Getting started with Electronic Time sheets!

√ Make sure you and your employees are registered for Electronic Time sheets.√ Follow the steps outlined in this handbook.√ Log in using the user name and password emailed to you by ARIS Solutions.

Do not share your user name or password with anyone.√ Electronic Time sheets can be used for hourly services, only. You cannot submit for mileage or any other

expenses using the electronic time sheets.√ Once your employee has completed their Electronic Time sheet they will need to “submit” it electronically

to you. Once you have reviewed and approved the time sheet you must submit it to ARIS Solutions. √ As an employer must approve and submit Electronic Time sheets. You cannot make corrections to your

employee’s time sheets, however. If there is an error on a time sheet, you must “reject” the time sheet. “Rejecting” an Electronic Time sheet will result in your employee receiving an e-mail telling them that their time sheet has been rejected and what needs to be corrected. They will need to log in, make the correction and re-submit the time sheet to you for your approval and submission to ARIS Solutions.

√ All Electronic Time sheets must be approved and submitted by you. Employees cannot submit electronic time sheets.

√ Time sheets must be submitted to ARIS Solutions by you no later than 12:00 pm (noon) on Monday of each pay week.

√ Once ARIS Solutions receives an electronic time sheet it will be reviewed by the payroll department. If there is a problem with the time sheet a phone call will be made to you to discuss possible corrections.

1. Go to our website, www.arissolutions.org2. Click on “Electronic Time Sheet Entry”

Click on “Click Here for Electronic Time Sheet Entry” Next, click on “Log In”

1. Enter your user name and password (this is sent to you by via e-mail ARIS Solutions upon registration)2. Log in as “Employer”3. Enter the text on the screen in the box4. Click on “Log In”

1. Click on “Time sheet List”

1. Select the time sheet you wish to review.

1. Review your employee’s time sheet to be sure they have entered the correct dates, hours, service codes and pay rates (when applicable).

1. If the time sheet is correct: Indicate the employee status (is the employee still working, quit, fired or laid off).If the consumer has been hospitalized at any time during the pay period please enter the required dates.

2. Enter the security code into the box3. Click on “Approve Time sheet”

4. If you do not approve the time sheet because it is not correct, you must “reject” the time sheet.5. Write the reason you are entering the time sheet into the box “reject reason”.6. Enter the security code7. Click “reject time sheet” this will send an e-mail notice to your employee that they must correct their time sheet.

1. If you have clicked on “approve time sheet” you will be prompted “Are you sure you want to approve the time sheet?” If yes, click ok.This will send the time sheet to ARIS Solutions. It will also send a notice to your employee’s e-mail address telling them you have approved and submitted their time sheet.

Once you have approved and submitted the employee’s time sheet you will see a “copy” of the approved time sheet on the screen indicating the “approved” status”.

You will also find a copy of the time sheet on the time sheet list on the first screen after you log in.

You have now successfully submitted an on-line, electronic time sheet!
