Food Assistance Limit Functionality of Program Action Page in CBMS
Project 8022
The Basics
Eligibility workers are selecting “Withdraw” or “Cancel” on the Program Action page incorrectly, leading to incorrect or missing Notices of Action (NOAs) and increasing error rates.
This functionality will now be limited to county supervisors to decrease misuse.
This change will apply to Food Assistance, Colorado Works, and Adult Financial.
Program Action
The “Withdraw” and “Cancel” functionality on this page will only be available to those who have a new user type of “FA Program Action.” State security admins. must add this user type. Existing “Supervisor” users will receive this addition
automatically unless they are not county supervisors (e.g., MA or PE Site supervisors).
Important Note: Cancellation of expedite will not be impacted by
this change. The new user type is not tied to
Expedited Food Assistance
cancellations.

Create Ability to Update Incorrect Application Initiation Data Without
Canceling Application
Project 8070
The Basics
Eligibility workers will be able to
•Pre-populate an application from an existing case•Attach the application to a different CBMS case number•Inquire on a client from the Applicant Information page before creating an application•Correct data entry errors in Application Initiation (AI) even after Case Clearance has occurred
Application Initiation (AI)
As with any new case, a thorough inquiry should be done to ensure that the applicants are not household members in existing cases. The Clear/Inquire Individual page should be used.
If one or more of the applicants is found on another case during this process, a new AI can be created with that applicant(s)’ existing information.
Inquire on Case Information
Clicking this button will open the new Create New Application page.
The HOH will display and the field will be disabled.
Options are
based on security profile.
Select the Individual(s) here
Once saved, a new AI will open
New AI
The selected individuals and programs will auto-populate into a new AI.
Individual Clearance will not be required for existing individuals.
The AI can be modified and individuals can be added.
New AI
A message will display if the application date is 30 days from the date of data entry. “Entered application date is over 30 days from
today’s date. Review and determine if the date is correct prior to proceeding.”
A new button called “Inquire on Individual” will display. It will take
you to the Clear/Inquire on Individual page.
Program Action
A new grid will display called Application Program Summary.
Program Action
Applications will not be listed in the grid if
• Any HLPG has been authorized, cancelled or withdrawn• The user does not have access to authorize the application’s programs• A Verification Checklist (VCL) has been issued• The data entry began more than 7 calendar days ago• The application was created through Real-Time Eligibility (RTE)/PEAK Inbox
If an AI needs to be changed and Case Clearance has occurred, click the Application Correction button.
Program Action
A warning message will appear. If you want to make changes, select “Yes.”
Program Action
Clicking this button will allow the eligibility worker to make changes to current pending application(s) without cancelling the application. The button will take workers to the Application
Information page, which will no longer be locked down.
The corrections will impact all HLPGs on the application.
The worker may change, add, or delete data as needed.
The original application number will remain.
Case Summary
Application data will be populated in the grid. If an application was “disassociated” from a case number and re-assigned to a different case, the old case number will display as Cancelled with “Application Correction” as the reason.
