AAP Overall Instructions

1. Use the link posted on the website (https://www.phideltachi.org/page/AAPComponents) to access the online platform for each month’s report.

a. Use the same Chapter Login ID and Password that you use to login to www.phideltachi.org that belongs to your Chapter Advisor. PLEASE DO NOT USE PERSONAL LOGINS TO COMPLETE AAP REPORTS.

b. If you are unable to obtain this information or are a colony and need a login please contact [email protected].

2. Complete the items in each month’s report and Save/Finalize to submit to the AAP Administrator.

3. Once submitted through the online platform, email the completed report (PDF of online submission) to the following contacts:

4. Save a copy of the completed report for your chapter records.a. You may need to refer to this report at a later time.b. It may be useful to have a copy available when completing this report in the future.c. Consider saving in WC email Google Drive or central chapter account

5. **COVID-19** If your chapter has difficulties following report instructions due to limitations from COVID-19, contact your Regional Correspondent for assistance.

Due Dates: In order to receive full credit for the reports each month, the report must be submitted through the online platform by 8pm Eastern Time on the last calendar day of each month.

Extensions/Late Submissions: ● Each Chapter is allowed two 7-day extensions per year.

○ Only one extension may be used per month.● Extension requests are processed through the online portal. In order to receive an extension

for a particular month, fill out the following form ON OR BEFORE the original due date: https://phideltachi.secure-platform.com/a/solicitations/56/home (also found on the National website).

● Once you receive your extension request confirmation email, you must also forward it to your Regional Correspondent for their information.

● Reports received past the deadline without an extension will be given half credit. This is strictly enforced.

Checklist Directions:Below (page 7 of this document) is an outline of all of the items that are contained within each report.

● Each item has an allotted point value and a suggested project leader for that item. ● WC’s should be facilitating the completion of AAP reports by communicating the needed content of

each report’s items to the Brothers. ● It is advised that the WC educate Brothers about the AAP and Thurston to engage all Brothers in our

programs.

2021-2022 Achievement Award Program General InformationThe 2021-2022 AAP is a total of 109 points (with 9 bonus points) within the Achievement Award Program. A chapter must receive at least 100 total points in order to receive the Dale W. Doerr 100% Achievement Award and be eligible for the Thurston Cup.

The 2021-2022 AAP cycle runs from August 2021 to May 2022. June and July are the only two months without an AAP report.

Phi Delta Chi’s Achievement Award Program is a non-competitive program involving the submission of chapter reports covering a variety of subjects. Its purpose is to…

● Promote chapter correspondence with the National Office● Encouraging communications between chapters● Improve the chapter’s relations with their alumni● Provide a framework for chapters in upholding the ideals of Phi Delta Chi

The extent to which chapters respond to the requirements of the program indicates not only the efficiency and activity of the chapters, but also the responsibility that the Brothers of Phi Delta Chi are willing to assume.

The Achievement Award Program recognizes those chapters that keep the lines of communication open throughout the year. It is not a competitive award like the Emory W. Thurston Grand President's Award. The Thurston Award recognizes exemplary achievement in many areas. The Achievement Award honors consistent participation in the national Fraternity and is available to every chapter to earn 100% each year.

In 2018, the collegiate Chapter Standards were incorporated into each month of the Achievement Award Program to emphasize the importance of each in the operations of a chapter. Consistent reflection upon the chapter’s performance based on the Chapter Standards is key to building a strong chapter and maintaining chapter excellence year after year.

Certificates are awarded to the chapters completing 100% of the Achievement Award Program. The Achievement Award Program certificates will be presented at the next Grand Council or Leader-Development Seminar. The Emory W. Thurston Grand President’s Award, based on items turned in during this year’s Achievement Award Program, will be announced as well.

ColoniesPhi Delta Chi colonies are expected to participate in the Achievement Award Program in the second month after their pinning date. For example, if a colony is pinned in January they are required to complete the March report and all reports thereafter. Colonies will receive credit for items that they cannot participate in such as formal meetings. The computation of their Achievement Award points will be based on the start date of their participation for award purposes.

Emory W. Thurston Grand President’s AwardThe Emory W. Thurston Grand President’s Award, better known as the Thurston Cup was established in 1974 through a generous gift from past Grand President Emory W. Thurston (Omicron). The Grand President's Award is given to the chapter that best promoted the profession of pharmacy and Phi Delta Chi fully during the preceding year. Each Thurston Report is judged by the Grand Officers, Regional Officers, and distinguished Brothers and is worth 20% of the chapter’s overall Thurston Cup score. The top five chapters for each Thurston Report are recognized at the annual banquet that occurs either at Grand Council or Leader- Development Seminar and will receive monetary scholarships. The chapter with the highest combined score receives the Thurston Cup, the highest honor for a collegiate chapter in the fraternity and will also receive the Corey Excellence Scholarship. Awards for each of the Thurston Reports are listed below:

RubricsThe rubrics are a great resource to help your chapter improve its Thurston scores. We will be using the previous year’s rubrics (2020-2021) for the upcoming year as well. Check out the rubrics here!

Helpful Hints: Chapter Operations

● Use the Achievement Award Program to plan your entire year. A good time to do this is during the Chapter Retreat.

● Save and file one entire set of this Achievement Award program in a centralized database.● Consider creating a Worthy Correspondent succession document for your successor. This can include

responsibilities, areas for growth, and who to contact for certain items.

Delegation● Assign individuals to complete each of the items

● Update all Brothers on AAP scores once a month using this document.● Delegate work on bigger projects (e.g., Chapter Publication) and use the suggested Brothers as

indicated in the checklist. No one Brother should be overwhelmed with too much responsibility.● Fill out the project leaders’ section (for the entire year) of the checklist.● Give the assigned chairperson a copy of the report to be filled out well in advance.● Empower the chairperson of each project to fill out their assigned report to submit to the WC, who may

serve as the final editor of the report.● Distribute major reports (i.e. Thurston Category Submissions) to the chapter prior to submitting to the

AAP Administrator to ensure accuracy and to allow all Brothers an opportunity to contribute.● Use the Word document as a worksheet to help delegate and collect information for each monthly

report. Submit using the online link. Save a PDF copy of your submission and send it to your Chapter Advisor and Regional Correspondent.

○ When emailing the PDF please include your chapter name and the month of the report you are submitting in the subject line (ex. Beta Chapter March Report).

Time Management● Work on items in advance. Just because an item is due in April, doesn’t mean it can’t be finished in

October and then later reported in April.○ For example, a chapter that conducts recruitment and candidacy in the fall semester might

choose to hold its Chapter Recruitment and Education Debrief Meeting in November even though it is a March AAP item this year. The chapter would submit its report about the debrief meeting as part of the March AAP report even though the meeting itself occurred in November.

● Look ahead from time to time to see what is due and plan your chapter activities accordingly.○ Certain items (i.e. conference attendance, retreat, etc.) might require more time for planning.

● Begin each Thurston report/worksheet at the beginning of the month and space out the report throughout the month.

Communication● As part of the WC Officer Report of each Formal Meeting, be sure that the chapter is informed of what

is being turned in to the National Office.● Share your reports with your alumni in order to help engage them in your chapter operations.● Communicate regularly with your Regional Correspondent. Ask questions if you have any problems or

would like tips on how to improve your reports for the upcoming year.

Maximizing AAP Points● Late submissions are still valuable to your chapter and the National Office – Better late than never.● Complete every item, including bonus items, to ensure that a lost point or two throughout the year does

not get in the way of your chapter earning a 100%.● One-week extensions can be used twice per year. Two extensions cannot be used in the same month.

AAP/Thurston Logistics● If including an image of the crest or logo in your Thurston reports, please use the official images found

under Resource Library at www.phideltachi.org.● Familiarize yourself with the online portal that we will be using throughout the year.

Each month of the AAP will highlight one Collegiate Chapter Standard to allow the chapter to continuously reflect upon these standards. There is an associated Chapter Standard item each month that serves as an actionable item to facilitate the chapter’s excellence in the Chapter Standard of the month. In the formal meeting for each month, the WC should present the Chapter Standard of the month, and present on the information submitted in the Chapter Self-Evaluation (see September Report). The WC should facilitate a conversation to discuss the ways the chapter is meeting the standard and brainstorm opportunities for improvement.

Summary● The AAP is the non-competitive framework for each chapter, while the five Thurston items within the AAP are

graded by Grand Officers and Regional Officers for quality. ○ The five Thurston items are the Chapter Publication, Scholarship Report, Leadership Report, Brotherhood

Report, and Professional/Service Projects Report.● Each month’s AAP report is due by the last day of each month (8pm Eastern Time). June and July do not
