INTRODUCTION
Document Purpose
This document outlines the new features and changes in ConnX V5.2.
Audience
This document is intended for existing clients with ConnX V5.1 SP3.
Background
This release includes changes made since ConnX Version 5.1.12780 (20170731). Please
refer to the Release Notes provided with that release for a complete list of changes.

1.0 NEW FEATURES
1.1.1 ConnX User Interface
We have implemented some underlying technology improvements in relation to the
user interface. For example, we’ve updated our third-party user interface controls, such
as grids, rich text editors, date pickers, etc. Generally speaking, you should not be able
to tell the difference between the old and new controls, but the changes mean that you
will have a better experience in the future.
1.1.2 ConnX Business Intelligence
There is a new business intelligence report available for ConnX BI called
“Employee Timecard Interpreted Transactions”. A new view has been created to include
the timecard information.
1.1.3 ConnX Careers and Apply with Seek
If you use the ConnX Careers platform, you now have the option of adding an
Apply with Seek button onto the application details page, as can be seen in the
sample screen below.

This button allows candidates applying via your ConnXCareers site to extract data from
their personal SEEK profile to pre-fill the application form.
Additionally, having this integration point now meets one of SEEKs pre-requisites to
allowing organisations to have a SEEK Link Out account (bear in mind that SEEK also
imposed additional conditions to getting this as well). A SEEK Link Out account allows
you to see your vacancy posted on SEEK and press the Apply button and instead of
filling in your data on the SEEK website, it will re-direct you to your ConnXCareers
website and the candidate can apply there.

2.0 CONNX BASE ESP SYSTEM (ALL CLIENTS)
2.1 General
2.1.1 Logging into ConnX
Unrestricted system administrators now see the licence warning message when their
licence is due to expire even if they are using single sign on to access ConnX.
2.1.2 System Notifications
Made some changes so that ConnX now sends notifications to email addresses which
contain special characters (e.g. an apostrophe).
The approval and distribution list notifications for Visas now shows the employee name
and code, previously showed the code only.
Updated the email and system notifications when withdrawing a leave application so
they are easier to read and show the most important details more clearly.

2.2.1 Widgets
Fixed a problem where Internet Explorer did not correctly show a vertical scroll bar on
all widget panels.

2.3 My Details
2.3.1 Qualifications
My Details > Qualifications
The Course Details and Institution fields are now shown correctly in the webgrid.
Previously in some situations the fields of the first record were being display on all
records.
2.3.2 New Leave Application
My Details > Leave Details > Leave Application – New
Made some further improvements to the new leave application process when running
on slow internet connections so that the Leave Relationship field correctly displays
when necessary.
Improved the validation of the hours off fields for part day leave application so that
they must be greater than zero.
The Total Hours Off field will now auto calculate and populate after you enter a Start
Time and End Time on a part day leave application.
2.4 My Team
2.4.1 Disciplinary Events
Resolved an issue where the user could not select or clear the
Employee Can View this Disciplinary Event checkbox after the event was first
recorded.
2.4.2 Work Schedule
My Team > Work Schedule
Resolved an issue where you could not make changes to the work schedule data in the
first cell of top row if it was a public holiday.

2.5 HR Admin
2.5.1 Perform Import
HR Admin > Perform Import
To improve speed and ensure consistent data, we now clear relevant employee leave
balances (except RDO balances) before re-importing them from Sage MicrOpay payroll.
Fixed an error that occurred if the Payroll Import Settings for Cost Accounts or Pay
Classes were set to Auto Accept in Use and you were importing from Sage MicrOpay
with new Costs Account items or Pay Class items.
2.5.2 Perform Export
HR Admin > Perform Export
Resolved an issue where leave applications from a previous pay period where included
in the export file when you performed the same export a second time.
For Timecard employees, resolved an issue where a timecard was not always flagged as
Completed after the export if the timecard had zero hours for an AutoPay employee.
2.5.3 Process Leave Applications
HR Admin > Process Leave Applications
Fixed an error that occurred when you made changes to the Hours Off field while
processing an RDO leave application.
2.5.4 Process Requests
HR Admin > Process Requests
Further speed improvements have been made when setting the Request Type filter as
“[All Requests]”.
Resolved a display issue in the popup screen when viewing a custom workflow form
which included a date and time field and the time component was not filled in.
Resolved an issue where the Process button was not available for requests related to a
Notice of Resignation or Retirement. Can now Process this workflow form and open
the Employee Separations page correctly.

2.5.5 New Starter
HR Admin > Manage New Employee
You can now add, edit, and save Bank Names up to 100 characters long.
If importing a new employee record from an onboarding system (or other third-party
system) using the ConnX Web Service, any date fields being imported which are blank
are no longer being set to the default date of 01/01/1900.
When creating a new user account, the employee code is now verified as part of
workflow approval and denied if it already exists in the system.
2.5.6 Maintain Employees
HR Admin > Maintain Employees
You can now open multiple tabs/windows to make and save changes for different
employee records. When you complete making changes, simply click the Save button
on each tab/window before closing that tab/window, and then go on to edit the other
records.
2.5.7 Setup Regions
HR Admin > HR Admin Settings > Regions
Resolved an issue where you could not assign a region if you were grouping items on
the webgrid.
2.6 Admin
2.6.1 Disciplinary Event Notifications
So that user defined fields can be included in Disciplinary Event notifications, we have
added the Include in Notifications field for when you configure the UDFs via Admin >
Settings > User Defined Fields.
If you wish to enable this feature, please edit your UDFs and turn it on.

2.6.2 Permission Settings
Admin > Settings > Permission
Added a new permission setting to control whether Supervisors or Managers can see
the disciplinary events for employees of the same Access Level or below.

Reviewed and updated all pages that display salary and rates to ensure that HR Admin
and Admin permission settings apply correctly throughout ConnX.
2.6.3 Employee Rule Set Group Assignment
Admin > Leave > Employee Rule Set Group
Resolved an issue where you could not unassign an employee from a Rule Set Group in
some instances.

3.0 CONNX MODULES
3.1 Award Interpretation
3.1.1 Timecard Entry
Timesheets > Timecard Entry
When employees are configured with paygrade changes by cost account, ConnX now
includes the pay grade change for manual entitlements that are not evaluated by the
Award Interpreter.
3.1.2 Schedule Difference Rule
The Exceed Schedule Duration Rule can now trigger for employees who have a
work pattern with the “Enter Hours Per Day” or “Contract Hours” as the Hours Source.
Previously worked only on work patterns with start and finish times.
3.1.3 Public Holiday Not Worked Rule
Fixed an issue where the Public Holiday Worked Rule created a new work interval after
a break when the employees’ work pattern went past midnight.
3.1.4 Assigning Timecard Export Templates
Admin > AIR Admin > Export Settings > Assign Export Template
For new employees, you can now correctly use the employees hired date as the
Effective From date when assigning and know that transactions for that employee will
be exported in the appropriate pay period.
3.1.5 Permission Settings
Admin > Settings > Permission
Made a change so that the Dollar Values setting (in the Interpreted Results Grid) is
always visible to the users that have permission to see it. The Dollar Values (in
Interpreted Results Grid) setting has been removed from the Permission Settings Page
(Admin > Settings > Permission).

3.2 Business Intelligence
3.2.1 New “Employee Timecard Interpreted Transaction” Report
There is a new business intelligence report available for ConnX BI called “Employee
Timecard Interpreted Transactions”.
To access the new report:
1. Open ConnX > Reports > View Dashboard.
2. Select the Browse tab.
3. Type the report name (i.e. Employee Timecard Interpreted Transactions) directly
into the Search Content field, and press Enter, or open the ConnX/Timesheets
folder.
4. Click “Employee Timecard Interpreted Transactions” to open the report.

3.2.2 Changes to the Employee Details View
Made several changes to the Employee Details View:
- The Leave Applications section now has the following additional fields available
for your use: Start Time, End Time, Hours Start, and Hours End fields.
- The Employee Positions Current, Employee Positions Historical, Employee
Positions Last Assigned sections now have the following additional fields for your
use: FTE Hours Per Week.
- Added the Period End Date (Pay Frequency Group) and Manual Entitlements to
the filter sets.
3.2.3 Accessing ConnX BI in multiple web browsers
Resolved an issue where a user could not use ConnX BI when they were logged into a
different instance of ConnX (for example, using a different web browser). Now all other
sessions are closed whenever the user logs in.
3.2.4 Importing the BI File
Note that after importing a BI file (containing updated BI views and BI reports, generally
used for upgrading the BI module) via Reports > Report Administration, the cached
filters are automatically refreshed the next time the BI service polls. This normally starts
a few minutes after the import has completed and may take up to half an hour to finish.
This process can use all the server resources and may impact the performance of the
server. Therefore, it is highly recommended that you import the BI file when the server
is not used by other systems or applications.
3.3 ConnXCareers
3.3.1 Available Jobs and Expression of Interest
Vacancies are now visible all day up until 11:59:59PM (based on the ConnXCareers
server time) on the closing date. They will then become hidden after that.
When there are no vacancies published to ConnX Careers, a new message of "There are
currently no vacancies available at this time." now shows on the Available Jobs screen.

When there are no expression of interest vacancies published to ConnX Careers, a new
message of "We are currently not advertising any positions for Expression of Interest."
now shows on the Expression of Interest screen.
Removed some of the text that was under the Expression of Interest job because it was
too generic.
3.3.2 Privacy Notice
We've added a Privacy link to the footer of all pages in ConnXCareers. The link opens a
new tab with the privacy policy.
3.3.3 Applications
To increase speed and performance, when an applicant uploads a photo as part of the
application form, it is automatically resized to a maximum width of 300 pixels.
Cover Letter and Resumes that a candidate uploads are now validated to make sure
they are of a specific file type (i.e. doc, docx, pdf, txt, rtf, odt).

If a mandatory field is not filled in when a candidate attempts to submit their
application, the screen now re-positions them to the first mandatory field they missed.
Made some minor formatting changes to improve the display of screening questions
on the Application Form.
3.3.4 Submitted Applications
Fixed an error that occurred when using the pagination buttons on the Submitted
Applications screen. Added a new filter above the webgrid on the Submitted
Applications and Submitted Expressions of Interest screens.
3.4 Expense Claims
3.4.1 Setting up Expense Claims
Admin > Expenses Claims > Setting up Expense Claims
The Automatically enable Expense Claims for new employees setting now operates
as expected.
3.5 Learning & Education
3.5.1 Historical Class Enrolment
Learning > Historical Class Enrolment
Resolved an issue where the Employee filter disappeared when the user changed the
Document Upload method.
3.6 Mobile
3.6.1 Login Screen
The account suspension notification is sent only once to Administrators when an
employee fails to log in after the set number of failed login attempts.

3.7 Onboarding
3.7.1 Onboarding Configuration
Admin > Settings > Onboard Config
The Test Connection button is now only enabled once the configuration record has
been saved.
3.7.2 New Starter
HR Admin > Manage New Employees > Add a new starter record
When selecting the Onboard button it will now save the record and then send it to the
onboarding system.

3.8 Performance Reviews
3.8.1 Current Reviews
Performance > Current Reviews
The Summary screen at the end of the Review form now uses any custom labels for
participant roles that you have setup.
When adding a goal on the Review Form via the goal pop-up, the goal now correctly
saves as expected and you do not need to select Next or Save Progress on the main
screen.
Added the ability to delete a goal from the Create Goal Section on a Review Form.
Note that there are still rules that govern when a goal can be deleted. For example,
users cannot delete a goal here if it has already been approved.
3.8.2 Goals
Performance > Goals
Goals are locked, and changes cannot be made after the goal has been approved by
the employee and manager.
Removed the Delete button from the Edit window so that users cannot accidently
delete the goal after it has been approved.

3.8.3 Workflow Inbox
The user must select the Process button to approve goals. There was an issue where
goals were automatically approved when the user made and saved changes to a goal,
but this has been resolved.
3.8.4 Review Answers
You can now setup a Goal Review answer and use the same points for each item and
still have the goal review save properly in the Review Form. Previously you had to set
the points differently for each item within the same review answer. [test existing data

Performance > Extract Review Answers
When users export the contents of the webgrid to Excel:
- the file no longer contains any HTML tags.
- the file now includes the Section name and Question column.
3.9 Recruitment
3.9.1 Vacancy Noticeboard
Company Info > Vacancy Noticeboard
Resolved a display issue and now screening questions are correctly displaying on the
Vacancy Noticeboard.
3.9.2 Applications
Recruitment > Applications
Setting the applicant Status to Short Listed now increases only the Short Listed count.
Previously, the Interview count also incorrectly automatically increased by one.
The date that the application was created is now visible in the Activity panel if the
applicant record was created via the ConnX Process Applicant Service (e.g. from SEEK,
or another job board).

The date picker for the Date Received field now operates as expected when manually
creating an applicant record.
Resolved an issue where the qualification appeared twice on the Screening tab if an
applicant answered positively when applying via ConnX Careers.
3.9.3 Vacancies
Recruitment > Vacancies
There is a new link under the Apply URL textbox on the eRecruitment Details tab if
the vacancy is advertised on ConnX Careers. Users can click this link to automatically
add the vacancy URL to the Apply URL field.
Vacancies are now immediately removed from the ConnX Careers website when they
are deleted in ConnX.
Recruiters can now select the root node (or highest node) on the location tree for the
vacancies that are sent to ConnX Careers.
Updated the Locations used in ConnX so that they are the same as the locations used
by the latest change in the SEEK interface and vacancy details can be added without
causing an issue.

There are three new columns in the webgrid that Recruiters can use to filter
correspondence with applicants.

3.9.5 Setting up Recruitment

Special characters can now be used for stronger passwords in eRecruitment.
3.9.6 Media
Recruitment > Media
You have the option to set up three different interfaces when you want to automatically
post vacancies online: ConnX Careers, Seek, and Broadbean. You can use the
Broadbean interface to post vacancies to other job boards.

3.9.7 Removing Old SEEK API Interface Log Records
To maintain system performance, there is a new CAP process for deleting Seek API 2017
media vacancy logs older than a set number of days. You will need to go to Admin >
Settings > Automated Process Scheduler to review and update the process
configuration.
