RECEPTION STYLE SELECTOR

Determining the reception service style is essential to the way your guests enjoy your special day. Consider what is important to you and let us help you choose a service style that is most suitable for you, your family and friends. Here are a few pointers:

Plated: Full guest seating. Nothing can rival the elegance of a beautifully arranged and garnished selec-tion of your menu, each personally delivered to each of your guests. Your guests feel pampered, how-ever, menu variety is limited.

Buffet: Full guest seating. Most commonly selected style of service. Provides variety but guests must walk to the buffet to be served. Careful coordination is needed to avoid long lines and maintain order, ask your consultant how Caribbean Caterers accomplishes this. The head table is always served full ser-vice style.

Family: Full guest seating. Beautifully garnished platters of your selected menu are set in the center of guest dining tables. Your guests pass the platters and choose what they wish to eat. Provides the variety of a buffet without the inconvenience of getting to a buffet to be served. This intimate style is catching on!

Station: Limited guest seating. Stations set in different areas of the reception hall and guests enjoy the meal at their leisure. Foods of different types are typically chosen for each station providing variety. No specific meal time is planned in the schedule, guests nibble throughout the event time as they like. No formal table-settings. This is a great option for an informal, short reception.

Cocktail: Standing service. Hors d’oeuvres and dessert are typically served with a signature cocktail beverage but a juice bar or full bar may be added. This style is often used for a second-reception after the honeymoon, or an understated but stylish reception that’s easy on the budget.

Brunch: Full or partial guest seating. This weekend café favorite has become popular for early weddings. Typically planned for 11 a.m.; this is a festive reception choice with interactive displays. Ideal for those who need time to travel later in the day. However, Brunch has become a favorite at any time of day and is now showing up at dinner receptions.

Tea: Full guest seating. This style, served in the late afternoon combines a lighter menu with old world charm.

Service Option: Plated meal

3-, 4- or 5-course full service dinner Each table is attractively set with individual place settings. Nothing can rival the elegance of a beautifully arranged and gar-

nished selection of your menu, each personally delivered to your guests. Your guests will feel pampered, however, menu variety is limited.

Each course, including a gourmet bread assortment with rosette butter, will be served at the table.

All menus include the following amenities:

1. EQUIPMENT PACKAGE

• floor length linen table cloths (color of your choice) for guest tables

• linen napkins (color of your choice)

• place setting (china dinner, bread, dessert & salad plates; silver flatware; water goblet and champagne glass)

• plate warming equipment

2. FULL SERVICE SETUP & BREAKDOWN

• entire banquet hall set up according to coordinator’s floor plan and set up instructions (2 hours)

• clean up to reception site specifications (1 hour)

3. FULL SERVICE GUEST SERVICE based on 3 hours of guest service

Service Option: family style

Beautifully garnished platters of your selected menu are set in the center of guest dining tables. Your guests pass the platters just as you would at home for a family dinner. This option provides the variety of a buffet with the elegance of being served. Any buffet menu can be served family style

TIPS FOR A SUCCESSFUL

FAMILY STYLE DINNER PRESESNTATION

1. Banquet (family) tables work best for guest seating. Ask us how we can utilize the tables available at your venue to ac-complish this.

2. The traditional round table can work. Ensure to seat only 8 guests per table. If you are fortunate enough, your venue may have 6ft round tables (rather than the more common 5ft round) and these will be more suitable.

3. Your centerpiece should have a small footprint but do feel free to have a grand bouquet elevated above the table. Even more elegant and enchanting are the currently popular hanging centerpieces.

4. Chargers are necessary for a Family Style meal. We’ve included them for you already but we get new inventory often. When we do you Design Consultation you will have a chance to match the chargers to your décor.

5. We recommend a beverage service at the dinner table since your guests are being served. Consider pairing a wine with your meal or serving a fruit juice or iced tea.

CONSULTATION

To clearly understand your desires for your reception, Caribbean Caterers offers you a free thirty minute no-obligation consultation. This way we can more effectively help you determine menu choices and the service style that would both please your guest and create the atmosphere you desire.

PROPROSAL

At the end of our consultation Caribbean Caterers will prepare a proposal for your consideration. Our proposal will give a detailed breakdown and line item cost of food and beverage, equipment (linen, china and associated service ware), staffing, setup and cleanup details and all related costs. This proposal will be all-inclusive so your reception costs will be realistic.

CONTRACT

When you have made a decision to contract Caribbean Caterers, we will prepare a contract for your signature. We require that the contract is signed by both bride and groom. Your wedding date will be confirmed when a contract is signed.

SAVE THE DATE OPTION

If you’re not ready to sign the contract, but you don’t want to risk losing your date on our calendar, this option is for you. Take the load off your mind! Sign this agreement, and we hold your date in our calendar while you work on your guest list, and make more decisions on menu choices. The agreement requires a $330 non-refundable deposit. The deposit will be credited to your first down-payment when you sign your contract. Contract must be signed within 30 days of signing the Save The Date Agreement.

INSURANCE

A certificate of insurance is provided for coverage of your wedding. Insurance becomes void when food or beverage is served that is not prepared by Caribbean Caterers, Inc.

SERVICE CHARGE

Service Charge is a fee (usually 18-25% in the DC Metro area) that is added by a catering company to act as an operating cost for things such as insurance, admin costs to prep and plan the event, truck and transportation costs, trash removal, cocktail napkins and various sundries. Service charge is NOT Gratuity. Gratuity is always optional and at your discretion. It’s never expected but always appreciated.

GUARANTEE GUEST COUNT

We understand that your Guest Count is subject to many changes in the planning stage and is the subject of much stress for many couples. So we do not ask you for a guarantee until four (4) weeks prior to your wedding (usually after your RSVP date). This will be considered your minimum guarantee, not subject to reduction.

GUEST COUNT INCREASES

You may increase the guest count at the quoted guest rate up to two (2) weeks before your wedding. Any increases within two (2) weeks of your wedding may be subject to higher pricing.

SERVICE PROVIDERS MEAL

Please let us know how you want to handle the meals for your wedding coordinator, photographer, videographer, musician, or other wedding pro-fessional. Your options are to include them in your guest count and they will be provided for as one of your guests, or purchase the meal portion of your guest menu and they will be served in the catering work area.

CARE BASKET

Brides and Grooms are often too nervous, tired, or just don’t take the time to eat their meal. Ask about our Care Basket, a special meal for two complete with china, flatware, glassware, and sparkling cider. Care Baskets also make a perfect gift.

RATIO OF WAIT-STAFF TO GUESTS

Full Service seated dinner – 1 server for every 10 guests.

Buffet, Station or Family Service – 1 server for every 20 guests.

Cocktail Reception – 1 server for every 30 guests.

FLEXIBLE PAYMENT SCHEDULES

2 payment options are provided for your convenience: Option 1 (3 installments): Payments are made in three installments. One third (1/3) of the contract value is due when the contract is signed (less the $330 Save the Date deposit, when applicable). The second payment is due six (6) weeks before your wedding. Option 2 (0% financing—monthly installments): Payments are made in equal monthly installments until your wedding date, with no finance charges. When this option is selected, each payment must be made electronically and will be taken automatically (on the 1st or the 15th of the month).

For either option, the final payment is subject to revision if changes are made to the contract and is due seven (7) working days in advance of your wedding. All bills must be settled before your reception. SPECIAL PRICING FOR CHILDREN

Offered for buffet service only. The meal portion of your proposal for children age 8 and under will be billed at a rate of 50% of the adult price. There is no charge for children under 2 years old and no place-setting will be provided. Not valid with any other offer.

We will provide a menu card with your selected menu for each place setting. This adds to the elegance of the place setting.

BUFFET STYLE—HOW TO MAKE IT ELEGANT, ORDERLY & SOPHISTICATED Buffet is the most popular style of service for a number of reasons, the 2 principal ones being: 1. It provides your guests a variety of menu items ensuring there is something for everyone 2. It’s less expensive than PLATED or FAMILY STYLE service

However, there are major objections to buffet service - they are disorderly and untidy, guests queue in long lines, guests have to serve themselves, and the NUMERO UNO objection - guests using their fingers instead of the provided serving utensils. Well, we have handled all of these objections and a Caribbean Caterers Buffet is elegant, orderly and clean.

Nothing can compare to the sophistication of a course meal served to you by attentive waiters. However, if BUFFET STYLE is your choice, ask your consultant how Caribbean Caterers eliminates lines and brings sophistication back to BUFFET SERVICE.

SITE VISIT You’ve found the perfect venue. Now it’s time to make it your own.

Think of this as your dress rehearsal. The hallmark of a stellar event is the experience your guests have from the time they arrive. We can’t leave it to chance! We’ll understand what you want your guests to experience and we will help you (along with your Venue Coordinator and your Wedding Coordinator) create a floor plan and a guest flow from Ceremony to Reception to after dinner dancing to a late night snack and send off. The placement and size of items like your welcome table, gift table, favors, even a water station for Summer weddings are crucial to your wedding day experience.

Your Wedding Coordinator MUST attend this meeting. He/she will create the floor plan and complete the wedding timeline from our discus-sions. Also, we will agree to the details of the Wedding plan and how to execute it.

We’ll schedule your Design Consultation for 6-8 weeks before your wedding. By then, you will have all the details of wedding color, a design from your florist for your centerpieces, table favors and anything else you will like to see on your guest tables.
