Policies&Guidelines

CONTRACTEDFUNCTIONSPACEPleaserefertoyourspeci iceventcontractwhichoutlinesthefunctionspaceandfeesforuseofspace.Shouldthegroupmodifytheircontractedfunctionspace,additionalfeesmayapplyandfoodandbeverageminimumsmayincrease.Groupswillbebilledforallfunctionspaceifnotreleasedandresold.FunctionspacescontractedbutnotscheduledforeventswillbereleasedonceBEOshavebeencreatedforaprogramunlessotherwiserequested.Sundancedoesnotguaranteeanyexclusiveorprivateuseoftheresort;groupswillhaveaccesstotheirimmediatecontractedindoorfunctionspaceonly.Sundancereservestherighttomodifytheresort,grounds,andanyofourfunctionspacesatanytime.Sundancequiethoursarefrom11:00PMto8:00AM.Groupswillbeaskedtoclosefunctionspacedoorsandturndownthevolumeofmusicafter11:00PM.Theabilitytohave iresinfunctionroomsandatoutdoorfunctionsisdeterminedbyHotel,underthedirectionoftheUtahForestServiceandthecolor‐codeburnregulations.

OUTDOOREVENTSSundancerequiresindoorback‐upweatherfunctionspaceforalloutdoorfunctions.Roomrentalsfortheback‐uplocationwillbechargedregardlessofusageofthespace.Sundancereservestherighttomakethedecisiontomoveanyoutdoorfunctiontoanindoorfacilityintheeventofinclementweatherorpredictedinclementweather.ThedecisionbySundancetomovethefunctionwillbemadetwenty‐four(24)hourspriortothestartofthefunction.STAFFINGSundancewillprovidestaf ingforyoureventsbaseduponthefollowing:One(1)serverper ifty(50)guestsforbuffetmeals,one(1)serverpertwenty(20)guestsforplatedmeals.Additionalbanquetservers,staff,orattendantsmayberequestedat$35perhourwithatwo(2)hourminimum.Chefattendants/carversare$150each(forupto2hours).Eventsthatgopast1:00AMorbeginpriorto6:00AMwillbebilledadditionallaborfeesof$200perhour.

CHARGESAtaxableservicechargeandUtahStatesalestaxwillbeaddedtoallcharges(food,beverage,AV,rentals,labor,etc.).Currentservicechargeandtaxesratesare:ServiceCharge21%,FoodTax7.75%,OtherSalesTax6.75%.Taxratesaresubjecttochangewithoutnotice.A$100minimumroomre‐setchargewillbeappliedtoroomsthatneedtobere‐setwithinthesameday,ortochangetheset‐upofaroomonceithasbeenset.Roomsmaybesettwenty‐four(24)hoursinadvanceandchangesmadeinsideoftwenty‐four(24)hoursmayincuradditionalfees.A$500deliverychargewillbeaddedtoalldeliveriesforcateredfoodandbeveragetoguestlodgingrooms.GUARANTEESThe inalguaranteedattendanceforallfunctionsisduefour(4)businessdays(MondaythruFriday)priortothe irstscheduledevent.Theguaranteeistobecalledoremailedintothecateringof icenolaterthan10:00AM.Ifa inalguaranteeisnotreceived,thecateringof icewillconsiderthelastnumbergivenastheguarantee.Sundancewillpreparefor3%overtheguaranteednumber.Thegroupis inanciallyresponsiblefortheguaranteednumberofguestsortheactualnumberofguestsinattendance,whicheverisgreater.Shouldagroup’sguestcountincreasebytwenty(20)ormoreguestsaftertheguaranteehasbeengiven,a$500surchargewillbeaddedtotheevent.Ifthe inalguaranteednumberofguestsexceedsthefunctionspacemaximumcapacity,theservicechargefortheeventwillbeincreasedto30%fortheentireevent.SignedBanquetEventOrders(BEOs),andeventresumewhenapplicable,arerequiredone(1)weekpriortothestartofanyfunction.IfasignedBEO/resumeisnotreceivedpriortotheevent,thelastBEOsenttothegroupwillbeacceptedasapproved.

CHANGES/DELAYSChangestoset‐up,foodandbeverage,orguaranteednumbersmadewithinforty‐eight(48)hoursofthefunctionaresubjecttoadditionalfees,minimumfee$50.Ifthegroupdelaysaneventmorethanthirty(30)minutespastthestarttimeofthefunction,Sundancewillnotberesponsibleforthequalityofthefoodorforpreparingadditionalfoodasreplacement.Thegroupwillberesponsibleforthepaymentofanyadditionallaborassociatedwiththedelayedstarttime.Sundancereservestherighttoreassignfunctionspace(s)withnoti icationinwritingtothegroup.

MENUS&DETAILSMenusandeventdetailsareduetoyourcateringmanageraminimumofthirty(30)dayspriortoyour irstfunction.Allfood&beveragesservedinSundancecateringfacilitiesmustbeprovidedthroughtheSundancecateringof ice.NooutsidefoodandbeveragemaybebroughtintoSundancecateringspaces.TheSundanceDelicannotdelivertoanycateringfacility.Allpricesaresubjecttochangewithoutnotice.Foodmenupriceswillbeguaranteedsixty(60)dayspriortothefunctions.Ifmenuselectionsarenotreceivedten(10)dayspriortothefunction,thebanquetchefwilldeterminethemenus.Foodselectionsmaynotbechangedinsideofseven(7)dayspriortothefunctionwithoutchefapproval,additionalfeesmayapply.Allfooditemsmaybeservedordisplayedforamaximumofoneandahalf(1.5)hours.Attheconclusionofafunction,allleftoverfoodisthepropertyofSundanceandmaynotberemovedfromthepremisesandwillnotbetransferredfromoneeventtoanother.Sundancewilldoitsbesttoaccommodatespecialdietaryrequestswithadvancenotice.Koshermealrequestsmustbereceivedfourteen(14)daysinadvance.Vegan,vegetarian,andotherdietaryrequirementswillbeaccommodatedforthemainmeal,fruitwillbeprovidedfordessert.Specialdietaryrequestsshouldbeprovidedalongwiththeguaranteedheadcount,four(4)businessdayspriortoeachevent.Shouldmorethan10%ofyourguaranteedheadcountrequireavegetarian/veganorothertypeofspecialmeal,Sundancewillrequireanadditionalentreebeofferedtotheentiregroupatanadditional$8perperson.

BARSERVICEAshosts,Sundanceisresponsibletomonitorthepotentialintoxicationofourguestsandwillregulatebarservicewhennecessarytoinsurethesafetyofourguests.Alcoholcanbeservedinprivatefunctionsdailyfrom10:00AMuntil1:00AM.Cateredfoodmustbeprovidedatalleventswithalcoholbeingserved.Allalcohol/liquormustbepurchasedthroughSundanceandservedbySundancebartenders.Sundancerequiresminimumsalesof$300perbar.Guestsmaynotleaveafunctionspacewithanalcoholicbeverageinhand.Guestsmustconsumeorleavetheirbeverageatoneevent/buildingbeforegoingtoanother.SundanceisnotabletoguaranteealcoholpricesorwineselectionsastheyaresubjecttochangeandavailabilitywithoutnoticefromtheUDABC.Allbar/wineordersmustbesubmittedaminimumoffourteen(14)daysinadvance.One(1)bartender,andcashierwhenapplicable,isrequiredforeveryforty(40)guests.Bartenders,cocktailservers,andcashiersarebilledat$35perhourwithatwo(2)hourminimum.GroupsusingmultiplefunctionspacesmusthaveseparatebarsandbartendersineachspaceSundanceliquorservingsizeisone(1)ounce.Wineispouredat ive(5)ouncesperserving.Sundancebartenderskeepabarinventorysheetforeacheventrecordingagroup’sconsumption.Thegroupcoordinatororadesignatedcontactmayreviewandsign‐offontheinventorysheetattheconclusionofthefunction.Ifthegroupchoosesnottoreviewthebarcontrolsheetattheconclusionofthefunction,thebeveragequantitiesandconsumptionmaynotbedisputed.

BANQUETEQUIPMENT,LINEN&RENTALSComplimentarytables,chairs,linens,andplacesettingswillbeprovidedforallevents,baseduponSundance’scurrentinventory.Anyadditionalorspecialtytables,furniture,chairs,linensandplacesettingrentalsmustbearrangedbySundance.Pleasespeakwithyourcateringmanagerforoptionsandpricing.Sundancewillprovideachoiceoflinenheldinourinventory‐cream,white,black.Complimentarylinensarenot loorlength.Specialtylinensareavailablewithaminimumtwo(2)weeknoticeandmustbearrangedthroughSundance.TentsforanyeventmustbearrangedthroughSundance.

DÉCORYourcateringmanagercanassistyouwitharrangementsforcenterpieces, lowers,specialtylinens,decorandentertainment.Decormaynotbeputanywherearoundtheresortotherthanin/atyourcontractedfunctionspace(s).Alldecor,materialsandequipmentmustberemovedimmediatelyattheconclusionofyourfunctionunlessyouhavecontractedorarrangedextendedteardowntime.Itemsleftformorethantwenty‐four(24)hourswillbediscardedunlesspriorarrangementshavebeenmade.ItisunderstoodthattheSundancepremiseswillbeleftinaneatandorderlycondition,freeofdebris,decorordisplayrefuse.Basedontimeandlabor,agroupwillincuradditionalchargesfortheremovalofthegroup’sdecor/materialsatanyevent,minimumfeeof$100.Sundancerequiresallcandlestobetoinahurricaneorcontainer.Sundanceprohibitstheuseofsparklersor ireworks.Pushpins,thumbtacks,nailsandstaplesmaynotbeusedonthewallsinSundancefunctionspaces.Onlyfullyremovable,non‐permanentproductsmaybeusedtohangonthewalls(i.e.plasti‐tak,painterstape,removableadhesivehooksorstrips).

SUBCONTRACTORSGroupagreestohaveanysubcontractedcompanies(e.g.destinationmanagementcompanies,musicians,decorators,productioncompanies, lorists,etc.)adheretoallSundancepoliciesandregulations.Itisthegroup’sresponsibilitytolettheirvendorsknowofallSundancepolicies.Thegroupisliableforanychargesassociatedwithdamagetothepremises.SubcontractedcompaniesandguestsmaynotparkvehiclesinfrontofSundancebuildings.Vehiclesmayloadinandoutforthirty(30)minutesandthenmustparkinapprovedparking.Vehiclesleftunattendedforlongerthanthirty(30)minuteswillbetowedattheowner’sexpense.

SundanceResortHoldforGuest:JaneDoe8841NorthAlpineLoopRoadSundance,UT84604AnyfreightorshippingchargesincurredasaresultofmaterialsbeingshippedtoorfromSundanceremainthesoleresponsibilityoftheguest.Freightorshippingrequiringadditionallaborwillbechargedaccordingly.Afeeof$5perboxwillbechargedforreturnshipmentthroughtheSundancePBXof ice.Afeeof$5perboxwillbechargedtodelivertolodgingunitsandcateringspaces.Shouldyouneedtoshipmaterialstotheresortmorethan ive(5)dayspriortoyourprogram,a$5perboxperdaystoragefeewillapply.

BILLINGGroupswillreceivetheirmasterfolioinvoicetentofourteen(10—14)businessdaysaftertheconclusionofthelastevent.InvoicesareemailedtothegroupcontactbySundanceAccounting.Uponreceiptoftheinvoice,pleasecontactyourcateringmanagerwithanybillingquestions.Finalpaymentisdueperthesignedcontractualagreement.

SECURITY/LIABILITYSundancewillnotassumeresponsibilityfordamageto,orlossofanymaterials,merchandise,oritemsleftinanyfunctionspacepriorto,during,orfollowinganevent.Theguestsacceptfullresponsibilityforanyandalldamagesorlossesincurred.

SundanceResortmaintainsasmokefreeenvironment.SmokingisnotallowedinanyofSundance’sconferencespacesorguestrooms.
