. I will refrain from making any negative or detrimental comments regarding other members.

• I understand it is my responsibility to pick up or make arrangements to acquire my allotment of OLA/OLF literature. I also agree that I will make an effort to distribute these where possible in the community to promote the festival.

• I agree that all signs used in the promotion of the festival are the property of the OLA/OLF, shall only be used for promotion of the festival and shall be returned if I choose not to participate in the future. Signs are only to be used during festival days and only by OLF participants.

• I also agree that I shall abide by all highway sign placement laws and that any signs I put out will be picked up no later than one day following the festival.

• I understand that the OLA/OLF is an all volunteer organization and that I am expected to help when requested.

• I agree to indemnify and hold the officers, directors and members of the OLA and OLF harmless from all claims relating to my property, goods, services, products, or relating to persons or property brought onto property owned or controlled by me.

• I will make an effort to obtain insurance for the festival, either through specific coverage or homeowners coverage to cover my liability for persons or property brought onto my place of business and for goods, services and products which I may sell.
