Purpose of this strategic plan Serve as a living and dynamic strategic plan for Fulton Student Organization (FSO) leaders

and their community in order to better equip and empower them to proactively plan and prepare for the academic year.

Function as the platform through which FSOs apply for Ira A. Fulton Schools of Engineering (FSE) Dean’s Funding.

Facilitate relationships between FSO leaders, their members and the FSE community.

Instructions All Fulton Student Organizations are expected to complete this document to the best of their

ability by the timeframe provided. This document is intended to evolve as your organization progresses throughout the year.

You are welcome to record ideas and thoughts as you move through this document. Bullet points, illustrations and figures are encouraged. Make this document work for you. We encourage you to use this as a tool to initiate conversations, ideas and collaboration.

As plans change throughout the year, FSOs are expected to update their strategic plan and Dean’s Funding requests accordingly and submit them to Student Engagement, per the instructions outlined in the FSO timeline.

The Fulton Student Organization IdentityThe vision for Fulton Student Organizations: The Fulton Student Organizations are distinguished as institutionally, nationally and internationally recognized engineering and technical student organizations leading in awards, scholarships, rankings, competitions, and sponsorships; in the impact they have on ASU and the broader community; and in providing superior leadership, engagement, outreach, and professional preparedness opportunities for Tempe, Polytechnic, and online Fulton students.What does it take to become an FSO?

Be an approved student organization through ASU’s Student Organization Support. Has an FSE faculty/staff advisor or co-advisor. On a minimum of an annual basis, provide their membership list with at least 10 active student

members, at least 60% are FSE students. Has existed for at least a semester and can demonstrate their organization’s activities and

achievements to date. Can demonstrate ongoing activities that meet at least one area of the IRA’S standard:

o Interaction: encourage student interaction with faculty, staff, or industryo Recognition: brings prestige and recognition to the Ira A. Fulton Schools of

Engineeringo Academic: enhance the engineering or technical education of studentso Student mentoring: facilities peer-to-peer student mentoring

Can clearly demonstrate that they meet at least one (if not more) of these criteria: National/international organization affiliation Competing at a national/international level (completed in at least one competition prior

to applying to become an FSO) Research-based organization with required technical reports at competition evaluated

by national organization/competition staff Significant K-12 outreach program approved by K-12 outreach staff

What’s in it for your org to be an FSO? Opportunity to apply for FSE Dean’s Funding and other funding, as applicable Promotion through the Fulton Student Organization Directory Increased opportunities to develop your FSO in regards to superior leadership, engagement,

Fall 2018-2019 Dean’s Funding InformationOverview of Dean’s FundingDean’s Funding is intended to support the Fulton Schools community by providing funding and support for activities that encourage student engagement with faculty, staff, industry, and their peers to encourage their professional development, academic knowledge, hands-on skills, and community engagement.

The tier system is in place to support a dynamic Fulton Student Organization program that establishes clear expectations for each FSO and defines what Student Engagement, on the behalf of the Ira A. Fulton Schools of Engineering, shall provide to each FSO. This tier system is designed to help FSOs understand what FSE requires of them, as well as leveraging their place within the university.

The system consists of five tiers: Pewter, Bronze, Silver, Gold and Platinum. It combines a variety of department policies, including risk management, leadership development, and university initiatives. It is important to note that this system is not designed to designate which FSOs are more or less important; regardless of tier, all FSOs shall be treated equitably. This system is in place to assist each FSO with self-selecting their tier of funding, based on the needs of their membership.

Once the FSO chooses its funding tier and submits their completed strategic plan, the Dean’s Funding committee will review their plan. This committee, which is comprised of Fulton Student Council, Student Engagement and FSE partners, will review the organization’s strategic plan and award funding for the academic year, based on criteria met.

Dean’s Funding criteriaFSOs in good standing may apply for Dean’s Funding. You may request funding for events/activities that clearly align with at least one of the four criteria of IRA’S standard:

Interaction: encourage student interaction with faculty, staff, or industry Recognition: brings prestige and recognition to the Ira A. Fulton Schools of Engineering Academic: enhance the engineering or technical education of students Student mentoring: facilitates peer-to-peer student mentoring

Dean’s Funding evaluation rubricFSO Dean’s Funding applications will be evaluated for funding based upon the following criteria:

FSO has met all requirements to maintain FSO standing. FSO provides a clear, well-outlined calendar for the academic year, including their org-chosen

Dean’s Funding volunteering events. FSO provides a clear fundraising plan that includes sources in addition to Dean’s Funding. Proposed activity sections clearly and thoughtfully discusses the following:

Connection to at least one component of IRA’S standard Alignment with the vision for FSOs Description and purpose for the activity, including specific details Impact of funding Evaluation plan

FSO advisor strongly endorses the FSO’s abilities and preparation for the academic year and demonstrates a clear commitment toward the FSO as a mentor.

Dean’s Funding proposal instructionsYour Dean’s Funding proposal should clearly state how your proposed activities align with the vision for FSOs, what the activities are, who they will benefit, how Dean’s Funding is essential to your organization’s success, and how will you measure your success.

The FSO’s membership roster, per survey responses, will determine the number of points an org may earn per event.

DF action pointsFSOs may earn points by completing any of the action items provided here. Social embeddedness The ASU President’s Office regularly asks for student organizations’ social embeddedness in the community beyond ASU. These activities often include K-12 outreach or significant volunteering. At the end of the academic year, your group is welcome to report on your social embeddedness to Student Engagement who submits reports for FSOs. If your group is interested in reporting on your activities, you would need to report this information:

Advisor relationshipStudent organization advisors are integral to the success of student leaders and the organization. With the exception of a few responsibilities, the advisor’s role within a student organization is negotiable between the advisor and student leaders.

Below are the expectations for all ASU student organization advisors: Are a full- or part-time benefits-eligible employee (faculty or staff) at Arizona State University. Assist the student organization I advise in developing realistic goals for the academic year.

This will contribute to the educational and personal development of the students involved. Be familiar with the student organization's constitution and all other governing documents, so

that I may advise effectively. Attend executive board meetings, general meetings, and organization events when possible. Assist in the orientation of new members and with the transition process each year. Be familiar with the Arizona State University "Student Code of Conduct", the Student

Organization Handbook, and other institutional guidelines that establish expectations for student rights, responsibilities, and activities.

Answer policy-related questions, guide the group and its officers to follow established policies and protocols, and explain the consequences for choosing to operate outside their parameters.

What is safety culture?There are many definitions but an easy one is if “culture” is how we do things here, then “safety culture” is how we do safety here. It involves behaviors, actions, beliefs, values, and group norms. How can I see it?You can easily see it from within the group by observing folks. How they discuss safety, act on it, and not act on it. Unless you are within it, or better yet doing ethnographic research, you may not see it. Can I easily measure it?Because it involves behaviors, beliefs, values, and norms, it isn’t easy to measure. If not safety culture, what else could I easily measure?The consensus is that “safety climate” (how we think about safety culture) is easier to measure than safety culture (the norms, values, behaviors, etc.).  Even this is challenging but it is possible. Are there certain factors or areas that a group might consider relative to their safety culture?Some areas to consider might include communication, mistakes, lessons learned, caring about each other, trust, training, learning, power dynamics, hazard assessment, relative risk, mentoring, etc. What are some starting points for drafting a safety culture statement for a team or group?Some helpful starting points or prompts might include:

How will we show we care about each other? How will we ensure effective communication? What are our values?  Where does safety fit in? How will we assess hazards as they change?
