14

What is the schools attendance policy?

Regular attendance is an important aspect of education. Ab-sences result in low academic grades and unsatisfactory per-formance on practical grades. Not attending 67% of sched-uled classes is considered not making satisfactory progress in attendance . Poor attendance could result in loss of financial aid awards and/or termination.

Students are to inform the administrative staff of any unex-pected absences. If a student must leave the school during a regularly scheduled day of attendance, the administrative staff should be notified on a timely basis as to the reason and length of time the student will be absent.

If a student does not attend classes for 2 weeks, the student will be dropped. Leave of absences are available. Each stu-dent enrolled in Cosmetology should attend classes on Satur-days. Saturday attendance is necessary to complete the pro-ject requirements.

Tardiness is a disruption to classes; therefore, each student will be allowed to clock in 15 minutes after their scheduled begin-ning hour. If they are not able to clock in during the 15 minute grace period the student must clock in one hour past their scheduled times.

15

Are transfer students accepted?

YES! Students can transfer to Vincennes Beauty College from a previ-ously attended school. A transcript containing hours, grades and pro-jects completed must be received from the former school. All hours are accepted providing that the student can complete the course within a three (3) year time frame. Please note that due to the variations in school curriculums, each case will be handled individually as to the amount of hours needed to complete graduation requirements at this in-stitution. Vincennes Beauty College does not recruit students already attending or admitted to another school offering similar programs of study.

What financial aid is available for school?

Financial aid from the Federal Student Aid programs is award-ed on the basis of financial need. Pell Grants and Supplemental Educational Opportunity Grants (SEOG) are available if you qualify. Federal Direct Student Loans are also available to those students who qualify. These are low interest loans. After you graduate, the loans have a grace period of six months be-fore repayment of the loan begins. Should a student withdraw from school prior to graduation, repayment of the loan begins immediately as the grace period is void. Vincennes Beauty College is also approved for Veterans. To find out more, contact the Veterans Administration office near-est you.

What are the guidelines for withdrawing? A student may withdraw from the school by contacting the director. An exit interview form must be completed at this time. The effective date of withdrawal is considered to be the last date of physical attendance or in the case of a leave of ab-sence, the documented date of return. Any student having ac-quired student loans while enrolled must complete the loan exit information and is no longer eligible for the six month grace period.

18

What is the refund policy?

This refund policy applies to tuition and fees charged in the enroll-ment agreement. Other miscellaneous charges the student may have incurred at the institution (EG: kit materials, books, prod-ucts, uniforms, etc.) will be calculated separately at the time of withdrawal. All fees are identified in the catalog and in this en-rollment agreement.

If a Title IV financial aid recipient withdraws prior to course comple-tion, a calculation for return of Title IV funds will be completed and any applicable returns by the school shall be paid, as applica-ble, first to unsubsidized Federal Stafford Student Loan Program; second to subsidized Federal Stafford Student Loan Program; third to Federal Pell Grant Program; fourth to other Federal, State, private or institutional student financial assistance programs; and last to the student. After all applicable returns to Title IV aid have been made, this refund policy will apply to determine the amount earned by the school and owed by the student. If the student has received personal payments of Title IV aid, he/she may be re-quired to refund the aid to the applicable program.

COURSE CANCELLATION POLICY: If a course is canceled sub-sequent to a student’s enrollment, and before instruction in the course has begun, the school shall at its option; provide a full refund of all monies paid or provide completion of the course. SCHOOL CLOSING POLICY: If the school is permanently closed and no longer offering instruction after a student has e rolled, or if a program is cancelled after students have enrolled and Instruction has began, the student shall be entitled to a pro- rata refund of tuition.

What about a leave of absence? In the event a student finds it necessary to be absent from school for an extended period of time, he/she may request an official leave of absence from the institution.

The leave of absence must be submitted in writing using the insti-tutions Leave of Absence form in advance.

* When advance notification is not possible due to unfore-seen circumstances, such as a car accident and the student is injured and needs recovery time, the school will document the reason for not obtaining the advance notice. The school will obtain the request form at a later date. * The beginning date of the leave would be determined to be the first date the student was unable to attend the institution due to the accident. The leave must include the reason for the student’s request for a

leave. The student must sign the request form. The school will not asses the student any additional charges as a

result of the leave of absence. The leave of absence together with any additional leaves of ab-

The institution will extend the student’s contract period by the same number of days taken in the leave of absence. Those chang-es to the enrollment agreement are initialed by all parties.

Should a student not return for a formal leave of absence, the withdrawal date for the purpose of calculating a refund is always the student’s last date of physical attendance.

The student must remove all personal items from the school dur-ing a leave of absence. The school assumes no responsibility for these items.

What about student records?

Students’ Rights Vincennes Beauty College adheres to the privacy policy as stated in the Federal Law: Fami-

Students, Parents or Guardians of dependant minors have the right to inspect and review the student’s education records maintained by the school. Schools are not required to provide copies of records unless, for reasons such as great distance, it is impossible for students, parents, or guardians of dependent minors to review the records. Schools may charge a fee for copies.

Students, Parents or Guardians of dependant minors have the right to request that a school correct records which they believe to be inaccurate or misleading. If the school decides not to amend the record, the students, parents, or guardians of dependent minors then has the right to a formal hearing. After the hearing, if the school still decides not to amend the rec-ord, the students, parents, or guardians of dependent minors has the right to place a state-ment with the record setting forth his or her view about the contested information.

Generally, schools must have written permission from the students, parents or guardians of dependant minors in order to release any information from a student’s education record. However, FERPA allows schools to disclose those records, without consent, to the follow-ing parties or under the following conditions: School officials with legitimate educational interest; Other schools to which a student is transferring; Specified officials for audit or evaluation purposes; Appropriate parties in connection with financial aid to a student; Or-ganizations conducting certain studies for or on behalf of the school; Accrediting organiza-tions; To comply with a judicial order or lawfully issued subpoena; Appropriate officials in cases of health and safety emergencies; and State and local authorities, within a juvenile jus-tice system, pursuant to specific State law.

son, nor are additional hours assigned. Cumulative totals reflect actual hours and minutes of attendance achieved.

A record of hours of attendance for each student is kept by a computerized time clock and recorded in networked computers. Reports are available for student review and accumula-tive hours are posted weekly . It is the responsibility of each student to review time reports. Any discrepancies should be reported immediately.

A passing grade of 80% is required on all regular theory and practical exams. An 80% is necessary to pass the final writ-ten exam. The cosmetology final written exam is taken after the student as achieved 1350 clock hours. The instructor training final written exam is taken after 900 clock hours.

Passing grades on all theory exams are required prior to tak-ing the final written exam. Exam re-takes are scheduled weekly. All special assignments, such as written reports or special assignments are to be completed within stated time frames in order to take theory exams.

Student evaluation and advising is done on an ongoing basis. Progress reports are issued and reviewed with an advisor at 450, 900, & 1200 hours. The 200, 800 and 1400 hour practi-cal exams are scheduled according to the amount of accumu-lated clock hours.

To maintain academic satisfactory progress, the student must achieve an accumulative average of 80%(C).

Students may receive personal services such as haircuts, styling, perms, etc. by requesting permission from the clinic instructor and completing a student service ticket. Advance payment is required if any special products are used during the service. The transaction is to be recorded on the student service ticket and initialed by an instructor. Failure to pay for special products used during the ser-vice is considered theft.
