General:

Schedule:

2. Meetings will be scheduled every two weeks for the next several months of design.

Review of current plan / program:

9. Movable dividers or separate classrooms would be nice in the existing basement if budget

allows.

10. Extra space may be available in the existing kitchen for a different function; however, it is

anticipated that at least a microwave and a sink will remain.

11. The new Multi-Purpose Hall should seat 200 people for meals. Furniture layouts should be

prepared to prove everything works out.

12. The project costs should be adjusted to include building out the new Kitchen, utilizing

existing appliances. The new Kitchen should be based on design at Newman Center.

13. The plan that will be referenced and used for the design will be called the “Agreed Upon” plan

– see attached.

Potential plan revisions:

1. Site Plan:

a. At least one of the existing garage buildings should remain.

b. The Rectory will definitely be removed for more parking.

c. The Ellis option to raise the new building so the new entrance is level with the existing

Sanctuary should be explored to see if there would be cost savings. This is assuming

the new basement is deleted. Option “A” is more desirable – see attached plans.

2. Multi-Purpose Hall:

a. Try to move this part of the building to the north in order to have daylight in the

existing stained glass windows.

b. This will avoid a fire rating on the existing wall and windows. (for this part of the

building only, the rest of the new building that touches to old building will need a fire

wall between the two)

c. The new exterior wall will need to have a fire rating depending on the distance from

the existing building, but the existing wall won’t require a fire rating.

3. Delete proposed basement:

a. Try to delete the new basement to avoid costs and complications of building right next

to existing foundation.

b. HVAC items scheduled for this area would have to be located elsewhere.

c. Existing elevator would be used to access the existing basement if Item #1 goes ahead

and a new elevator is not needed.

4. HVAC options:

a. In order to omit the new basement, the HVAC items that would be in there need to be

accommodated somewhere else.

b. RTU’s – packaged rooftop units that provide heating and cooling could be placed on

the new roof. There would likely be 4-5 individual units. These would replace both

the boiler piping and the air handlers for the addition only.

c. Boiler + central air handler – the new boilers for both the church and the addition

should readily fit into the existing basement space, but the main air handler needs a

space with access to outside air. This “split system” will require space either on the

first floor of the addition, or in the existing basement, or a little of both for the large

air handling unit. Several small ‘vav’ boxes are used for individual zone control.

d. Boiler + individual air handlers – the boiler system is the same as above, but the big

central air handler is replaced with smaller units distributed throughout the existing

building and the new addition. Zone control is achieved with the individual units.

e. Separate ‘furnaces’ – smaller vertical flow units could be distributed throughout the

new addition and parts of the existing building, but would require many locations, each

with access to outside air and a place for the a/c condenser. This design is typically

not as efficient due to the quantity needed, and won’t be pursued.

Building and Zoning Code considerations:

1. Both the existing building and new addition would be considered A-3 occupancy, which

requires sprinklers when the area exceeds 12,000 s.f. or 300 people.

2. If the buildings are connected without a firewall between them, then sprinklers would be

required throughout both buildings. A firewall is proposed and would need to be 3-hour rated.

3. Both the existing building and the new addition will be type III construction, which is exterior

masonry walls with wood or steel structural framing within.

4. The allowable area for the building is 9,500 s.f. in the building code, but is allowed to increase

due to sprinklers to 38,000 s.f. with sprinklers. The new building area is well within this

amount, and would even allow a sizable future addition if necessary.

5. Any doors or windows on the existing north wall will likely need to be blocked off due to the

new firewall. This will need to be analyzed further to finalize the allowable sizes for at least

two (2) doors.

6. Per the City’s correspondence with G.K., 164 parking spaces are needed. Even with the

removal of the rectory, there won’t be enough parking on this site. The current zoning code

allows adjacent on-street parking to be counted toward this property. Also, the City respects

any agreements for non-concurrent use of neighbor’s parking, like at Saint Michael’s Hospital,

but those agreements should be in writing.

7. We will set up a meeting with City Planning and Zoning to review the scope of work and identify

any potential problem areas with the zoning code or building code that will need to be

addressed or rectified as part of this project.

Budget:

1. Ellis’ Target Costs are based on the current plan and the original budgeted costs from G.K.,

with minor adjustments by Ellis.

2. There are still items labeled “TBD” that will be addressed in later design phases.

3. There have been several deletions that are shown on the Target Costs document. We will revisit

them later, after more design is worked out and costs established, to see if the budget will

allow them to be included.

4. Copy of budget dated 9/12/18 is attached

Miscellaneous Notes:

1. The new elevator is sized for a casket, the existing elevator is not. If the new elevator is

deleted, the existing elevator will still provide access to the basement.

2. With the new Multi-Purpose Hall, it is likely that less access will be required to the basement;

however, the elevator may need some maintenance work as there have been recent problems.

3. A request has been made for good bike racks and basketball hoops.

Action Items

- Ellis

o Prepare a floor plan, site plan and cross section for Ellis Option A.

o Prepare floor plan options for sliding the Multi-Purpose Hall to the north, away from

the existing wall.

o Set up a meeting with the City.

- Holy Spirit

o Try to get agreements together for the use of neighboring parking lots for church use.

o Send at least one person along with Ellis to the meeting with the City.
