In the header area of the e-mail the sender identifies the intended recipient and the message’s destination by specifying the recipient’s Internet address

The e-mail message is first routed to a mail server

A mail server is a system that uses the e-mail address to determine where the message is going

The mail server also determines the most direct route for delivering the message

The mail server uses SMTP to send the message to the next available mail server or router

SMTP is part of the TCP/IP protocol

The next mail server reads the address information and passes the packet of information to another mail server

Each mail server contains a routing table, known as Mail Exchange (MX), that determines where to send the message next

This process continues until the message reaches its destination

POP or IMAP is the system used to retrieve e-mail stored on a TCP/IP network

After arrival at its destination, e-mail is delivered to the recipient’s computer mailbox by mail server software

Mail server software is a computer program that controls the flow of e-mail between the mail server and the recipient’s computer

The mail server stores messages in a virtual mailbox, or folder on the server, until the user is ready to retrieve the messages

When the user is ready to read the messages in the virtual mailbox, the server sends them to the recipient’s computer

The ability of holding e-mail in a mailbox until the recipient retrieves it is known as store-and-forward messaging
