The Front of House Supervisor is part of the Operations team and is expected to act on their own initiative in carrying out their duties, within the guidelines and policies laid down. Working with the Building Supervisor, they would be responsible for the smooth day to day running of our busy venue. Successful candidates will deliver excellent customer service in line with the style and ethos of Wac Arts and maintain a safe and welcoming environment at all times. We are looking for people who are passionate about delivering exceptional customer service. As an important part of the public face of the Wac Arts, Front of House Supervisors are expected to ensure that the appropriate standards of courtesy, behaviour and dress are maintained at all times. Purpose of the Role: The Front of House Supervisor is a key member of the team who oversees the smooth running of the building during all events by liaising with visiting companies and is responsible for customer service, event operations and safety, ensuring that all customers have a positive experience at the venue. Events include classes, regular programme activities, meetings, rehearsals, parties, auditions, film showings, conferences, performances, sales and workshops. General Responsibilities: A Front of House Supervisor is on duty is responsible for the servicing of a constantly busy schedule, for the safety and comfort of the public, ensuring that all Regulations are adhered

to and for dealing with customer queries. The Front of House Supervisor manages the reception team and manages the organisation of the rotas. The Front of House Supervisor is the first point of contact for visiting companies and will help to communicate Wac Arts’ charity missions in overseeing meeting and greeting, health and safety introduction and for ensuring that events begin and end within the times specified. The responsibilities of the role are: Reception Team Supervision:

• The Front of House Supervisor will be responsible for the management, training, rota’ing, covering for and recruiting all reception (Main and Atrium Reception desks) and front of house staff and casual Event Managers.

• Provide lunch break cover for reception and Building Services.

• Creating and keeping up to date the Reception Handbook (Procedure Manual).

• To manage box office procedures when required. Duty Management:

• When required, to act as key holders for the building, and when on duty to open or close the building, lock up and set the alarm on their own. To be on the “call-out” list in the event of out-of-hours emergencies.

• To advise the Building Supervisor of any problems encountered.

• To lead on ensuring the venue is safe, presentable, welcoming and secure at all times. Event Management:

• To liaise with the Events and Building Services team to co-ordinate the smooth delivery of every event.

• To assist in preparing the building for all events including set ups and pack down time; Security of the building, including switching lights off and securing doors and fire doors at the end of the shift. To ensure all spaces are presentable and safe and are maintained pre and post event.

• Writing detailed event reports at the end of the shift that records visitor numbers and highlights any aspects, issues and action points. These reports also sent to the relevant members of staff.

Health & Safety, Fire Safety and Security:

• The Front of House Supervisors in liaison with the Building Supervisor and Head of Events, are responsible for ensuring that all Health & Safety procedures throughout the building, are strictly adhered to.

• Ensuring safe evacuation of the entire building (members of the public and staff) in the event of an emergency.

• To take a lead role in the managing of incidents and emergencies whilst on duty.

• To comply and ensure others comply with the venue’s Health and Safety and other. policies and to ensure that safe working practices are followed throughout the building

• Responsible for administering First Aid (if trained) or seeking further assistance as necessary.

• Reports accidents/incidents, in accordance with Wac Arts Procedures.

• Responsible for Fire Safety; Ensuring all staff are aware of their duties in case of fire and to confidently disseminate the current fire evacuation procedure to staff and visitors.

• To carry out a full fire safety check of the entire building at the start of each shift, ensuring all evacuation routes and emergency services are in good order and immediately action any areas of concern.

Person Specification: Essential:

• Previous experience of Duty Management and administration in an events venue is essential.
