How to ensure your meeting achieves your objectives
MEETINGS are an ecient way toachieve business outcomes so long
as the right planning and forwardthinking takes place Too oftenbusinesses hold poorly-focused
unstructured meetings that wastetime and donrsquot achieve what they setout to do The key is to set out the
meetingrsquos purpose and objectivesfrom the outset and work backwards
to determine how to achieve themYour meeting objectives may
include
bull Coming to a decision
bull Brainstorming ideasbull WIP or status updates
bull Communicating or getting buy-inbull Creating a plan
Once yoursquove determined whatyoursquore trying to achieve considerthe following
bull Who will need to attend thismeeting
bull What documents should be
prepared (eg an agenda) for themeeting
bull What resources or documentswill be needed at the meeting
bull What technology will be required- a projector Internet accessSound What software will you
needbull How much time will you needbull How will you know the meeting
has achieved its objectivesBy examining these factors yoursquore
much more likely to hold a meetingwith purpose and focus that meetsyour objectives and saves time
