SYNOPSIS

This software system name “CD Shop Management” is developed for “CD GALLERIA”.

The management previously used to store data manually in registers and also sometimes in this would involve a lot of time and money. The main focus of this new system in on reducing the cost as well as time and labor involved.

The ‘CD Shop Management System’ makes use of the technologies such as Visual Basic 6.0 on the front end and Microsoft Access in the backend. These technologies are used as they are user-friendly and can easily access the database.

The advantages or the problems overcome by the System are:

The user interface has become more interactive.

Previously the report making was a tedious task. With the use of this software the problem is solved.

Since the System is automated the administrator does not have to manually check for the papers.

Searching a document previously was a difficult task but now it is quite easy.

Previously data which was stored could not be edited but now editing is possible.

Most tedious job of maintaining Product stock is solved.

All system has some flaws but the creators of ‘‘CD Shop Management System” has tried to overcome all the difficulties and fulfill the expectations of the user. In spite of the some shortcoming the system has good quality to perform well in future.

INTRODUCTION

ABOUT ORGANISATION

The CD Shop CD GALLERIA is designed to maintain the CD details and other CD transaction with ease and on a click.

The main intension behind starting this CD shop is to provide CD’s of any kind(eg.related to Movies,Musics etc.) to the Customer.

This Project concentrates on overall transaction in the CD Shop and takes care of Customer and employee details.

Thus the prime goal of the CD shop is to provide CD’s of various category including Educational CD, Music CD, Movie CD etc. to the customer and maintain their details in proper manner and to achieve satisfaction in the work.

EXISTING SYSTEM

The existing system of ‘CD Shop, CD GALLERIA’ has some drawbacks, like every thing had to be arranged manually.

CD Shop is the place where you get various CD’s related to Education, Movies, Musics etc.

Process Involved in the existing system

1. Customer requirement information (e.g. CD Name etc) is manually entered and maintained in a register by employees.

2. Employees keep track of CD details on the basis of some numbers assigned to CD’s.

3. The customer then selects the desired CD according to the availability of stocks.

4. The products detailed information is also maintained in a register for further supplier process.

5. After purchasing the CD, the customer asks for a bill and for this hand written bill is provided.

Process Flow of Existing System

1. When the CD Shop opens employee enters his/her name in the register.

2. When the customer comes in the Shop, the employee enters his requirement details (e.g. CD Name etc) in the register.

3. After submitting the requirement details to the employee, the customer is provided with the desired CD.

4. When the Customer gets the CD, he/she then have to pay accordingly and a bill is provided.

5. Depending upon the CD’s cost price, charges are calculated by the employee manually.

6. The user pays that much amount and leaves the CD Shop.

Limitations of the Existing System

The current system has several shortcomings that are as follows:-

1. Work done manually is very time consuming as the routine work causes loss of interest.

2. The rate at which the work done is very slow.

3. Security factor is looked upon because in this system any one can manipulate data on there accords.

4. Lot of manual work is involved which is hectic and cumbersome.

5. Human errors threat is also there in terms of calculations.

6. Reports were not generated.

7. Huge amount of paper work.

8. Maintaining records in files is tedious job.

PROPOSED SYSTEM

The existing system had many drawbacks. So it was decided that a system should be designed so that it is user friendly and computerized.

The proposed system gave much help to the user as many of their problems were solved

Process Involved in the Proposed System

.1. Storing all the customer’s requirement information and other transaction.

2. Procedure to generate detailed reports and charges information.

3. Maintaining overall information record for all the regular and new customers in the CD Shop.

4. Payment of the customers .

5. Maintaining details of all the transaction happened .

Features of the Proposed System

The proposed system provides following features:-

1. Data entered into the computer is more secure than the data in the registers.

2. The records are accumulated automatically and charges are calculated at a single click.

3. System gives interactive interface to the user.

4. Utilization of time and money is efficient.

5. Less paper work since all the information is maintained in MS-Access.

6. Reports are also generated.

7. Adding, Updating, Deleting records could be performed on same interface.

8. The system designed would help the user to sit at place and get all information and get the work easily done within limited time.

Advantages of the Proposed System

The proposed system provides following features:-

1. The new system would easily overcome most of the short coming of the current system.

2. The rate at which the work is done is fast.

3. Easy search on various items.

4. It maintains the entire details of the users.

5. The details can be added or deleted by the owner.

6. Owner can see all the details of the users and employee.

7. Owner can see the fine report.

8. It maintains every transaction.

9. Not much manual work is involved.

10. It will provide adequate throughput and response time.

OBJECTIVES OF THE PROJECT

Every project has a well defined goals, objectives and scope. The goals specifies the long term objectives to be achieved while the objectives specifies the short term commitment for the project to be properly completed in time whereas the scope specifies all the areas to be covered by the project.

The goals of the project are to satisfy the needs of the warehouse management as well as the extent possible. The needs may be the one’s expressed by them or the hidden ones.

Following are the needs of the “ CD Shop Management System ” that are to be achieved by this project:-

1. Implementation of the organization’s specific policies.

2. Adding, updating, deleting and browsing user information.

3. Retrieve any bill at any time.

4. Generating monthly, daily and yearly report.

5. Provides security

6. To reduce their paper work and time.

7. Need not maintain files and papers.

8. Keeping the Customer’s requirement and information with an ease.

FEASIBILITY STUDY1. Technical Feasibility :

a. The technical feasibility is the hardware and the software to be installed in the

proposed system, which is already available in the CD Shop.

b. The new system does not require any additional hard wares.

c. The operating system has the capacity of holding the data for the proposed system.

2. Operational Feasibility :

a. The proposed system is designed considering the knowledge of the direct users

about the computers.

b. The system is studied according to the user’s requirement.

c. The system is designed such a way that a person is aware of the system and can

run it through the menu driven facility, which will provide the adequate throughput and response time.

d. A nonprofessional can also be able to operate this system

Front END : ABOUT VISUAL BASIC

When Visual basic (VB) first appeared, it created a revolution in Windows programming and that revolution continues to this day. In time Visual basic has gotten more complex as well as more powerful.

The great advantage of VB is it saves considerable time and changes can be made in placement of the controls simply using the mouse.

VB is designed to allow the programmers to develop application that run under the Windows without the complexity generally associated with window programming.

VB uses the concept of forms, controls, events, properties, method and so on. The structure of program includes variables, variable scope and modules.

Some of the features are:

Visual Basic is a event – driven language

Visual Basic is not a language but primarily and integrated Interactive Development Environment(IDE)

Visual basic is a powerful Windows based application

It provides comprehensive interactive and context sensitive online help system.

Reports are generated because of Data Reports.

Additional controls like Active X controls are supported by VB. ActiveX controls as ADODC, MSFLEX GRID, WEB BROWSER, STATUS BAR and DTPicker etc.

BACK END : MICROSOFT ACCESS

MS-Access is relational DBMS (Data Base Management System). Access is database product which stores all information in table’s objects designed by wizard or users.

A database is a collection of data stored in different object such as tables, queries, form etc. It is widely available at low cost.

There advantages:

Gives a pervasive presence of production database, its design, implementation, and application developed skills are especially valuable.

Production database provides as prime database for decision supports database.

It species the facility of creating relationship between different tables.

It provides ability of editing tables once it is created.

Adding or deleting fields is possible at any time.

One important concept is hiding a field. Hiding field means no deleting that field but to hide it.
