IMPORTANT CONTACTSTOLU MAGBAGBEOLAActivities [email protected] is your main point of contact within the union. She can offer you advice on starting a team or society, rescheduling fixtures, booking training grounds and rooms within the RHB, as well as various other sport related issues.

IBRAHIM ABDILLEActivities [email protected] is the current student staff in the union who assists Tolu with co-ordinating activities. He is able to make adjustments to the BUCS system (ie. reschedul-ing matches and entering scores), make room book-ings and contact other university teams.

DENIS SHUKURDeputy Chief [email protected] is head of Activities and also Tolu’s line manager, and can be contacted if Tolu and Ibrahim are unavail-able, or if any major problems crop up with your team.

PAULINE JOYCEFinance [email protected] is in charge of the finances of the union and should be contacted if you’d like to know how much is in your club budget. Pauline also handles all cash claims and is the person to see when you’d like to get a reimbursement and make petty cash claims.

SHAY OLUPONACampaigns and Activities [email protected] is the elected Sabbatical Officer who deals di-rectly with the Activities Team and can be contacted for advice on anything related to activities as well as to get involved in campaigns that reflect anything you are passionate about.

GREER ROBINSONSports [email protected] is the elected part-time officer within the Stu-dents’ Union who deals with issues related to sports both competitive and social.

SARA SASSANELLIStudent Led Social Programme [email protected] is in charge of The Stretch studio space and should be contacted if teams would like to book the space. If teams are interested in running fundraising activities within the Union, Sara will be able to provide advice on events as well.

GETTING STARTEDGENERAL ADVICE

Sports teams are a great way to bond with the people on your team, expand your social circle and stay fit during your time at university.However, you should always remember that your studies come first and that extracurricular activities should never get in the way of your academic work.The Activities team in the SU is there to support you with making your team a success and to guide you with pro-cedures that you will have to face, but ultimately it is the captain’s responsibility to make sure the team has a suc-cessful season, so make sure you have a strong commit-tee to back you and your club or team will definitely have a great year.

FORMING COMMITTEESWhen it comes to running a team, do try to form a com-mittee as early in the year as possible. This will allow you to distribute the workload and responsibilities between your committee efficiently and to work out what roles suit each of your members best. Large teams would nor-mally recruit the following committee members: Captain/President Vice Captain Secretary/Treasurer Social SecretarySmaller teams are usually able to cope with just a captain and vice captain.

PLANNING AHEADChanges in the SU do not happen immediately, so try to anticipate as much as you can in advance.For example, if you foresee that your team will need addi-tional kit, or new equipment, or additional training slots, try to inform the Activities Team of these issues even be-fore the academic year starts as these arrangements are usually made over the summer.Mid-way through the year, captains should start passing on information to potential future captains to ensure that the transition between captains goes smoothly. This in-cludes coaching information, referee and other match of-ficial contact details, minibus drivers and kit suppliers.Whenever possible, teams should try to get first and sec-ond year students trained as coaches and minibus drivers to ensure that the following year will have a ready list of available certified individuals for these positions.

MEMBERSHIPSMEMBERSHIP FEES

Membership fees or non-optional: you MUST charge your members in order to run a club or team as this goes towards renting facilities, insurance and other mis-cellaneous costs. There are 3 types of membership fees:

COMPETITIVE / FULL MEMBERSHIPSCompetitive club members pay a minimum of £20 per annum per club.Clubs may opt to charge members more than £20 if they feel they need more money to fund their activities: for example, cheerleading charges £40 to cover cost of equipment. This must be approved in advance by the Union.This payment covers insurance for training and matches, and goes towards funding the club or team.

NON - COMPETITIVE / SOCIAL / TRAINING ONLY MEMBERSHIPS

Non-competitive members pay a minimum of of £5 per annum per club. This type of membership does not cover insurance for matches and therefore members paying this amount cannot play in com-petitive matches.

MEMBERSHIP FOR NON-GOLDSMITHS STUDENTS

Non Goldsmith students can join clubs for £10 per annum per club; classified as social members (alumni / staff / external stu-dents / friends / family of members / local businesses etc). Non Goldsmiths students will not be covered by the Students’ Unions insurance policy when training on non-Goldsmiths prop-erty. The Public Liability Insurance may be used for sessions on campus and at Loring Hall Sports Ground only.

MINIMUM MEMBERSThe minimum full student membership level is based on the needs of each club / team. This will either be the same as the Students’ Union minimum stipulated level of 10 memberships or the size of a playing team with substitutes.

This minimum number does not include social members or training only student members.

For recreational (or non-competitive) teams, the mini-mum number of members is 10.

RECRUITING MEMBERSThe best time to recruit members is at Freshers’ Fayre - usually the week before term starts in September. However, clubs can carry out recruitment throughout the year and are free to use social media, ask the com-munications department of the Union for help, and have posters around campus to aid recruitment.

VIEWING MEMBERS ON MSLIn order to view their club’s members on the Goldsmiths SU website, captains must first have paid in their mem-bership and informed Tolu or the communications team at the SU to make them captain of their club or team.

Please note that some in-dividuals may be an admin of more than one organi-sation and that this system is used for both societies and sports teams/clubs .

FUNDINGFUNDING FROM THE SU

Each team will be allocated an SU grant based on their minimum membership level. The SU grant money will be allocated as follows:

COMPETITIVE TEAMS - LORING HALL SPORTS GROUND

Teams which play their fixtures at Loring Hall Sports Ground will be given £50 per full student member (up to their minimum level). COMPETITIVE TEAMS - OTHER VENUES

Competitive teams that do not use Loring Hall Sports Ground for their fixtures will be given £100 per full student member (up to their minimum lev-el).

NON-COMPETITIVE TEAMS

The SU retains the first £50 membership money for the first 10 members to cover administrative fees. All extra money raised through memberships is allocated to the club / team.

If a team does not reach the minimum required level of membership no funding will be released by the Union and the teams will have all external training and fixture book-ings / competitions cancelled.

FURTHER FUNDINGClubs or teams that require money above the grant should do so through their own initiatives.Previously, clubs and teams have run bake sales, charity runs, or fundraising activities in the Union. For instance, teams may choose to organise a social event at the Stretch and charge entry for it, and a portion of the en-try fee would go back to the team. Membership fees from members above the minimum goes into the club or teams’ allocation, so one of the easiest way to obtain more funding for a club or team is to recruit more members.

ANNUAL FUNDThe Annual Fund is organised by the college, and can go towards funding for student-led activities. Every year the college supports numerous projects that are submitted by students, and funding has been allocated for sports kit, equipment, and technology that clubs and societies might not have been able to fundraise for othe wise.For this fund you must apply directly to the college. Please email [email protected] for more information. Be aware that applications will require:

Specific details about what you are applying for and why you are applying for it;How your project fits into one or more of the areas that will be considered for support;Appropriate references, to help the panel understand the merit of your project;A clear and detailed budget - if you get the money, how will it be spent? The Panel will not consider esti-mated costs.

FINANCESGETTING ACCESS TO YOUR FINANCES

Depending on your minimum numbers, each competi-tive club or team should have at least £500 in your allo-cated accounts.

To find out how much you have in your club account, con-tact Pauline Joyce ([email protected])

Captains should bear in mind that finances do not roll over from year to year - each team starts afresh at the beginning of each academic year.

Referees should be paid with cash in hand by team cap-tains. This money can then be claimed at the SU but only if the referee has filled out the Referee/Coach form in full.

TRAINING TIMES & VENUESTraining times and venues are decided at the beginning of the year by the captains and Tolu. These are all sub-ject to availability of timeslots and venues, as well as negotiations will all teams at Goldsmiths.If there are issues with training times or venues i.e. can-cellations or reschedulings, Tolu or the SU office should be notified immediately to identify possible solutions.

ROOM BOOKINGSRoom bookings within the college are made via Tolu or Ibrahim. Rooms available within the college include rooms within the RHB, St James Hatcham, and the Orangery.Staff must be informed within a minimum of 5 days no-tice, and as early as possible whenever clubs and teams are already aware that they will need a room.

BOOKING THE STRETCHBooking the Stretch (studio space) is done exclusively through Sara Sassanelli, [email protected] it is possible to book the Stretch at a specific time slot every week, there is also a potential that activities will be relocated subject to events being run within the Union.Clubs and teams must remember to respect the space and clear their equipment after every session, and to finish up 5 minutes before their end time to allow the next booking time to enter the studio space.

COACHES & OFFICIALSCOACHES - WHERE TO FIND ONE

When it comes to finding a coach, clubs and teams have 2 options: either paying an external coach, or having one of their own members trained to become a coach.

To find a coach, use resources such as the BUCS league directory to locate one within the area who is available on days and times that best suit your members.

Coaches must fill out the Service Level Agreement Contract before beginning their sessions, as well as send Tolu their First Aid and coaching qualifications.

PAYING A COACHCoaches are paid monthly (never a lump sum at the end of the year.)

Coaches should at least be Level 1 certified in order to receive payment, and should be paid according to the Coach Payment Guidelines: £10 per hour for Level 1 £15 per hour for Level 2 £20 per hour for Level 3

In order to receive payment, all coaches must fill out the Goldsmiths Students Union Referee/Coach form available at http://goo.gl/Rn1vQ2.

The form should be handed in to the SU Reception either by the coach or relevant team captain.

BECOMING A COACHThe Sports budget allows for some students to apply for training in coaching or officiating in their chosen sport.

In order to take up this training through the SU the stu-dent must be a full member of the relevant sports team. This is offered both as personal development and to help the teams.

Ideally, each team would train a First year to Level 1 and a Second year to Level 2 each year. This would ensure each team had continual coaching and offer on-going player development within the teams.

The SU offers certain subsidies and assistance in funding for courses to become certified coaches, and the remain-der of the training fee can be raised by the team via vari-ous fundraising activities, or by splitting the fee between the members (at the discretion of the committee).

For courses outside of the Students’ Union, in sports not offered by the SU, any student can submit a written ap-plication to be given funding to complete professional courses in their chosen sport. As all sports are different, each case will be assessed on it’s own merit, but will fol-low a similar standard to the one described on the fol-lowing page.

FUNDING FOR OFFICIAL COURSES

The SU offers the following:

SU COVERS THE FULL FEE(Only offered in exceptional circumstances) On courses under £200, the SU will pay the en-tire fee in return of a minimum of 20 hours vol-untary work from the student for their member-ship team.

SU AND STUDENT PAY 50% EACH (Most popular method to date) On courses under £200, the fee is split evenly between the SU and the student, in return for 10 hours voluntary work from the student for their membership team.

STUDENT PAYS THE FULL FEEWhere a student pays for, or already holds, a coaching certificate, in agreement with the rele-vant sports team, the student will be paid in ac-cordance with the Coaches Payment Guidelines: £10 per hour for Level 1 £15 per hour for Level 2 £20 per hour for Level 3 OFFICIATING COURSES: I.E. LINESMANWhere a student pays for, or already holds, an officiating award, the relevant sports team will pay them directly in line with standard practices and fees for their chosen sport.

MATCH OFFICIALSIt is the captain’s responsibility to arrange for match of-ficials for all home fixtures. This includes referees, lines-men, scorekeepers, timekeepers, and first aid respon-dents (where applicable).

In most cases, captains will only need to hire a referee externally - the BUCS league website (bucs.org.uk) has several resources for these.

For contacts for referees, it may be best to ask the previ-ous captains for references, or to search on the London league sites for the relevant sport.

After each match, referees must be paid in cash by the team captain or representative.

For the captain/representative to receive a reimburse-ment, referees must fill out the Goldsmiths Students Union Referee/Coach form (available at http://goo.gl/Rn1vQ2 or at the SU reception).

The cost of match officials comes out of the club’s bud-get and is covered by membership fees and the SU grant.

ACCIDENTS & INCIDENTSACCIDENT REPORTING PROCEDUREIt is the Captains responsibility to ensure that ALL acci-dents and near-misses are reported in full, so that a full record can be maintained by the Students’ Union and Col-lege.

These include all incidents whether they are on- or off-cam-pus, and whether they are at training or competitive events.

Accident forms can be obtained from the Deputy Chief Ex-ecutive Manager of Memberships Denis Shukur or can be downloaded from http://goo.gl/HCKct0.

FIXTURESBEFORE A FIXTUREAs captain, you have to ensure that before you attend a fixture you have all the following prepared:

You have a team selected with enough players and sub-stitutes.

For home fixtures, check with Tolu and the groundsman concerned that you have the venue booked and for the correct timeslot.

For away fixtures, ensure that you know where you are going and that you know where and what time you are meeting your team.

Ensure you know your mode of travel, and that you have booked ahead where relevant.

Ensure that you have booked and confirmed any match officials necessary, and that there is cash on hand for their payment.

Ensure that all team members are familiar with the rules and the regulations of play, as defined by NGB, BUCS/ ULU and the match venue.

All team members should also be fully aware of person-al liability for the payment of fines incurred during play.

Kit and equipment should collected ahead of time, es-pecially if your fixture is during the weekend or after Union office hours (9.00 am to 5.00 pm).

AT THE FIXTUREEnsure that you have all the relevant paperwork on hand:

Visiting teams should be welcomed to the venue and shown to changing facilities.

Ensure the match official arrives on time and greet them professionally upon arrival.

Ensure that you have a designated scorekeeper who will get the scoresheets signed by both captains.

If the team is unhappy with any issues that may be against regulations, the captain should fill out a playing under protest form and have it signed by the opposition captain.

There should always be a first aid kit on hand in case of emergencies, and captains should try to have the emer-gency contacts of all their players and be aware of the accident reporting procedures.

Captains should also have an emergency contact num-ber for the opposition.

Teams must always pay mind to health and safety issues as advised by the SU.

Always respect other teams that may be booked in at your venue and ensure your match ends before your as-signed slot is over and allow for time to clear the venue of your equipment.

AFTER THE FIXTUREAn email should be sent to Tolu, the Activities Coordina-tor and Ibrahim, the Activities Assistant after each game detailing the score.

If you have a problem with a fixture, you should contact-Tolu as soon as possible at [email protected] explaining the problem.

Where the Rules and Regulations of a competition are not met, there is the potential for a walkover to be awarded.

The most common reasons for this happening are as fol-lows:

Late confirmation of fixture details (time and venue)Qualified Umpire(s) not provided OR insufficientLate cancellation of fixture

RESCHEDULING A FIXTUREFor fixtures in the BUCS league, rescheduling of match-es should be carried out via Tolu or Ibrahim.

For fixtures in the LUSL league, rescheduling should be done between captains, but captains must inform Tolu of any changes to ensure the website is updated.

Remember that teams are charged for walkovers so do try to avoid these as far as possible.

When Competitive Sports Teams are travelling to a LUSL or BUCS competitive fixture OR for a budget-approved Club activity, they may be eligible to claim the cost of trav-el from the union. Goldsmiths Students’ Union will not hire vehicles for travelling to a friendly fixture, or for training.

Goldsmiths Students’ Union operates a Minibus which is available for Club use:

The Minibus is operated through Lewisham Communi-ty Transport Scheme (LCTS).

Requests from Clubs to use the Minibus must be made to the Activities Manager.

Collection and return of the vehicle is the responsibil-ity of the registered driver.

The Registered Driver must ensure that the collection and return times are strictly adhered to and that all necessary trip forms, checklists and so on are com-pleted and submitted as required.

Only fully-paid up members of Goldsmiths Students’ Union Clubs may travel in the minibus to Club activi-ties, unless otherwise agreed with the Activities Man-ager.

This fee should be collected from Club members by the captain and deposited with the Activities Manager within 48hrs of the agreed return date for the vehicle.Failure to deposit this fee will result in suspension of vehicle use until such time as this fee is paid.The Union will make a £25 charge against damage caused to the vehicle during use, costs incurred through late return or cleaning, infringement of procedures or guidelines, or any other costs incurred.Each registered driver will be held personally liable for speeding or parking infringements.The minibus should be booked in advance (with as much notice as possible) via the online form which will display an entry page as below:

MIDAS TRAININGThe Union will make provision for Free of Charge MIDAS training to one member from each Club, provided that the member is at least 21 years of age and has held their UK/GB license for at least 2 years.

HIRED MINIBUSA Minibus may be hired externally when more than one Club legitimately needs transport to a fixture/activity at the same time that the Goldsmiths Students’ Union Mini-bus is being used.

A Minibus must be booked via Denis or Tolu, or booked in advance with their approval.

External Transport Cash Advance Sport Journeys are subsidised by 50%, which means that half of the cost of the journey will be paid for by the Union and the other half will need to be paid by the members of the sports team. This form is a cash advance form that enables sport captains to receive 50% of travel expenses in advance of the journey, where the acquisition of receipts is only possible after the journey has commenced or finished. This form can only be used for Minibus or Taxi hire, it cannot be used for train fares. Please note that you have to supply a receipt for your journey, failure to do so will result in the named student having to pay the full amount taken from the Union.

HIRED VEHICLEHired Vehicles must be booked via Denis or Tolu, or booked in advance with their approval.

A Coach may be hired when a sufficient number of teams or persons are travelling to the same venue to make this an economical option. This will normal-ly only happen if at least 3 teams, or 40 persons, are playing at the same venue.

Hired Coaches will be arranged and booked by the Activities Manager, as appropriate.

Each person boarding the coach must pay a £5 con-tribution towards the transport costs. This will be col-lected prior to travel by the Activities Manager or an-other representative of Goldsmiths Students’ Union.

Only fully-paid up members of Goldsmiths Students’ Union Clubs may travel in a hired Coach to Club ac-tivities, unless otherwise agreed with the Activities Manager.

For teams that are able to get an invoice for their travel costs ahead of time, the External Transport Cash Ad-vance form can be used to request 50% of the cost of travel in cash beforehand.

PUBLIC TRANSPORT (eg train, bus, tram)The Union will reimburse 50% of legitimate expenses to the value of a Young Persons Railcard on the following basis :

Claimants must be a member of the relevant club and have paid the relevant membership fee to the Stu-dents’ Union.Claims must be made to the Activities Manager with-in 2 weeks of travel using the appropriate forms.Where a return journey is being claimed for, claim-ants must produce BOTH sections of the ticket OR a valid receipt.If it is necessary to use a taxi between train/bus stations and the venue, this must be agreed IN AD-VANCE with the Activities Manager.

PRIVATE VEHICLEThe SU will not meet private vehicles costs for travelling to a friendly fixture, or for training.

Goldsmiths Students’ Union will reimburse 40p/mile for mileage incurred on approved Club activity only if a Vehicle Registration Form & Disclaimer has been completed and approved in advance, and photocop-ies of MOT certificates and insurance are given to the Sport and Recreation Manager.N.B. receiving money for travel may invalidate your insurance Vehicle Registration Forms can be obtained from the Activities Manager.Mileage will be calculated by the Activities Manager from the AA Route Planner website.

EQUIPMENT & KITCURRENTLY AVAILABLE KITS

Team kits are provided by the SU are are stored in the Sports Cupboard.

Captains are advised to collect their team kits at the be-ginning of the year and have them washed after every use to avoid the need to sign them in and out after every fixture.

It is the responsibility of the captains to ensure that all of the team kit is intact at the end of the season.

A kit inventory will be carried out before the end of the year, and captains must ensure that all kits are returned.

If there is any kit missing from the team’s inventory, the club or team budget will be charged for replacements to ensure that the team in the following year will have suffi-cient kit.

ORDERING NEW KIT AND EQUIPMENT

If a team wishes to purchase individual kits, this must be arranged separately under the advice of the Activities Coordinator.

If the team does not have sufficient kit/equipment, or the current kit/equipment is in an unacceptable condition, they should inform the Activities Coordinator as soon as possible to arrange for replacements to be ordered.

NGBs invest time and money to support their specific sports and are always looking to provide more opportunities to people who wish to go further in sports and improve development within sporting communities.

COMMUNICATIONSU COMMUNICATIONS TEAM

The SU communication team is run by Matt Huxley, who you can contact at [email protected] to ar-range for posters to be printed for promoting your team or events relevant to sports clubs.

You should also contact the communications team to en-sure that you are made an admin of your club or team on the membership system so that you will have access to view your paid members, or to inform them of changes to your committee so that the SU website stays up to date.

EVENTS AT THE STRETCHTo organise events at the Stretch, captains should get in touch with Sara Sassanelli at [email protected].

Remember to be creative with fundraising ideas, but to think of the practicalities of any events you wish to run: will you be able to profit from the event? Will you be able to attract enough of a crowd for the event to be a success? How much will the event cost, both in terms of money and time?

Captains can always collaborate across teams to split the workload, and ensure that events work out to be success-ful for the organisers and to be a great experience for attendees!

ANNUAL EVENTSVARSITY

The competitive teams at Goldsmiths play an annual tour-nament agains the University of Arts, London in which ev-ery team victory counts toward winning the varsity cup.

The university that wins the most matches gets the tro-phy - and bragging rights for the entire year!

Some recreational sports may also have matches ar-ranged at varsity, but the weighting of these sports will be at the discretion of the Activities Coordinator of both Goldsmiths and UAL.

Varsity is followed by a massive after party at the Stretch, where students from both Goldsmiths and UAL converge after the matches to have some fun!

The tentative dates for this year’s varsity are 17th - 18th March, but will be confirmed later on in the year.

SPORTS TOURThe teams annually go on a trip abroad to take part in an Easter Sports festival.

All students are welcome regardless of their membership of a sports team.

This year’s sports tour will be to Saloufest in Spain, from the 28th of March to the 3rd of April.

AU DINNEREach year, the Goldsmiths Athletics Union holds an awards evening where the success and hard work of each sports team is recognised. This year, the tentative date for the AU Dinner is 25th March and it will be fol-lowed by an after-party in the Stretch.

TALENTED ATHLETE PROGRAMME

WHAT IS TAP?The Talented Athlete Programme (TAP) is designed to give students the opportunity to develop their sporting performance alongside their academic studies.

We are looking for students who already compete at a high level and have the desire and dedication to improve towards Senior World Class Performance Levels (or equiv-alent) in their sport.

The aim of the scheme is to provide our students with fi-nancial support, reasonable academic flexibility and dis-counted membership in our fitness centre.

GETTING INVOLVEDTo get more information on the Talented Athlete Pro-gramme, get in touch with Tolu Magbagbeola at [email protected].

The type of support you will receive from the programme will be decided on a case to case basis. The SU will take into account your level of achievement within your spe-cific sport, your future plans to go further in your sport, as well as various other criteria to ensure that you get the most out of the programme.

As a part of the Talented Athlete Programme, you will be given the opportunity to act as a Sports Ambassador for the SU and to be involved in social media postings, news articles and basically being the face of sports with-in Goldsmiths!

If you started your degree in 2014, you will receive a Higher Education Achievement Report (HEAR)when you graduate. The HEAR is a nationally – standardised record of all your university achievements and recognises your co-curricular achievements as well as your academic learning. You don’t need to register, the HEAR starts when you do. There are almost one hundred co-curricular activ-ities which Goldsmiths recognises and which you can record on your HEAR.
