Note, the rest of this section, Section 2, briefly defines each of these services.However, some service definitions may include activities and deliverables notrequired by XXX. This proposal has been scoped in accordance with therequirements listed above.

1.1 Cisco Data Center Facility Planning and Design

The facility planning and design function is part of the standard Cisco Data Center Facilities Assessment Service. Through this service, we will evaluate XXX’s physicaldata center infrastructure, including the overall site; power and cooling; physicalsecurity; and operational practices. The service is delivered jointly by Cisco

Advanced Services and qualified Cisco partners with extensive expertise in datacenter facility requirements. These experts use best-practice methodologies andadvanced tools to identify problem areas between your facilities and networkedsystems. You will receive recommendations that can help you improve criticalinfrastructure and extend the life of your data center.

The Cisco team has conducted a preliminary workshop on the needs of the XXXTeam and the current facility has been visited. Given the existing information, Ciscoand its partners will conduct the following tasks and prepare the indicateddeliverables to assist XXX in creating effective plans.

Cisco assumes that in order to complete this work the building’s engineer and/or owner’s representative will be available; engineering drawings of the existing space,including riser diagrams and drawings of the proposed area of work will be madeavailable; and that XXX will provide all the information of business, IT, andoperational requirements as well as the impact of downtime to evaluate theredundancy and desired Tier level as per business requirement.

1.1.1 Prepare and Plan through Initial Design

The purpose of the Initial Design phase is to establish a high level concept of thevarious systems – MEP-FP. Special attention will be paid to the businessrequirements: availability, redundancy, expansion plan, and desired tier level (tier 3for some or all of the facility).

During this phase, the team members will generate the documents listed below asconceptual documents, and they will include a level of detail as required tocommunicate the design intent.

During the initial design stage, all project team representatives will attend the weeklyconference calls.

The following will be provided in the initial design document:

• Basis of design document narrating the design intent of the Electrical,Mechanical, Plumbing, and Fire Protection/Suppression, and TelecomSystems.

• Site validation report

• A report with overall rough order of magnitude (ROM) cost estimate

•Description of the data center programming as it relates to area requirementsand functions.

1.1.1 Solution Development through Detailed Design

The purpose of the Detailed Design Development phase is to develop the conceptsdecided during Initial Design into a detail level design of the various systems -MEP-FP. During this phase, the team members will generate the documents listed belowas plan and report documents, and they will include a level of detail as required to

communicate the design intent, placement, and sizing of major components of thevarious systems.

During the Detailed Design Development Stage, all project team representatives willattend the weekly conference calls.

The following will be provided in the Detailed Design Document:

• Recommended floor layout of the data centre showing the location of allequipment racks, UPS, HVAC equipment, electrical switchgear and other principal items

• Calculation and sizing of the required UPS, battery and standby generator, if required, to supply power to the data centre

• Power supply distribution diagram showing power available to each rack.

• Safety and technical earthling (grounding) interconnection

• Calculation of HVAC requirements and location of all items

• Interconnection of structured cabling and interface with the Entrance Facility

• Cable containments requirements

• Method of fire detection and fire suppression

• Lighting, emergency lighting and signage

• Access control security and CCTV requirements

• Interface, if any, with current Building Management System

• Telecommunications infrastructure administration

• Project documentation, administration and maintenance requirements

It is understood that local firms will sign and seal the documents and submit them tothe local authority having jurisdiction to obtain a building permit as required duringthe construction process, and therefore this scope is excluded from this proposal.

1.1.1 Qualification and Evaluation Stage

Following are the activities will be performed during this phase:

• Bill of Quantity (BoQ) document with specification

• Produce Technical RFP/Tender 

• Produce summary reports on returned Tender/RFP

BoQ will be produced based on the detailed design document for all the equipmentsthat constitute the specification. The RFP is a "report" style document that specifies

details for the bidders such as project schedule, response time, bidder qualificationrequirements, and other elements that will allow the Cisco team to evaluate the bidsand recommend a Vendor to the Owner.

1.1.1 Project Management and Coordination

Your Cisco Data Center Facilities Assessment Service project will also include aproject manager to coordinate various activities during the engagement and assistwith receiving deliverables in a timely manner. This fee-based service is included inthe scope of the project.

1.2 Project Oversight during Implementation Stage

While project oversight actually belongs to the implementation or construction phaseof your project, Cisco recommends highly that this service be included to ensure thatthe intent of the project is successfully carried over to the construction contractors.This will be done through the use of a “Commissioning Agent.” The role of the

Commissioning Agent is to oversee installation and testing of the systems beinginstalled to ensure compliance with the recommended test procedures andcompliance with expected test results. The proposed scope of work is below(following systems will be commissioned)

• UPS

• PDU

• Automatic Static Transfer Switches and associated controls

• Building automation systems, including verification of successful linkages toremote monitoring and control sites.

• HVAC Equipment

• Life Safety Systems including Fire alarm, egress pressurization, fireprotection

• Security Systems limited to ACS and CCTV.

• Telecom cable – fiber and copper

It is understood that all individual activity will require on-site testing and a total of 5visits has been estimated during this phase.

While Facility Planning and Design can help optimize your physical assets, it mustbe done in connection with your architectural planning. Architectural changes canincrease the efficiency of both your CAPEX and OPEX, but may require not onlychanges to your technical infrastructure but also your physical, such as: cablingplans, rack and enclosure choice or layout, power requirements per rack, and so on.

1.1.1 Data collection

Cisco will send you a questionnaire to collect baseline data about your data center infrastructure. We will take this data and assess what you require and provide anassessment that is very specific and focused on your needs. The high-level datacollected provides information about the range of applications and storage, server,and other data center networking devices. Additionally, Cisco will collect baselinedata related to business continuance, security, and virtualization.

1.1.2 Data center architecture workshop

In this workshop, conducted at your site, the Cisco data center architect and your ITteam will jointly review input from the questionnaire and collect data to determine thestatus of the data center infrastructure to outline requirements, constraints,processes, and future deployment strategies.

1.1.3 Analysis

The Cisco data center architect will analyzes the collected information and developsan initial draft of the Cisco Data Center Architecture Assessment report. The initialdraft is created by the Cisco data center team in conjunction with several membersof your IT team. The intent of this report is to solicit feedback from you as to whether the draft recommendation meets your general requirements.

requirements analysis, the findings of the assessment, a proposal for your new datacenter architecture, and conclusions. Electronic copies of this report are sent to youfor review prior to presentation of the report, in person, to your management at your location.
