Principal’s Letter

Dear Parents/Guardians of the Class of 2018,

We are rapidly approaching the end of another school year. We hope that the last few weeks of school will be pleasant, rewarding, and full of positive memories. The information contained within this booklet is intended to keep our parents and students informed and to promote a positive end of the year. The booklet contains information for Prom, After Prom, Senior Exams, Senior Volunteer Hours, and Graduation. All of this information will be reviewed in a senior class meeting on April 17th, 2018. Please contact the main office if you have any questions.

All seniors are expected to follow all school rules during senior activities and during the remaining weeks of school. Inappropriate behavior may result in the holding of diplomas until community hours are served as a consequence for the behavior. The privilege of participating in any senior activity, including the graduation ceremony, may be revoked for violations of the Code of Conduct.

Any student who does not earn an 80% (B-) or higher in a class for the 3rd and 4th grading period and who does not meet certain behavior and attendance requirements will be required to take final exams. Failure to take a required exam will result in an F for the class for the semester and loss of credit. Please reference the papers within this packet for additional information.

Finally, I wish the best of luck and congratulations to all of our seniors as they step onto a new path in their lives. I would also like to commend all of our parents and families for the support you have provided for our graduates throughout their academic careers in the Copley-Fairlawn City Schools. I hope everyone has a fun and safe end to the school year.

Commencement Info for Families (cont.)

• Any senior family requiring special seating for handicap or medical needs must submit the Special Seating Request form to Mrs. Carothers no later than May 25th at 2:30 p.m. Forms were given to all seniors at the April 17th senior meeting and are also available online and in the main office.

Commencement Attire

Please keep in mind the following items for Commencement Day

• Take your graduation gown out of the bag ASAP! Try it on and press your gown with steam or a warm/cool iron.

• Dress appropriately. Attire should include slacks, a button-up (collar) shirt and tie, dress, dressy pantsuit, or skirt and blouse and dress shoes. Female seniors should wear light colors under their white gown.

• Flip flops are prohibited. No jeans, shorts, cut-offs, sweats, t-shirts, tank tops or tennis shoes should be worn to Commencement.

• Seniors should not chew gum during the ceremony. • Seniors should not bring personal belongings to the ceremony, unless

you are able to carry them in a pocket. • Eligible seniors: don’t forget your honor cords and medals. • Keep your tassel to the right side of your cap. Seniors will move their

tassels to the left once they graduate.

Commencement Timeline May 27, 2018

1:00 p.m. Graduates arrive at CHS Auditorium. Doors open to Main Gym; seating begins. Families are encouraged to arrive early as doors open at 1:00 p.m. Once the seniors are lined up for the processional around 1:45 p.m., guest seating will be held until the seniors have processed into the Main Gym. 1:30 p.m. Pre-program begins with opening music and senior slideshow. 2:00 p.m. Ceremony begins with Pomp and Circumstance. Families are invited to a short reception in the Commons immediately following the Commencement ceremony.

Commencement Program Info Confirmation Seniors are encouraged to visit the Guidance Office May 9-16 to confirm that their name is spelled accurately in the Commencement Program and that their name is included on all of the appropriate lists (Honor societies, Honors Diploma, Cum Laude designations). Seniors met with their counselor in the fall to indicate what name they wanted to appear on their diploma. Changes to names appearing on diplomas will not be made unless an error occurred. Commencement Program Info Confirmation must be completed by seniors no later than May 16th.

Mandatory Commencement Practice

On Friday, May 25 from 8:00 a.m. to approximately 10:30 a.m., there is a mandatory senior Commencement practice at Copley High School. All graduating seniors must attend. We will meet in the Auditorium at 8:00 a.m. and walk through the entire ceremony, ending with donuts in the student parking lot. The school counselors will announce each graduating senior’s name and seniors are encouraged to review pronunciation at this time with their counselor. As mentioned previously, seniors will also complete their senior exit survey at this time which includes their final transcript request. If a senior does not attend this practice, he or she will not be able to attend Commencement without preapproval from the CHS administration. Commencement Information for Families

Commencement is the most distinguished event at our high school and we are very excited to celebrate your seniors’ graduation! Please note the following details as you are planning for this important event in order to assist us in making sure this is a special occasion for all families. • All seniors received eight graduation tickets with their cap and gown.

Please return any unused tickets to the Main Office ASAP. Requests for additional tickets can be made to the Main Office but will be limited. Every attendee to Commencement must have a ticket.

Senior Meeting Information

Seniors met with Mr. Coury, Mrs. Carothers & the Guidance Counselors on April 17th to review important information related to the end of the school year. A packet was given to each student that contained a calendar, information and forms for Prom, After Prom, Senior Exam Exemption and Commencement Special Seating. Please check with your student to review these forms and ensure they are turned in on time! Thank you! Senior Exit Survey/Final Transcript Request

All seniors will complete a mandatory senior exit survey at Commencement Practice on May 25th. This form includes information regarding their post high school plans as well as where they would like their final transcript sent. All universities require that graduating seniors who will attend in the summer/fall request to their high school that their final transcript be sent upon graduation. The Guidance Office will send final transcripts the second week in June once all grades have been finalized.

Seniors’ School Fees Due May 25th

Notices have been, and will continue to be, sent to all students who have financial obligations (including missing textbooks, athletic equipment, material or Compact fees). Fees are due no later than May 25th by 2:30 p.m. to Mrs. Kramer in the Guidance Office. Exact cash or check are required. Diplomas will not be presented and final transcripts will not be released until all school obligations are paid.

Senior Volunteer Hours

CHS requires senior students to put volunteerism into practice and make an impact in the community. Every senior must complete twelve (12) hours of service in his/her community through two different volunteer experiences in order to graduate. Please remember that students are not to receive payment for this experience and are not to complete volunteer experiences with a family member. The student should turn in the volunteer confirmation form (available online & in the Main Office) to the mailbox of Ms. Lalos in the main office no later than April 30, 2018.

After Prom

DATE: Saturday, May 19 & Sunday May 20, 2018 TIME: 11:30 p.m. to 2:30 a.m. WHERE: Copley High School GENERAL INFO: All seniors are welcome and encouraged to attend After Prom. There is NO charge to you and you do not need to attend Prom in order to attend After Prom. This is the PTSA’s traditional way of giving you an opportunity to spend time and celebrate with your classmates before graduation. We hope you will join us for an evening of inflatables, card games, great prizes, fun, food, friends and more! AFTER PROM “RELEASE AND WAIVER” FORM: All seniors were given this form at the April 17th senior meeting (and are available online & in the office). It MUST be completed and returned to the Main Office by May 11th if you want to enjoy the inflatable games during After Prom. Please remember a separate form must be completed and signed by your Prom guest as well. If you (or your guest) are UNDER 18, a parent MUST sign the form. DETAILS: • This is a school event and school rules apply. • Students will need to enter the building via the POOL doors. Doors will

open at 11:30 p.m. Seniors (and Prom guests) are encouraged to arrive at After Prom by 12:30 a.m.

• Upon arrival to After Prom, students will need to sign in. • Students may leave the event at any time, but they MUST sign out and

exit via the POOL doors only. Students will NOT be permitted to re-enter the building once they have left.

• The time that students arrive and leave After Prom will be recorded at the Sign-In/Sign-Out table so that, if necessary, parents can be notified as to arrival/departure times.

• All activities will end at 2:30 a.m., at which time, the Senior Raffle Prizes will be distributed. These prizes are for CHS seniors only. YOU MUST BE PRESENT TO WIN!!

Senior Awards Assembly on May 24th

Seniors have had the opportunity to apply for a variety of local scholarships this spring. Applications were due to the guidance office on February 1st and those applications are currently being reviewed by various selection committees. Some of the scholarships may require the students to be interviewed as part of the selection process and those students selected for an interview have or will be notified. All local scholarship recipients will be recognized at the annual Senior Awards Assembly that will take place on May 24, 2018 at 8:30 a.m. in the high school auditorium. Invitations to the Senior Awards Assembly will be mailed home to all seniors award recipients and their parents; however, we encourage all seniors to attend this celebration to congratulate their fellow classmates on their achievements. If you have any questions about local scholarships or the Senior Awards Assembly, please contact Tracy Kuntz, School Counselor or Patty Kramer, Guidance Secretary at 330-664-4827.

Scholarship Notification Due to Guidance by May 21st

Seniors are encouraged to submit documentation to the Guidance Office no later than May 21st regarding scholarships they have been awarded. These scholarship awards will be recognized at Commencement in a scholarship program. Scholarships can include any scholarships awarded by universities or private scholarships. Grants and/or loan awards should not be included. Please see Mrs. Kramer in the Guidance Office if you have any questions.

Seniors’ Last Day Procedures/Senior Picnic

Thursday, May 17th will be the seniors last, full day of school. Seniors will turn in their books and materials for their afternoon classes, mods 7-15. Friday, May 18th seniors will attend mods 1-6 classes to return their books and materials and are then invited to the Senior Picnic at the stadium from 10:30 a.m. – 1:00 p.m. Seniors will be dismissed from school at 1:00 p.m. on May 18th. Seniors that choose not to participate in the senior picnic must follow school procedures by submitting a note to the office to leave early. At the senior meeting on April 17th, Mr. Coury reviewed with the seniors the behavioral expectations for the last day of school. Please note that all seniors are expected to follow all school rules during senior activities and during the remaining weeks of school. Prom & Grand March

DATE: Saturday, May 19, 2018 TIME: Grand March 6:00 p.m. to 7:00 p.m. @ CHS Auditorium Prom 7:00 p.m. to 11:00 p.m. WHERE: The Tangier 532 W. Market St. Akron, OH 44303 THEME: Masquerade – A Night of Mystery WHO: All Copley High School seniors and their prom dates are invited to attend. Each couple or single must submit the Prom Responsibility Statement (given to seniors at the April 17th senior meeting and available online and in the Main Office) at the time of ticket purchase. All dates who do not attend Copley High School must complete the appropriate section of the Prom Responsibility Form with their school principal’s signature. TICKET SALES: Prom ticket sales will take place during lunch mods from April 30th – May 4th. Tickets are $65 each or $130 per couple. Dinner tables seat 10 people and should be determined prior to purchasing your tickets. Groups of fewer than 10 may also request to sit together, and the table will then be filled with other attendees. Cash and check (made out to Copley High School) are the only forms of payment accepted. ATTIRE: The Prom is a formal dance, and we trust our students to dress and act with respect and dignity. With the exception of strapless dresses, school dress code policies apply at all times. Dresses that overly expose cleavage, have slits extending above mid-thigh, or are otherwise immodest will not be allowed. Shirts must remain buttoned and tucked in. Suggested apparel are formal dresses and suits/tuxedos. Students who arrive at the dance dressed inappropriately will not be admitted. Students who alter their dress after entering the dance will be escorted out. If you are unsure about the appropriateness of a certain item of apparel, call us. We will be glad to offer advice-better safe than sorry!

Parents Who Host Lose The Most “What Parents Should Know”

Underage Drinking Laws:

• As a parent, you cannot give alcohol to your teen’s friends under the age of 21, under any circumstances, even in your own home, even with their parent’s permission.

• You cannot knowingly allow a person under the age of 21, other than your own child, to remain in your home or on your property while consuming or possessing alcohol. If You Break The Law:

• You can face a minimum sentence of six months in jail and/or a $1,000.00 fine.

• Others can sue you if you give alcohol to anyone under 21 and they, in turn, hurt someone, hurt themselves, or damage property.

• Officers can take any alcohol, money, or property used in committing the offense. Things You Can Do As A Parent:

• Refuse to supply alcohol to anyone under 21. • Be at your home when your teen has a party. • Make sure that alcohol is not brought into your home or property by your

teen’s friends. • Talk to other parents about not providing alcohol at other events your

child will be attending. • Create alcohol-free opportunities and activities in your home so teens

feel welcome and report underage driving to local law enforcement. The Facts:

• It is illegal to host or allow teen drinking in your home. • It is unhealthy for anyone under age 21 to drink. • It is unsafe and illegal for teens to drink and drive. • Parents can be prosecuted under the law. • Everything associated with a violation, such a personal property, can be

confiscated.

Senior Exams & Exam Exemption Seniors may be eligible for a second-semester exam exemption provided that they meet certain academic, attendance, and disciplinary requirements. Namely, seniors must: 1. Obtain a minimum 80% average in Quarter 3 and a minimum 80% average in Quarter 4 for each class in which an exemption is sought. 2. Students must not accumulate more than 12 total absences (both excused and unexcused) for the second semester. This includes half-day absences. For example, a student who misses 10 full school days and 6 half-days would have accumulated an equivalent of 13 full day absences and thus be ineligible for exam exemption. 3. Students must not receive any In-School Alternative Placement (ISAP) or Out of School Suspension (OSS) consequences. Please note that exam exemption is a privilege that is earned. Students who fail to meet the above requirements will not be eligible for exam exemption. Additionally, students who receive ISAP or OSS consequences as a result of a violation of the student code of conduct will also be ineligible for the exam exemption privilege. Seniors were made aware of this policy at the beginning of the second semester and announcement reminders have been made weekly. Exam exemption forms were included in the packet that was given to all seniors at the April 17th senior meeting and are available online and in the Main Office. Those seniors that do not meet the exemption requirements will take their final exams during regular class times on Tuesday, May 22nd & Wednesday, May 23rd. Failure to report to a required exam will result in a failing mark for the semester.
