ADVISORY NOTE FOR NEW COMMITTEES

SOUND

Sound and the clarity of voice reproduction are crucial to the enjoyment of daticers at any square dance. This is particularly an 1<:;5ue with National Conventions where the space and acoustic properties of the venue, coupled with a much larger at. dance pose problems not often found in a conventional club environment

Section 104.8 of the Manual requires that the venue be tested for good acoustic quality before a bid is made. It is essential that there be no echo or reverberation and that it is possible to dleliver sound to all areas. The degree of prior testing , which is possible, will of course vary. It would be helpful if a square dance function could be held at the proposed venue before the bid is made but this is often not possible for cost, logistic or other reasons. Testing for lack acoustic reflection (echo) by loud clapping by one person is often all that is feasible·.

If the use of an echoey hall is unavoidable then some form of sound deadlming screen such as curtain or carpet will be necessary.

The same Section does require that a square dance funelion be held for testing purposes after (ic reasonably soon after) the bid has been accepted , Such a function will often reveal a number of problems but again because it is not realistic for the function to attract the number of dancers expected at the Convention proper, results can sometimes be misleading. This is why it is specified that the Trail In Dance be held in the main hall so that final adjustments can be made to ensure that the sound is excellent for the rest of the Convention.

It is essential that. in a crowded hall, the music and voice can be heard cle-arly at all positions on the floor. However this should be achieved without overloading the eardrums of dancers at any other point. Section 107.2 (b) of the Manual makes specific reference to the need for use of a sound level meter to ensure that the sound level is monitored and kept within the re 1mended tolerances specified in particular State's legislation.

It is also worthy of note that the venue may also be used for sessions that attract smaller numbers of dancers. At those times the sound may need to adjusted to avoid the venue sounding like an empty cavern.

At Section 107.8 of the Manual, reference is made to the desirability of usillg an existing caller's equipment in preference to professional sound equipment. Designers of professional equipment are ~Ienera lly focused on the desire modem music performers, and audiences, for an emphasis on the bass frequencies. This is not desirable for square dancing, as it tends b reduce the clarity of reproduction of a callers voice, causing dancers to miss or miss~hear calls, which can result in chaos or the floor.

Experience has shown that Hilton amplifiers coupled with YAK STAK speakers generally provide good, clear sound for square dancing. If other equipment is considered, then it should be rigorously compared with that standard before proceeding.

Another aspect to conSider, regardless of the equipment used, is the number and location of speakers. Speakers emit sound waves, which, in Simple terms, comprise peaks and troughs of air pressure. If two or more speaker locations are used within the one hall it is not only possible but also quite likely that, at some spots on the floor, the peaks from one speaker wilt coincide with the troughs from another and thus, to some extent at least, be cancelled out. This results in "deae spots· on the Hoor where callers cannot be heard. Moreover, if significantly different cable lengths are used to reach different speakers then signal timing problems can occur.

In general, speakers are best placed on or near the stage in a single location using an adjustable, multi·speaker stand. In this way dead spots can be avoided and the projection of sound to both thl~ front and the far end of the hall can be achieved by varying the height, direction and angle from the horizontal of individual speakers.

The Price is within budget;

Des has the experience necessary having operated sound at several large events including 1 National;

My recommendation that we accept the tender.

Venue It is my intention 10 use Square Dance type sound equipment. The speakers will be located inion the stage area. The sound will be monitored constantly from the floor. The two operators will be in radio communication. I intend to hang an approximately 3 metre drop of black velvet acoustic curtaining from pipe suspended across the back wall.

Hi Des, sorry for the delay, but I needed to get this made up for transmission to you, wanted it to be OK in all areas.

The drawn stage layout is obviously looking down, the attached photo of the stage gives you the elevation and color layout.

I have attached what photos I can, unfortunately I can't access all of them at the moment. will send you more if you need them

The answer to other questions:

• The Stage will be sited at the North end of the venue, facing South • The ends (behind the Stage and opposite the stage) are completely vertical and are 6 metres high and

38.5 metres wide; they consist of wooden trays of folded seats with spacing in between lthe rows • There is a safety fence running around the top of the concourse. so you are able to attach your drapes

to this fence. • You will have ample line of sight to the callers euers ele, the window specifications are marked on

the plan. They are larger than the original shaped windows in the photo of the stage model and will be rectangular, not oval.they will be draped with a light blue open weave curtain to give good line of sight for the sound operator(s)

_ lease let me know ASAP if you need any further infonnation at this stage, will get it to you as soon as possible.

Will you also let me know as a matter or urgency. whether you feel there wi ll be any problems placing your speakers as the layout stands, we still have time to revise the set (a little) if needed.

The Australian National Square Dance Convention is held each year in various states, the opening Ceremony is used to 'Showcase' that state's local attractions and is held at approximately 8p.m. on the Friday evening.

It is anticipated that the Convention will be held at what is currently known as The Distinctive Homes Dome', Crittenden Road, Findon. We anticipate somewhere between 800 and 100 dancers will be present.

Whilst details of the ceremony are, of course, a closely guarded secret I can divulge to you in the strictest of confidence the following information.

Our theme is Adelaide Your Square Dance Heaven in 2007, and we have a booking with the South Australian Police Band to perform. As well the band will play, The National Anthem and provide music for the first dance bracket.

It has been suggested by one of our Committee members that Cabra Choir under your leadership might be interested in singing the National Anthem accompanied by the Police Band at our Opening Ceremony.

We feel that the combination of Cabra Choir and the Police Band would give a stirring presentation of Advance Australia Fair for our dancers, and particularly the overseas visitors who will be present, and we would be delighted if you were able to take part.

Whilst we are in the planning stages we would appreciate an expression of interest as soon as possible with confirmation in early 2007.

The 48th Australi an Nat ional Square Dance convention is planned to be held in Adelaide rrom June 7 to II. 2007.

The Convcntion commillee has been planning thi s convention s ince October 2004. This convention is held annually in d ifTerent Slales of Australia. Adelaide last hosted this convention in 1998 and should have held at least one prior to th is.

However at present we are facing a major problem. This IS NOT an appeal fo r money.

The problem is our venue. We have had The Disti nctive Homes Dome booked for OUf

venue lo r the past 15 months. This venue had to be approved by the Austra lian National Convention Advisory Board before they agreed to Adelaide hosting the convention.

However. for the past four months. since the announcemcnt that the SI\. Government was plac ing the Dome on the markct we have been in limbo, having to cease all work on decorations and a ll the other work invol ved in presenti ng such a convention.

This Convention is not just National ; we have in the vici ni ty of 50 plus Japanese dancers who arc attend ing. many dancers arc coming from cw Zealand. and we also anticipate dancers from Europe and the USA will be taking part . It is a fact that in Adelaide we have a dearth of other venues suitable for an event suc h as thi s Australian National Square Dance Convention.

We do have right of refusal (unti l the beginning of August) for the use of The St Clair Recreational Centre. Unfortunately. thi s venue is shabby. has very poor sealing fac ili ties, poor catering faci lities. cannot supply rooms fo r the meetings which are an integral pari of all Australian Nat ional Square Dancc Conventions. and, wi th members of the publ ic using its other fac ili ties whilst the Convel11ion would be in progress, creates majo r problems with securil'Y.

Ir the Distinct ive Homes Dome is not available and we are forced to use the St Cla ir Centre. we arc VCI)'

concerned about the poor image of Adelaide that it will project to our interstate and overseas visitors. It may also negate the planned use of the Police Band.

As a consequence, while we are aware that negotiations are cont inuing for the sale o f the Dome and that finalisation may still be some time away. we arc asking whether assurance can be given to us as to the ongoing ava ilabi lity of the Distincti ve Homes Dome for Ihis Convention from June 7 to II 2007.

All our costings (we are budgeting around $90,000) have been predicated on the fees and usage agreement that we negotiated with the Dome management. We have been in constant contact with them but obviously they are not in a position to give us any assurance of avai lab ility at this stage.

If at a ll poss ible. we would be very grateful if you arc able to give us some indication. ifachievable by the end of July, as to '.vhether we can proceed with our planning for thi s very important function which is bringing many touri sts into South AustTa lia. This will enable the commi ttee to e ither recommence work on a ll the planning and decorations necessary for the event, or 10 stan making revised plans 10 red uce the scope and presentat ion to tit within the lim itations o f the a lternative (and second rate) venue.

If necessary I can meet with you or one or your officers at any time to di scuss the problems we are fac ing, and any action that could be taken to ameliomte the situation.

As one of the IwO persons invo lved in the purchase of the 36ers and the Distinctive Homes Dome, I am writing to you to seek your assistance in solving a problem that is causing major concern to myself and the members of the committee tasked with producing the 48 1h Austra li an Nationa l Square Dance Convention in 2007.

From the time the committee was establi shed in October 2004. our venue of choice has been the Distinctive Homes Dome. and following detai led negot iations wi th Doug Barlow, a contract was finali sed about 9 months ago for the use of the Distinctive Homes Dome from June 7 to 11 . 2007. for the presentation of thi s Major Convention in South Australia.

We anticipate between 800 and 1000 people wi ll attend. not only from Austra li a. but also from overseas countries. Allowing for South Australi ans, thi s wi ll bring between 600 and 800 dancers and their families to Ade laide during the low touri st season.

We have been advertis ing in the USA UK. Japan and New Zealand, and at thi s date have confirmation that a Japanese group have booked 25 twin rooms at the Stam ford Grand, and we a lso know that many New Zealanders have booked accommodation ready for the event.

Every National Convention is officially launched at the curren t year' s convention, and for us thi s meant a very sllccessful and we ll-received launch at the 47th Australian National Square Dance Convention in Gosford in April thi s year.

All our material including Registration Forms, were printed earlier in the year in preparation for the launch, and overseas adverti sing which has been running for the past 12 months has all featured the Distinctive Homes Dome as the venue for the event. The news o f the Dome as the venue was well received by Australian and overseas dancers who found it ideal when the last Nati onal Convention was hcld in Adelaide in 1998.

You can then imagine our concern when we heard of the moves to sell the Dome. We have been in constant communication with Doug Barlow since the an nouncement in an endeavour 10 establish whether or not the Dome would still be available for our convention.

Doug has been very supportive in hi s responses to us. but naturall y has not been ab le La cOllfinn that our booking is still secure . In our last contact on Wednesday July 26. he was still unable to clarify the situat ion.

The next best venue avai lable to liS is the 51 Clair Centre. but unfortunately this building is run down and docs not present an image of Ade laide and South Australia that we could feci proud to present to both interstate and overseas dancers attend ing the Convention. as we ll it docs nOI have the facilities we need to conduct vario lls meetings which are a part of the convention. and importantly. presents a major problem with security.

As wel l. we have the SA Police Band featuring in our opening ceremony on the Friday night. again u South Australian highligh t that we are proud to present. but their appearance also is in jeopardy if The Distinct ive Homes Dome is not to be availab le for our use.

We have first righ t of refusal for the St Clai r Centre until Monday Ju ly 3 1. and we are seeking to extend thi s right for another 2 to 3 weeks to give us time to cstablish whether our plans fo r the use of the Distinct ive Homes Dome can proceed.

Our timetab le called for us to start preparation of extensive decor.uion and display materials for both lhe stage area and the venue itse lf. commenci ng in May this year following Ollr return from the launch in Gosford. Due to the uncertainty of the venue avai labili ty those plans had to be put in abeyance; we have now lost 3 months construct ion time. and as you can appreciate thi s wi ll cause considerable add itiona l work to catch up.

Without go ing into any more detail at the momcnt. we would Ix: extremely gmteful if you are able to assist us in confinn ing e ither that the booking we have made wi th the Distinctive Homes Dome will be honoured by the new management. thus allowing us to proceed wi th ollr current plans. or in a worsi case scenario. adv ise us as soon as possible if the booking cannOl now be honoured. so we can (hopefu ll y) sli ll arrange an alternati ve venue. have time to revi se and downgrade our plans. and important ly. contact all nationa l and internaliona l delegates who have reg istered and advise them of the change of location.

I as Convener. and my wife Lyn. who is the Venue Manager and has been responsible for all detail s of the booki ng. are avai lable at any time 10 speak 10 or meet with any person to clarify and linalise this matter: it is now imperative that we have a definite dec ision within the next two to three weeks. We are answerable to The Australian National Square Dance Advisory Board. and they understandably arc becomi ng vcry nervous at the uncertainty that surrounds thi s convention at present.

The final sa le or the Distinctive Homes Dome was eventually negot iated j ust over two weeks ago, but the final sale wi ll not be completed until September 30; thi s is long past the orig inal deadline sct by the SA Govcmment.

Throughout thi s period o ur venue Manager Lyn Armstrong has been in week ly contact seeking infonnation and finali salion, and today_ Lyn, myse lf and All an Tuckfield. our Venue Logistics Offi cer. who is a Licensed Land Conveyancer vis ited the Dome for a meet ing to try to so lve the impasse that has developed.

I am very rel ieved to announce that we have been assured that the new owner. Eddy Groves. owner of the Brisbane Bullets and al so owner of the ABC Child Minding Centres. is honouring all ex isting contracts for the Dome. We are now able to proceed wi th our plans, and will have to extend ourselves somewhat to make up lor the lost lo ur months.

However we are now fully back in act ion. adverti sing will commence in a ll State Square Dance Magazines. and the web site should be lip and running hopefully the first week in September. Fortunate ly we have been well ahead with other facets o f our organisational planning so we will soon be back on track and meeting our listed deadlines.

As well I have enclosed 30 A4 and 30 AS flie rs fo r the Convention. If yo u could include these in your mailing to the callers/cuers in Victoria I would be appreciate it. I know you only specified 25, but thought I would add a few extras anyway. I have included both sizes as I know some clubs use A4 and some AS, this way I am sure that we get the maximum exposure for the convention.

In your e-mail to me dated September 4 you also said that you could send some extra Registration Fonns to the callers in a mailing you are doing to clubs in early October.

I have not included any extras in this mailing as I need to reassess our supplies, but if I find that I have enough available, what is the latest date you would need them by for the October mailing.l should be able to get tern to yOll early next week if the time factor works out OK.

Most South Australian dancers have now returned fromtne very successful 47th Australian National Convention in Gosford. although a number of them have decided to head north and enjoy the winter sunsh ine for a few momhs before returning for ollr State Convention in August. SOUlh Austmlia would like to acknowledge the great work of Leanne and Jason Nicholson and their team ofcolTI millec members for the work they put into producing a very cnjoyable Convent ion weekend. r have heard nothing but complimenta ry remarks from South Austmlian dancers who allended. The South Australian Society held a dinner/dance for members in late May (although dinner/dance is perhaps a misnomer as it was a stand-up tea). Whichever, over 100 allended and combined with a fu ll night of dancing it was voted a top night of entertainment: so the Society will look lit conducting a similar venture again next year. In May The Weavers celebrated their 35th binhday. wh ich is a major achievement for any club. Unfonunately, my wife Lyn and I were still on the road retuming from Gosford and were not able to be present. but a suitably inscribed bar added to their elub shield commemorated the occasion. At the beginning of June T & T Rounds (Thelma and Tom McCue) held their 15th birthday. another major milestone for a South Australian club. Also in June Wild Frontier gmduated 19 new dancers: it would be intcresting to know just how many dancers Jcff Seidcl has taught and graduated during his years ilS caller of Wild Frontier. Congratulat ions both to Jefr and to the new dancers who were welcomed to our ranks. This month (July) Sunset Twirlers will be holding celebrations for their 11th birthday. Sunset Twi rlers arc the only SA club who dance both Rounds and Square Dancing on separate nights to the same cuer/caller (Les Tulloch). The commillee conducting the 48th Aust ralian National Square Dance Convention, which is being held in Adelaide in 2007, conducted a sumd and "launch" at Gosford. Distinctively clad in it blue and white square dance costume which was an abstract design of thei T "Adelaide, Your Square Dance Heaven in 200T' thcme. they had numerous requests from dancers who were interested in purchasing a jacket or a full costume. Over 180 registrations wcre received o n the stand at Gosford. and to date well over 200 dancers have registered as they ensure they get their "Earlybi rd" price for the big Queen's Birt hday weekend in June next year. However a plea from our Registrat ion Oflicer, please re,Ld the foml carefu lly. ensure you have filled in ALL the requisitc boxes, and if you want YOUT Registration Kit posted to you. be sure you have included the postage fcc with your Registration Fee. Requests to post the kit cannot be fulfilled if the postage has not been paid at the time ofregistTation. The com millec conducting the 32nd State Convention next month arc now well into the final stages of organisation and we arc looking forward to anot her great 3 days of dancing and friendship.

August wosa busy month in South Australia, with a Round Donee Festival, a new dancer graduation, and the 32nd Slale Square Donee Convention 011 taking place. In lote August it was my pleasure to ottend Sunset Twirlers graduation night, when 15 new dancers were welcomed into our square dancing frotemity and I presented each of them a ~Welcome to Square Dancing- pock on behalf of the Society. This was the fourth new dancer graduation held in South Australia this year, resulting in almost 75 new dancers taking their place on the floor. We look forward to dancing wi th them for many years to come. At the beginning of August the South Australian Round Donee Association held their bi-annual two­day Round Donee Festival which was organised by 0 committee under the guidance of convenor Tom McCue. SARDA State President Les Tulloch said he was very happy with the success of the weekend, which featured cuers from Queensland, New South Wales, Victoria and New Zealand and the presentation of a record eight showcase dances. The Festival was well supported by dancers, with many coming from Interstate to join in the weekend's activities. In mid·August the 32nd South Australian Square Donce Convention was held from Friday August 18 10 Sunday August 20. This Con"en:ion, fecturing Howard Cockburn ond hi~ inimitob!e s";!e of humour, combined with South Australia's own callers and cuers, was highly enjoyable and presented both South Australian and visi ting interstate dancers with a great weekend of fun and friendship. It was also good to see a contingent of Mt Gambier dancers once again taking port in the weekend. My thanks to the Convenor, Clore Reid and her industrious committee from JR Squares who organised and presented such a great weekend . A new fea ture of the Convention this year wos the decision to hold the Annual General Meeling of the Society during the basket teo on the Sunday evening. The Society is now eva luoting feedback from the dancers regarding this change and will assess their reaction before programming next year 'sAGM. One disappointing aspect of the AGM was the continuing lock 01 people willing to toke their place on the committee. This of course is not a problem peculiar to Soulh Australia, or to Square Dancing, but the lock 01 people willing to help does place 0 sometimes onerous warklood on those who are prepared to undertake the responsibilities. Hopefully sometime in the near fu ture things will change and people will once again be willing to help out and give something bock to on enjoyable postime. This month (September) we will be congratulating well known coller Grohom Ellioll, his wife Down and all the members of Adelaide Outlaws as they celebrote the club's 21st birthday. Graham and Down dedicate a lot of their time to making this dub successful, and on behalf of the South Australian Square Donee Society and all the dancers in SA I wish them, their dedicated commillee members and all members of both Ihe Mainstream and the Plus sect ions 01 the club a happy birlhday, ond may there be many more of them to come. Plans are still progressing well for the 48th Australian Notional Square Dance Convention in Adelaide neKt j une, and the committee promises that it will be a great weekend of dancing, lun and friendship for everyone who attends. They have their heads down, their noses to Ihe wheel, and look forward to welcoming dancers from bath Australia and oversC<lS, with a contingent of Japanese dancers already having booked their accommodation lor the event, and many of our Kiwi cousins also indicating their intention to allend.

48th Australian National Square Dance Convention - Adelaide

Many Australian square dancers are aware that at the time South Australia was launching next year's 481h Australian National Square Dance Convention, during the 2006 convention in Gasford last April. The South Australian Government announced the sale of our venue, the Distinctive Homes Dome.

The last few months have been a period of uncertainty for the 48th

committee, as our Venue Manager made many unsuccessful attempts to validate the booking both prior to and after the sale . which was eventually completed in earty August.

We finally were able to meet with the Dome management on Friday, August 25th and are delighted (and very relieved) to announce we have been advised that all prior bookings are being honoured, and our booking is confi rmed and secure.

Australia's dancers can continue to register secure in the knowledge that the 48th Australian National Square Dance Convention IS well on track at the venue of our choice in June 2007.

Our apologies to all those who have tried to find our website , but we have had to hold it in abeyance until our venue was confirmed .

We would like to thank all those people who have supported, encouraged and offered assistance to the committee during this very frustrating four months, and look forward to seeing you in $quare Dance Heaven next year.

Australian National Square Dance Convention. It is great to hear from you and we would be delighted to have you join us here in Adelaide. South Australia in 2007.

In the following pages we have detailed information we feel will help you to prepare for. travel to, attend and participate in what will be a great 5 days of square and round dancing , together with clogging and contra.

Australia's callers are renowned not only for their calling expertise, but also for their on-stage humour, and they will give you a dancing experience which will be remembered many years later.

Adelaide is known for its wide range of fine restaurants , and many of the world famous South Australian wineries are located just an hour's drive north, south , or east of the city.

There are many tourist attractions within a short distance of Adelaide, and delegates will be able to take advantage of either their own vehicle, one of our sponsors SeaLink or the services of the Tourism SA to explore the many varied locations, from the diversity of attractions on Kangaroo Island to the old copper mines of Yorke Peninsula, the rugged grandeur of Outback National Parks or the majestic Murray River.

CHILD CARE A creche is available to cater for children from birth to 12 years of age.

All staff are registered , fully qualified child carers , and must hold a Police Clearance Certificate.

CATERING Light refreshments are available at the main venue. There are a number of restaurants and hotels within a short distance of the Dome, some within walking distance.

A varied range of restaurants, catering to all tastes, are open 7 days a week in the city centre, which is approximately 15 minutes from the Venue

ACCOMMODATION A wide range of accommodation is available within 15 to 30 minutes of the main venue.

Three, four and five star accommodation is available in the square mile of Adelaide city, and at the seaside suburb of Glenelg. You have the choice of hotels, motels or self-contained units or apartments.

A number of caravan parks, many on the seaside are also available within 15 to 30 minutes of the Distinctive Homes Dome.

They can offer caravan sites, camping sites , or holiday cabins , many self­contained with cooking equipment and en-suite facilities.

At the last Conferlink (November 19, 2006), Leighton Bloomtield asked for an extension of time for the National Square Dance Society of Australia meeting 10 be held at the 481h Australian National Square Dance Convention on Friday, June 12 2007.

This was to allow for a possible prolonged debate on the Youth Council Rules of Operations revision.

This request was considered at our meeting on Sunday December 3, and we are pleased to confirm that we can accede to thi s request. and offer a continuation of the scheduled time as late as 1.30prn.

It should be noted that this extension might cause a conflict of interest for some delegates who may wish to attend other meetings.

Tea, coffee and biscuits will be available, but the committee has not allowed for any lunch to be provided to this meeting.

The room MUST be vacated by 1.30 pm to allow it to be prepared for a fu rther meeting commencing at 2 pm.

It is nice to see that the committee thinks enough of you to ass,ign you some responsibilities.

The way that the BBQ has been run in previous years is that the Youth Council will cover the cost of the food and drinks . We normally ask for the use of a BBQ and Eskies to keep the drinks cold .

The only olher thing that I would like 10 raise is a follow up 10 the letter that was sent to David Armstrong on the 23/07/05 requesting the following items:

1. Soft drinks and fruit juice, and maybe have some sweets be available for the meeting not just Tea and Coffee. We would however like to have some tea coffee available for the any Adults that attend.

2. A Static booth space to provide some information about the youth council and a place that they can meet other youth .

3. The time allocated for the youth dance to not be advertised in the dance program.

The day after receivi ng your fax I attempted to fax a reply back to you, and tried again on a number of occasions over a period of days. However the machine at your end would not accept a fa.x during the day, and when I tried at night someone would answer the phone but not switch to fax mode.

Finally, I left a verbal message explaining the difficulty I was having in contacting you and asking for someone to call me back on a number I left, however, I d id not receive a reply.

At our last committee meeting earlier this week our Registration Officer stated that he had received a phone call from you, requesting the same infonnation. At that meeting, in response to John 's infonnat ion Heather indicated that she, like me, had made numerous attempts to contact you but was not successful e ither.

So we hadn ' t neglected you or forgotten you, we were unab le to contact you.

In answer to your major query however, Heather is waiting on final costing details from the bus company in question; she should receive thi s in fonnation by the middle of this month and will fOrvlard the detail s to you as soon as possible after that, which will allow your group to make the necessary decisions and register before the Earlybird Registration expiry date in February.

Earlier this year your company kindly donated a $100 voucher as a raffle prize for our S.A. State Square Dance Convention. The danGer who received the voucher was very appreciative.

I am now Secretary on the above Committee which is organizing an Australian National Square Dance Convention which is to be held in Adelaide at The Dome, Findon in June 2007. We are hoping to have 800 -1000 dancers attending with up to 100 from various overseas countries.

To assist us with our decorations for the venue would it be possible for us to borrow a female manikin for use from Thursday June 71ti to Tuesday June 111h 2007, to give the impression of dancing on a cloud the manikin would be dressed in Square Dance attire. We already have the USE! of a male manikin. [We would like to collect the manikin on Tuesday 5th for return on Wednesday 121h June.]

If your window dressers have any ideas or suggestions of how to simulate a large cloud around the feet of the manikins we would appreciate their assistance.

We would be very appreciative if this could be at no charge, as all assistance given to the committee will be acknowledged in the dance Program which all dancers receive and use for the weekend.

The above Convention is being held in Adelaide from 7'" to 11"' June 2007. The major venue being the Distinctive Homes Dome at Findon.

We are expecting up to 1000 dancers from all over the world and Australia and would respectively request vouchers for your restaurants, which can be placed in the Conference bags.

We would be collating these packages in late April or early Mayas dancers frequently holiday for a number of weeks before or following a Convention so we anticipate them to increase tourist numbers in South Australia until the end of June.

Our dancers range in age from school children to those well into their seventies and eighties.

Dear Jan

In answer to your request for year clips for the National Convention, I have confirmed with the suppliers and the cost for clips are $1 .10 each, so whichever amount 800 to 1000 you wish to order that is the cost.

It is customary to order in excess of the registrations received then these year clips are available for sale at other Conventions.

The NSW Square Dance Society as publishers of the South Pacific Square Dance Review hold the supplies of Badges, Bars and Year Cl ips, which are brought to each Convention. In this respect you only have to purchase the year clips and we supply the rest. It would also be appreciated that when the convention is complete that all excess pins be given to myself.

The company that supply the clips need about a months notice to supply to me, and I will then forward to you in time for putting in convention bags etc. would suggest that we order before the end of the year, and I will request delivery late January early February if that is OK then you would have them by end February at the latest, or whatever your committee decides.

I just wish to confirm that I am now the Secretary, not Bruce Clark so could you change your records appropriately, my postal address & phone number are as above thanks.

Early in February this year, I wrote to you on behalf of the 48th Australian National Square Dance Convention, asking whether Bank SA would be able to sponsor the convention in some way, whether large or small.

A copy of the original correspondence is enclosed with this letter.

Since the time of writing we have had favorable response from overseas, with 45 dancers coming from Japan, and good expressions of interest from the USA, Gennany and some other countries. New Zealand Dancers are also registering for this event, and of course, registrations are coming in from all States of Australia ..

We are somewhat disappointed that we have had no rep ly whatsoever in response to our original letter to your organisation, either in the affirmative or negative, and I am therefore writing to ask that you again review this request from us for some fonn of assistance in our endeavors to promote South Australia in a positive light to the many dancers from interstate and overseas who will be arriving in Adelaide in just over seven months from now.

I write requesting the closing date for nominations for the Showcase and Experimental dances to be presented at the 48'" National Square Dance Convention .

To date the ROAV has received no official communication providing this information. The only document received by the RDAV from the 48th National Convention Committee IS a letter dated 5 February 2006 and received on 17 May 2006. signed by yourself. outlining the proposed round dance program.

It is presumed the closing date is three months prior to the National. At present it is proposed the Victorian Showcase dance be selected by dancers at the State Convention over the 10, 11 and 12th March 2007.

Confirmation of the closing date therefore, is requin~ as a matter of urgency. A reply could be sent to me via Email [email protected]

1. Convention ribbons are your tiCkets. They are not transferable, and must be worn at ALL sessions.

The "no ribbon, no entry" rule applies. Registration packs will be available for collection from the venue from 12.30 pm on Thursday, June 7.

2. Correct square dancing attire must be worn to all square and round dance sessions (except during the Monday evening theme night when we would like you to dress up or down to suit the theme of Hades).

3. Hats are not to be worn

4. ~ Suitable footwear is to be wom at all sessions. Heels of less than 1- square, or shoes with heel artoe plates are not permitted to be worn on the dance floor. Dress Boots may be wom. Other boots not permitted.

5. ~ Use a shoe bag to hand carry your shoes into the dance venue and change inside - this will avoid inadvertently traipsing stones and grit into the hall; and possibly trying to dance in wet shoes.

6. In the interest of safety and consideration for other dancers, mobile phones; pagers; bunches of keys; badges etc are not to be worn or hung from belts whilst dancing.

7. Mobile phones are NOT to be used in any of the dance halls as they may cause interference to the sound

equipment.

8. Smoking is NOT PERMITTED in any area of any venue at any time

Ladies dancing as 'Left Hand Dancers' (man's position) must wear a sash, unless wearing trousers. Lady 'left Hand Dancers' [man's position) wearing trousers must also wear long sleeve blouses complete with bolo tie, cravat or similar; and may only dance the left hand dancer's position_

In June this year South Australia is hosting the 48th Australian National Square Dance Convention at the Distinctive Homes Dome. The convention will run from Thursday June 7 to Monday June II .

Square dancing has an active following of around 400 dancers in South Australia and many thousands throughout the country. We anticipate that we will have up to 1000 dancers in attendance. The average age of square dancers is from 45 upward, but there are younger dancers and children also involved.

At the convention we will be hosting dancers from all States of Australia as well as dancers from Japan, Germany, New Zealand, and possibly the USA.

We have a number of organizations who are otTering sponsorship in kind rather than cash, and we are approaching you to see if your organization would be prepared to offer us up to 12 x 10 litres containers of water for the use of the callers both on stage and in their practice room, and for the creche, which we anticipate will cater for 20 to 25 children from virtually 0 to II years of age.

As the Convention is being held at the Distinctive Homes Dome, which has its own caterers, we cannot offer you the opportunity to sell your product direct, but we can offer you the opportunity to promote it as a sponsor. This could take the fonn of an advertising banner, an advertisement in the dancer program (which is virtually the dancers "bible" for the 5 days and will be carried and read a number of times each day), or insertion of a sample or advertising brochure in the convention bag which will be supplied to every person attending.

As a sponsor, we would also recognize you on the sponsor board on display, in the list of sponsors in the printed program and verbally.
