WHAT IS THE FALL PRODUCT PROGRAM?The Fall Product Program is a council-sponsored program that combines educational activities with money earning opportunities for the troops.

Girls will sell delicious nuts, chocolate and magazines. This program introduces key financial literacy skills such as goal setting, decision making, money management, and communication that the girls will use throughout their lives. Additionally, girls earn rewards and troops earn proceeds to fund exciting adventures.

HOW TO GET STARTED • Each girl participant must be registered for the 2020-21 Girl Scout year.

1 GET TO KNOW THE FALL PRODUCT PROGRAMTo prepare for the Fall Product Program, each Troop Fall Product Coordinator (FPC) should attend their service unit training.

Troop FPCs will receive the following materials.

Troops (1 per troop): • Volunteer Manual (also available on our website)• Receipt Book

2 REVIEW THE TROOP ROSTERTroop Co-Leaders should access their most current troop roster through MyGS on the Girl Scouts Dakota Horizons (GSDH) website. Please be sure to use the most current roster to ensure all girls are registered for the 2020-21 membership year.

3 HOST A TROOP FALL PRODUCT PROGRAM MEETINGPlan ahead! Once you have all your information, your next step will be to schedule your troop’s Fall Product Program parent meeting (prior to sale start date).

1. Hand out the materials listed above to each girl.

2. Educate girls and parents on the Fall Product Program.

• Discuss the Parent Financial Responsibility

• Fall Product Program safety (physical sales and online sales) ⮕ Available in Volunteer Essentials on the GSDH website

• Troop goals – What are your troop’s annual plans and goals? ⮕ Talk about how the earned troop proceeds will be used

• Girls’ goals – each individual Girl Scout should set her own goals based on plans for the year.

3. Set important dates and clearly communicate deadlines to parents.

4 VERIFY TROOP INFO IN M2https://www.gsnutsandmags.com/gsdhThe M2 online system (M2) is where girls, parents and troops will send emails, enter orders, track sales and select rewards.

1. Log in to M2 via registration email sent on September 8 and review your Troop FPC’s contact information.• This is the person who will receive all Fall Product Program communications for the troop.

2. Ensure your troop has submitted bank information by October 1 via the Bank Account Confirmation/ACH Form. Form can be found at www.gsdakotahorizons.org/forms.

3. Verify your troop roster. Girls that have not renewed their Girl Scout membership will not be shown in M2. Registered girls will be uploaded into M2 on September 11 and then each week throughout the program. Girls must be registered before they can sell and go online.

4. In M2, Troop FPC’s will create their girl launch email to give the girls online access. Once created, the email will automatically send on September 21.

ONLINE ORDERSM2 allows girls to sell safely online to family and friends with creativity and flair. Through her personalized store, she will be able to:

q Send emails that contain a direct link to shop on her personalized store

q Share her shopping link via text message or Facebook

q Track goals

q View and select rewards

q Create a themed avatar

Customers have two delivery options when shopping and paying for their online order. Regardless of the delivery method, ALL items ordered online are paid for online.

1. Items can be shipped directly to their door. (Shipping rates apply.)

2. Girls can choose to offer customers in-person delivery for any of the items on the in-person order card.

Girls with a 2020-21 membership will be invited by email to register for an M2 account. Watch for the girl email starting September 21. Didn’t get a link? Contact Member Services at 800.666.2141 or email [email protected].

IN-PERSON ORDERSThe Order Card offers customers 15 nut/chocolate items that a girl will deliver in-person once received by her troop. Customer orders are tracked on the Order Card by name, number of items being purchased and payments made. Payment should be collected at the time of order.

HEROES ON THE HORIZONCustomers can give to our “Care to Share” program to donate items to local military in several communities throughout the council. • Collect 6 nut or magazine donations in $6 increments to earn the Care to Share patch.• Place donations on the Order Card or online.• Collect funds.• Girl Scouts Dakota Horizons will deliver all donated items.

Moneymatters

The Fall Product Program and the Cookie Program are Financial Literacy Programs. Instilling good business ethics in girls, families and volunteers is a key aspect of the program.

• Money is collected by the Girl Scout from the customer at the time of order.

• All money must be collected by the troop from Girl Scouts on a weekly basis.

• Deposit ALL funds into troop bank account weekly.

• Prepare for the ACH Withdrawal Date November 13, 2020.

COLLECTING FUNDS FROM GIRL SCOUTS/PARENTSFamilies are financially responsible for all orders submitted. If the troop has been unsuccessful in collecting funds due from parents, the Troop FPC may submit the Outstanding Balance Form. This form is due by October 30, 2020. The form is located at www.gsdakotahorizons.org/forms.

THE ACH PROCESS - NOVEMBER 13, 2020To participate in this process, all troops are required to have a troop Bank Confirmation/ACH Form on file by October 1, 2020. The form is located at www.gsdakotahorizons.org/forms.

Troops not providing this information can jeopardize the troop’s financial standing and their ability to participate in council product programs.

1. GSDH will upload bank information from council records into the system starting October 5, 2020.

2. Verify that your troop’s bank information is showing properly in the system.

3. Watch for an email from M2 approximately 10 days prior to the ACH withdrawal.

4. Ensure the amount due is available prior to the ACH withdrawal date.

5. After the ACH has taken place, verify the amount withdrawn by reviewing your bank statement.

*Troops without a bank account are still required to make payment in full by the due date.

NSF CHECKSTroops will deposit all customer checks into their troop checking account. NSF Checks are those returned to the troop from the bank due to insufficient funds. GSDH offers assistance with NSF checks. More information and the NSF Check Reporting Form are located at www.gsdakotahorizons.org/forms.

END OF SALE CHECKLIST

q Remind all parents to enter their in-person product and reward orders in M2 by October 28, 2020.

q Collect Nut/Chocolate Order Cards from each girl—parents should total each product at the bottom of the card and enter totals in M2. Verify the quantities and rewards choices are entered correctly in M2.

q Collect All Money Due—Count the money with the parent present and issue a receipt and verify the parent gave the correct amount owed via M2.

q Deposit all money into your GSDH authorized bank account. To determine the troop’s amount due to council, see the “Troop Products and Financials” report in M2.

• All money must be turned in with order cards. If not, fill out an electronic Outstanding Balance Form by October 30, 2020 found at www.gsdakotahorizons.org/forms.

• If a customer’s check is returned for non-sufficient funds, follow the instructions on the NSF Check Reporting Form to notify GSDH. Form found at www.gsdakotahorizons.org/forms.

q Verify all in-person orders and rewards have been entered correctly. Note: Online sales are automatically calculated.

PRODUCT AND REWARD PICK UP AND DISTRIBUTIONEach service unit has a different way they coordinate deliveries. Watch for communication from your Service Unit FPM for when and how product and rewards will be picked up.

• Be prepared for your product pick up and know what items you will be receiving by using M2 reports.

• You will receive exactly what your troop sold. No extras.

• Count, count, and recount! Make sure you have all your items listed on your report.

• Make sure you sign and get a receipt for product received.

• Sort and distribute product and rewards to girls.

• Be sure to return Order Cards to girls in your troop when they pick up product.

• Report all damaged by December 4 to GSDH Member Services.
