Available ReportsThe reports (also called queries) that are available for viewing are based on the roles that are assigned to you by the BW Administrator.You will see the top level tab for the customers for which you have visibility, and underneath each top level, you may see several different 2nd level tabs that you can select.

In this example, Guided Procedures, the first customer, Reporting, Analysis and Planning, CTSPlus, Content Administration, and the second customer are top level tabs. For privacy, we have blacked out the two customer names in this screenshot.The second level tabs change based on whichever top level tab you have chosen. In this case, when the second customer is chosen, your choice of 2nd level tabs are: Materials Management, Order Management Reports, Returns Management Report, and Invoicing Reports.

Once you have selected a 1st and 2nd level tab, your choices for reports are listed on the left hand side. To execute a query, locate it in the menu, and click on its link.Variables Entry

When you first run a query, you will be prompted to enter certain variables to limit your results. The more you limit your results, the faster your BW query will run. Note that in some cases, entry of some variables is mandatory. When entering variables, you can select the icon to get a list of possible entries. This is helpful when you are not sure what type of information needs to be entered and/or which format is the correct for your entries. You can then select individual lines on the left and then click Add to move them to the right. After you hit OK, they will be included in your variable selection.

There is a dropdown box at the top left called Show tool that can be set to Single Values or Value Ranges. Set it to Value Ranges if you want to pick an entire range of values, for example a set of dates from 8/1 through 8/30, or a range of Sales Document numbers.

If you know the exact key values that you want to enter for example, for Movement Type, you want 501, you can enter 501 in the box at the bottom left entitled Enter a value for Movement Type: and then click Add.

If you want to specifically exclude values, highlight them all on the right, and then select the red square at the top. Note that logically it really only makes sense to either include all of the values on the right or exclude them all.

After you have entered all of your selections for this variable, click the button. After you have entered all of your other variables, click the button to run the query.Manual Entry in Variable Fields

You can manually enter a range by putting a space hyphen space between your two intervals.For example, you can enter a date range as follows: 9/1/2013 - 9/30/2013.

You can manually enter several variable entries by separating them with a semicolon and a space, as follows: ZPF; ZPM; ZFF

You can manually exclude values by placing an exclamation point before each excluded value, as follows: !ZPF; !ZPM; !ZFF

Differences Between Query Key Dates and Date Intervals

A Query Key Date is used to view the data as it appeared at a specific point in time (a snapshot). Some queries may allow the user to enter the Key Date so that they can see what a report looked like if it were run in the past. Date Intervals show any data that fall within a range of time.Features of the Query Results Screen

Not all of the buttons in the Query Results are currently enabled. They may be activated at a later date.Info ButtonShows technical information about the current query including the last refresh date of the data on the BW server, last change date of the query, and technical name of the query. In general, BW data is refreshed at least once per day, but many types of data get refreshed 2 to 4 times per day. There may also be some data that is real-time with the SAP system, but because of the system load required to accommodate that, this data is very carefully selected by the BW team.Export to Microsoft Excel Button

Use this to export your entire report into Excel for data manipulation and copy/paste functionality. The exported report is static, however, and cannot be refreshed when data changes.

The Filter Link on the Far Right Hand Side

You can click this link to make various changes to the filters on your report, to control what data you are seeing.Description of Key Figures vs. Characteristics

A characteristic is a field name (such as Sales Organization or Country). A Key Figure is a calculation, based on the data (such as Number of Units Shipped, Number of Orders, Total Dollar Amount).

General Navigation Tips

On the left hand side of your report, you will see 3 sections. Rows, Columns, and Free Characteristics will typically be shown in the Rows section. Any characteristics that you can currently see in your report will appear there, usually at the far left portion of your dataset. Typically the Key Figures (calculations) will be shown in the Columns section, and in the body of your report will generally appear at the far right of your dataset.

You can move columns around by dragging them and dropping them. You can also move columns out of your report by dragging them to the Rows/Columns/Free Characteristics section on the left. This works with similar functionality to that of Pivot Tables in Microsoft Excel.

Free Characteristics are fields that are available in the query, but do not show up in your initial results. You can pull them in to increase the level of detail of your query by clicking the Drill Down icons. Whenever you pull in the additional field, it will be added to your dataset and everything will be recalculated accordingly.To make changes with the usage of your Rows, Columns, or Free Characteristics fields you can either drag and drop them, or right-click on any of them. For example, we have a Free Characteristic called Storage Location, and we want to show it in our report, right-click on it and choose Change Drilldown. Typically you want to Drilldown By: Vertical, simply because the reports look better when you use Vertical.

If you change your mind later and want to remove the Storage Location field from your query results, you can now find Storage Location up in the Rows section of the upper left. You can either drag and drop it out of your report, or right-click it again and choose Change Drilldown: Remove Drilldown, and it will go back to being a Free Characteristic, and will no longer appear as a column in your query dataset.

After you have already run your report with the variables you chose and you can see your query dataset, you can further filter your query to limit your results.To change the order in which columns are shown you can either drag and drop your column where you want it, or right click on your Characteristic heading, and choose Change Drilldown: Swap ________ with ____________, as shown.

Displaying the Key and Text Values Be aware that many Characteristics have both a Key and a Text associated with it. The Key is the SAP code that data in that field contains, for example, a Sales Document Type with the key ZFF has the text Fulfillment Order associated with it. In your results, you can specify whether you want to see the Keys, Texts, or both. To do so, right click on a Characteristics Row or Column name, choose Properties. In the properties screen, choose the combination that you want, as shown.

Many other formatting options are available by right-clicking on field names and in other parts of the query results.

To quickly filter your results, right-click on one of the datapoints underneath your Characteristics (for example, you want 12/1/2007 under the Calendar Day heading), and then click . This will filter all of your results such that only the data for 12/1/2007 are visible. To remove the filter, right click the field name and choose Filter: Remove Filter Value.There are many other navigational possibilities available, so experiment by dragging and dropping or right-clicking on fields and data in your query results to view them all.

Enhancements and Change Requests
