The growth of your club depends on the following factors:

• Effective club meetings that make Toastmasters worthwhile for new members and continuing members.

• Continuous promotion of Toastmasters in your community. • Converting guests to members. • Retention of current members. • Sense of belonging and spirit of competition within the club, area, division and district. • Recognition of members who achieve and contribute to the vitality of the club.

Ideas to build membership

• Have an open house o Truncated meeting format so you can explain every step in lots of detail. o Leave time for Q & A at the end. o Leave time for prospective members to socialize with current members. o Have food!!

• Have a meeting with a special theme. • Guest speaker series

o Executive Speakers series. o Use your District 4 network! Get contest winners and DTMs to speak. o Host a special event e.g. a SpeechCraft is designed to introduce public speaking to

non-Toastmasters in a structured workshop. • Take advantage of social media

o Facebook, LinkedIn, MeetUp (see www.d4tm.org for the District 4 social media channels)

o Club members need to be on the social media channel. Find the channel that fits your club personality.

• Take advantage of traditional media o Advertise meetings in the local paper or on community bulletin boards. o Reach out to community reporters suggesting a story idea that highlights your club or

Toastmasters. • Reach out to D4TM- we have very strong Mentoring, Coaching, Club Fitness, and Club

Ambassador programs that will keep your club members engaged and provide opportunities to develop as leaders!

CELEBRATE YOUR CLUB BY THROWING AN OPEN HOUSE

Rita Barber, DTM is the District 4 Lt. Governor of Marketing and invites you to celebrate!!

What do you get when you combine throwing a party and planning an Open House? A Toastmasters celebration members and guests will enjoy and remember for a long time to come! An Open House provides your club with an inviting way of demonstrating a club meeting to your guests. They’ll get a sense of what your club and Toastmasters is all about and your members will have an opportunity to shine!

Just like a party, plan your Open House with attention to detail and with an eye to sharing the benefits of Toastmasters with everyone. Make it a warm and fun event. Provide refreshments.

The meeting itself could be an abbreviation of your regular meeting, with one speech & evaluation, Table Topics, and a couple of Toastamonials (testimonials on how Toastmasters has worked for someone). Add a Q&A session for your guests and some time to socialize. There’s your perfect Open House! If your club is but a Fantastic Few, recruit other Toastmasters to help you fill roles for your event. Need ideas? Email Rita Barber [email protected] .

David Chan, ACS, ALB is Area D4 Governor and tells us his Toastmasters story.

When I saw an article on the company intranet about the first Toastmasters club at my workplace, I wanted to join right away. But the club was at a location thousands of miles away. Imagine my surprise when the officers of the club told me that I could start my own Toastmasters club!

The challenge was coming up with the charter fee and finding 20 members. Their business units sponsored my colleagues in customer-facing roles. But others were skeptical about paying the membership fees and a few extra dollars for the charter. As I talked up the benefits of Toastmasters, I found out that the CEO was a Toastmaster! That gave me the boost I was looking for and I secured funding from the company. We started an evening club and soon after started a second club that met during the lunch hour.

However in six months of starting these clubs, the company decided to move out of the building to multiple new locations and we lost half the membership. This presented new leadership opportunities. We focused on membership building, ran Open Houses and eventually got our clubs back to a healthy state. Just as I started to rest on my laurels, there was a new challenge - I was asked to serve as Coach to another club that had faced severe member attrition. I am working with the club officers and I am sure we will achieve Distinguished Club status before this year ends.

Why am I telling you all this? Doesn't this sound like the story of most Toastmasters who work through the program? Well, let me tell you that I am blind. Being blind does have its challenges, but I don't believe that there is anything a person with sight can do that a blind person cannot. My Toastmasters stories are familiar - there are many people doing what I did: starting and mentoring new clubs and helping clubs revitalize themselves. I just want to point out that if I can do it, you can certainly do it too.!

As your 2012-13 District Governor, my vision is to create an opportunity for each of us to become better than last year. Toastmasters is the only organization where we can take chances without being afraid of failure. The only consequence is growth.

The game-changer Coach John Wooden once said, "Never try to be better than someone else. Learn from others, and try to be the best you can be. Success is the by-product of that preparation." He could have been speaking to each of us in District 4. Let’s all challenge ourselves to do the uncomfortable so that we can grow and reflect on our progress together.

I will support you in your incredible journey. I will celebrate your accomplishments. I will be there when you achieve greatness.!

We come to Toastmasters to become better communicators. In the process, we learn how to become better leaders. Leadership is indispensible in our lives, whether it’s at work, in our community, or at home. As your LGM, it is a privilege to open the eyes of so many people to the communication and leadership benefits of Toastmasters.

As your Lt. Governor of Education and Training, my intention will be to take it a step further by bringing each member in the district quality trainings, not only for club officer trainings, but in other areas that will help each of us stretch and grow in all that we do, all with the purpose of becoming the best we each can become. Are you with me? If so, let’s do it together!

Area G5 Governor Nikhil Setlur addressed District 4 leaders during a meeting and defined what it means to lead. He said “When you visit a club, don't tell them what they should do. Instead ask them what you can do for them. That's when you stop managing and start leading”. Hearing Nikhil say this with passion reminded me of why I trust Toastmasters with my leadership development. About a year ago, I encouraged Nikhil to be an Area Governor and today I learned a leadership lesson from him.

A wise Toastmaster told me once “It's all about the members”. As your LGM, I will focus on membership growth and retention, building clubs, mentoring and coaching. In this process, I want to get you fired up and hungry for your next Toastmasters success and just as Nikhil taught me a lesson, I will learn my next leadership lesson from you.!

Five years ago I wanted a promotion. That led me to Toastmasters. In that new journey I discovered that there is far more to gain in this organization than a promotion at work. I saw more possibilities. One of those possibilities is gaining the ability to lead any community, not just a corporate one. Remember those hopes and dreams you had as a kid? Iʼve lived a few, graduated from UC Berkeley, built my dream home, and thanks to Toastmasters I have started my own business. I want to spread word of how this amazing group of people can help individuals like us to bring our dreams to reality. As PRO I would like to show people how they can benefit from joining a club, and to promote continued engagement by our members. Practice makes better! The better we get, the better equipped we are to make a difference in our communities and to bring our dreams to reality.

I believe our strength lies in helping the clubs who are struggling, and expanding existing clubs. There is a fountain of opportunities waiting to be captured. Supporting one another we can reach the leadership and communicational goals we set for ourselves by following the DCP. I’m confident we can not only deepen our own knowledge, but more importantly enhance each other’s accomplishments. Working side by side with the Area Governors, we can start and develop new clubs by sharing what positive building attributes Toastmasters can provide. We can stress the enormous benefits that are gained professionally and personally by being active in Toastmasters.

Toastmasters has not only helped me discover my voice, but it has also helped me discover my passion for guiding others to becoming better speakers and future leaders.

I enjoy mentoring individuals preparing their speeches, or learning how to organize events such as contests. Seeing them overcome challenges and succeed is a measure of my own success. As Area B2 Governor, I am working closely with my clubs to ensure that they continue to thrive and achieve the President’s Distinguished Club status. I am also excited to be involved with other Division B Area Governors in starting multi-lingual clubs, to reach out to new demographics.

It has been a thrilling experience working with new groups of people. As Division B Governor, I look forward to supporting and motivating even more members and clubs, and continuing our growth into new frontiers, making Division B AND District 4 even more successful!

First I would like to thank Securely Speaking, David Mauro, Sal Salimi, Hemang Shah and all the AMAZING members of District 4 who inspired my candidacy and have taught me the true meaning of leadership.

When I first joined Toastmasters I was under the impression that all I would learn was how to speak in front of an audience. Boy was I surprised when I began to realize that there is so much more to being a part of such a dynamic group of individuals. I have enjoyed the adventure of taking on leadership roles and it has led me to this day. My mission for the next year is to inspire others to step outside of their comfort zone and to reach for their goals, such as encouraging members to take on officer roles or motivating my team to reach their DCP goals.

I have been an active member of Toastmasters International since 2001. I attained my Advanced Communicator Gold in August 2011 and am working towards the Advanced Leader Silver Award. As an active club member and as a club officer since 2006, there is always something to learn as I continue to grow with Toastmasters. I have faced many challenges and learned many lessons as the current D1 Area Governor for 2011-2012.

As the Division Governor, I will support the Area Governors so that they may fulfill their responsibilities to their clubs. I believe that by providing effective training and leadership development at the club level, its members will flourish. I respectfully ask for your confidence and support so that all may reap the benefits of Toastmasters.

Rajiv Prabhakar, CC Division F Governor Candidate

Toastmasters is heralded as the place where “leaders are made,” and in my case, that is definitely true. My experiences as a club officer, club president and area governor have taught me so much about leadership, and I’m sure I still have even more to learn. After all that Toastmasters has taught me, I feel it’s only fair for me to give back as well. As someone who’s been in 4 different clubs across 3 different states, I’ve seen a wide variety of club best practices that I’d like to share. We as the district exist in order to serve the needs of the average Toastmasters member, who may not even be aware of our existence. I have some ideas on how we can reach out and make a real difference in the Toastmasters experience of such members, and I’m looking forward to working on them over the next year.

Joining Toastmasters has been a rewarding experience because I have not only enhanced my public speaking and leadership skills but also met a lot of wonderful individuals. Education is the key to retaining and securing quality members. This is one of my priorities as Division Governor. Before joining Toastmasters International, I served as a president for several organizations and did not feel the need to join Toastmasters. But serving as VP-Education, President, and completing the CC, ACG, ALB, was a humbling experience. We need to develop more advanced leadership candidates, particularly our most coveted DTM. This will lead to having well-managed clubs. This is my other priority as Division Governor. The diversity of backgrounds and cultures at Toastmasters International makes it a great organization. My goal is to strengthen each club by working closely with Area Governors and also engaging corporate HRs to partner with them to develop their staff through the Toastmasters’ program.

Mike McCreavy, CC Division G Governor Candidate

Jon Regan, ACS, ALB Division G Governor Candidate

What do you carry away, after your first term as an Area Governor? For me, it was three things. First, appreciation for the many great people I’ve been able to work with. Next, thankfulness that I’ve had the opportunity to give back to an organization that has done so much for me. And many lessons learned, that I want to share with future Area Governors to make their path easier, and their results more powerful. I am pursuing the office of Division G Governor determined to make a difference, both through my own work, but also through our incoming Area Governors. After all, isn’t that what leadership is all about - not just pursuing excellence yourself, but having a positive impact on everything you’re responsible for?

That’s what I want to bring it to Division G, so I encourage you to vote for Jon Regan to be your next Division G Governor.

As Governor for Area G4, I have led teams to: * Obtain sponsorships to fund restaurant-quality food at contests (No Raffles Necessary!). * Heavily promote contests to get 80-100 attendees at each area event. * Introduce "co-officers" to strengthen club leadership where appropriate. * Drive 100% participation in the Officer Training program for the entire G4 area. * Support Division G by participating in Club Officer Training events. * Always maintain club focus on the Distinguished Club Program goals.

By the end of this term, all five of Area G4's clubs will be President's Distinguished. Area G4 will also be President's Distinguished itself as we are in the process of chartering a new club. With the support of the Toastmasters of Division G, I hope to take this record of success to the Division level. For Division G Governor: Vote Mike!

Lead with vision! Toastmasters is an awesome program that helps me in both my leadership and communication skills. Under my direction, Area H1 continues to achieve strong membership, officer trainings, and manual completions. For my HPL, I successfully led the Area Governors in hosting a division-wide open house. The vision was two-fold; to increase membership and reinforce the joy of Toastmasters for existing members.

I was asked by a manager, "Do you know the difference between leadership and management?" I'm excited to report it was Toastmasters that helped me find the answer. Leading is surrounding yourself with quality Toastmasters, outlining a plan, and setting the course where they'll successfully complete the plan. Adding vision to that plan inspires individual growth. I will bring both the superior leadership and vision where every member of Division H is nurtured, sustains personal growth, and is a successful Toastmaster. I will lead with vision.

When I attended my first Toastmasters meeting 4 years ago, I had no idea how Toastmasters would transform me and improve my life. My experience with Toastmasters has uncovered the leader in me and provided me the opportunity to encourage others to grow. This transformational opportunity of Toastmasters is what I envision carrying with me into the role of Division Governor.

As VP Education and President at Promasters, I enthusiastically led the club to President Distinguished status both years. I spread enthusiasm outside of my club as a mentor to GToast, helping them achieve Distinguished Status their first year, as a new club sponsor, and as Area H3 Governor. I look forward to continuing to share my enthusiasm for Toastmasters and to nurture and support the growth of others in Division H and District 4 as Toastmasters has nurtured and supported me.

At the upcoming District Conference, District Council members will vote on District Business. District Council members include the Presidents and Vice Presidents of Education from each District 4 Toastmasters club in good standing at the time of the District Council meeting and current District 4 Executive Committee members (District Governor, Lt. Governor Education & Training, Lt. Governor Marketing, Public Relations Officer, Immediate Past District Governor, Division Governors, Area Governors, District Secretary and District Treasurer).

Each club President and Vice President of Education in attendance is entitled to one vote. If either or both officers cannot attend, they may designate, in writing, any other active member of their club to act as proxy. If one of these officers is not in attendance and has not designated another club member as a proxy, the officer or proxy in attendance shall be deemed to hold the proxy of the other and may, therefore, cast two votes for the club. No member may cast more than two club votes, even if he or she is a member of more than one club. You may use the proxy form printed below or provide the same information by other means, but the proxy holder must present the proxy assignment in paper form (i.e. print out an e-mail) and it must include the signed or typed name of the club officer making the assignment.

Each District officer is entitled to one vote, which must be cast in person. Proxies are not accepted for District Officers. A District Officer may also hold up to two club votes (assigned as described above), therefore a District Officer may cast a total of three votes. If you are a club President, Vice President of Education, or District Officer, check in at the Credentials Desk and sign for your ballots. If you are the proxy for the President and/or the Vice President of Education, present your proxy assignment form to the Credentials Desk.

Check in at the Credentials Desk at least 30 minutes before the business meeting starts.

All Toastmasters who are planning to attend the Conference: if neither the President nor Vice President of Education is attending, have them complete the proxy form for you or another club member who will be attending.

District Realignment - Why and How Are the Decisions Made? Tony DeLeon, DTM, PDG is the District 4 Realignment Chair.

Every year, District 4 is required by Toastmasters International to review the distribution of its clubs within area and divisions. Currently our District is made up of over 225 clubs and distributed among 42 areas with four to seven clubs per area and eight divisions with four to six areas per division. Each year, we charter a number of new clubs, some clubs stop meeting and disband, and some clubs move to new locations within the District. We review the location and the health of our clubs and with this information, area and division boundaries may change as clubs are moved to balance and strengthen each area and division. This process is known as realignment.

Criteria used by the leadership team are:

• workload for the Area Governor • the geographical locations of the club • the balance of aspiring and strong clubs, a aspiring club is one working on building

membership, educational and leadership growth and is below 20 members • what will be least disruptive to the area and division

Proposals were generated and voted on by the District Executive Committee on March 24th. The outcome of that vote is presented here and will be offered for vote at the District Council meeting May 12th during the Business Meeting at the Spring Conference. It is important that your club’s President, Vice President of Education or proxy holder (see Voting Procedures & Proxy Instructions on page 15) be at the meeting to vote on the final alignment plan for the District for the coming Toastmasters year starting July 1, 2012. It is very important that one of your two above-mentioned officers or by the proxy holder represents your club at the Business Meeting from your club in order for the District to have a quorum at the Business Meeting. Either one of your officers or your proxy holder can cast both of your club’s votes.

Keep in mind, that this is a snapshot of our District as of March 24th, 2012 and that some additional changes may be proposed due to growth or loss of clubs between now and the May 12th Business Meeting.

Please review the proposed realignment for the 2012-2013 Toastmasters year prior to the Business Meeting and discuss it with your Area or Division Governor. The clubs that are affected are highlighted in yellow. This year 24 clubs have been realigned.
