Overview of the BMDCGTC Membership Records Process

The Bernese Mountain Dog Club of the Greater Twin Cities maintains it Membership Records in an online Database called MailChimp which is also used to send BMDCGTC emails to Club Members and other interested individuals based on the Interest Areas they have selected. The minimal amount of time that it takes to maintain the club membership in MailChimp is paid back by providing a wealth of valuable data while also making a number of the Membership functions easier.

It helps to ensures that the topic of emails and the interests of the recipients are aligned. It allows for follow-up with members should their email address change and they failed to update

MailChimp with their new email address. New club members receive a Welcome email with information that may assist them with becoming

active participant in the club. It allows the Membership Chair, if interested, to review which members are and are not opening

emails from the club about club functions so they can reach out to personally invite them. It allows for easily distribution, tracking, and follow up on the annual club membership renewals. It facilitates the easy creation of a Membership Directory. We are able to easily resend emails to just the individuals that haven’t opened them.

Using MailChimp is very easy and this document will provide step by step instructions to assist you with the initial learning process. We will cover a variety of information related to the BMDCGTC email list and how to maintaining the membership within the list. We will also cover how to send out the New Member Welcome letter, plus how to reach out to prospective members and current members with Membership related emails such as the Membership Application or Membership Renewal form.

Because the club maintains its documents and forms on the Admin site for the BMDCGTC website we will also walk through how to place membership related documents out there and how to link to them from MailChimp.

Finally, we will cover the club Facebook page so you will be able to use it to promote the club and invite those who may be interested in joining our BMDCGTC mail list or in becoming Club Members.

Using MailChimpThe MailChimp Access InviteAccess to MailChimp is granted when you receive an email from an existing MailChimp Administrator inviting you to become a User. This Invite to join the BMDCGTC account in will expire 7 days after it is sent so you will want to create your User Name and Password within that timeframe. If you haven’t completed the User setup with the 7 days contact the Administrator and ask that they resend the invite to you.

Located in the email will be a Join This Account button to click on. This button will open a MailChimp window in your browser that allows you to set up the MailChimp login name and password of your choice. It will also ask you to enter your First and Last Names for your User Record within our account.

You may set up your MailChimp user name as anything you’d like. However, MailChimp will prevent you from using a login name that someone else in our account already has.

MailChimp requires passwords to be at least eight characters long, and contain a lower-case letter, an upper-case letter, a number, and a symbol.

Once you have entered the required information you will click on the Join MailChimp button to complete the creation of your login information, within our MailChimp account, and a screen will open that will provide a brief overview of some of the user functionality in MailChimp. You will also receive a confirmation email from MailChimp that welcomes you to the BMDCGTC account. You may feel free to view or skip over both of these opportunities offered to learn more about MailChimp as we will more specifically cover the information you will need to know in this document.

NOTE: The login name and password you’ve created will remain your login information going forward. If you forget what they are the only way to resolve the problem is to have another list Admin revoke your right to be a user and then send you another invite to join. No one, not even an Administrator has access to see or update your password or login information.

MailChimp LoginThe MailChimp Login screen is located at: login.mailchimp.com/ Once you have created your login name and password, you may wish to save the MailChimp login screen address as a favorite in your browser bookmarks. When logging in you will open a screen that includes a section that looks like this:

Once you are logged in to MailChimp the Home page that opens will look similar to this:

The section you will use the most is the gray bar at the top that is circled with a blue rectangle in the screenshot below.

Members vs. Non-Members in MailChimp

How Non-Members Join Our List:Our list is open to members and non-members of the Club. Non-members join our email list from buttons that are located in the left hand “blue bar” on each page of our club website.

IMPORTANT NOTE: Due to anti-spam laws we cannot add non-members to the list. Non-members must sign themselves up, called opting in, by using the buttons on our website or from a link provided to them by email. This means that a breeder that belongs to our club, for example, could not send us an email asking that the owners of their recent littler be added. We would need to explain to them that we unable to add non-members due to the anti-spam laws but that they could email the owners a link to our signup form so anyone who is interested can choose to sign up. The link to our sign-up form is: http://eepurl.com/dlhytv (since the link is unique to our BMDCGTC form the http:// needs to be provided in the email or the link will not work).

This button, or link, will open a subscription form that has multiple sections. The first section collects personal information.

Email Address (This is used by MailChimp not only to send emails but as the unique identifier for their MailChimp record.)

Phone Number Alternate Phone Number All of the Mailing Address fields

Many Non-Members will supply the optional information – which can be used to selectively reach out to them if they are live close to our club.

This is followed by the Interest Areas section. Non-Members are able to select all of the items they are interested in by checking all of the boxes that apply to them:

The next section is for members only but needs to be included because from the “sign-up” and “update preferences” standpoint the list treats members and non-members the same and also uses the same form for both functions.

The final section in the subscription form is an item that I am trying out to see if people are willing to provide Interest Areas related to volunteering for specific events.

Once they have completed the areas of the form they are interested in the click on the Subscribe to list button to be added to our list.

Why Understanding the Non-Members is Important: How non-members and members are treated by the list is very similar. While non-members need to

“Opt-In” to our list - both members and non-members use this same sign-up form to update their preferences. However, whenever members and non-members clink on the provided link to update their choices or other information the form is opened with the information they have previously provided already filled in.

Non-Members sometime become members and if they are already on our list as a non-member it streamlines the member setup process.

New and Existing Club Members Overview:With members we can use their BMDCGTC Membership Application, once they have been voted in, and their renewal forms, in the following years, as our authorization to add and update the information we have for them on the list. Therefore, we need to retain the applications and renewal forms for members as support that we have the authority. It is important to note that while members can update the information on the sign-up/update preferences form any time they wish – there is also other selected information that we keep on the members that only our MailChimp users with the appropriate level of access rights can update.

The following information can be updated by the Membership Chair but not by the Club Member:

Member Since Date (this is added when they join the club as a New Member) BMDCGTC Membership “Role” (normally updated annually but would also be added when they first

join the club)o Officero Board Membero Chairo Club Member (both Individual & Family)o Associate Member

IMPORTANT NOTE: If someone leaves the club (based on confirmation that they are not renewing their membership) they would be moved to Non-Member status on the list. This occurs when the Membership Chair removes the data in these 2 fields. From the list standpoint these are the fields that “make” them a BMDCGTC Member.

Adding a New Member to MailChimp:Once the new member has been voted into the club the Membership Chair will use the information provided on the Membership to set them up in MailChimp

Steps to setting up the new club member:Searching for an existing Non-Member record

Click on the word LISTS in the Home page gray bar at the top. This will bring you to the List page.

Click on our list name (BMDCGTC) to open the list.

When the detailed list opens you will see the number of currently active list members notes after the list name (260 in screenshot) and you will be able to see that you are viewing the first 100 list members out of the 374 total members we have in the Database. The “374” is the number of active (260) members and inactive list members.

You will use the magnifying glass to search the list for the email address they have provided in their application.

This will open the Search window.

Use their email address to review the full list for an existing list subscription that they may have as a non-member

a. If they have an existing subscription it will be updated to show that they are now a member.b. If there isn’t an existing subscription one will be set up for them.

If their email address is not in MailChimp you receive a message that says: No Results

If their email address is in MailChimp the record will be shown with a View Profile button:

Sometimes it can be difficult to read the handwriting on the application. You can use this same “Search BMDCGTC” box to search by names and addresses when looking for a record they may have that can be updated.

Updating an existing Non-Member record Open the Profile that you have found Look for the Profile Information Sections Click on the Edit for each section and use the information from the Application to update as

needed. (This is covered in more detail in Adding a brand-new member)

Adding a brand-new member If you didn’t find an existing non-member record you will create a new record for them. Locate the

Add Contacts drop-down and select Add a subscriber.

Add their Email Address, First Name and Last Name.o If there is more than one individual on the membership enter both first names in the First

Name field: Steve and Betty or Steve, Betty and Sally for example.o If family members have different last names you can enter one name in the First Name field,

Steve Smith, and another in the Last Name field, Betty Anderson. o If they are a family membership and want the information to go to more than one email

address each email address is a separate record. In this case, even though they have only one membership, Steve would have a record with his email address and Betty would have a record with her email address (all other data on both records will be identical).

Please do not import from a list. If there are enough new members to be done that way send the list to the List Owner for importing. They will back up the original list prior to the import of new members.

when updating the website for these changes. If the member does not want their information in the Club Directory, should one be printed

and shared, check that box so it will be known to exclude them from the printed directory.

We are trying out tracking the Event Volunteer Opportunities people express interest in so emails can be directed to those who may be interested when the time comes. If you have information on the Application that shows they are interested in volunteering you can add that information here by checking the boxes.

IMPORTANT: The following 2 check boxes are standard MailChimp items that do not apply to us because we are a membership club and not an advertiser or retailer so don’t check them:

1. This person gave me permission to email themo We have the Membership Application and Membership Renewal documents to cover the

addition of and any updates to our Members as subscribers to our list.o We NEVER enter non-members so they go through the opt-in process to become a

subscriber to our list.o VERY IMPORTANT: It is important that we follow the above. Should someone report us

as Spamming them. See How MailChimp handles SPAM Complaints for more Information.2. If this person is already on my list, update their profile

o We are searching for and updating the existing non-member record upfront instead of doing it on the backend.

Click on Subscribe and the New Member record will be added to our list.

Sending out the New Member Welcome Email:Once the new member(s) have been added and/or non-members have been updated to a club member, there is a new member welcome letter for you to send to them.

Click on Templates in the gray bar at the top of the MailChimp page.

Search for the Welcome email and select the most current version. Click on the Edit “down arrow” and select Create campaign.

This opens the welcome template in the email (campaign) window.

Click on Edit Name

Give MailChimp a name that tells us what it is Save the Title

Move to the TO section to select the Recipients

When you click on the Add Recipients button the list criteria page will open:

Choose the BMDCGTC list and the segment drop-down will also open up.

Click on the Segment drop-down arrow and select Group or new segment from the list.

This will open up additional choices so you will be able to tell the database who to select for the email.

Choose “Date Added”, “is”, “a specific date” and then use the date field to select the current date (or the date the New Member(s) where added.

Click on the Add button

Select “Info Changed”, “is”, “a specific date” and use the date field to select the current date (or the date the Non-Member(s) where changed to Members.

Validate that the Contacts match any of the following conditions: says “any”. Click on the Update Recipient Count button to validate that you get the same number of Members

that you entered information on.

Click on the Save button to save the segment criteria for your email

Move to the “From” section and click on the Add From button.

Change the From email address from [email protected] to [email protected] and click on Save.

o If someone that receives the email replies back to the email it will be directed to the person that it assigned the Club email address that is shown in this section.

o If you forget to change this section – not to worry the list owner will forward any replies to you… it will just take a bit longer for the reply to get to you.

Tell MailChimp what you would like the subject of your email to be.

If desired you can also enter preview text but it isn’t required. Click on Save. Move to the Content section

This is where the email could be edited, a test email could be set to yourself and Social Cards enabled. These aren’t needed for this email and will be covered in more detail in another document.

The Welcome letter is generic so that it won’t need to be edited with each sending. The email reads:

The BMDCGTC is happy that you have made the choice to join us as a club member!

To help you get the most out of your membership we would like to take a moment to tell you about some great ways to stay up-to-date with the BMDCGTC activities and information: (Links are in Blue)

(1) The BerNews is our club newsletter and it includes interesting information on a variety of topics plus great photos of the breed we have all come to love. The BerNews will be emailed to you when each new edition is available. If you have questions, comments or ideas for our BerNews editor they can be sent to [email protected]

(2) The BMDCGTC website has our up-to-date info on events (you will even be able to map directions), the BerNews archive including an index so you can look up past articles, and a variety of web pages, documents and links that cover a number of helpful topics. (3) Join Us On Facebook! Our Facebook page will let you share photos of your dogs, tell us what you are up to, ask for input on questions you may have, and get updates on some of our club events.

(4) You can update your interest area preferences on our subscription list whenever you want and we will be sure to include you when we send out emails that match your Interest Area choices. Our subscription list information is never shared or sold! It will be used to send you the emails you are interested in and it is also the source of our membership directory. Your list preferences and contact information can be viewed and updated only by yourself and our list admins. It will be very helpful if you update interest areas, name, address, phone numbers and email address whenever they change. You can view and update your information right now by clicking on the link above plus there will be a link at the bottom of each email that you receive from us.

Updating Existing Members who didn’t renew their membership: Search for and open their record Remove the Member Since date Uncheck their membership related boxes in these 2 sections:

Save the changes.

Logging out of MailChimp: Use the drop-down arrow by your first name and user name to open the menu. Click on Log Out.

How MailChimp handles SPAM Complaints(copied directly from MailChimp documentation)

Consequences Without Permission

People who haven't given you permission are more likely to report your email campaigns as spam, and less likely to engage with your campaigns or make purchases. It's in your best interest to always secure express permission.Spam reports can lead to aggressive spam filtering or blacklisting, which makes it impossible for some subscribers to receive any of your campaigns. This can also damage MailChimp's reputation as a whole and negatively affect delivery for all our users.Spam Reports

When someone reports an email as spam, their inbox notifies their internet service provider (ISP) that the message in question looks suspicious. The ISP then tracks how many people on their network report emails from the sending domain as spam.

If an ISP has what is called a feedback loop (most of them do), a recipient who marks one of your emails as spam gets registered as an abuse complaint in your MailChimp account. How this is handled depends on the email provider, but in MailChimp, we immediately move them off of your active list and into the abuse complaints area.

At first, you should take an abuse alert as a "heads up" that people are complaining about your campaigns. If you get more complaints than a small handful, you should be concerned and we highly recommended to re-evaluate your email marketing process to prevent further complaints.

Once abuse complaints exceed our threshold you will receive a warning notice. If the complaint rate is far beyond that threshold, a suspension notice will arrive in your inbox from our abuse team. They will ask about your list collection process and ask for other details about the health and life of your list. We'll need that information because by then ISPs and anti-spam organizations are threatening to blacklist us unless we explain why your list generated so many complaints. A full investigation will proceed once we have the requested information from you.

BMDCGTC Note: The bottom line is that if our list has a large number of spam reports the anti-spam organizations will shut down the MailChimp server that our list is being sent from. This impacts not just our ability to send emails but everyone that has lists on the same MailChimp server we are on. This is why MailChimp takes Spam reports seriously. This is why we only add/update records for our club members, and why we make all non-members go through the opt-in process.

View or Export a ListThere may be times when you wish to pull a list of the club members into an Excel spreadsheet so it can be used for other purposes such as a printed Membership Directory or a list of potential members so they can be contacted. With this process you begin by deciding if you want to export an entire list, a segment of a list or a list group into a CSV file. Exports can include subscribed, non-subscribed, unsubscribed, and cleaned contacts.

Before You Start

Here are some things to know before you begin this process.

List and segment exports don't include campaign report data, like open and click rates. To download campaign report data, export a campaign report.

When you export your list or segment, you'll receive a ZIP file that contains separate CSV files for each type of contact (subscribed, unsubscribed, non-subscribed, and cleaned). Unarchive the ZIP file to access CSV files and open them in your preferred spreadsheet application.

Contact export history and their CSVs are available in your account for 30 days.

View or Export a Full List

You have the option to export a list when you view it in the Lists page of your account. To view or export your list, follow these steps.

1. Navigate to the Lists page.2. Click the name of the list you want to work with.

3. Click Export List. 

4. After the list export loads, click Export as CSV to download the file to your computer.

View or Export a Segment such a Club Members

You have the option to export a segment when you view it on the Lists page of your account. To view or export a saved segment, follow these steps.

1. Navigate to the Lists page.2. Click the name of the list you want to work with.

3. Click VIew Saved Segments , and choose the segment you want to export. 

4. Click Export Segment. 

5. After the export loads, click Export as CSV to download the file to your computer.

View or Export a Group

You also have the option to view a group or export it. To view or export a group of subscribers, follow these steps. This would be used if you want to view or export a group of people with the same Interest Area such as Events.

1. Navigate to the Lists page.2. Click the drop-down menu next to the list you want to work with, and

choose Manage contacts. 

3. Click Groups.

4. Click View Groups to expand the group you want to view.

5. Click the # subscribers link to view the individual subscribers in each group.

6. Click Export Segment.

7. After the export loads, click Export as CSV to download the file to your computer.Open Your Export File

How you open your export file depends on the spreadsheet program you use. You can open the file with any spreadsheet program, but we find most people use Microsoft Excel.

There are two ways to import data from a text file with Excel: you can open it in Excel, or you can import it as an external data range. To export data from Excel to a text file, use the Save As command and change the file type from the drop-down menu.

There are two commonly used text file formats:

Delimited text files (.txt), in which the TAB character (ASCII character code 009) typically separates each field of text. Comma separated values text files (.csv), in which the comma character (,) typically separates each field of text.

You can change the separator character that is used in both delimited and .csv text files. This may be necessary to make sure that the import or export operation works the way that you want it to.

Import a text file by opening it in Excel

You can open a text file that you created in another program as an Excel workbook by using the Opencommand. Opening a text file in Excel does not change the format of the file — you can see this in the Excel title bar, where the name of the file retains the text file name extension (for example, .txt or .csv).

1. Go to File > Open.

If you're using Excel 2007, click the Microsoft Office Button , and then click Open.

2. Select Text Files from the Open dialog box.

3. Locate and double-click the text file that you want to open.

a) If the file is a text file (.txt), Excel starts the Import Text Wizard. When you are done with the steps, click Finish to complete the import operation.

b) See: Text Import Wizard for more information about delimiters and advanced options.

c) If the file is a .csv file, Excel automatically opens the text file and displays the data in a new workbook.

Note: When Excel opens a .csv file, it uses the current default data format settings to interpret how to import each column of data. If you want more flexibility in converting columns to different data formats, you can use the Import Text Wizard. For example, the format of a data column in the .csv file may be MDY, but Excel's default data format is YMD, or you want to convert a column of numbers that contains leading zeros to text so you can preserve the leading zeros. To force Excel to run the

Import Text Wizard, you can change the file name extension from .csv to .txt before you open it, or you can Import a text file by connecting to it.

About Your Export File

Your exported CSV file displays your list fields, along with contact data that MailChimp collects. You will not need all of the fields that MailChimp has exported.

EMAIL_MARKETING_STATUS The contact's relationship to your email marketing campaigns.

MEMBER_RATING The contact's member activity rating.

OPTIN_TIME The time a contact accessed your signup form, if they used it to sign up.

OPTIN_IP The IP address used when the contact accessed the hosted signup form.

CONFIRM_TIME The date and time the contact clicked the link in the opt-in confirmation email.

CONFIRM_IP The IP address used when the contact joined your list.

LATITUDE Latitude for the IP address of the CONFIRM_IP.

LONGITUDE Longitude for the IP address of the CONFIRM_IP.

GMTOFF and DSTOFF Our system is based off UTC time. GMTOFF indicates the adjustment made to the time based on geolocation data, and DSTOFF takes daylight savings time into account. These are used in conjunction to determine TIMEZONE.

TIMEZONE, CC and REGION Based on the contact’s geolocation data.

LAST_CHANGED The date and time when information in the contact's profile was last changed or updated.

LEID and EUID LEID is the unique identifier for a contact, specific to a list. EUID is the unique identifier for a contact on the account level, across all lists.

NOTES Notes added within the contact profile page.Note

The language list field is not included in the export file. The OPTIN_TIME and OPTIN_IP fields will only show data for contacts who have

completed the double opt-in process.

The TIMEZONE, CC, and REGION fields will only show data when geolocation information has been captured.

View Export History

You can view or download the last 30 days of list or list segment exports from the Subscriber exports screen. To view exports for a list, follow these steps.

1. Navigate to the Lists page.2. Click the drop-down menu next to the list you want to work with, and

choose Exports.

Each entry on the Exports page shows the date contacts were exported, which user made the export, and how many contacts were exported on that date. Click Export as CSV to download a copy of any previous export.Troubleshoot a List Export

My export includes strange or unexpected characters.

If your list contains special characters, your export may not display correctly in Excel. To see special characters in Excel, use one of these workarounds.

Change the file extension from .csv to .txt, then open the file in Excel. When Excel prompts for the file type and character encoding, set encoding to UTF-8.

Open the CSV file in a text editor, and make sure the text editor's settings are set to UTF-8 encoding. Copy all the content from the text editor and paste it into a blank Excel sheet. Then use the Text-To-Columns function in Excel to split everything into columns.

My address field just says "US."

When physical addresses are imported incorrectly, our import tool inserts “US” as the default value. You’ll need to reformat and re-import your original file in order for MailChimp to read, store, and export the address data correctly. To learn more about how to properly format physical address data in MailChimp, check out our format guidelines. After your file is corrected, perform an auto-update import to fix the address fields.

Logging in to the Admin SiteWhen you go to www.twincitiesbmd.org/tcbadmin/ you will open a window that looks like this:

Once you have bookmarked the Admin Site address you maybe brought to the Admin Menu unless you have cleared your internet browser cache. If you see this window – the login window will open when you click on one of the menu links.

The High-Level View of the BMDCGTC Admin SiteAs the membership chair you will have occasions when you will need to add documents to our website archive so they can be linked to a MailChimp Email (such as the Membership Renewal form). This is done through the Documents link choice.

Clicking on the Admin site menu item Documents will open the window shown below:

While it says “Add a PDF Document” both PDF and Word docs can be loaded to our Database.

This form will let you add new document by filling in the Title for Document (the displayed name), the topic (where the document is filed on the server), and a Description of the Document (sometimes helpful but an optional item).

This is also where you would select where the document is displayed on the website. Multiple boxes can be checked. If you select the Health & Safety option a subpage location is also required.

For the membership related documents, you will check the Event Attachments button so that it can be added to an event (this will be explained in another document) or if it is a document that is just being archived you can leave all of the checkboxes blank.

To locate the Topic information, so like items are filed together, you will scroll down through the list of current documents until you get to: BMDCGTC Club Forms – Membership

You will be able to copy the topic and paste it into the Topic field in the “Add” document form.

Below the section of the form that is used to add new documents is the list of the current documents in the website database.

We archive several years’ worth of a document so they can be referred to if needed. The “pencil” will allow for update of the Topic or Description if needed.

o This information is seen here and on some of the Website pages. The “trash can” will delete a document from the database.

The linked name of the document will open the actual document so you are able to save it to your computer for updating (Changing the 2018 renewal form into the 2019 renewal form as an example). Once updated, the new form would be added using the “Add Document” form at the top of the window.

The current document list also displays which pages of the club website can access it. If blank it is Archived and not available to be seen on the website. Event documents can only be seen when attached to an event.

To get a document address that can be used as a link in MailChimp you would: Add the document here if it’s new. Once the document is on this page you are able to open it in a window, either from here or from the

Website pages that can access it, in order to see what the document address is.o If you are opening the document from here – hover over the document name that you want

and right click on your mouse to open the menu (clicking on the link will open the document as a Word or PDF document that can be saved). Select “Copy Link Address” from the menu.

o If you are opening the document from the website page it can be accessed by: Clicking on the document link and it will open in a new tab. Instead of downloading

the document from the website at this point – you will copy the address of the document from the browser tab. This address can be used in MailChimp to link to the document in an Email.

High Level view of the BMDCGTC Facebook Page

The club Facebook Page is a great way to connect with club members and non-members in a more informal setting. As the Membership Chair it is nice to post as yourself rather than as the page as this will allow people to connect with you directly and by name.
