“89% of business managers believe their employees need 24/7 access to core business systems to implement their business strategy.”- “Cloud for Business Managers: The Good, the Bad and the Ugly,” an independent research report by Dynamic Markets, commissioned by Oracle

Collaboration is key.

If you want to stay competitive in today’s fast-paced world, it’s critical that you and your team can access and exchange up-to-the-minute information wherever you are, whenever you need. Consumer-level collaboration and file-sharing options have crept into the workplace, leaving your company vulnerable to security breaches and compliance problems.

The challenge is to allow people to share information, participate in discussions, and access their files while constantly on the move, effectively and without compromising security.

Oracle Documents Cloud Service is an enterprise-level collaboration platform available in Oracle Cloud that connects people and information. Built for the enterprise from the ground up, it offers robust security and integration options, while at the same time focusing on easy-to-use collaboration optimized for social and mobile use.

Security first.

Working in the cloud shouldn’t come at the expense of security. With Oracle Documents Cloud Service, you can access your files and conversations without the risk associated with consumer products. Enterprise-class encryption, multi-tenant architecture, detailed analytics and auditing, permission controls, secure links, and automatic backups keep your information safe.

Your data and documents are completely isolated and secure, with separate database schemas and identity domains for each tenant. For additional security, Oracle Documents Cloud Service supports strong encryption, both at rest and in transit. Individual users can also set more granular security on specific files and folders to control access to critical documents.

A shared identity domain management (IDM) system makes it easy to grant, revoke, or change access across the enterprise.

On mobile devices, the apps support passcode and iOS Touch ID protection, and all files downloaded to the device are encrypted.

Web BrowserUse your favorite web browser to work with all the files you need or to engage in conversations with others. There’s nothing to install, and the intuitive user interface means more people will use it and be productive, right from the start.

DesktopThe desktop app for Windows or Mac synchronizes your files between the cloud and all your computers, even with multiple Oracle Documents accounts. You can also get automatic notifications about the conversations you track. And if you’re using Microsoft Office, there’s a quick access menu and Outlook add-in that let you work with Oracle Documents features directly in those applications.

File sharing with peace of mind.

You don’t work in a vacuum. You need to share information and files with others, but you want only the right people to see it. With Oracle Documents Cloud Service, you can. You can create links to your files from your web browser, desktop client, mobile app, or even Microsoft Office applications, and send them to everyone you work with. You can also share entire folders by adding members, who can then access everything in that folder.

You decide what people can do with your shared content. You can allow documents to only be viewed or you may decide people should be able to edit them and upload new versions. When collaborating with partners and outside vendors, you can provide secure public links to files so everyone has the right level of access.

For added security, you can create links that expire automatically after a certain period of time or protect them with an access code. And if you are working on content that should never be exposed publicly, you can disable public links for any folder altogether.

You can also maintain oversight by monitoring who accessed which shared files and when.

Let’s have a chat.

Oracle Documents Cloud Service lets you and your team collaborate effectively. Real-time, online discussions with all the right people help you get the job done, even from your mobile device. Everything that’s part of the conversations—discussions, files, annotations—is stored, so you have a full history for later use or review.

You can start a conversation on any topic, adding files as needed. Or you can start a conversation about a specific file or folder, letting you quickly and easily get feedback. You can add comments to a file with various annotation tools—highlighting specific text, adding a pin to a section, or drawing directly on the document.

Not all conversations are for everyone’s eyes. You can make conversations public, private (members-only), or even one-on-one, so only the right people have access to the information.

And if you want to get someone’s attention, you can flag them so they’re notified or requested to reply. You can also set up notifications for yourself when the conversations you’re following change or when someone flags you.

Extend your applications.

Oracle Documents Cloud Service can be integrated directly into applications for easy and effective collaboration and content access across your organization. For example, your sales portal could associate each sales opportunity with its own shared folder and conversations in Oracle Documents to give your sales team quick, easy, and contextual access to the latest content and discussions. No more outdated or missing information when you need it.

When integrating with Oracle Process Cloud Service, you can automate business-driven, company-specific processes, such as employee onboarding or IT service requests, and incorporate those processes into Oracle Documents.

With Oracle Sites integration, your users can easily create and publish content-rich micro-sites and communities. All site assets stay secure in Oracle Documents, always current and timely. You can also add your own custom applications using Application Integration Framework (AIF).

When Oracle Documents Cloud Service is used with Oracle WebCenter Content, you have a truly comprehensive hybrid enterprise content management solution, with a unified ECM infrastructure and security from a single vendor.

Integrate

As an Oracle Platform-as-a-Service (PaaS) offering, Oracle Documents Cloud Service works seamlessly with other Oracle Cloud services. And the developer platform lets you integrate your custom applications through embeddable user interfaces and REST APIs.
