Academic CalendarAcademic school year runs from mid-August to end of May every year, averaging 180 days.

1. Holidays: Huda Academy follows the Little Rock School District (LRSD) for most of the Holidays.

a. Huda Academy will be in recess during the following federal holidays:i. January 1, New year’s dayii. Memorial Day (Last Monday of May)iii. Independence Day, the 4th of July (usually during summer break)iv. Labor day (first Monday of September)v. Thanksgiving and the day after Thanksgiving (fourth Thursday and Friday

of November)vi. Winter break (last 10 days of December)

vii. Spring Break (5 days in March, identical to LRSD)

b. Huda Academy celebrates the following Islamic holidays if school is in session:i. The Holy month of Ramadan: Huda Academy reserves the right to alter

school operating hours during this month. 1. Children are free to practice fasting during Ramadan if they have

permission from their parents. We do ask non-fasting adults to refrain from eating in front of fasting children and adults as a common courtesy.

2. The cafeteria will remain open during Ramadan to cater for those students who are not fasting. Lunch hour may be reduced in length, and fasting students will be encouraged to use the masjid and/or library during that time.

ii. Eid al Fitr, the day following the end of Ramadan is either 2 days off or a day of school celebration with fun and games. This can be inclusive of the weekend.

iii. Eid al Adha, the 10th day of the Hajj (lunar month) is either 3 days off or a day of school celebration with fun and games.

Students should know the origin and customs associated with each non-Islamic holiday. It is up to individual families to decide if they want to celebrate them. Special practices or costumes associated with these holidays are not allowed on school campus (Halloween costumes, fire- works, etc.). The Huda Academy does not participate in Halloween.

Birthdays:Huda academy does allow individual birthdays to be celebrated. We do not allow candles or cakes, but cup cakes are allowed. Our emphasis is to be thankful to Allah (SWT) for the occasion to be with friends and family.

Class ScheduleEvery student will receive his/her class schedule on the first day of school. There are a total of seven periods a day plus a prayer time (Dhuhr) on Monday through Thursday. Friday Jum’ah

prayer is considered as an Islamic studies period. Classes will be dismissed at 3:25 pm Monday through Thursday. On Fridays, dismissal time is 2:15 pm.

After-school Clubs run from 3:30 pm to 4:30 pm on Tuesdays, Wednesdays and Thursdays.

Field TripsParents can help us by suggesting people and places that they feel are worthy of our attention. Parents are always asked to help as chaperones and supervisors for fieldtrips. Only the classroom teachers, students and chaperones are allowed to attend the field trips. The purpose of the parent volunteer is to actively supervise students. Bringing additional children will not help the school achieve this purpose, therefore no other children are allowed on school fieldtrips. Students should wear their school uniform on all field trips unless otherwise stated by the school administration. In the past, school field trips have been arranged for visits to the Little Rock Zoo, the Science Museum, Lion’s School for the Blind, Pumpkin Patch, Heifer International, Presidential Library, etc.

Other Events

I. School Pictures

An effort will be made to have school pictures taken annually. This is arranged through a professional photographer. Packets of individual student colored photos will be offered for sale to parents/guardians, as well as, the Year Book.

II. Other:

A number of school events are scheduled throughout the year. They include but are not limited to: Practice Hajj, Spelling Bee, Geography Bee, International World Fest Day, Science Fair, Qur'an Competition, Math Day and Arabic Spelling Bee. We make every effort to schedule all events at the beginning of the school year. However, it is not always possible to schedule all events in advance and the school will make every effort to notify parents about upcoming events in a timely manner.

Attendance, Absence, TardinessIf the child does not attend at least 4 hours or 50% of school, that day is counted as an absence. Excused Absences: According to the Education Code, these include:

1. When a child is absent, the parent must notify the school by 9:00 a.m. that day. The school administration can call to enquire as to why the child is absent.

2. Students absent from school MUST, on their return to school bring a WRITTEN NOTE, which should contain the date and the reason for the absence. Failure to notify the school for the reason of absence will result in the absence being recorded as unexcused.

3. Students can be assured that in cases of a prolonged absence due to illness or accident, teachers will always give the student every opportunity to keep pace with his/her classes by providing assignments and giving the extra help needed when the student returns to school. In cases of extended absences due to illness or accident, the grade level teacher should be contacted to arrange for work to be sent home.

4. Once on the school premises, the student may not leave during school hours except when a parent, or a person designated by a parent, takes the student for a legitimate reason, with formal permission from the Principal (or designated official).

5. All students must be dismissed or dropped off to the school through the school office.

Planned Absence: Parents need to submit an advance notice (email/ Letter) of at least 2 weeks when requesting that a child be missing school for any planned reason. Students are responsible for all assignments missed during their absence. Parents are encouraged to contact the Home Room Teacher as soon as possible, to determine a feasible plan of covering the missed curriculum, as approved by the respective teachers.

Makeup Work:It is the parents’ responsibility to ask for missed school work and to turn it in to the teacher on time. All students will receive credit for satisfactory makeup work after an absence, including excused and unexcused absences and absences due to suspension from school.

Extended Leave of Absence:In special circumstances of “approved” official leave of absence exceeding 14 days for personal reasons:

A. The Parent/Guardian will submit a signed Official Leave notice.

B. Prior to the leave, the student will be provided with study materials and assignments. S/he is required to complete these during the duration of the leave.

C. Upon his/her return to school, the student will: a. turn in all assignment to appropriate teachers for checking and

grading; andb. Conversely, if acceptable to the Home Room Teacher, a student

may be given up to twice as many days as excused/ unexcused absence, to make up the missed tests and assignments. A time- table will be provided to the parents by the Home Room Teacher regarding the submission of respective assignments and test- taking. If a student turns in the requisite portion of the assignment, during the allotted number of days, the actual grade will be recorded.

c. If a student does not turn in any of the assignments, a grade of zero will be recorded. Ten points are deducted each day for the first three days that the work is late; a zero will be recorded after the third day.

Unexcused Absences:These include, but are not limited to:

Vacation, trips etc. Non-urgent family matters. Alarm clock failure

A student taken out of school must make up the school work on his/her time. Teachers are NOT responsible for re-teaching any new skills missed. Students are responsible for all assignments missed during their absence. Parents are encouraged to contact the Home Room Teacher as soon as possible, to determine a feasible plan of covering the missed curriculum, as approved by the respective teachers.

A student will NOT be graded for a quarter with 14 or more calendar days (≥10 school days) of unexcused absence. Missing extended period of time for 2 quarters may result in the child not being promoted to the next grade, unless, the child was enrolled in another school during this time. Proof of enrollment and grading may be required as well as appropriate grade level testing as deemed necessary by the Principal and/or the teacher.

Unexcused Tardiness : 3 unexcused tardies equal 1 unexcused absence and will result in a tardy detention.

Unexcused tardiness should be avoided. Students who arrive after 8:05 a.m. are tardy and must check in at the office before going to class. They will spend time in the cafeteria or the library and will join their respective class for the second period.

Excused Tardiness:Include:-Doctor or dental appointments. A note from the treating Doctor’s office must be brought to the office to explain the tardiness.

Dress CodeUniform must be worn daily, except as allowed by school policy. The uniform gives a professional look to our school and helps break down the social barriers that can sometimes affect the young and impressionable minds. The following are some guidelines and policies governing dress code at The Huda Academy School:

Girls are encouraged to wear the "hijab" during Quran/Islamic Studies and during salat. However, hijab is not mandatory for the girls except for the times mentioned above. Kufi is optional for boys.

Personal hygiene is an integral part of Islamic life. Students should attend school well groomed. Fingernails must be trimmed, hair combed and a neat and clean uniform adorned.

Nail polish, perfume and jewelry are not permitted. Baseball type caps are not permitted. Open-toed and high- heeled shoes are not permitted. Shorts are not permitted for Grades 2 and above. No permanent or sticker tattoos. Socks must be worn at all times.

The school uniform is available at several local departmental stores and has been adopted by the local school districts.

Failure to wear uniform:

a. If for any reason, the student is not able to come to school in uniform, the parents must send a signed note with the student explaining the reason. "It’s in the laundry", is not acceptable as an excuse.

b. In all other cases, the student will not be allowed to attend classes without proper uniform. Parents will be notified by phone to solve the situation. Children may either be taken home for the change or the uniform can be brought to school.

Items not allowed:

CD Players, iPods, cellular phones or other audio devices. Game boys or other personal devices Pagers/Cellular Phones/Video Cameras Laser Pointers or similar devices Musical Instruments Pets/Animals Skateboards/roller-skates/in-line skates Water guns/aerosol cans (unless teachers written permission has been obtained) Pocket- knives Large dollar bills ($20 is the maximum for field trips only) All kinds of medicine.

Exception is made for special activities or classes that require any of the above. Regular use is implicit with registration in that class and special use requires a written permission from the teacher. Examples: video camera for a film project for Social Studies; a pet for Show and Tell, etc. If the child brings a cell phone it needs to be checked in at the front office and signed out at dismissal.

*Administration reserves the right to use discretion in defining unacceptable items. The Huda Academy will accept no liability for loss, cost, or replacement of confiscated unacceptable items brought to school.

The Standard Uniform items include:

PantsKhaki or navy blue twill pants are required.

Sweaters, Cardigans and Vests (All grade levels)Solid Navy Blue or Black sweaters, pullovers, cardigans and sweater vests may be worn during school hours. Sweat shirts with hoods are strictly prohibited.

Shoes (All grade levels)Close toed sneakers or dress shoes are required. Open toed shoes footwear such as sandals and flip flops often lead to playground accidents and are strictly prohibited. Velcro shoes for younger kids may be more suitable.

Hijabs and KufisWhite hijabs for girls and white kufis for boys are allowed (not required).

PurchaseSchool uniforms are available at a variety of stores including Wal-Mart, Target, Sears, and Dillards.

Closing time & AftercareTeachers are expected to remain after school hours until all children have been appropriately released and facilities used by the school have been returned to the condition in which they were found. All children have to be picked up by 3:45 PM. After that they are enrolled in “after care” that is $6/hr. After 5:00pm, the charge is $1.00/min

Lunchroom Policy and BehaviorLunch must be brought from home. Currently, there is no provision for reheating frozen/cold foods and absolutely no cooking is allowed over open fire. Students are expected to exhibit proper Islamic behavior, not to waste or throw food around, pick up after themselves and clean their eating area. Students are not allowed to leave the cafeteria without permission of the teacher in charge of lunch duty. All foods and drinks have to be consumed in the cafeteria; only water may be taken in classrooms and on the playgrounds.

Lunches containing questionable food products prohibited by Islamic law and unhealthy itmes including candy, etc. are prohibited.

1. Children's personal property, coats, clothing, school bags, etc. must be cleared from the classroom every Friday.

2. Teachers will take any personal property that remains on Friday to the school office lost and found box. The school is not responsible for any personal items lost.

Volunteering & VisitationUpholding professional practices is of utmost importance for the success of any school. In this regard, no parent is allowed to enter into school corridors and/or classes at any time during school hours. This disrupts the flow and diverts teacher’s attention away from the class. While parent visits during school hours are welcome, they have to occur according to the following specified protocol:

1. Parents and community members who are given permission by the Principal are welcome to observe the school proceedings or volunteer for specific assignments. This will be by prior appointment only and at the discretion of the Principal (or the designated official) and entertained based on a specific reason for such visits. Visiting & Volunteering parents are expected to:

Check- in and register at the front office Wear a visitor/ volunteer badge Respect the teacher’s classroom rules and the teacher’s authority in classroom. Not enter a classroom while class is in session without prior permission from the teacher

and/or administrator After permission enter all rooms quietly so as not to disturb the on-going activities. Close

all doors quietly and not talk to teacher or students while class is in session Never take any materials from classroom without permission of the teacher and

administrator

2. Parents wishing to give anything to the students must report to the office and leave the item with the Principal (or designated official). Students will be notified.

In short, having parents drop in unannounced during school hours and entering classes and engaging teachers in conversation is a big distraction that takes away from good classroom etiquettes and effective teaching.

Scheduled/ Unscheduled School Opening & Closings1. Scheduled No-School Days: The Principal (or designated official) will notify parents in

advance whether the school and/or childcare arrangements will be available on scheduled no-school days such as conference days, Parent- Teacher Meetings, etc. Please refer to the annual school calendar.

2. Unscheduled No-School Days: There will be no school on days when school is cancelled due to water main breaks, heating failure, electrical problems, inclement

weather, etc. For weather related school closures, please visit the school website, or tune in to TV Channel KARK, as well as local radio stations for specific announcements on school closure. Every attempt will be made to notify parents via email as well from the Principal’s office early in the morning once decision to invoke inclement weather is made. The Huda Academy School may not necessarily follow closures of other schools in the local school district.

3. Unscheduled School Delays/ Early Dismissal Days: School will not be open in the morning or open late in the day or early dismissal may be announced due to water main breaks, heating failure, electrical problems, inclement weather, etc.

4. Scheduled Early Dismissal Days: The Principal (or designated official) will notify parents in advance whether services will be available on scheduled early dismissal days.

Bulletin BoardsIndividual class room teachers are responsible for their respective bulletin boards. No individual staff member, student or parent is allowed to post any information on the Bulletin Boards in the main hallway without first obtaining written or verbal approval from either the Principal (or the designated official). Solicitations and advertisements are not allowed.

Discipline PolicyRATIONALE:Islamic schools have been established and maintained for the education of children in an Islamic environment. The primary obligation for developing self-discipline, responsibility, respect, and an Islamic character rests with the home and the family. However, the school is concerned with the development of attitudes, habits, and behavior in order to provide an ideal learning climate. Furthermore, safety of the children is paramount. Therefore the school tries to work cooperatively with parents. When a student does not follow the rules of proper conduct, the school has a responsibility to take ACTION in the interest of that student and the school as a whole.It is with regards to this balance that The Huda Academy has adopted this discipline policy. This policy provides information and direction to students, parents, teachers, and administrators regarding standards of student behavior as well as consequences of student misconduct.

General Principles & Guidelines

The Huda Academy may impose rules in addition to those stated in this policy. These rules may be instituted at anytime during school hours and at any location in the school. The Huda Academy has authority to exercise discipline on all full time students:

during the regular school day during participation in any activity during the school day, on the school premises while in attendance at any school-related activity, regardless of time or location for any school-related misconduct, regardless of time or location when retaliation against a staff member is involved either on or off school property when a student commits a felony When the student is involved in any form of bullying

Any physical harm is brought on another student

Objectives:

Disciplinary action will draw on the professional judgment of the teachers and the administration and on a range of disciplinary management techniques.

Disciplinary action will be imposed according to the seriousness of the offense, the student's age and grade level, the frequency of the misconduct, the student's attitude, and the effect on the school as a whole.

I. General Misconduct Violations: These include:

1- Leaving school premises without permission2- Insubordination to school staff3- Possessing or using matches or a lighter4- Possessing, smoking, or using tobacco products5- Behaving in a way that disrupts the school environment6- Violating safety rules7- Violating dress and grooming standards8- Violating any other communicated school or classroom behavior9- Physical harm to another student or teacher10- Disrespectful behavior towards staff11- Bullying in any form

The following disciplinary management techniques will be used alone or in combination for general misconduct violations:

II. Spectrum of serious violations of behavior

Removal from the regular educational setting: “In-school Suspension”: Whether a student be placed in ‘In-school Suspension’ or whether disciplinary management techniques will be used depends upon the seriousness of the violation, the age and grade of the student, the disciplinary record of the student, and the impact of the offense on the school environment.

Cheating or copying the work of other students Using profanity, vulgar language, or obscene gestures in any language Physically aggressive behavior such as, but not limited to, pushing, scuffing, or fighting, or any

physical harm. Stealing Damaging or vandalizing school property both indoors and outdoors Possession of fireworks Violation of any harassment or discrimination policy Insubordination Repeated general misconduct violations Bullying in any form

Removal from the regular educational setting: “Out of-school Suspension”: The school can suspend the child to “stay home” for 24-48 hours for the above behavior if done repeatedly. The child remains enrolled in the school. The following offences, if proven, are an automatic out of school suspension:

Bullying Damaging or vandalizing school property both indoors and outdoors Bodily harm to other students/ teachers

Expulsion:If after all resources have been exhausted including suspension, and the unacceptable behavior continues, the Huda Academy has the right to expel a student (See Disciplinary Committee proceedings below). No tuition fee is refunded.

*Any student who brings, possesses, conceals or uses a weapon or drugs on the school property shall be automatically expelled.

No Corporal Punishment Policy

It is The Huda Academy policy that no corporal punishment be used against the students. But, in case of violent behavior or if the safety of the student or other students are at stake, the student may be physically restrained until his or her parents arrive. Physical tasks and assignments such as school yard, classroom chores or physical exercise can be used as disciplinary measures, provided they are done under supervision, do not pose health risks, and are assigned with adequate instructions.

Restitution

It is The Huda Academy policy that the student and the parents/guardians are liable for damage done by their children. In any situation in which damages to the school property occur, the student or parents/guardians are required to pay for damages.

Specific Interventions:

Student discipline at Huda Academy is maintained by using the following means of interventions, although, this is not meant to be an all- inclusive list. Impromptu decisions, as well

as detailed deliberations by teachers, Principal (or designated official) and/ or the Board of Trustees may be undertaken to impose penalties in specific cases.

Refusal on any student’s part to follow the school’s behavior expectations will result in disciplinary action according to the following hierarchy:

1- Three strikes you’re out:

Each teacher in a particular class has her /his individual classroom discipline policy. It is expected that discipline issues are dealt with in the classroom. The ultimate step in this process is sending the child to the principal’s office. Being sent to the principal’s office is followed by a note. It’s the discretion of the principal to then call the parent or arrange a parent-teacher-principal meeting. Failure of the parent(s) to attend such conferences will automatically lead to suspension and eventual expulsion in case of continued non- cooperation.

2. Teacher's Reprimand

A Teacher's Reprimand is issued by a teacher to the office if a student commits an offense. The reprimand includes the nature of the problem, any interventions, and the signature of the reprimanding teacher. The Principal or designated official shall then meet with the student, discuss the problem and then decide if the student has violated the rules or an intervention depending on the nature of the event and the history of the offender. A copy of the reprimand containing the offense and the disciplinary action taken is then sent to the parent/guardian and a permanent copy is maintained in the student’s conduct file.

3. Parent Involvement

A conference with the student, the parents/guardians, and the teacher will be held to develop a plan for changing the student’s behavior. The plan and report of the conference will be recorded in the student’s conduct file. Failure of the parent(s) to attend such conferences will automatically lead to suspension and eventual expulsion in case of continued non- cooperation.

Should the matter grow serious enough to move out of the classroom and the teacher’s/ principal’s authority, the Disciplinary Committee hearing will be invoked:

Disciplinary Committee:

A meeting will be held with the involved teacher(s) concerned about the same student, the principal and at least one administrator (Board Member) to evaluate the specifics of the case. Their deliberations will be forwarded to the Disciplinary Committee, comprising of the principal and at least 3 Board Members. A plan for action will be set and a record of the meeting placed in the student’s file. Only the Disciplinary Committee (through a majority vote) has the authority to carry out, alter or cancel any disciplinary action it has issued. This will be exercised in the form of Principal’s Reprimand, Probation, Suspension or Expulsion, as the final majority decision may be. The minutes of the conference with the Principal will be recorded; and any agreements or ultimatums will be included; a copy of the record will be given to the teacher and parents.

Huda administration does not encourage expensive personal gifts to be given to Huda staff by the parents. All gifts have to go through the principal’s office. If a parent gives a gift to a teacher, then the parent(s) shall register the gift with the office. The maximum gift that can be received from the parents will be in the amount no greater than $25 per family to an individual teacher. The gifts can be given on End of the year or during religious holidays. If a “baby shower” is planned, it has to be conducted on the school premises through the Parent –teacher Organization (PTO). Individual birthday gifts are not encouraged.

Immunizations & IllnessThe Huda Academy must abide by state law concerning immunization against certain communicable diseases, including: diphtheria, tetanus, measles, tuberculosis, whooping cough, poliomyelitis, rubella and Hepatitis B.

The parents of students at the Huda Academy School must arrange for the necessary immunization shots. This must be completed within thirty days after the child is admitted to the Academy. If there are religious reasons for not having a child vaccinated, the parent has to provide certificate from the health department.

"Is my Child Sick Enough To Stay Home from School?

When a child becomes ill at school, the Principal (or the designated official) will use his or her assessment skills, knowledge of communicable diseases, and professional judgment to determine if a child may remain at school or should be sent home. The following general guidelines are intended to provide for the health and safety of all students and personnel. Children should not attend school if any of the following five conditions is present:

1. An unidentified rash (Children with an unidentified rash may not attend school until the rash is gone or a physician diagnoses it as noncontiguous.)

2. Open sores (minor sores must be covered with a dressing while the child is in school)3. Fever above 100.5 ˚F in the past 24 hours4. Vomiting or diarrhea in the past 24 hours5. Communicable diseases as listed:

• chicken pox • common cold • conjunctivitis (pink eye) • influenza • Hepatitis A • impetigo • measles • meningitis • infectious mononucleosis • mumps • pediculosis (lice) • rubella• strep throat • tuberculosis • whooping cough

Requisites for Returning to School:After an illness, your child may come to school under the following circumstances:

S/he has a note from the doctor stating that it is safe for him/her to come to school.

S/he is able to eat, play outside during recess, and participate in school activities.

1. Textbooks are loaned annually to each student. They can be taken home from time to time for preparation of exams, reports or make up work. These are non-consumable books and are bought by the school. The consumable books, on the other hand, are bought each year for the students and are used throughout the year. They belong to each student.

2. The non-consumable textbooks remain the property of the school and must be returned in good condition at the end of the year.

3. All consumable materials such as workbooks and practice books shall be provided by the school and are covered by the book fee.

4. Parents are liable for lost or damaged books.5. Financial restitution must be received before final grades are given.6. Students are responsible for bringing appropriate school supplies (stationary, etc.)

in adequate amount. School will provide the deficient supplies for completion of class-work at a charge. It is the parents’ responsibility to furnish the school with the supplies used by the child.

Withdrawal Policy Before Start of School Year

o Before May 31st

With submission of completed Withdrawal Form, the tuition & book fee will be refunded in full minus the registration & building fee.

o After May 31st

With submission of completed Withdrawal Form, the tuition will be refunded in full minus the registration fee, building fee, book fee, cot fee (if applicable) & the first month’s tuition.

After Start of School Year [August 1st]

For a child to be withdrawn from school after start of school year, a completed Withdrawal Form must be filled and submitted 30 days in advance, unless on the basis of personal or family crisis. The Huda Academy School Board reserves the right to make final determination on the 30 day notice in such cases. The school will only refund tuition fee of the remaining academic year quarter(s). The registration fee, building fee, book fee & cot fee (if applicable) will not be refunded.

*In case the withdrawal form is not submitted 30 days in advance (without any justifiable cause), NO portion of fee will be refunded for the remainder of the year.

Grades, Standardized test results and Transcripts for the student will not be released UNLESS above fee(s) have been collected.
