FIRE DRILL/EMERGENCY EVACUATION INTENT If the need arises for an emergency evacuation of the school, through a fire or some other cause, all school personnel must be fully aware of the correct procedures to minimise the risk of danger or injury. Teachers are required to read the detailed policy on this matter and explain in full to students the evacuation procedures for lesson and lunch times before signing the Log Book of Fire Drill and Emergency Evacuation Procedures. SUMMARY Students and staff must be familiar with the following: The signal to stop work for an emergency evacuation is a sound of the school siren that rises in pitch. PROCEDURE

• As soon as the alarm sounds, all classes must STOP WORK, STAND and EVACUATE immediately to the Main Oval as shown on the school maps, distributed to all staff and displayed prominently in all buildings.

• Students are NOT to collect books or bags to bring with them during the evacuation. Everyone MUST evacuate. There are NO EXCEPTIONS.

• Students are to be moved under the strict supervision of the classroom teacher.

• Students are to WALK not RUN, to the Main Oval. Disabled students may need to be given special assistance at the teacher’s direction.

• Administration and Hub Staff will look after the evacuation of students in sickbay/office area and visitors to the Main Oval.

• As shown on the plan, once students have been moved away from the buildings, the supervising teachers will take their class as a group to the Main Oval to assemble in Phoenix class groups.

SUPERVISORY DUTIES

• The Heads of Department are to check their buildings are completely evacuated and that the correct orderly evacuation occurs. “BLOCK CLEAR” should be reported to the DEPUTY PRINCIPAL ON THE OVAL. Computer facilities in these blocks need to be secured in that process.

• HODs are to nominate, prioritise and document three staff members to act in their absence to complete the block evacuation.

• Teachers on preparation and correction or in adjoining classroom are to take responsibility for supervising the movement of the class of one of the above HODs to the Main Oval whilst HOD completes the building supervisory duties.

• Upon arrival at the Main Oval the above HODs or their nominees are to report the block evacuation to the Duty Deputy Principal.

• DEANs to assist DPs/straggling students and assist them to find their Phoenix Class and sit down.

• HOUSE LEADERS are to support the organisational process of their HOUSE group. • An Administration assistant will be responsible for bringing Phoenix Rolls to the Main Oval. If

the Fire/Emergency is in the Administration building, printing of rolls will take place in the Library.

• House Leaders will collect House Box from Duty Deputy and wear the high-vis vest that is in the box. Phoenix teachers will collect rolls from the House Leader for marking. Phoenix Companion Teachers will be responsible for roll marking in the absence of the Phoenix Teacher. Otherwise, they are at the back of the House Group to assist with student organisation.

• HODs or their nominees will be responsible for ensuring that rolls for classes of STAFF who

are absent from their staffroom on that day are marked. • If a student is absent from the evacuation this must be recorded on the roll which is given to

the relevant House Leader who then report to Duty Deputy Principal (In charge of Fire Drill) at the front of the assembly area.

• Laboratory Attendants are to report to the Science Head of Department after ensuring: - Laboratory Preparation Room is secure. - Gas tanks have been turned off at main cylinders.

• Office and Ancillary Staff and registered visitors report to the Deputy Principal HR at the back of the House Groups.

• An Administration Assistant will be responsible for bring Phoenix Rolls to the Main Oval. House Leaders to collect their House Box from the Duty Deputy and carry to their House Section. Phoenix teachers are then to collect their rolls from the House Leader.

• PLEASE NOTE: The drill will not be declared complete until all HOUSE LEADERS have

reported to the Duty Deputy Principal.

• Duty Deputy will direct a staff member to the Principal, located in Administration, to indicate that all personnel have been evacuated.

• Rolls are to be returned to the Administrative Assistant before assembly is dismissed. • At the completion of the drill, students will be dismissed, under the direction of the Duty

Deputy Principal, to return to their classrooms to either collect books left in the classroom or to continue with timetabled lessons. The classroom teacher will be responsible for the supervision of the students.

EMERGENCY EVACUATION DURING RECESS & LUNCH

• The emphasis will be on moving students away from the buildings onto the Main Oval as

quickly as possible, using the shortest and safest routes possible. Whilst this is being done, all buildings are to be checked by HOD/MARSHALL to ensure that no students are left behind. All teachers are requested to assist by checking all classrooms in their building. Staff located in Area 4 for PGD are to ensure that all students have been cleared from K Block and the Amenities in H Block.

• Once on the Main Oval, students are to assemble as normally as expected for the evacuation: ALL MUST BE SEATED ON GRASS AND REMAIN IN Phoenix CLASS.

IN CONCLUSION

• To ensure the safety of all students, the priority of any emergency evacuation drill must be to make sure that:

• all students and staff are evacuated quickly and safely, • all buildings are checked to make sure that no students are left behind, • The total school community assembles on the Main Oval as quickly as possible as indicated

in the instructions above, • Security, particularly to computer equipment, needs to be undertaken – HODs/ADMIN to

attend to this. • Whilst closing windows/doors may retard the fire/emergency – It is not always possible to

carry out on exiting a building.

• House Leader inform Duty Deputy of the roll check with student details.

• Block HOD’s check and close the block. Block All Clear is then notified to the Duty Deputy.

• Phoenix teacher returns their rolls to the House box. Teachers are to stay with their class.

• Duty Deputy will notify the assembly when the Emergency is contained and students may return to class.

• Staff return to classroom just prior to students – Admin to hold student assembly during this time.

IN SUMMARY – FIRE DRILL RESPONSIBILITIES

• Phoenix teacher/supply teacher responsible for respective class

• Phoenix Companion Teacher responsible for marking rolls in absence of Phoenix Teacher. Otherwise, they are at the back of the House Group to assist with student organisation.

• HOD or nominee responsible for respective physical buildings and classes of STAFF absent on that day

• HOUSE LEADER responsible for students of respective House group.

• DUTY DEPUTY ON OVAL responsible for student cohort

• DEPUTY PRINCIPAL DATA responsible for staff

• DEPUTY PRINCIPAL TIMETABLING responsible for ensuring PRINCIPAL is aware of completion of drill

• DEPUTY PRINCIPAL INCLUSION assists with student organisation at the back of House Groups

LOCKDOWN OF SCHOOL INTENT If there is a potential threat of harm or injury to staff, students, visitors or contractors, it is imperative that all persons are secure within a building on the school campus until the threat has passed. SUMMARY Potential threats may come from: A dangerous person A toxic spill (chemical truck accident in vicinity of school) Livestock running loose Severe weather Upon identification of a threat on or near the campus, a lockdown alarm will be sounded (alarm is a continuous emergency services siren, similar to ambulance; help is on the way, stay where you are). All personnel will remain in a secure place until the emergency has passed.

• Students move to floor, away from windows and doors, out of sight where possible, and remain silent.

• Students outside classrooms to move to the nearest room/block and lockdown with the staff member present.

• All doors and windows in the block are to be locked. • Mobile phones are to be turned off. • Persons in toilets to lock cubicle door and sit on toilet with feet raised from the floor. • All Clear will be given by Principal or administration member.

• Upon identification of threat on or near the campus, a member of administration will activate an alarm using the lockdown siren.

• In the event of a drill, the student administration officer in the Student Hub will send an SMS to parents advising that a lockdown drill is in progress.

NOTIFY POLICE An administration staff member will immediately contact Police/Emergency Services providing as much information as possible regarding:

• Time of incident • Nature of incident • Details of offender, and whether the person is armed • Type of weapon

All students, staff, visitors and contractors will be kept in a safe place until the Police/Emergency Services have dealt with the emergency and have declared the campus safe for the return to normal activities. PROCEDURES STAFF ACTION (FOR LESSON TIME)

• Teaching staff are to take control of their students ensuring all windows and doors are locked. Both students and teachers must keep a low profile and remain out of sight of the windows e.g. under desks, until the all clear is given. Mobile phones are to be switched off.

• Teaching staff and students who are outside must return to their respective classrooms in a calm and orderly manner.

• If staff and students are engaged in an activity in another area e.g. library, pool, gymnasium,

they are to participate in the containment procedure for that building. • Staff are expected to scan for students who are out of class and not being actively supervised

by a teacher, e.g. photography or returning from the lake. These students should be included in the containment procedure for the nearest building.

• If staff and students are on the oval, they are to proceed to the nearest building and participate in the containment procedure for that building.

• If a student or staff member is in the toilet, that person is to remain there, sitting on the toilet with feet up and the door locked.

• All other staff members must secure themselves inside, with doors and windows locked. • Staff members are required to include and take charge of any visitors/contractors who are in

their vicinity at the time of the alarm activation.

ARRIVAL OF EMERGENCY SERVICES

• Police/Emergency Services are to be directed to the Principals office to establish an emergency response room. Administration members are to provide a brief of the situation and relinquish control of the critical incident to Police/Emergency Service Personnel

ALL CLEAR

• When the threat is over, the Principal or a Senior Staff member acting on behalf of the Principal (known by staff) will announce the ALL CLEAR by walking around the school wearing a ‘High Visibility Vest’ and calling out All Clear.

STAFF ACTION (NON-LESSON TIME)

If a potential threat is detected during non-lesson time, • The alarm would be raised by either the office staff or by staff on playground duty who would

notify the office staff that a containment procedure is required. • The same alarm activation process would occur as above and administration staff are to

follow the class containment procedure for the Administration Block. • Any student who is inside using the Library, Music, Performing Arts and Computer Rooms will

remain where they are, under the supervision of HODs and staff and follow normal containment procedures.

• Teachers on Playground Duty will be responsible for directing students to the nearest building in their area. Students will assemble, in the nearest building, staff/student are to secure all windows/doors and go to a low profile position under teacher direction. Normal containment is then to be followed.

The school will then wait for the Police and Emergency Services to deal with the situation and normal activity will resume once the all clear has been given.
