    ADMINISTRATIVE INFORMATION

    When is it? Wednesday 6Friday 8 July (two nightsyou will be free to leave on the

    morning of 8 July).

    Who can we

    bring?

    Fivestudents from your company and twoadults (a Business Adviser and a

    Centre Lead) must be available to take part in the competition in London

    How do we

    get there?

    Each UK Competition Teammust make their own travel arrangements, butfares will be reimbursed at standard rates for public transport. If you travel by

    car this will be reimbursed at 40p per mile.

    For any other arrangements (e.g. hired minibus) the cost must be agreed with

    YE first. Any alternative arrangements without prior agreement will not bereimbursed.Receipts and/or tickets will be required, as will a selection ofquotes if using a private company.

    For any other arrangements (e.g. hire of minibus) the cost must be agreed

    with Sam Collinsat YE in advance (tel: 020 7549 1987)

    When you return from London, fill in the expenses claim form and return it with

    all receipts and tickets attached to:[email protected] as soon as possible.

    Receipts must be received by 31 July 2016.

    Where are we

    staying and

    will there be

    food?

    Your accommodation will be booked and paid for by Young Enterprise.

    All teams (2 adults + 5 students) will be staying here:

    Queen Mary University of London Halls of Residence

    Mile End Road, London, E1 4NS

    for 2 nights 6 and 7 July.

    Breakfast will be served at the halls of residence on the morning of 7 and 8

    July. Dinner will be served at the Halls on 6 July.

    Transport to and from the accommodation on the afternoon of 6 July and

    morning and night of 7 July will be provided.

    The accommodation is 5 minutes walk from Mile End tube station (Central

    line, Hammersmith & City line, District line) and one stop from Westfield

    shopping centre in Stratford. Meals are provided at the accommodation but

    on the evening of 6 July you have a free evening in London.

    Individuals must be responsible for their own room keys. Replacement keys will

    be charged by the Halls of Residence at 25 each.

    What should

    we wear?

    How you dress is totally up to you.

    Usually teams wear casual clothes on the Wednesday (arrival day).

    They wear either business dress or a company uniform (e.g. printed t-shirts) for

    the judging and rehearsals on Thursday.

    You may wish to dress up for the evening awards, but you will have to get

    changed in the venue restrooms!

    InsuranceTravel and personal accident insurance will be taken out by Young Enterprise

    (a copy of the insurance documentation for this can be provided if

    requested). In addition Young Enterprise has public liability cover for all YoungEnterprise Companies.

    You or your parents/guardians may wish to take out additional insurance.

    CAN WE BRING ANY OTHER GUESTS?

    Your team will have a maximum of 12 guest places. You need to decide who you would like to invite

    (perhaps other members of your Young Enterprise Company, or parents/guardians?) and register

    their names as part of your online registration, so that YE can send out official invitations.

    Your 12 guests are welcome to join us to watch all teams in the presentations in front of judges (2:50-

    4:30pm on 7 July). However please note that guests are required to leave the venue at 4:30pm and

    return between 6 and 6:45pm for the evening event. We recommend that guests use this opportunity

    to get some food before the evening event as canaps will be served but not until approximately8pm. Information will be available on the day regarding local food optionsbut if you would like this

    information in advance please [email protected] guests could also visit the Arsenal

    Museum (8 adults/5 children) which is next to the stadium.

    Accommodation and travel for additional guests will notbe covered by Young Enterprise.

    The Emirates is a high security venue and as such is it imperative that anyone arriving to attend the

    event has been invited and has registered to attend. Anyone arriving without their name being on

    the guest list will not be allowed into the venue.

    Finals

    You will need to be prepared with confirmation of names of all 5 students, 1 Centre

    Lead and 1 Business Adviser who will attend the JA-YE Europe event if you should

    win the UK Finals. We will need this information immediately after the competition

    ends, before you leave the Emirates stadium. Please check the dates with parents

    and obtain their permission to attend prior to the UK Final.

    Passport Each person requires a passport valid for at least 6 months after departure date.

    Behaviour JA-YE Europe has a Zero Tolerance Policy and will send home, at parent expense,

    any students who are found to be in breach of rules.

    Full information on the JA-YE Europe Competition will be given in a briefing to the UK winners atthe end of the awards ceremony on Thursday 7 July at the Emirates Stadium.

    taken to the accommodation to check in later in the evening.

    Teams are welcome to arrive anytime from 12:00-14:00 but MUST

    have their trade stand set up by 15:00

    15:00 Presentations in the Dial Suite | Guests invited to attend

    Your 12 guests are welcome to join us to watch all teams in the

    Report

    Your Company Report will be judged against the criteria set out in "The

    Young Enterprise Company of the Year Competition 2016Judging

    Guidelines and Criteria".

    You cannot make any amendments to your Company Report after the

    Regional Final

    One copy of the Company Report MUST be given to the representative fromYoung Enterprise UK who briefs you on the day of your Regional Final

    Copies of these reports are circulated to the Judges in advance of thecompetition days. The original copy is available for the Judges to look

    through on the day itself.

    Interview at

    stand

    Every team (5 Students without Centre Lead & Advisor) will be questioned by

    the panel of Judges for up to 10 minutes at their trade stand. The stand itself is

    not being judged but the quality of the product/s or service/s will be taken into

    consideration.

    Company

    Presentation

    Your four minuteCompany Presentation will be made to all teams and judges

    and your additional invited guests on the afternoon of Thursday 7 July (2:50-

    4:30pm). Refer to page 7 of the Company Competition Judging Guidelinesand Criteria.

    Display Stand& VideoYOUR DISPLAY STAND

    Display stand

    guidelines

    You will set up your Display Stand in the Emirates on the morning of Thursday 7

    July.

    A floor area 3m x 1.8m will be allocated to your Company.

    Please bring your own boards to mount your display.

    If you require backboards to be provided you must let us know as part of your

    online registration by 20 June 2016we will not be able to provide stands onthe day if you have not confirmed that you would like these by 20 June 2016

    these will not be provided.

    If you use the stands that are provided rather than bringing your own you must

    bring Velcro to use to attach material/ posters to the boards. PINS WILL NOT

    WORK.

    If you require a table to be provided you must let us know as part of your

    online registration by 20 June 2016we will not be able to provide tables on

    the day if you have not confirmed that you would like these by 20 June 2016

    this will not be provided.

    Electricity is availablebut you must bring your own equipment, lights,

    extension cables, etc. and be fully responsible for keeping it safe.These items

    must be PAT tested or bought within the last 6 months

    Wi-Fi is available in the trade stand area and in the auditorium.

    If you choose to have valuable equipment e.g. computers on your standplease be aware that you will be fully responsible for their safety.

    These items are not covered by the insurance provided by Young Enterprise.

    We strongly recommend that any valuable equipment is removed from thevenue overnight and is kept with you at all times. This is done at your own risk.

    Display Stand& Video

    YOUR VIDEO SHOWCASE

    All companies are invited to send us a 45 second show reel of their YE

    Company Programme experience that will be shown during the ceremony on 7

    July. This must be emailed [email protected] 24 June and can be filmed

    on a mobile phone. Please put your company name in the subject line of theemail.

    The video must include:

    - The name of your company, what school you go to and your names

    - What skills you have all learnt from taking part in YE Company

    Programme

    - How important your Business Advisor has been in helping your company

    succeed over the last year

    - How running a YE company is different from being in school and how

    you think it is going to help all of you when you leave school

    - What do you want to do when you leave school?

    - Why you think getting involved in YE is important and any opportunities

    you have had that have come about because of YE.

    Please make sure all imported objects are embedded into the presentation and

    not linked (the exception being video - see note below). Editing of imported

    objects will not be possible on-site although minor alterations to any PowerPoint

    objects will be possible.

    Do not include images sourced from the internet. These images are mostlycovered by copyright legislation, which means they should not be used at all

    unless copyright clearance has been obtained. There has also been some

    problem using encrypted or watermarked files in PowerPoint, causing the

    programme to crash.

    If any scanned images are to be used, keep them to a sensible file size. There will

    be very little difference on screen between a scan that is 2.0Mb or 30Mb.

    Only use the fonts supplied as standard with Windows 2010 or PowerPoint, this will

    prevent any ' missing font ' problems on the day. If another font is used it can beused providing it is Truetype/Opentype and is not covered by any copyright

    restrictions.

    Do not put too much information onto each slide, keep it simple and easily

    understood even from the back of the room. If your text sizes are smaller than

    about 20 point the audience will not be able to read it, and if they can't read it

    there is no point in displaying it!

    Keep graphs as simple as possible for the same reasons. If a slide looks too busy,

    split the information into smaller pieces and display it across several slides.

    Bring more than one copy of the presentation. Using two types of media is a good

    idea as this will provide the most effective back-up.

    A video clip or animation may be used in the presentation. However, companies

    wishing to use video should note that it must be incorporated into the PowerPoint

    and must be in MPG1, PAL, 352 x 288 pixels format. Do not use animation files such

    as Flash as these can give problems when used within PowerPoint. Any video used

    will be counted as part of the 4 minute presentation timing. No additional credit

    during the judging process will be given for the use of video.
