CRAFTING A STRONG RESUME Your resume is a document that outlines your experiences - professional, academic, co-curricular - and the skills you have acquired as a result.

Be sure to think of your resume as an advertisement for yourself, i.e. a strong resume should demonstrate your excellent written communication skills and make the reader want to interview you.

TIPS FOR WRITING YOUR RESUME Convey your overall competence through content.

Be attentive to detail. Proofread carefully to ensure correct spelling and grammar. Avoid the use of first and third person pronouns, such as “I,” “he,” or “she.”

Keep verb tenses consistent throughout. Use present tense for current activities and employment.

Use past tense for activities and employment not presently held. Use action verbs and concise statements to articulate your relevant experiences.

Phrases like “Responsible for… “or “Market research…” or “Poster presentation” are not action words and should not begin your bullet points.

Words like “helped” or “worked” are weak verbs and not action oriented enough and should be avoided. Use verbs that are more specific rather than generic.

Avoid using each verb or adjective more than once.

List of action verbs is provided in this packet. Refrain from using slang, jargon, overused expressions, or anything that might confuse the reader.

Spell out all acronyms the first time they are used, followed by the acronym in parentheses.

Thereafter, in the same document you may use the acronym alone.

Try not to use filler words like “successfully, effectively, independently, etc. They pad bullet points without adding substance. For example, “Successfully completed all assignments” is just a puffed up version of “Completed all assignments.”

Get your resume reviewed

Have your resume reviewed multiple times? This gives you varied insight and multiple perspectives. The Wackerle provides opportunities to have your resume reviewed.

Faculty, academic advisors, family and friends can also provide good insight.

FORMATTING YOUR RESUME Avoid stock resume templates that come with MS Word or other applications.

These templates use unconventional design elements – colors, images, layouts, and text formatting and tend to lock you into a structure – section headings and the way they are ordered – that doesn’t put your background in the best light.

People who read a lot of resumes prefer a simple layout because it’s easier for them to navigate and find the information that matters to them most.

Using a template risks sending the wrong message to your reader – that you can’t be bothered, or manage your time, or learn how to use MS Word well enough to create it yourself.

For creative resumes such as graphic design…

It is recommended to have two versions of your resume, one with a conventional design and layout (used when applying to (ATS) Applicant Tracking Systems) and one that is more creative (when you know you are not applying through ATS).

Number of pages

One page is the norm for most industries and job functions

Note the following exceptions: resumes targeted for Health, Research, Education, and Social Services are allowed to be two pages.

Make sure there are no blank pages at the end of your original document. Bullet Points

Use standard black-dot bullets for describing your experience, and use them consistently.

Bullets should not be used when listing an organization or position, only for describing your experience within the role and organization.

Bullets should be indented the same amount in all sections and line up vertically.

WRITING EFFECTIVE ACCOMPLISHMENT BULLET POINT STATEMENTS Effective bullet points describe job tasks, skills, and concrete accomplishments accurately, completely and as concisely as possible. By showcasing your accomplishments on a resume, you can help the prospective employer assess your ability to do the job. Use “Accomplishment Statements” to describe your achievements in the experience section. Quantify your work whenever possible. Avoid generic and vague statements.

USING THE STAR METHOD TO CRAFT YOUR BULLET POINTS

The STAR method can help you create impactful descriptions for each experience on your resume. First, read through the posting for a job that interests you. This will help you understand the role and the employer’s needs. Identify the skills and qualities they seek. You can usually find them in the responsibilities and qualifications sections.

Next, use the STAR method to describe the context of your work, your actions, and how your actions had positive impact on the organization.

Situation: What was the situation, problem, or conflict you were facing? Task: What were you tasked with? What were your responsibilities or goals? Action: What action did you take? What did you do to solve this problem? (start with action verbs) Result: What was the result or outcome of your action? How did it benefit the organization? Can this result be quantified?

EXAMPLE Skills/qualities you want to show: initiative, organization, analytical thinking, writing, interpersonal skills, problem solving

Situation: The trainees were learning too slowly and could not navigate the company’s data tracking system by the end of the two-week training period. Instead, they were not ready for another two weeks.

Task: Help trainees learn the system faster.

Action: Initiated, wrote, and edited the first training manual for the company’s data tracking system. Successfully presented proposal to use manual to management. Revised training program curriculum to implement new manual. Trainees worked through the manual during the two-week training period.

Result: At the end of the training period, trainees were ready to use the data tracking system two weeks earlier than expected; the training manual was adopted across the company and is still in use.

FINAL STATEMENT FOR RESUME: Initiated, wrote, and edited the first training manual for company’s data tracking system, which cut training period in half, was adopted across the company, and is still in use today. This example could focus on different skills (communication, persuasion, leadership, training), depending on what’s relevant to the job.

BULLET POINT EXAMPLES These examples will help you learn how to transform a generic description into a strong action and results-oriented bullet point.

GENERIC DESCRIPTION Public Health Society, Events Coordinator

Responsible for organizing events and panels

In this example, it is not clear what the candidate did to organize events and panels, what skills they used, or what kind of events and panels they organized. Because of this, the writer misses the chance to showcase the skills used to carry out this task.

STRONG, CONCRETE DESCRIPTION Public Health Society, Events Coordinator

Plan and coordinate panels on public health for audiences of 25–50 undergraduates on a bi-monthly basis

Identify and contact health professionals in the community to participate in panels

Create marketing materials and publicize events through social media

In this example, the first bullet point clearly highlights organizational skills. It also lets the employer know the scope, target audience, and frequency of the events. This efficiently illustrates the candidate’s abilities and experience.

The second bullet point indicates research and interpersonal skills, which were used to secure panelists. It also demonstrates the ability to communicate with professionals outside of the university. The third bullet highlights a specific business skill and/or the ability to be strategic in marketing, as well as familiarity with using social media for marketing purposes.

ADDING ACCOMPLISHMENTS AND IMPACT: Employers review resumes to understand the impact you’ve had on a project, organization, or company. For instance:

Were the materials and publicizing efforts successful?

Did these actions result in reaching a new group of students?

Review each statement you’ve created for your resume. Can you add an accomplishment or achievement? What happened as a result of that action? How did it benefit the organization? You don’t need to add a result to every bullet point on your resume, but it’s helpful to demonstrate achievements when possible.

What does this look like? In the bullet point about marketing materials and social media, this might read:

Create marketing materials and publicize events through social media. Increased attendance at several club programs by 75% (if you have an accurate figure)

WHAT YOU NEED TO KNOW ABOUT APPLICANT TRACKING SYSTEMS (Try jobscan.co a tool that helps your resume get noticed by ATS) 1. What is it?

Applicant tracking system software provides recruiting and hiring tools for companies. Among other functions, these systems collect and sort thousands of resumes. When you apply for a job online, your resume isn’t typically going directly to a recruiter or hiring manager. It’s first being processed by an ATS. Whether that human recruiter ever sees your resume could depend on how well your resume is optimized for ATS algorithms.

2. Why do employers use them? Top employers hire for several jobs at a time and receive hundreds of resumes for any given opening. Because applying for a job online is easier than ever, many of these applicants are unqualified and figured “it was worth a try.” Applicant tracking systems keep all these resumes in one place, helping recruiters and hiring managers stay organized as well as EEOC compliant. In theory, these systems also save time by automatically surfacing and highlighting top candidates. In reality, ATS do help hiring professionals narrow their applicant pool, but top candidates slip through the cracks.

3. Applicant tracking systems are everywhere Most large corporations utilize applicant tracking systems. Jobscan research found that 98% of Fortune 500 companies use ATS while a Kelly OCG survey estimated 66% of large companies and 35% of small organizations rely on recruitment software. If you’re applying to a large organization, chances are you’ll face an ATS. If you’re applying through any online form, you’re applying through an ATS. Even job sites like Indeed and LinkedIn have their own built in ATS.

4. How applicant tracking systems work Applicant tracking systems collect and store resumes in a database for hiring professionals to access. Resumes may also be stored long after the original job you applied for is filled. Corporate recruiters or hiring managers can then search and sort through the resumes in a number of ways, depending on the system they’re using. Keyword Searches – A common way recruiters filter resumes in an applicant tracking system is by searching for key skills and titles. For example, if a recruiter is hiring for an Administrative Assistant position out of 400 resumes, their first step will probably be a search for “Administrative Assistant.” This will isolate candidates that have done the exact job before. Anyone that doesn’t have that exact term in their resume is out of luck. A search can contain multiple terms. For example, they might perform a complex search that contains a combination of titles and skills important for the job: Administrative Assistant AND data entry AND payroll … Candidates who can predict the correct resume keywords will have the greatest chance of being included in recruiter search results. The best way figure out which skills and keywords to include is by analyzing the job description.

5. Resume formatting matters in applicant tracking systems When you upload your resume into an applicant tracking system, the recruiter won’t necessarily view the file. Some ATS parse the document into a digital profile to make things uniform and searchable. This causes big problems for job seekers. Many ATS parsing algorithms are outdated and unintelligent, causing your resume information to get distorted or lost. This means vital keywords or details might not be imported. Imagine your most important qualification slipping through the cracks! Modern ATS are starting to get away from this practice, but some popular systems like iCIMS (used by Amazon, General Mills, Comcast) still do it. In order to create an ATS-friendly resume that is parsable by these outdated systems, be sure to keep section headings simple, use consistent formatting for your work history and dates, avoid tables, and use a .docx or .pdf file format.

6. Here’s the simplest advice for how to beat ATS:

Carefully tailor your resume to the job description every single time you apply.

Optimize for ATS search and ranking algorithms by matching your resume keywords to the job description

Use both the long-form and acronym version of keywords (e.g. “Master of Business Administration (MBA)”)

Use a chronological or hybrid resume format (avoid the functional resume format)

Don’t use tables or columns as they often cause major parsing errors

Use a traditional resume font like Helvetica, Garamond, or Georgia

Don’t use headers or footers as the information might get lost or cause a parsing error

Use standard resume section headings like “Work Experience” rather than being cute or clever (“Where I’ve Been”)
