1 Distribution

PurposeThe component distribution master data contains functions for recording and maintaining the following data:

Master dataon transportation of media products. This includes the following data:

Unloading pointsTruck routes

used to supply customers Unloading point sequences

for truck routesAssignment of editions to truck routes

The component contains the functions required for automatic generation of truck route master records for specific dates.

Constraintsunder which media products can be supplied. These are reproduced in the system as follows:

Delivery viability sets

The delivery viability set defines the admissibility of delivery of a product (publication, edition) for a combination of criteria, such as the deliverytype, sales area, plant, carrier route, delivery round etc.

Unloading viability sets

The unloading viability set links the data on the delivery viability set with the concrete unloading point in the carrier route.

Unloading rules

If more than one unloading point is to be supplied in the carrier route or an unloading point is supplied by more than one truck route, the system listsunloading rules so that you can maintain them. You define the desired quantity distribution in the unloading rule.

Home delivery rounds

You define the assignment between the carrier (or field collector) and the delivery round in a home delivery round.

Shipping schedules

You define the unloading points for postal shipping in the shipping schedule.

Distribution master data in Media Sales and Distribution and Advertising Management

In Media Sales and Distribution, the distribution master data screen contains functions for geographical structuring and change management in addition to theactual distribution master data . (See Geographical Structures ).

In Advertising Management, the distribution master data screen only contains functions for geographical structuring and change management . However, youcan access distribution master data in Media Sales and Distribution directly from the distribution master data in Advertising Management.

Implementation ConsiderationsThe Implementation Guide for the industry-specific components for media contains Customizing settings for this component under Master Data® Distribution.

IntegrationThe distribution master data is based on the geographical structures you create in the system using the functions for geographical structuring . As in the case ofgeographical structures, maintenance of distribution master data takes place in Change Management .

1.1 Change Management

DefinitionChange Managementis used to manage changes to interdependent key objects in geographical structures and distribution master data . Changes to interdependent objects arechecked and released together, which ensures that the data in the operative system is consistent.The following diagram displays an overview of the objects that are maintained in change management (see Use for a detailed list).

UseWhen maintaining geographical structures and the distribution master data based on these (delivery viability sets, truck routes and their assignments), you groupchanges that are related logically under change numbers . You can process the grouped changes in change management as follows:

Changes that affect both sales and distribution and shipping are always made in Change Management. These include changes to the following objects:

Data Maintenance in Change Management

PurposeSince the data objects in geographical structures and in distribution master data are strongly interdependent, the system handles changes to these objects inChange Management .

The following objects can only be maintained in change management: postal units, geographical structures, delivery viability sets, unloading pointsequences, truck route-edition assignments etc.

You can only maintain these data objects if you specify a change number. To group changes that are linked logically under one change number , specify thesame change number for all linked data objects.

PrerequisitesThe number range for the change number is defined in the Customizing settings for geographical structures .

Process FlowTo make a change in Change Management, please proceed as follows: 1. Create the change number for a certain period

You can postpone the start of validity of the change number after creating it. 2. Change the master data object or a number of logically related master data objects specifying the (same) change number. 3. Check the change number

The check run ensures that all changes made with the change number are consistent. Any errors that occur are listed in the check log; these must becorrected so that the change number can be released.

4. Release the change numberIf the check run did not find any errors, release the change number and in doing so all related changes for use in the system.

5. Execute the functions of the postal change service (if the change number was used to maintain postal units) a. Update structures b. Update addresses

ResultThe changes are available in the system as of the valid from date of the change number. Releasing related changes at the same time prevents errors fromoccurring as a result of inconsistent geographical structures and master data.

1.1.2 Change Number

DefinitionA change number is a key used to group logically related changes to geographical structures and the master data based on these (distribution, organizationalstructure) in order to ensure that data is consistent.

A special form of change number is the daily change number. This can be used for changes to distribution master data made at short notice and that apply tospecific dates, e.g. changes to truck routes or unloading viability sets for the next shipping date.

Use

Specifying the Change Number During Processing

When you make changes to geographical structures or the distribution or organizational structure master data based on them, the system requests that youspecify a change number. In this case, you have the following options:

· Enter the change number if you know it.· Search for an existing change number using selection criteria (search function).· Create the change number.

Unlike the general change number , a daily change number cannot be created directly from the dialog box querying the change number. For this reason, youmust create daily change numbers explicitly before making the change.

Number Range

Change numbers are assigned by the system in sequence from the internal number range defined for this purpose in Customizing.

Analysis Functions

Change management contains analysis functions that enable you to create the following overviews:· Changes made using a change number· Orders affected by these changes

StructureThe master record for a change number consists of the following:

· Header data

Field Meaning

Change number, Description Key and description of change numberNote: The description should provide information on the purpose of the change number.

Valid from date, Valid to date(daily change numbers only have one date)

Validity period (or validity date) for· Changes made using this change number· Objects added using this change number

The valid-from date must be later than the current date; the day after the current date isthe default setting; you can move the valid-from date of the change number into thefuture.If you do not specify a valid to date , the system enters the default 12/31/ 9999 .

Chg. status Information on the processing status of the change number. The possible changestatuses are as follows:· In process· Checked· Released

Status of postal change service Information on the last step performed in the postal change service; only displayed if thechange number was used to change postal units. The following statuses are possible inthe postal change service:· Postal data edited· Update structures· Addresses updated

Specific to user Indicates that the change number can only be used by the user who created it(preassignment in Customizing)

Optimize del.viab. Indicates that the change number is activated for delivery viability optimization. Thedelivery viability sets for the orders in question are optimized when the change numberis released. (See Delivery Viability Optimization, Editing of Optimization Rulesunder Distribution Master Data .)

Limited order block This indicator restricts the order processing block set when the change number isreleased to orders affected by changes to geographical structures (made with this changenumber). The limited order block only prevents changes to data relevant for shipping inthe orders in question.If the indicator is not selected, change number release and order processing cannot beperformed simultaneously (general block).

The limited order block only takes effect if it is set in the General Settings in IS-MCustomizing.

Release planned Only visible in change mode: Indicates that the change number is scheduled forautomatic collective release (and checking) of change numbers by report RJSFREI2

Determine orders by... Freely definable procedure for determining the orders affected by the release of thechange number. You can either determine the orders according to the addressesaffected by the change or by the delivery viability sets affected .

If the changes made are only simple changes to carrier route structures at street level,determination of the relevant orders using addresses (postal structures) is simpler andfaster than the full order determination procedure using the delivery viability sets.

· Created byName of the user who created the change number and, if applicable, of the user who changed it with the date and time of creation or change.

· Planning dataIndicators for objects that are to be changed using this change number (e.g. carrier route, delivery viability set, truck route).

· Actual dataIndicators set by the system indicating objects that were actually changed using this change number (information only).

1.1.2.1 Creating Change Numbers

PrerequisitesYou want to change geographical structures or master data objects relating to them (distribution, organizational structure) and to do this you need a changenumber. If the change number has not already been created, you can also create it during master data maintenance directly from the dialog box querying thechange number.

The following Customizing settings are relevant here:

1.1.2.2 Creating Daily Change Numbers

PrerequisitesYou want to change distribution master data at short notice for one of the following shipping dates. If an offset is defined in Customizing for the valid from date ofthe change number , this determines the earliest possible validity date (next shipping date, next shipping date but one, next shipping date but two etc.).

The following Customizing settings are relevant here:

1.1.2.3 Modifying Change Numbers

PrerequisitesYou want to change the data on a change number (or daily change number) as follows:

· Block the change number for other users· Mark the change number for automatic checking and release by a program· Activate automatic delivery viability optimization on change number release· Activate the limited order block for change number release· Define the procedure for order determination on change number release· Change the planning data on the change number

The validity period of the change number cannot be changed. However, you can use a separate function to move the valid-to date of the changenumber into the future.

Procedure 1. Choose the following depending on the component and work area:

Automatic release takes place with the standard setting Determine orders via postalunits .You should only select the Rel.scheduled indicator if the above standard setting isselected; otherwise, you should perform release manually.

Activate the limited order block for change number release

Limited order block indicator

If this indicator is selected, the block on order processing set during change numberrelease only applies to orders affected by changes to the geographical structures.Moreover, only data relevant for shipping is blocked for changes.

Define the procedure for order determination on change number release Select order determination procedure by addresses or delivery viability sets

If, for example, only street (postal unit) data was changed, it is more efficient to checkonly the orders affected by the address change instead of checking all orders on hand fordelivery.

PrerequisitesYou want to use a change number that has not been released and that has a valid from date that is already past.

The system only accepts change numbers with a valid from date that is in the future.To be able to continue using the expired change number, you must move the valid from date into the future.

Procedure 1. Choose the following depending on the component:

2. Enter the following data on the initial screen for the function: a. Enter the change number. b. Enter the number of days by which the start of validity is to be postponed. c. Confirm your entries.The system displays the old and new starts of validity.

3. If the new start of validity is not yet in the future, enter a larger number of days until the desired start of validity is displayed. 4. Choose Execute .

The program moves the date. Once the program has been completed successfully, the system displays a log.

ResultNow that the date has been moved, the start of validity of the change number is in the future and the system has changed the status of the change number to Inprocess . You can use the change number to process geographical structures or distribution master data.

1.1.3 Change Number Check

UseThe change number check determines whether or not changes made using a change number are consistent. It is of no importance to the check run whether thechange number is a general or daily change number .

Since checking a change number takes a long time, you can schedule the check run in background (batch) processing. This allows you to continue working inthe system while the check is being performed.

1.1.4 Change Number Release

UseChanges made using a change number or a daily change number do not have a direct effect on operative processing. The consistency of the changes mustbe checked, and the changes can only be released explicitly if the check run does not identify any errors.

Since releasing a change number involves a long runtime, you can schedule the release run in SAP background processing.

You can influence the runtime of the release procedure by making settings in the master record of the change number. Depending on which data objectshave been edited with the change number, it may be advisable to have order determination performed using addresses or delivery viability sets when the changenumber is released. For this reason, you should check whether the most efficient procedure for order determination is set up before releasing the change number.The two determination procedures are explained using examples in the following table:

Exception: If a limited order block is selected for change number release in the master record for the change number, the release function only blocksthose orders that are affected by changes to the geographical structures. It is not possible to change data relevant for shipping in the blocked orders.

A subscriber’s address is no longer in a carrier route and an administrator must change the order so that delivery is viable once more. In this case,the order could be assigned the delivery type postal shipping.

The output control functions (output for system resubmission) forwards orders for manual postprocessing to the administrators responsible.

The cities are imported into the system from the postal dataset for the country in question. You only need to create or change cities if they are missing from thepostal dataset or have been recorded incorrectly.

DefinitionOrganizational unitsrepresent the points of sale (sales offices) used in the system. A sales office is responsible for sales and distribution of certain products and services in ageographical area.

UseYou can only maintain the texts and addresses of the organizational units (sales offices) in the master data.

Since all assignments for sales offices, such as the assignment to the sales area or to sales groups, are maintained during Customizing for themedia company enterprise structure , you must not create sales offices in the master data for the organizational structure.

You can specify the sales office responsible in accordance with the assignments maintained during Customizing in the business partner master record or theorder, for example. You can create sales statistics for each sales office. The address of the sales office can be printed out on order confirmations.

UseGrouping geographical units to form hierarchies of geographical units simplifies handling of geographical units that are made up of small postal units.

This kind of summarization can, for example, be of help when splitting a carrier route.

Hierarchies of geographical units can also be used as a selection criterion for standard evaluations, in order to restrict the geographical area covered by theevaluation.

1.2.5.5 Carrier Route Structure

DefinitionA carrier route structure is created by assigning geographical units to a carrier route.

UseYou can include hierarchies or geographical units (higher level geographical units) as well as individual geographical units from any hierarchy level in a carrierroute.

All routes can be set up using geographical units regardless of the route type (carrier route, ad pre-print or distribution zone, etc.). However, in practice it isadvisable only to structure carrier routes and to use these as the basis for setting up ad pre-print or distribution zones.

When creating carrier routes, you should refer to the actual geographical layout of the route rather than to the assignment of streets to postal codes.

When assigning geographical units to a route, the basic postal units must not overlap. If this is the case, the change number cannot be released.

Inclusive or Exclusive Assignment

In addition to the usual inclusive assignment, exclusive assignment is also possible when creating route structures. A geographical unit assigned exclusively isseparated from the route.

Main Street is temporarily not to be served by means of carrier route CRT1. To separate the street from carrier route CRT1, you must proceed asfollows:

1. Create a new geographical unit (GEO3) and assign Main Street to it.2. Assign the geographical unit GEO3 exclusively to carrier route CRT1.

DefinitionThe postal change service includes a sequence of steps to be carried out with the aim of ensuring that structures and addresses are consistent after changeshave been made to postal units .

The postal change service is performed in Change Management . The following applies to this procedure:

Each change number you use to maintain postal units in the postal client is managed by the system as a change number belonging to the postal changeservice.The functions in change management (analysis, deletion, moving dates) are available for use with change numbers that belong to the postal changeservice.A fixed sequence of steps is predefined for updating data in the postal change service.

Master-slave concept

The postal change service also ensures that postal data is consistent in other clients of the system. The clients are distinguished as follows:

The client defined as the postal client in the Customizing settings is the master client for the postal change service.All other clients defined in Customizing as dependent clients for the postal change service are co-administered as slave clients .

You can only maintain postal units in the master client.

The following rules apply to the master-slave concept for the postal change service:

The postal change service can only be carried out in a slave client if the change number for the postal change service in the master client is releasedafter the necessary steps were carried out.When you update the structures in the master client (live run), the system creates a change number automatically in each slave client. You must then usethis change number - displayed in status management - for the subsequent functions in that slave client.

Status display

You can display the current status of the postal change service from the menu. The status display provides you with the following information:

Client and role of client (Master or Slave)Change number for postal change service in each clientStatus of change number (in process, checked, released)Steps carried out in postal change service (editing postal units, updating structures, addresses)Status of change service (as a text, for example "Addresses still to be updated")

Data Updating in the Postal Change Service

PurposeThe postal change service allows you to update addresses used in the system to include changes made to postal units (postal data). To do this, you muststart processes in a predefined order to update the following areas:

To ensure that the changes to postal units do not cause inconsistencies in the existing structures, the structures are updated before theaddresses.

To access the functions of the postal change service, choose Logistics ® Media Sales and Distribution ® Periodical Sales and Distribution ® Master Data® Distribution ® Geography ® Postal Unit ® Postal Change Service .

PrerequisitesThe following settings must be maintained in Customizing for the industry-specific components for media under General Settings :

· The dependent clients (slaves) for the postal change service should be specified.· The postal data client should be entered under General IS-M Control Parameters .

Process FlowThe process flow for data updating in the postal change service is as follows: 1. Edit postal units

When you use a change number to maintain postal units, the number is identified and recorded by the system as a change number for the postal changeservice . The status in the postal change service is displayed on the maintenance screen for the change number.


You can check the change number immediately after maintaining postal units. 2. Update structures

The system updates the existing structures and reports any errors that have occurred. It creates a change number automatically for each slave client; thischange number must be used in the slave client for subsequent functions.

3. Check change number for postal change serviceThe system checks the updated structures. The change number can only be released if it has been checked successfully.

4. Release change number for postal change serviceOnce the change number has been released, the changes are active in the system. The validity period for the changes is determined by the changenumber.

5. Update addresses in the systemAll addresses affected by the changes to the postal units are updated in the postal client.

You can use the change numbers assigned automatically in the slave client to perform the required steps for the postal change service there.

ResultThe changes to postal units have been checked, released and included in existing structures and address data.

The system records a technical relocation for business partner addresses that were changed by the address data update.

1.3 Carrier Route Assignment for Specific Weekdays

PurposeThe function for weekday-dependent carrier route assignment allows you to map different carrier route structures in the system for the individual weekdays or for

parts of weeks. Distinguishing between carrier route structures for specific weekdays is only possible for delivery types for home delivery.

Due to weekend subscriptions and the larger size of weekend issues, the home delivery quantity is far greater on weekends than onworkdays during the week. This means the number of carriers and the carrier route structure must be defined differently for weekends than forworkdays.

PrerequisitesThe alternating home delivery elements and home delivery alternation groups must be defined in Customizing.

Process FlowTo ensure that the system takes weekday-specific carrier routes into account for home delivery, you must perform the following steps in the system (see also theexample below):

1. Create carrier routesCreate all the carrier routes required for the different carrier route structures and define their geographical structures according to your requirements.2. Customizing settingsfor weekday-specific carrier routes

Define the alternating home delivery elements for the group of weekdays and assign them the corresponding weekdays.Define home delivery alternation groups and assign them to the corresponding alternating home delivery elements.

3. Assignment to delivery roundsAssign a home delivery alternation group and an alternating home delivery element to each delivery round in Customizing.4. Create delivery viability sets

Create a home delivery viability set for each delivery round. Assign the appropriate carrier route to each delivery round.

ExampleThe following diagram illustrates the use of the weekday-specific carrier routes using an example.

In the distribution area displayed here, the Daily Paper is delivered to subscribers. Home delivery is performed on the workdays Monday through Friday by twocarriers (delivery round A in carrier route A and delivery round B in carrier route B). On weekends, three carriers (delivery rounds X, Y, and Z in carrier routes X,Y, and Z) are required due to the large number of Saturday and Sunday subscriptions and the larger size of the weekend issue.

The delivery rounds for carrier routes A and B are assigned the alternating home delivery element defined for workdays. The delivery rounds for carrier routes X, Y,and Z are assigned the alternating home delivery element defined for weekends. This means the carriers for the delivery rounds are assigned definitively to thespecific carrier routes for home delivery on workdays and for home delivery on weekends. You record the link between the media product to be delivered, thedistrict and the delivery round in the delivery viability set.

Delivery round

The delivery round defined in Customizing is the key used to schedule supply by home, direct or postal delivery.

The delivery rounds 1 (morning round) and 2 (evening round) are defined in Customizing.

You create a home delivery round by assigning a carrier to a delivery round: The newspaper is distributed in the morning (with the morning round)and the ad pre-prints in the evening (with the evening round).

If you assign the morning round to a truck route, you determine that the truck route is run in the morning.

You assign a delivery round to each delivery viability set . By doing this, you define the following according to the delivery type you are using:

When you create a delivery viability set, the system proposes the researcher and the service company entered in the master record for the carrier route. Ifthere are no default values, you can enter the business partner in the master record for the delivery viability set. Using the Researcher assignment function

You select the desired delivery viability sets first and call up the Researcher assignment function for each delivery viability set. This extendedmaintenance option also allows you to split assignment periods.

The system assigns a delivery viability set to the order item according to the optimization rule.¡ Modifies delivery viability of orders affected by address changes or the release of change numbers

(This assigns valid delivery viability parameters to orders that can no longer be supplied as a result of these changes.)· Explicit check and optimization of delivery viability sets in a selection of orders on hand or a worklist

The optimization program executed in Sales assigns the "best" delivery viability set for home delivery to all orders in a selection that are delivered(incorrectly) by postal shipping.

Worklist

You can create a worklist in order to explicitly check and optimize the delivery viability sets. You can restrict the worklist (orders on hand) by specifying ordernumbers, change numbers, geographical units or carrier routes.

Optimization Rules

Delivery viability optimization is performed using optimization rules. An optimization rule contains specifications for determining the "best possible" deliveryviability parameters (edition, mix type, delivery type) for each order type and publication.

You can define specific optimization rules for different (predefined) transaction types. Delivery viability optimization serves the following purpose depending on thetransaction type:

Process FlowDelivery viability optimization involves the following steps: 1. Edit optimization rules (see Distribution Master Data , Optimization Rule Editing, Editing Optimization Rules)

You define the priority with which the delivery viability parameters are to be used for an operation type for each order type and publication. You canalso determine for each change to the delivery viability parameters whether periods billed are to be recalculated or whether the business partner is to beinformed of any changes are made (e.g. to the delivery type).The optimization rules are used for automatic delivery viability determination during order processing and automatic delivery viability optimization when ordersare refreshed after address changes or after a change number is released. You start explicit delivery viability optimization manually in dialog processing: see step 2.

You should take great care when editing optimization rules. An error in the optimization rules can have serious consequences, for example, if anincorrect delivery type is assigned to a large number of orders on hand. For this reason, you should check the optimization result in test mode afterediting the optimization rules.

2. Explicit delivery viability optimization (in Sales) a. Create and process the worklist (optional, see Worklist Editing for Delivery Viability Optimization)

You can create a worklist or orders for explicit delivery viability optimization. You can restrict this worklist if necessary. b. Execute delivery viability optimization (see Performing Delivery Viability Optimization)

Execute the optimization program for the worklist created or for certain orders on hand. You can execute the optimization run in test mode . You can alsochoose to have the system display correctly optimized orders or optimization statistics in addition to the error log.

ResultThe delivery viability optimization function creates a log structured as follows:

· Error log (orders for which an error occurred during processing)The error text indicates the cause of the processing error.

· List of orders processedLists all orders processed, highlighting the following cases in color:

¡ Red : Orders for which no suitable delivery viability sets were found according to the optimization rules.

Delivery is not viable for these orders and they must be postprocessed manually.¡ Green: Orders whose delivery viability was optimized and for which delivery is viable (only displayed if the Detailed list parameter was selected).¡ Gray: Orders whose delivery viability was not optimized and for which delivery is still viable (only displayed if the Detailed list parameter was

Delivery is viable for orders whose delivery viability was optimized automatically or by means of an explicit program run, or delivery viability has been made lessexpensive or faster by the assignment of a "best" delivery viability set.

1.5 Home Delivery Round Editing

UseYou use the editing function for home delivery rounds to reproduce carriers' and field collectors' responsibility for each delivery round in a carrier route.

The delivery round is a key defined in Customizing (e.g. 1 for morning round, 2 for evening round). It determines the time for which delivery isscheduled.

To reproduce a home delivery round in the system, you assign one or more carriers or field collectors to a delivery round. You can add details to the assignmentby specifying further data (e.g. weekdays on which a carrier is deployed). You can also record the temporary substitution of a carrier and its relevance forsettlement (e.g. payment during a stay in hospital). The following diagram illustrates the characteristics of a home delivery round.

1.5.2 Business Partner Substitution

UseBusiness partner substitutionallows you to replace one assigned carrier or field collector with another for a limited period in the home delivery round (assignment of a carrier or field collector to adelivery round).The substitution type allows you to determine whether or not the substituted business partner is paid during the substitution.

Carrier C001 is on vacation from July 1st through July 15th and is substituted with carrier C002. You record a substitution by carrier C002 in thedelivery round for carrier C001 for the vacation period. The substitution type Leave relevant for settlement determines that the substitution period isalso to be taken into account in service settlement for carrier C001.

You can select the worklist for substitution of a business partner as follows:

Delivery round for the carrier or field collector or all delivery rounds in a carrier route, then selecting the delivery round requiredAll delivery rounds for a carrier or field collector and the related service company

Since a business partner (carrier or field collector) can be assigned to several delivery rounds, the second selection option is recommended.

IntegrationYou can also access business partner substitution during lost time for a carrier or field collector from the maintenance function for lost times in the BusinessPartner work area (see also

1.6 Round Sequence

DefinitionA round sequence is a sorted sequence of streets or street sections in a carrier route. A round sequence can be used as a specification for sorting for use whencreating the carrier list to inform the carrier of the sequence in which deliveries in a carrier route are to be made.

UseYou can create and print out a carrier list in shipping for each delivery round in the carrier route (see

Creation of the Carrier List). This lists all households to which deliveries are to be made in the carrier route. For example, when a new carrier is to be informed of

the delivery sequence in the carrier route, you can sort the carrier list according to the round sequence . (If there is no round sequence, the streets can only besorted alphabetically by name.)You can use the round sequence to create a home delivery sequence that matches the actual geographical situation, so that streets in the carrier route can becovered in the most practical order.

It is only advisable to create a round sequence if the carrier route is broken down as finely as possible (into street sections and streets). Thismeans that each geographical structure that is assigned to the carrier route must include exactly one street or street section.

DefinitionThe unloading point represents the address at which bundles of issues are loaded or unloaded for delivery using a vehicle.

UseYou specify the address and information on the location of the unloading point.

The system determines the unloading point type in accordance with your entries on the initial screen of the function for creating an unloading point. The unloadingpoint type influences maintenance and the purpose of the unloading point.

The following table displays the possible unloading point types and related features in master data maintenance:

DefinitionA truck route defines the logistical requirements for transporting editions (or media issues) to customers.

UseIn addition to the data in the truck route master record, you must define the following for logistical processing of transportation via a truck route:

Assignment of unloading points in the order in which they are to be served (geographical structure of truck route)

Truck route-edition assignment

Assignment of the editions to be transported; defines whether or not the truck route transports ad inserts (e.g. ad pre-prints)

Truck route hierarchy

(Optional) assignment of split routes or subsequent routes to a higher level truck route that is not assigned any unloading points. This hierarchicalassignment allows you to divide an overloaded route among split routes or use a basic route to supply subsequent truck routes.

DefinitionThe daily truck route reproduces the actual data on a truck route for a specific date.

UseThe master record for the daily truck route contains a copy of the truck route master data. You can only maintain actual data for specific dates.

The actual data refers to departure and arrival times, distances traveled and truck route contract data. You can copy the planning data as actual data using theActual=planned function or enter the individual actual data manually.

You can only create daily routes if a truck route contract exists for the truck route. You can create daily truck routes in the system in the following ways:

The function saves you the work that would be involved in creating individual dailytruck routes manually.You can use daily truck route generation to create or delete daily truck routes automatically for a certain generation period.

The frequency rule and the factory calendar must be specified in the basic data on the truck route.

The factory calendar is interpreted differently for daily truck routes that are run on a daily or non-daily basis:

If the shipping frequency with which the truck route is to be used is not clearly defined, you should define the generation rule for the highest possiblefrequency (e.g. weekly instead of monthly).The advantage of generating the generation rule in individual periods of a week is that you can still generate daily truck routes for monthly shippingwhile retaining the option of switching to weekly shipping.

If a generation rule is created for a truck route, you cannot make any further changes to the frequency rule for the truck route.

Generation rule for individual period

DefinitionThe generation rule for truck routes run on a non-daily basis determines the shipping date on which the daily truck route is run for each individual period (e.g.each week or month). You can redefine the shipping date determined from the frequency rule (Customizing) by specifying a time offset.

UseThe shipping date is moved relative to the beginning of the individual period and this is defined by a combination of specifications in days, weeks and months.

When moving the shipping date, the following rule refers to the sequence month - week - day (in the individual period):

The first entry is always the time offset (relative to the beginning of the individual period).

The time offset can have positive or negative values, so that the shipping date can be moved either into the future or into the past. The grid size fromthe frequency rule (Customizing) must not be exceeded by the time offset. For example, it is not possible to move the date by a month when using agrid of weeks.

Each specification following the time offset is an absolute time (precise positioning of the shipping date).

The absolute time is always based on a time offset and is always a positive value. If you only specify the day in the individual period, this isautomatically interpreted as a time offset.

1.12.2 Limited Substitution of Unloading Points

UseThis function provides you with a way of substituting unloading points in unloading viability sets for limited periods that is easier to use than the regularmaintenance function for unloading viability sets.

The unloading point "U10" used by truck route "R1" is not available from August 12 through 15 due to construction work. For this reason, you definethe unloading point "U11", located around the block, as a substitute.

The substitution is made in each delivery round in the carrier route for a limited period . If the substitute unloading point has not already been created in thesystem, you can create it from the maintenance screen of the substitution function.

The system lists all the unloading viability sets that are active on the current date for the delivery round in the carrier route. You can select the unloading viabilityset containing the unloading point that is to be substituted from this list. Before you perform the substitution, the system lists all truck routes containing theunloading point for substitution so that you can select one.

If all the relevant truck routes already contain the substitute unloading point, the truck routes are not listed.

When you execute the function, the substitute unloading point is inserted in the unloading point sequences for the selected truck routes. The new substituteunloading point "stands in" for the original one throughout the substitution period.

Change Management (internal)

Substitution of the unloading point takes place in Change Management. However, the change number is assigned, checked and released internally(automatically). The log of change number release lists orders for which delivery may no longer be viable due to the change.

Start of substitution

Substitutions can be performed from the current date. However, if the Customizing settings specify a start of validity for the change number that lies a number ofdays in the future, the substitution must begin at least the same number of days later.

An unloading point cannot be substituted from the start of validity of the unloading viability set. This would amount to deleting the unloading viability set.

It is important that the unloading viability set to be edited should have been summarized for creation.

You have accessed unloading point maintenance.The system displays the address of the unloading point to be substituted as a template for use in creating its substitute. When you save, the key of thesubstitute unloading point is copied to the maintenance screen for substitution.4. Choose Perform substitution and OK the confirmation prompt.5. The system displays a list of the routes to which the unloading point to be substituted is assigned.6. Select the truck routes in which the unloading point is to be substituted and confirm your selection.

Substitution only takes place if you select at least one truck route. Seen from a technical point of view, the system inserts the substitute unloadingpoint in the unloading point sequence for the truck route and creates the appropriate (limited) unloading point. The unloading viability set of theoriginal unloading point is inactive throughout the substitution period.

If substitution was performed successfully, the system returns to the maintenance screen for the substitution and displays the substitution in the list ofunloading viability sets. If errors occurred, the system displays an error log.

ResultSince unloading point substitution is performed internally (automatically) in Change Management, the system identifies the orders for which delivery is no longerviable once the change number is released. These orders are listed in the log of the change number release.

If an unloading rule that has been maintained is no longer required (only one unloading viability set exists in the carrier route), it is no longer interpreted by thebundling procedure. If the unloading rule is required again due to the unloading viability sets, the system makes the unloading rule available with a new validity

period .

Special rules for ad pre-prints

Since the delivery viability sets for ad pre-prints are defined for all ad pre-prints, the corresponding unloading rules also do not relate to a specific ad pre-printpublication. However, you can specify the ad pre-print publication key for special unloading rules for ad pre-prints. When you do this, the ad pre-print unloadingrule is copied as a template for the special rule.

Exception rules for titles

You can define unloading rules for specific dates by specifying the actual issue variant type in exceptional cases. When you do this, the existing unloading ruleis copied as a template for the exception rule.

Via worklist(list of all unloading rules not edited)

1. Choose Worklist on the initial screen .2. Choose Carrier route or Unloading point on the selection screen and

limit selection by specifying the relevant keys.3. Select the appropriate indicator to determine whether all records not

edited or deleted records are to be displayed in the list.4. Choose Execute.5. The worklist appears.6. Specify the output form for the list (expand, compress, with/without

quantities).7. Edit the worklist if applicable (delete, cancel deletion).8. Choose Change rule.

The screen for the unloading rules appears.

3. Maintain the unloading rules.

Enter the basic unit of measure (default entry IT ) and the quantities for each unloading point or truck route for each unloading rule.

You can do this using the functions listed below:

Create a special rule for the unloading rule for an ad pre-print 1. Select the line containing the ad pre-print unloading rule (publication type2) for which you want to create a special rule.

2. Choose Special rule for ad pre-print.3. Specify the ad pre-print publication or ad insert and confirm your entry.4. Maintain the special rule.

4. Save the data.

ResultThe unloading rules edited are saved and available for subsequent functions. In shipping , the shipping documents are assigned to the first unloading point ortruck route in the unloading rule. The first unloading point is assigned the odd bundle.

DefinitionThe overview of unloading rules contains the same editing functions as the worklist but the following selection options have been added to the selection screen:

UseThe overview of unloading rules is primarily used to evaluate the unloading rules recorded in the system. As when displaying the worklist, you can also editunloading rules directly from the overview.

If you call up the overview of unloading rules for an unloading point that is supplied several times (business partner unloading point or generalunloading point), the system generates the unloading rules first using the actual data on the orders found with direct delivery. This procedure caninvolve a long runtime.

IntegrationThe overview of unloading rules and the worklist have some common functions but serve different purposes. The following table illustrates the common featuresand the differences between the two functions:

PurposeInformation on postal dispatch points (such as unloading points at post offices or airports) is defined in shipping schedules .

Since postal packing and container packing – defined in Germany by the postal packing rules (ZEBU) laid down by the postal service – take place for eachpostal code area, the shipping schedules are also defined for postal code areas in a country or country grouping.

Shipping schedule variants form the link between the products delivered in postal shipping and the shipping schedules. A shipping schedule variant is agrouping of editions with certain postal delivery types for a specific period.

All editions grouped in a shipping schedule variant are processed in the same way in shipping. Once defined, shipping schedule variants are assigned to ashipping schedule for postal shipping.

PrerequisitesThe following Customizing settings for postal shipping must be maintained under SAP Media ® Master Data ® Shipping :

Process FlowEditing shipping schedule variants

You assign all editions delivered using the same logistical delivery type in postal shipping (no more than two entries are possible) to a shipping schedulevariant using the key of the variant. You can specify a maximum of two validity periods for each shipping schedule variant.

Editing shipping schedulesYou create the required shipping schedules for each shipping schedule variant. The shipping schedule defines the unloading point, time specificationsfor transportation, the postal network and the container type to be transported for a destination area (postal code area, country or country grouping). Thevalidity period of the shipping schedule can be defined for a maximum of two weekday intervals, e.g. Monday through Friday and Saturday throughSunday.

ResultThe shipping schedules for postal shipping are defined. The system uses the shipping schedules when performing postal packing and container packing duringshipping to determine the unloading points that are to be used to transport the postal packs and containers.

DefinitionA shipping schedule variant is a period-related grouping of editions supplied using the same postal delivery types.

UseAll editions grouped in a shipping schedule variant are processed in the same way in shipping.

You can define a shipping schedule for postal shipping for each shipping schedule variant. In the shipping schedule, you maintain the assignment of theshipping schedule variant to a postal code area, country or country grouping. You also specify the unloading point at which the postal packs and containers are tobe transferred to the postal service's delivery logistics in the shipping schedule.

DefinitionThe shipping schedule defines settings for postal shipping for each shipping schedule variant.

UseThe postal packing rules (ZEBU in Germany) define the various postal packing and container packing levels by postal code area. This information is used togroup packages on each postal packing level into postal packs and containers. Information on postal dispatch points (e.g. unloading points at post offices orairports or pickup unloading points at a plant) is defined in shipping schedules . You have the following options when specifying the destination area for ashipping schedule:
