Get an overview of SAP S/4HANA Cloud for projects, project collaboration.

SAP S/4HANA Cloud for projects, project collaboration is a cloud-based solution for collaboration between all partners in construction and engineering projects. The application uses a digital twin as the central point for integrating and fostering collaboration between all involved parties. From conceptualization to delivery, all partners in a project can work closely to design and build facilities and assets.

With SAP S/4HANA Cloud for projects, project collaboration, you can share crucial information and important documentation about the project with project partners.

The key features of SAP S/4HANA Cloud for projects, project collaboration are as follows:

1.1 Getting Started with SAP S/4HANA Cloud for projects, project collaboration

You can use SAP S/4HANA Cloud for projects, project collaboration for collaboration between multiple project partners in a project.

You can set up a collaboration project and invite companies from various disciplines to the project. The steps for setting up a collaboration project are as follows:

1. As a business administrator, log in to the SAP S/4HANA Cloud for projects, project collaboration.

2. Go to the My Projects application.3. Create a collaboration project.4. Configure the legal documents (terms of use and data privacy statement) for the collaboration project.5. Invite project partners to the collaboration project.

NoteYou can invite project partners only after you have uploaded the terms of use and data privacy documents.

1.2 Business Objects in SAP S/4HANA Cloud for projects, project collaboration

Get an overview about the business objects in SAP S/4HANA Cloud for projects, project collaboration.

Project

A project is a secure space where business partners from various disciplines can collaborate to achieve a certain goal. For more information, refer Manage Projects [page 17].

Project Partner

A project partner is a company involved in a collaboration project. A collaboration owner can invite companies belonging to different disciplines to a collaboration project. For more information, refer Manage Project Partners [page 19].

Project Plan

A project plan is a roadmap of a project that shows different phases of a project, key activities, and milestones. You can plan, schedule, execute, and control a project using a project plan. For more information, refer Manage Project Plans [page 24].

Project Element

A project element is an entity within a project plan. For example, Planning can be a project element within a project plan for the construction of an office building. You can assign project element responsibilities to project partners. For more information, refer Manage Project Plans [page 24].

Financial Record

A financial record contains the financial information about a project, such as the cost, budget, and revenue details. You can display financial records using a financial view. For more information, refer Manage Financial Views [page 25].

Document

A document contains the project-relevant information that can be shared with project partners. For more information, refer Manage Documents [page 21].

Task

A task enables you to focus on the project-related activities. For more information, refer Manage Tasks [page 26].

Issue

An issue is a problem or situation that affects the completion of a task, goal, or activity in a project. It contains the information about change orders and corrections in a project. An issue may result in changes to scope, budget, timeline, or resources, and usually requires a corrective action. For more information, refer Manage Issues [page 30].

Digital Twin

A digital twin is a digital representation of a physical asset, such as a building, road, or bridge, in various stages of construction. It consists of various digital twin objects and their respective information. For more information, refer My Digital Twins [page 33].

Digital Twin Object

A digital twin object is an entity within a digital twin. For example, a door within a building is a digital twin object. For more information, refer My Digital Twins [page 33].

2 Company and User Information

2.1 Visibility for Invitations

SAP S/4HANA Cloud for projects, project collaboration is a collaboration platform and features a business network. Inviting others into the collaboration, therefore, is a key process.

SAP S/4HANA Cloud for projects, project collaboration offers a business network for project partners from various disciplines to collaborate on a project. A person from another company can search for your company and you as a contact person by navigating to Project Details Project Partners Invite New Partner .

You can control whether you and your company are visible for invitations from others. If you or your company is not set to visible, a person can invite you or your company by specifying the email address of the contact person. You will receive an invitation in either scenario.

● You can set your company as visible for invitations from others in the My Company Profile application. For detailed information, refer My Company Profile.

● You can set your personal visibility for invitations from others in the My User Profile application. For detailed information, refer My User Profile.

NoteThe visibility settings affect only the invitation process. Once you accept the invitation to join a project, you are always visible to other members of the project. The personal information provided in the My User Profile application such as the name, email, phone number, and company affiliation is displayed to others, accordingly.

Company and User Information

2.2 My Company Profile

As a company administrator, you can manage your company details and set invitation visibility for your company in the My Company Profile application.

Visibility of Your Company for Invitations

You can control whether your company is visible for invitations from others. If your company is not set to visible, a person can invite your company by specifying the email address of the contact person. You will receive an invitation in either scenario.

NoteThe visibility settings affect only the invitation process. Once you accept the invitation to join a project, you are always visible to other members of the project.

You can set your company as visible by navigating to Fiori Launchpad My Company Profile visible for invitations into projects, collaborations, and business partner networks . There can be two scenarios:

● If the checkbox is enabled, you company will be available in the Invite Project Partner dialog. In addition, your company name and address are displayed to other partners within SAP S/4HANA Cloud for projects, project collaboration.

● If the checkbox is not enabled, your company will not be visible in the Invite Project Partner dialog.

NoteBy default, the checkbox is not enabled. For information about the available roles, refer Roles and Authorizations.

Manage Company Details

You can update your company name, company logo, and address.

2.3 My User Profile

As a business user, you can manage your user details, set personal visibility for invitations, and enable email notifications in the My User Profile application.

Visibility of you as Contact Person for Invitations

You can control whether you are visible for invitations from others. If you are not set to visible, a person can invite you by specifying your email address. You will receive an invitation in either scenario.

NoteThe visibility settings affect only the invitation process. Once you accept the invitation to join a project, you are always visible to other members of the project. The personal information provided in the My User Profile application such as the name, email, phone number, and company affiliation is displayed to others, accordingly.

You can set your personal visibility by navigating to Fiori Launchpad My User Profile visible for invitations into projects, collaborations, and business partner networks . There can be two scenarios:

● If the checkbox is enabled, the user will be available in the Invite Project Partner dialog. In addition, the user name and contact information is available to other partners within SAP S/4HANA Cloud for projects, project collaboration.

● If the checkbox is not enabled, the user details will not be visible in the Invite Project Partner dialog.

NoteBy default, the checkbox is not enabled. Editing the user profile details requires the User role and personal login.

Manage User Details

You can update your personal information such as the name, email, phone number, and profile picture.

Notification Settings

You can enable email notifications in the Notification Settings section. The system sends an email notification to you when,

● a project member assigns a task or issue to you.● a task or issue assigned to you is close to its due date, due, or overdue.

2.4 Account Management

Company administrators can configure and manage users and functions in SAP S/4HANA Cloud for projects, project collaboration using the Account Management application.

For information about the required roles and authorizations, refer Roles and Authorizations.

2.4.1 User Management

Company administrators can manage users for their company accounts using the User Management application.

The User Management page displays all users who are onboarded to the SAP S/4HANA Cloud for projects, project collaboration account. You can use the User Management application to do the following:

● Search users.● Add new users to the SAP S/4HANA Cloud for projects, project collaboration account and assign role

collections to them. You can also edit the assigned roles.● Deactivate and activate users. Once a user gets deactivated, the system removes the role collection

assigned to the user. Deactivated users can't access any application of this account. You can also reactivate the deactivated users and assign role collections to them.

● Delete users that have the status Added and are not an active member of any projects in SAP S/4HANA Cloud for projects, project collaboration.

NoteYou can delete users only if they have the status Added.

2.4.2 Automatic User Onboarding

Automatic user onboarding helps to automate the user onboarding to your company account. If the automatic auto-onboarding is configured and activated, users who are invited to a collaboration project will be added to this company account without further user administration.

To achieve this you have to add the technical user [email protected] in your subaccount to the SAP ID service of the Trust Configuration menu in the security area and assign the role-collection, copin-uaa-access. Additionally, the role-collection copin-user must be defined. This role-collection will be assigned to every auto onboarded users to grant access to SAP S/4HANA Cloud for projects, project collaboration application. For information on roles, refer Roles and Authorizations.

Example1. Auto-onboarding - Invitation through company internal user

● Sue, member of the SAP S/4HANA Cloud for projects, project collaboration project invites her colleague Marc into the project.

● As automatic user onboarding is configured and activated for internal users of the company, Marc gets automatically added to the account of your company as a copin-user.

● Jack from supplier A (user from another company) is member of the SAP S/4HANA Cloud for projects, project collaboration collaboration project.

● As automatic user onboarding is configured and activated for external users and Tom's email domain (xyz.com) is on the allowlist, then Tom gets automatically added to the account of your company as a copin-user.

● Jack (external user) invites Lissi, who is Not an employee of your company, into the collaboration project.

● Automatic user onboarding is configured and activated for external users.

● Lissi's email domain (abc.com) is Not allowlisted. Therefore, the onboarding will be declined and Lissi needs to be manually onboarded by a company administrator using the Account Management application.

3.1 Manage Projects

You can manage your projects in SAP S/4HANA Cloud for projects, project collaboration using the My Projects application.

SAP S/4HANA Cloud for projects, project collaboration offers a platform for collaboration between business partners in a cross-company project. You can manage all information in SAP S/4HANA Cloud for projects, project collaboration within a project. A project provides a secure collaboration space, where you can invite business partners for different roles from different companies to collaborate on the project. A project is a central entry point for all project members to,

● share information such as documents, project plans, financial records, and digital twins.● manage tasks and issues to coordinate across multiple companies.● have a single source of truth.

Setting Up a Project

You can create a project by navigating to Fiori Launchpad My Projects . Once you have created a project, you can invite project partners (companies) from various disciplines to collaborate on the project. By default, you are the collaboration owner for the projects that you have created.

Project Details

In the My Projects section, you can view the projects that either you have created or joined by accepting invitations. You can navigate to the Project Details page to get a detailed overview about a project. You can manage the following on a Project Details page:

● Update the header attributes of a project.

NoteYou need to select Edit to update the header attributes of a project.

○ Set the project status and define project timelines.○ Upload legal documents (terms of use and data privacy statement) for a project.

● Invite project partners (companies).● Add users (employees) from your company to a project.

● Manage business objects in a project. For more information, refer Business Objects in SAP S/4HANA Cloud for projects, project collaboration [page 5].

● Reference business objects in a project with objects in business systems that are outside SAP S/4HANA Cloud for projects, project collaboration. For more information, refer System Configuration for Related Objects [page 45].

Manage Groups

Authorization groups contain a set of users from one or multiple companies who are part of a collaboration project. When you create a project, the following groups are created automatically:

● The Everyone in the project group consists of users who have accepted the invitation to join a collaboration project.

● The Project Administrators group consists of the user who creates a project (collaboration owner). You can add users as project administrators, if required.

NoteYou can't delete the Everyone in the project and Project Administrators groups.

Authorized business users can create groups and add users to the groups. You can select these groups from the list while adding authorizations on business objects such as project plans, project partners, tasks, issues, and documents. For more information, refer Manage Permissions [page 41].

Project Functions

Project administrators can control which users and user groups can perform various functions in a project. They can authorize users and user groups to perform the following functions in a project by navigating to

Project Settings Project Functions Authorization .

● View and delete projects.

NoteAuthorized users can delete projects that have the status To Be Deleted. You can't recover projects that have been deleted.

● Edit project header attributes.● Invite project partners.● Create authorization groups.● Manage authorizations on projects.● Create project plans.● Create financial views, issues, and tasks.● Create digital twins.

3.2 Manage Project Partners

SAP S/4HANA Cloud for projects, project collaboration offers a business network for the execution of a cross-company project. You can set up a project and invite project partners from various disciplines to collaborate on the project.

Key Features

You can use the Manage Project Partners application to do the following:

● Invite project partners to a collaboration project.● View all project partners involved in a collaboration project.● Add users from your company to a collaboration project.● Mark a user as the key contact of your company in a collaboration project.● Activate and deactivate users of your company in a collaboration project.

Invite Project Partners

As the collaboration owner, you can invite companies to join the collaboration project. The collaboration owner can authorize other project partners to invite new partners under Project Settings Project Functions on the Project Details page.

Once you select Invite New Partner, the system displays the list of companies who have made themselves visible for invitations. Companies can make themselves visible for invitations by changing the visibility settings in the My Company Profile app. You can either invite companies from the list of available companies or add a new company by selecting New Company. You need to select a user from the company to send the invitation. Once you invite a company, the system sends an invitation email to the user you have selected to join the collaboration project. This user becomes the company representative for the selected company role and is also marked as the key contact of the company in the collaboration project.

NoteYou can invite a company into a collaboration project multiple times for different roles (responsibilities) using the Company Role attribute.

A company role indicates the role of a company in a collaboration project, whereas a user role indicates the role of a user in a collaboration project.

NoteThe collaboration owner must upload the data privacy statement and terms of use document to be able to invite project partners to the collaboration project.

Overview of the Invitation Statuses

Invitation Status Description

Invited Indicates that the company has been invited to join the col­laboration project. Once the company representative ac­cepts the invitation, it isn't possible to withdraw the invita­tion.

NoteOnly the sender of the invitation can withdraw the invita­tion.

Active Indicates that the company representative has accepted the invitation to join the collaboration project.

Rejected Indicates that the company representative has rejected the invitation to join the collaboration project.

Manage Users

Company representatives can manage users for their respective company roles. They can also manage role collections assigned to the users within their respective company roles and mark other users within their company roles as the key contact. Company representatives can add users for their respective company roles to the collaboration project. When a user selects Add, the system displays the list of users who are active in SAP S/4HANA Cloud for projects, project collaboration. The company representative can either choose users from the list or add new users. Once a user is invited, the system sends an invitation email to the user to join the collaboration project.

The key contact can manage roles assigned to users. The key contact can also enable other users to manage roles by assigning relevant permissions to the project partner.

User Permissions

You can view user permissions under Authorization Entries on the Project Partner Details page. You can find the details about the available permissions in the following table.

Permission Description

Full Control Users with the Full Control permission can add new users to the project partner, activate and deactivate users, and mark users as the key contact. They can edit user permissions only for their companies. The Full Control permission in­cludes the Edit permission.

Edit Users with the Edit permission can edit user roles and com­pany roles for their companies. The Edit permission includes the View only permission.

Permission Description

View only Users with the View only permission can read the company information and view all users of a company.

Key ContactBy default, the company representative is the key contact of a company in a collaboration project. It is possible to change the key contact of a company.

Deactivate/Activate UsersUsers with the Full Control permission can deactivate/activate users of their respective companies. Once you deactivate a user, the user gets deactivated for the collaboration project.

NoteIt isn't possible to deactivate a user who is marked as the key contact. You can't deactivate your own user.

3.3 Manage Documents

You can use the Manage Documents application to manage project-related documents and share them with project partners in a cross-company collaboration project.

Key Features

You can use the Manage Documents application to do the following:

● Search and filter documents, folders, and links.● Share documents with other members of a project.● Add references to the documents stored outside SAP S/4HANA Cloud for projects, project collaboration.● Upload model documents.● Update statuses for documents.● Upload and download different versions of documents.● Check out and check in documents.● View issues and tasks to which a document is referenced.● Create and reference issues to documents.● Create and reference tasks to documents.

● Manage tags for documents.

Search and Filtering

You can search and filter documents, folders, and links. The search and filtering display results for the current folder as well as its child folders.

Check Out and Check In Operations on Documents

You can check out a document before editing the document contents to prevent other users from editing the document. After the editing is done, you can check in the document after which other users can edit the document. When you check in a document, a new version of the document is created. Document check-in and check-out improves collaboration in a team by eliminating the possibility of a document being overwritten.

NoteOnly the user who is editing a document can unlock the document.

Permissions on Documents, Folders, and Links

You can view permissions on documents, folders, and links in the Authorization section on the document details page. You can find the details about the available permissions in the following table.

Permission Description

Full Control The Full Control permission includes the Edit permission.

Users with the Full Control permission can delete docu­ments, folders, and links.

Edit The Edit permission includes the View only permission.

● Users with the Edit permission on a document can up­date the metadata and upload new versions of the document. They can also move the document to a dif­ferent folder.

● Users with the Edit permission on a folder can update the metadata of the folder. They can also move the folder to another folder.

● Users with the Edit permission on a link can update the metadata of the link. They can also move the link to a different folder.

View only ● Users with the View only permission on a document can view the metadata, download different versions, and ref­erence other objects to the document.

● Users with the View only permission on a folder can view the metadata of the folder.

● Users with the View only permission on a link can view the metadata and reference other objects to the link.

Supported Operations

Create OperationOn the Manage Documents page, all users can create folders, documents, and links under the root directory. All members of a project can create documents, folders, and links within a folder. When you create a document within a folder, the document inherits the permissions of the parent folder.

NoteThe permissions on a document don't change when you move the document to a different folder. You can change the permissions if you have the Full Control permission on the document.

By default, you and the members of project administrators group have the Full Control permission on the documents, folders, and links created by you. Everyone in the project has the View only permission on the documents, folders, and links created by you.

Upload OperationYou can upload new versions of a document if you have the Full Control or Edit permission on the document. You can select multiple documents for mass upload. You can also drag and drop multiple documents for mass upload.

NoteIt isn't possible to upload multiple documents in the Documents section of the issue details and task details page.

View and Download OperationsYou can view and download different versions of a document if you have the Full Control, Edit, or View only permission on the document.

Edit OperationYou can edit a document if you have the Full Control or Edit permission on the document.

Move Operation● Users must have the Edit permission on the source and target folders if they want to move a folder along

with it's child objects to another folder.● Users must have the Edit permission on the source and target folders as well as on a document if they want

Reference Operation● You can view issues to which a document is referenced on the document details page. You can reference

● You can view tasks to which a document is referenced on the document details page. You can reference one or multiple documents to a task if you have the View only permission on the task and documents. You can also upload documents related to a task to a user-specific folder.

Delete OperationYou can delete one or multiple documents, folders, and links if you have the Full Control permission on the documents, folders and links.

Upload Model Documents

You can upload model documents and import them into a digital twin by navigating to the My Digital Twins application.

Import Project PlansYou can import project plans from your local file system. You can also import project plans from SAP S/4HANA Cloud Enterprise Portfolio and Project Management (EPPM) by selecting External System.

NoteThe External System function is active only if your SAP S/4HANA Cloud for projects, project collaboration is integrated with the SAP S/4HANA Cloud Enterprise Portfolio and Project Management (EPPM) system. For more information, refer Integration Guide.

Assign Project PartnersYou can assign project element responsibilities to project partners. Project partners can use the Responsible attribute to search and filter the project elements that are assigned to them. You can also unassign project partners from project elements.

Create and Assign IssuesYou can create issues and assign them to project elements or assign the existing issues to project elements. You can also unassign project elements from issues.

Create and Assign TasksYou can create tasks and assign them to project elements or assign the existing tasks to project elements. You can also unassign project elements from tasks.

Manage AuthorizationsYou can manage user permissions on project plans in the Authorization section on the Project Plan Details page. You can add, edit, and remove authorizations (from users and groups). For more information about the user permissions on project plans, refer Manage Permissions [page 41].

3.5 Manage Financial Views

You can manage cohesive financial records in financial views using the Manage Financial Views application.

Financial Records

A financial record contains the financial information about a project, such as the cost, budget, and revenue details. Financial records are part of a financial view. You can import financial records during different phases of a project.

Import Financial Records

You can import multiple financial records from a comma-separated values (CSV) file into the Manage Financial Views application. While importing financial records, you can either create a new financial view or update an existing financial view.

Share Financial Records

You can share cost, revenue, and budget details with employees of your company staffed in a collaboration project.

3.6 Manage Tasks

You can coordinate the execution of tasks in a cross-company project environment. A task enables you to focus on the project-related activities.

Key Features

You can use the Manage Tasks application to do the following:

● Create tasks and assign issues, documents, and digital twin objects to them.● Search and filter tasks.● Assign tasks to users or companies.● Import tasks from a comma-separated values (CSV) file.● Create subtasks within tasks.● Integrate with the SAP BTP workflow service for a detailed step-by-step processing of tasks.● Upload and reference documents to tasks.● Manage the status and progress of a task.● Manage authorizations on tasks.

Create and Assign Tasks

You can create tasks and assign them to users or companies. It is possible to create tasks,

● related to issues that you have created to report problems related to change orders and corrections.● related to documents.● related to digital twin objects.

If a user has enabled email notifications in the My User Profile application under Notification Settings, the system sends an email notification to the user when,

● you assign a task to the user.● when a task assigned to the user is close to its due date, due, or overdue.

You can also reject a task assigned to you and send it back to the assignee.

Assign IssuesYou can create issues to report problems related to change orders and corrections, and assign them to tasks. You can also unassign issues from tasks. It is possible to assign multiple issues to a task.

Assign Digital Twin ObjectsYou can select and assign digital twin objects to tasks. After you assign digital twin objects, you can view them as snapshots. You can also enable marker to highlight a particular area of a digital twin object, for example, to indicate a crack in a building wall. In 3D view, you can view the selected object of a digital twin by choosing Show Selected. In the list view, you can see the details of all digital twin objects assigned to a task.

Add NotesYou can add/edit notes for the project-related communication with other members of a project. You can also delete notes.

Import TasksYou can import multiple tasks from a comma-separated values (CSV) file into the Manage Tasks application. The Import function reads the data from the CSV file and displays it in a table with the potential incorrect or incomplete data. You can edit the task attributes in the table, if required. For information about the supported field formats during the import of tasks, refer Supported Field Formats [page 28].

Create SubtasksYou can create subtasks within a task and assign the subtasks to users. You can either create a new action or new check as a subtask. For more information, refer Manage Subtasks [page 29].

Manage WorkflowsYou can start workflows out of a task. When you start a workflow, the task attributes and corresponding collaboration project are written in the workflow context. Once a workflow instance is created, you can monitor it in the Workflow section on the Task Details page. For information about setting up workflows in your SAP BTP account, refer Integration with SAP Workflow on Cloud Foundry.

Add DocumentsYou can add new documents and reference them to a task or add references to the existing documents uploaded into the Manage Documents application.

CautionBe careful with date and number formats. For example, when saving from Microsoft Excel, these formats are automatically converted to your locale which might not fit to the import format described in the field formats table. Therefore, it is recommended to define all cells as text cells in your spreadsheet program.

3.6.2 Manage Subtasks

Create and manage subtasks within a task.

You can create subtasks within a task in the Task References section on the Task Details page. A subtask can either be an action or check. You can assign subtasks to users.

Actions

You can create actions to document the implementation steps which either have to be executed in a certain order or have to be processed by different persons. For example, if server migration is a task, the actions within the server migration task can be as follows:

● Run backup on the old server.● Install a new server and connect it to the network.● Configure security settings (firewalls, network, and administrators).● Restore data from the backup.● Verify functionality, connectivity, and data integrity.● Notify stakeholders.

Checks

You can create checks to perform a controlled and documented verification, for example, an approval for work. The checks can be executed by one or multiple persons, for example, there can be multiple experts on a certain topic. The checks within the task of server migration can be as follows:

You can create and manage issues that impede the completion of a project-related activity and share them with project partners in a project.

Import Issues in BCF formatYou can import multiple issues into the Manage Issues application in BIM Collaboration Format (BCF) format. An issue in SAP S/4HANA Cloud for projects, project collaboration corresponds to a topic in a BCF file. While importing a BCF file, the topic GUID within the imported file identifies whether an issue is already available in your SAP S/4HANA Cloud for projects, project collaboration. You can either skip the import or overwrite the existing issue. For more information about the topic GUID, refer https://github.com/buildingSMART/BCF-API#42-topic-services

NoteYou must have the Full Control permission on an issue to be able to overwrite the issue.

3.8 My Digital Twins

A digital twin is a digital representation of a physical entity within a project, for example, a building or bridge. You can use the My Digital Twins application to create and view digital twins.

Key Features

You can use the My Digital Twins application to do the following:

● Search digital twins.● Create, edit, and view digital twins.● Import model documents within a digital twin to view the digital representation of a model.● Navigate to the digital twin objects of a digital twin using the component, spatial, and model documents

hierarchies.

Digital Twin ObjectsA digital twin object is an entity within a digital twin. For example, a door within a building is a digital twin object. You can assign multiple issues, tasks, and documents to digital twin objects on the digital twin object details page.

View Digital TwinsYou can navigate to various digital twin objects within a digital twin using the following hierarchies.

Hierarchy Description

Component Hierarchical display of digital twin objects, grouped by component types. In the Component hierar­chy, the data is fetched from Visual Enterprise.

Spatial Hierarchical display of digital twin elements, grouped by spatial elements. In the Spatial hierarchy, the data is fetched from SAP S/4HANA Cloud for projects, project collaboration. You can view the details of digital twin objects using a hierarchy. In 3D visualization, the floating toolbar allows you to view digital twin objects in various modes.

Import Model DocumentsYou can import model documents uploaded in the Manage Documents application into a digital twin. You can view the digital representation of a model for different level of details (LODs) and disciplines. An LOD indicates the degree of clarity to the content and reliability of the building information model at various stages in a design and construction process. The model documents corresponding to the following IFC schema specifications are supported.

4 Access Control Within Projects

Overview and Access Control Concept

SAP S/4HANA Cloud for projects, project collaboration uses instance-based and role-based access control concepts along with users and groups within the individual projects.

A user becomes a member of the project either by creating a project, being invited or staffed into the project. The membership grants a basic level of access. Existing membership can be blocked by authorized users, revoking basic access to the project.

Groups within a project are either automatically created during specific processes (for example, creation of project, invitation of project partners), or manually created on the Manage Groups page. The groups can be managed, either manually or automatically by the system. Groups within hierarchies (groups) are not supported.

● For instance-based access control on objects within a project, a list of users and groups can be assigned detailed permissions, controlling the access to object instance. The highest level of permission given to any user or any group he is member of, is considered for the access control check. For example, if a user is provided the permission, View Only, on a task, but is also a member of the group with permission, Full Control, the access control will consider the permission, Full Control.The permission, Full Control, entitles to modify the access control settings of an object.

● For role-based access control to specific functions within an existing project, the Project Functions page is used to assign detailed permissions on project functions to an individual user or group.The permission, Maintain Project Authorizations entitles to modify the access control setting of a project function

4.1 Access Control after Creating Project

When a project is newly created, the following default authorization groups are created:

● Everyone in the project

NoteThe person who created a project is added to the group, Project Administrators.The group Everyone in the project includes all members of the project.

In addition, for the company that created the project, a new project partner group with the role Collaboration Owner (group) is added.

4.2 Manage Authorization Groups

Manage authorization groups and their respective members within a project, depending on the role collection assigned to you.

You can view all groups and their respective members on the Project Settings Manage Groups page. Once you add new members to a group, they automatically inherit all permissions on the objects where the group is used for access control. When you remove members from the group, they stop inheriting permissions. However, users can still have access to the objects through inheritance from other groups or if they have direct authorizations on the respective objects.

Authorization Groups

Group Name Description

Everyone in the project Once you create a project, the system creates and manages the group. You are automatically added to the group. The group contains all members within the project.

NoteYou can modify the name and description of the group. It isn't possible to delete the group.

Group Name Description

Project Administrators Once you create a project, the system creates and manages the group. You are automatically added to the group.

You can view, edit, and add/remove members from the group.

NoteIt isn't possible to delete the group.

Any authorization group created through Manage Groups → Create

When you create a new group, you have the Full Control per­mission on the group. You can view, edit, delete, and add/remove members from the group.

Every project member can view the authorization groups and assign them to the business objects in SAP S/4HANA Cloud for projects, project collaboration.

Any project partner group The project partner groups are automatically created by the system when a new project partner (company) is invited into the project, or when an existing project partner (company) is invited within a new company role.

The invited contact person

● is provided the Full Control permission on the group, upon accepting the invitation

● automatically becomes a member of the group

The group can be viewed, edited, and managed in the Project Partner Details page.

4.3 Manage Permissions

You can view and manage user permissions on business objects in a collaboration project.

Permissions on Project Partners

You can view and manage user permissions on project partners in the Authorization section on the Project Partner Details page.

NoteThe first user who is invited to a project has the Full Control permission for the project partner role.

The available user permissions on a project partner are as follows:

● If you have the View only permission on a project partner, you can read the project partner information and view employees of the project partner.

● If you have the Edit permission on a project partner, you can edit the user roles and company roles. The Edit permission includes the View only permission.

● If you have the Full Control permission on a project partner, you can add new users to the project partner, activate or deactivate users, and mark a user as the key contact. You can also edit project partner authorizations on the project partner. The Full Control permission includes the Edit permission.

Permissions on User Groups

You can view and manage user permissions on user groups in the Authorization section on the Manage Groups page.

Note● You can't delete the Everyone in the project and Project Administrators groups. They are automatically

created when you create a project and include all project members who accept the invitation to join the project.

● A user who creates a group has the Full Control permission on the group.

The available user permissions on a user group are as follows:

● If you have the View only permission on a group, you can read the group information and find the group in assignment dialogs while adding authorizations on business objects in a project. You can also view all members of the group.

● If you have the Edit permission on a group, you can add users to the group and remove users from the group. The Edit permission includes the View only permission.

● If you have the Full Control permission on a group, you can update the name and description of the group, delete group, and edit authorizations on the group. The Full Control permission includes the Edit permission.

Permissions for Project Functions

Provides permission relevant information about the business objects (for example, digital twins, issues, and tasks) of the project or related to a project. You can view and manage user permissions in the Authorization section on the Project Functions page.

NoteBy default, the Everyone in the project group has the permission to create financial views, issues, and tasks. The Project Administrators group can view the project, edit project header, maintain project authorizations, delete project, create authorization group and digital twin, invite project partners, and create project plans.

The available user permissions to perform various functions in a project are as follows:

● View Project: You can read project data.● Edit Project Header: You can edit project header data.● Maintain Project Authorizations: You can edit the project authorizations.● Delete Project: You can delete project.● Create Authorization Group: You can create groups.● Create Digital Twin: You can create digital twins.● Create Financial View: You can create financial views.● Create Issue: You can create issues.● Invite Project Partner: You can invite project partner.● Create Project Plan: You can create project plans.● Create Task: You can create tasks.

You can view and manage user permissions on tasks in the Authorization section on the Task Details page.

NoteBy default, the Everyone in the project group has the View only permission on a task and the user assigned to a task has the Process permission on the task.

The available user permissions on a task are as follows:

● If you have the View only permission on a task, you can read the task information and attach documents to the task.

● If you have the Process permission on a task, you can change the task status and task responsible, assign issues and digital twin objects, and reject task assignment. The Process permission includes the View only permission.

● If you have the Full Control permission on a task, you can update the task header attributes of the task such as the subject, description, due date and edit authorizations on the task. The Full Control permission includes the Process permission.

You can view and manage user permissions on issues in the Authorization section on the Issue Details page.

NoteBy default, the Everyone in the project group has the View only permission and the user assigned to the issue has the Process permission on the issue.

The available user permissions on an issue are as follows:

● If you have the View only permission on an issue, you can read the information about the issue and attach documents to the issue.

● If you have the Process permission on an issue, you can change the issue status and issue responsible, assign tasks, and digital twin objects. The Process permission includes the View only permission.

● If you have the Full Control permission on an issue, you can update the header attributes of the issue such as the subject, description, due date and edit authorizations on the issue. The Full Control permission includes the Process permission.

Permissions on Documents, Folders, and Links

You can view permissions on documents, folders, and links in the Authorization section on the document details page. You can find the details about the available permissions in the following table.

Permission Description

Full Control The Full Control permission includes the Edit permission.

Users with the Full Control permission can delete docu­ments, folders, and links.

Edit The Edit permission includes the View only permission.

● Users with the Edit permission on a document can up­date the metadata and upload new versions of the document. They can also move the document to a dif­ferent folder.

● Users with the Edit permission on a folder can update the metadata of the folder. They can also move the folder to another folder.

● Users with the Edit permission on a link can update the metadata of the link. They can also move the link to a different folder.

Permission Description

View only ● Users with the View only permission on a document can view the metadata, download different versions, and ref­erence other objects to the document.

● Users with the View only permission on a folder can view the metadata of the folder.

● Users with the View only permission on a link can view the metadata and reference other objects to the link.

You can view and manage user permissions on project plans in the Authorization section on the Project Plan Details page.

5 Additional Capabilities and Information

5.1 System Configuration for Related Objects

Related objects represent references between business objects in a project and objects in business systems that are outside SAP S/4HANA Cloud for projects, project collaboration.

Configure Business Systems

Company administrators can configure the following business systems and object types for their company accounts in the System Configuration application:

● SAP Asset Intelligence Network● SAP Cloud for Real Estate● SAP Enterprise Product Development● SAP S/4HANA● SAP S/4HANA Cloud● External Systems (third-party systems)

NoteYou can create object types only for external systems (third-party systems). Object types for systems within SAP are predefined.

Create Related Objects

You can create a related object by specifying an External ID, Name, URL, Description, System ID, and Object Type in the Create Related Object dialog. The System ID corresponds to the business system in which the related object exists. The URL link directs you to the object outside SAP S/4HANA Cloud for projects, project collaboration.

NoteIt is possible to modify the Name, URL, Description, System ID, and Object Type of a related object. The uniqueness of a related object is determined by the combination of its External ID, URL, System ID, and Object Type.

You can assign the existing related objects to projects, issues, documents, tasks, and digital twin objects. You can also unassign related objects.

Access Control

The related objects are owned by the company corresponding to the user who created them. The related objects are visible and can be edited only by users of the company that owns related objects.

For example, if a user belonging to company A creates a related object in a project, all users in company A who are part of the project can view and edit the related object. The related object will not be visible to users belonging to company B which is involved in the project.

5.2 Digital Twin Type Configuration

You can configure digital twin types using the Digital Twin Type Configuration application.

Configure Digital Twin Types

Company administrators can configure digital twin types for their company accounts by specifying an ID and Display Name. They can define a digital twin type as visible to make it available for selection in the Create Digital Twin dialog.

NoteIt is not possible to modify the display names for digital twin types defined by SAP.

Create Digital Twins

You can select the configured digital twin types in the Create Digital Twin dialog in the My Digital Twins application.

NoteA digital twin type will be available for selection in the Create Digital Twin dialog only if the digital twin type is defined as visible in the Digital Twin Type Configuration application.

Additional Capabilities and Information

Access Control

Customers can configure custom digital twin types that are specific to their requirements. When a user belonging to customer A creates a project, the digital twin types defined for customer A become relevant for that project. If users of customer A participate in another project which is owned by customer B, the digital twin types defined by customer B become relevant for that project.

Terms commonly used in SAP S/4HANA Cloud for projects, project collaboration.

Term Description

Building Information Modeling (BIM) Creating and managing 3D building data during its develop­ment.

Collaboration owner The company of the user who created the project in SAP S/4HANA Cloud for projects, project collaboration. This com­pany takes over the ownership of the collaboration project.

Company role Classification of a company based on the discipline they be­long to in a project. For example, architecture design or elec­trical installation.

Digital twin The digital replica of a physical object. This includes the graphical and non-graphical information of the physical ob­ject.

Discipline The branch or area to which the LOD document belongs to. For example, Architectural, Structural, Electrical, Mechani­cal, or HVCA.

Issue A problem or situation that affects the completion of a task or other project-related activities or goals. An issue may re­sult in changes to scope, budget, timeline, or resources, and usually requires a corrective action.

Level of Detail (LOD) A specification that indicates the degree of clarity to the con­tent and reliability of the building information model at vari­ous stages in a design and construction process. The LOD numbers (LOD100 to LOD500.) indicate the various levels of "content" of elements such as geometric information, or structured data. As the LOD number increases, the geome­try and content gets more specific and final.

Project owner The company, corporation, or person who sponsors a project. The project owner also defines the requirements of the asset.

Project partner A company that is involved in a project.

User role The role assigned to a person who is involved in a project, such as architect, building surveyor, civil engineer, electrical engineer, or land surveyor.
