• Business Expo After Hours is Tuesday, September 15 from 4:00 - 7:30 p.m. at the Century Center in South Bend.

• Exhibitor setup times are from 10:00 a.m. - 3:00 p.m. on Tuesday, September 15. If you will be having oversized items such as vehicles or large office equipment in your booth, you will need to have these inside the hall no later than 1:00 p.m. since the overhead doors leading into the hall will be closed to set up the band stage. The convention hall and galleria will be closed for all exhibitor setup at 3:00 p.m. so please plan accordingly. Please call Cara Grabowski at 574.400.4032 if you plan to move a vehicle into the convention hall.

• To unload items for your booth, you must use the Century Center loading dock located on the southeast corner of the building. Exhibitors may not transport items through any public entrances. Exhibitors may park their vehicle by the Century Center loading dock area to unload booth items for setup. However, at 3:00 p.m., an announcement will be made for all exhibitors to move their vehicles to the southwest corner of the Crowe Horwath parking lot adjacent to the Century Center. See exhibitor parking pass for more details.

• Exhibitors that give away or sample food of any kind must obtain a Temporary Food Permit from the St. Joseph County Health Department. Serving foods such as cheese and crackers, cookies, popcorn or open candies is not permitted unless you have notified the Chamber and received a permit from the Health Department. Food items that do not require a permit would include pre-packaged, commercially-made foods such as individually wrapped candies, packaged cookies/chips, etc. All bottled drinks, including water, are prohibited unless you have obtained a food permit and are passing out a maximum 1-ounce pour. If you are unsure if a food item is approved or if you need information on obtaining a food permit, please call Cara Grabowski at 574.400.4032.

• The Chamber provides each 10’x8’ booth with one 8’ skirted table. If you don’t need your 8’ table, please notify Cara Grabowski at 574.400.4032. (Skirting is cloth, topper is plastic).

• Teardown will take place immediately following the Business Expo at 7:30 p.m. No items may be left overnight. Teardown may not begin prior to the conclusion of the event. Anyone tearing down early will not be invited back to Business Expo 2016.

• The Chamber does not issue any refunds for Business Expo cancellations received after August 10.

SPECIAL NOTES FOR RESTAURANT/ CATERER EXHIBITORS: • Temporary Food Permit applications and payment must be

turned in to the St. Joseph County Health Department no later than 3:45 p.m. on Monday, September 7.

• Please note the time set for your opening inspection and be sure you are AT YOUR BOOTH to meet with Health Department representatives. Failure to meet your opening inspection time could result in removal of your booth from the Business Expo.

• All food/drink samplings must be free to attendees. Food samplings must be 2 ounces or less. Alcohol may be served. Maximum quantity for any liquid sampling is a 1 ounce pour in a corresponding and appropriate container.

• No deep fryers permitted.

• The Chamber does not issue any refunds for Business Expo cancellations received after August 10.

How You Can Gain Increased Visibility at Expo:Don’t forget to invite your customers and prospects to stop by your booth at the Business Expo. Try inviting 50 of your best customers, and then give them the opportunity to win a prize or meet your president. Inviting your own guests is a great way to network and have some all-important “face time” with them.

In addition to the people you invite, arrange for additional personnel on your staff to attend Business Expo and be out on the floor to mix and mingle with other attendees and exhibitors. PROVIDED ItemsAs a Business Expo exhibitor, the Chamber provides you with the following:

• Booth curtain draping (8-foot backdrop and 3-foot side draping). Backdrop draping colors will alternate between black and silver. All side draping will be black.

• One 8-foot black skirted table with white plastic topper per every 10-foot space. Additional tables or chairs can be ordered from Aay’s by using the order form provided in this packet.

SET-UP INFORMATIONSetup - Tuesday, September 15 from 10:00 a.m. - 3:00 p.m.Remember to bring your own carts/dollies for transporting equipment to the booths. You are responsible for hanging all items in your own individual booth. The Century Center provides a fork lift service for a fee. See the enclosed Media Services price guide for details. LiabilityExhibitor shall have no authority to incur, and shall not incur, any expense, cost or liability against the Chamber or Century Center, and the exhibitor shall pay all costs and expenses in connection with his/her exhibition, including moving in and moving out. The exhibitor shall be liable for any and all damage, which he/she may cause to the Century Center, in connection with his/her exhibit.

Exhibitor Parking - IMPORTANTAfter unloading all exhibit materials at the Century Center loading dock, all exhibitor vehicles must be moved to the southwest end of the Crowe Horwath parking lot adjacent to the Century Center. NO EXCEPTIONS. To ensure a successful event for you and your business, parking spaces in the Century Center lot will be reserved for those attending the Business Expo. Parking for attendees in the Century Center lot carries a $5 charge. Please see page 8 of this packet for further parking instructions.

Booth RestrictionsAssigned booth space is subject to change if, in the judgment of Business Expo management, such a move will ensure a better flow of traffic and more successful show. For increased visibility, no part of the exhibit may extend beyond the aisle line. No obstruction beyond four feet from the back of the booth or 40 inches high on the sides. If it appears that there is an obstruction, Chamber staff will ask that you fix the problem prior to the start of the show. Exhibitors must care for booth space and keep it in the same good condition as it was when rented. If damage occurs, exhibitor must pay for any repairs necessary to return space to its original condition.

Door Prizes / BagsYour door prize drawings will need to be facilitated at your individual booth. No public announcements for door prizes will be made. You may still distribute bags or other items from your booth.

Booth SignsThe Chamber provides a booth locator sign for you to simply find your booth for setup. You are responsible for any signage with your company name on it. Check the Chamber’s online business directory at sjchamber.org for a list of Chamber member companies who can help your business with any sign, decorating or other booth needs. Please remember, exhibitors are not allowed to adhere signs and other items to the draping of the booth. You should simply use sign hooks or clips to fasten signs, banners, etc to the metal frame of the booth.

MOVE-OUT INFORMATIONTeardownImmediately following the Business Expo at 7:30 p.m. No items may be left overnight. TEARDOWN MAY NOT BEGIN PRIOR TO THE CONCLUSION OF THE EVENT. ANYONE TEARING DOWN EARLY WILL NOT BE INVITED BACK TO BUSINESS EXPO 2015.

ElectricityIf your booth requires electricity, and you have not pre-ordered this, there is still time. Call Cara Grabowski at 574.400.4032. Cost is $55.00. Otherwise, electricity is available on-site the day of the Business Expo for a fee of $75 paid directly to the Century Center. Electricity is standard 120V/20 AMPS (1 plug). Please bring a power strip if you will need more than one receptacle.

Wireless/AV/Other Media ServicesThe Century Center provides a host of media services, including wireless internet, AV and lighting. Refer to the enclosed Century Center Audiovisual Equipment & Services sheet for details. To order, contact the Century Center directly at 574.235.9186. Wireless internet can be purchased the day of the event by booting up your wireless-capable computer and entering your credit card information once prompted. Cost for wireless internet is $20 per person.

Need Extra Equipment?If you require additional equipment, such as chairs, waste receptacles or an extra table, you may bring these items yourself or contract with a rental company, such as Aay’s or Century Center/Catering. An Aay’s Equipment Sheet is enclosed for your reference. Aay’s will be supplying booth materials for this year’s Business Expo.

Don’t Need Some of Your Booth Equipment?Although the Chamber provides exhibitors with certain equipment, you may choose to not include it in your booth. If you would like to eliminate any equipment, such as tables, please notify Cara Grabowski at 574.400.4032.

Special Instructions For Our Restaurant / Catering Exhibitors• Kitchen facilities are available for storing items at $50.• You cannot charge the guests for any food/drink samplings. All food samplings must be 2 ounces and free

to attendees. • Alcohol may be served. Maximum quantity for any liquid sampling is a 1 ounce pour in a corresponding

and appropriate container. • You must provide your own serving items, plates, cups, napkins, etc.

CENTURY CENTER INFO• Security will be on-site; however, items placed on the premise are done so at your own risk.

• The Chamber will have a Century Center technician on-site during the Business Expo.

• No smoking is permitted in all areas of the Century Center, including the Convention Hall.

• Pets are not allowed in the Century Center unless they are “service animals,” such as seeing-eye dogs or police dogs, which must be under the supervision of their master.

• Firearms are strictly prohibited.

• Century Center cannot accept shipments of freight of any kind except on the day of the event, and it must be clearly marked “For Business Expo After Hours.” Indicate booth number on the package as well. Use the following address: Century Center, Attn: Business Expo After Hours-Booth #, 120 S. St. Joseph St., South Bend, IN 46601.

• The carpeting and walls of the Century Center must be protected and cannot be altered by exhibitors.

• Packing or unpacking of private equipment, displays, decorations, etc. is the exhibitor’s responsibility.

• All vehicles, carts, trucks, etc. must have clean resilient tread wheels. Steel-wheeled vehicles are not permitted. Any vehicle that has the potential to drip oil or other fluids must have a drip or catch pan. The maximum amount of gas permitted to remain in the tank is five gallons. All gas tank openings must be taped closed.

• All battery connections must be removed from the battery upon termination of the move-in to commencement of the move-out. Both cables must be taped to avoid any chance of sparks.

• All LP gas tanks must be removed from trailers, RVs and any other vehicles using LP.

• No vehicles may be left on the dock ramps.

• All curtains, buntings, decorations, banners, etc. must be made of non-combustible materials.

• Unsecured helium balloons and open flames will not be permitted. Enclosed candles may be used upon Century Center approval.

• No pyrotechnics are permitted.

• No deep fryers are permitted.

EXHIBITOR PARKINGExhibitors may park their vehicle by the Century Center loading dock area to unload booth items for setup. Parking in the Century Center parking lot is also allowed during setup. However, at 3:00 p.m., an announcement will be made for all exhibitors to move their vehicles to the southwest corner of the Crowe Horwath parking lot adjacent to the Century Center. No Exceptions!

Please use the southwest corner of the Crowe Horwath parking lot near the Post Office. Enter using Michigan Street and Western Avenue. Please avoid entering from Wayne Street/Jefferson Boulevard. DO NOT park in any spaces marked Visitor Parking.

Enclosed are two Exhibitor Parking Passes to the Crowe lot. An exhibitor parking pass must be placed on the dashboard of any vehicle parked in the Crowe lot. If you need additional parking passes, please contact Cara Grabowski at 574.400.4032.

Please follow these parking guidelines. In order to reserve enough space for attendees at the Business Expo, it is important that exhibitors remove their vehicles from the Century Center parking lot at 3:00 p.m.

WSBT-TV has been added to our lineup of media partners this year for more coverage, in addition to spots running on all four stations under the WSBT Radio Group umbrella (over 600 spots) and more exposure than ever before in the South Bend Tribune, now an Expo event sponsor. We will market the show using print, radio, TV, emarketing and social media vehicles to push out the message to attend.

PROMOTION: What can you do• Send out invitations to customers and prospects. A sample invitation can be found under Expo resources

on the Business Expo event page at sjchamber.org. Mail out two to three weeks in advance.

• The Chamber has a downloadable ecommunication which exhibitors can email to key contacts and clients to promote their presence. This can be found on the Business Expo event page at sjchamber.org.

• Consider that you and your staff add a special note on your electronic email signature. For example: “Come see us at the Business Expo After Hours on Tuesday, September 15 at the Century Center in downtown South Bend from 4:00 - 7:30 p.m. Admission is complimentary with a business card.”

• The week of the event, email your special prospects and customers about your participation at the event. A PDF of the Business Expo After Hours flier can be attached to your email. Download the flier from the Business Expo event page found on the Chamber’s website at sjchamber.org. You can also print the flier and include it with any mailings or hang fliers in common areas of your place of business. Two fliers are enclosed here.

• Direct Mail: Create an interesting promotional item or piece and send it to your prospect list. Make sure it grabs their attention and sparks their curiosity. To help you, we have made the Business Expo logo available in a variety of formats on the Business Expo event page on the Chamber’s website at sjchamber.org.

• Call your current and potential customers to personally invite them to visit your booth.

• Promote your presence on your company website and social media outlets.

• Create interesting “giveaways” at your booth to attract attention. The giveaways should be relevant to your business.

• Distribute an event-specific promotion that requires the recipient to bring it with them to your booth to redeem something. Or, encourage attendance by inviting customers to meet a special guest at your booth (company president, celebrity).

• Make your colleagues on LinkedIn, Facebook and Twitter aware of your participation at the Business Expo.

• Make sure to “like us” on Facebook (St. Joseph County Chamber of Commerce) and “follow us” on Twitter (@sjchamber).

FOOD PERMITSThank you for your decision to take part in Business Expo After Hours 2015. Your food service booth is an invaluable addition to the overall experience of the event. All food exhibitors at Business Expo After Hours are required to obtain a Temporary Food Permit from the St. Joseph County Health Department if they sell, give away or in any way operate a food service booth as part of the event. Temporary Food Permit applications and payment must be turned in to the Health Department no later than 3:45 p.m. on Monday, September 7.

The official regulation for food service during events at Century Center reads as follows:

“A permit for a Temporary Food Establishment shall be for a term not to exceed seven (7) consecutive days, in conjunction with any single event or location. A temporary permit will not be issued without first having a yearly opening inspection by the St. Joseph County Health Department prior to obtaining your permit. Additionally, due to fire hazards, deep fryers are not allowed within the Century Center exhibit halls.”

Included in this packet is an application for the needed permit. Please complete the application and contact the Health Department in a timely manner to set up your “opening inspection.” Please note the time set for your opening inspection and be sure you are AT YOUR BOOTH to meet with Health Department representatives. Failure to meet your opening inspection time could result in removal of your booth from the Business Expo.

Terms and Conditions - Volume discounts available for large conferences and conventions.

- Tap Fee - Customers not using Markey’s Rental & Staging that wish to utilize the facility’s House Sound will be charged a $50.00 per room per day fee. This fee includes a 4 channel mixer.

- Equipment rates re�ect a daily charge.

- Labor will be charged for the set-up and teardown of ballroom data projection packages, multi-image projection, switching, audio reinforcement systems, stage lighting, all frame screens, and drape at the listed rates.

- Basic breakout room equipment will be set once each day at no charge.

- If rented equipment needs to be struck and reset the same day, it will be subject to the above labor charges.

- The renter is responsible for the equipment during the rental duration. Any damage or loss to the equipment is the full responsibility of the person(s) renting the equipment.

- Cancellation of equipment or services with less than 36 hours’ notice will result in a 50% charge of fees.

- Cancellation of equipment or services after the scheduled meeting has begun is subject to full price charges.

- Listed prices do not include 20% service charge for all equipment rental, nor the tax.
