CASE STUDY
Overview
The Catering Service Division of Hampshire
County Council (HC3S) is responsible for ensuring the health and safety of children in
local schools by carrying out regular audits of
school kitchens.
Requirement
Every time staff audited a kitchen they filled
out copious amounts of paperwork. When 600 schools were involved, this equated to a
significant amount of time and resources. HC3S
wanted to harness technology to improve this entire process. It wanted to be able to:
• Complete paper-based tasks on tablets
• Speed up management reporting
• Incur minimal financial risk
• Reduce costs

THE SOLUTION
01 Hampshire County Council replaced its paper-based auditing process for mpro5. All
staff now use the software to complete audits on iPads when inspecting school kitchens.
Due to its success and ease of use within the organisation, the council has rolled out mpro5
in to wider areas of the business. HR staff now
use the software to quickly perform new staff inductions, log absences, complete return to work forms and internal training documents.

mpro5 is also being used to mobilise cook supervisor and catering assistant induction processes.
THE SOLUTION
Each time a member of the council needs to complete an audit, they simply log on to the mpro5 app on their iPad. To access their mobile audits they simply hit on the forms tile within the app after logging on.02

The user is then prompted to select from a drop down field the school site they are visiting and the type of audit they need to complete. For example, Health and Safety Kitchen Assessment Form. 03
Once in a form the user is presented with a series of questions. These questions might require a user to:
• Take before and after photos
• Score answers

04The council has also taken advantage of the dynamic forms feature within mpro5. This feature has further increased the speed at which staff complete audits on iPads since they are only prompted to answer questions based on their responses to previous questions.
For example: ‘Are
cleaning materials
stored separately, away
from food?’
If the user answers ‘No’
then they are
presented with the
following question –
‘Please take photo and
outline next steps to be
taken.’

THE SOLUTION
As soon as the mobile form has been completed the user signs off the form. Signature capture is date and time stamped forproof of completion.

All job data is sent back to HC3S’s own mpro5 job management website – hosted in the cloud with Windows Azure – wherereports can be generated immediately.

06Email alerts have also been configured
within HC3S’s mpro5 solution. Every time
an audit is completed, office staff receive
an email containing a link from where
they can download the PDF job report.
This instantaneous reporting notifies
HC3S to any failing areas within schools –
enabling them to react to potentially
hazardous situations quickly. For example:
• Broken tiles in the kitchen
• Flaking paintwork
• Kitchen hygiene is not up to standard
