2. AP: What’s New for 2019-20
New policy on late files
Each school has earlier internal deadlines AP will send school reminders before file deadlines On or before the due dates AP should receive: all completed files Request for extension for each incomplete file that
includes justification and new submission date No more than 15% of files due will be granted
extensions (in each school)
Candidate Statements – 4 separate uploads(highly recommended, be as concise as possible)
Research, Teaching and Service Research and creative activities statement Reflective teaching statement, peer eval of teaching and/or other
evidence of teaching impact (upload required) Service activities statement
Inclusive Excellence Activities Statement Address contributions in research, teaching, and/or service

Teaching Evaluations
Files processed in AP Review: Teaching evaluations should be uploaded as one document
into designated section in AP Review.
New external letter guidelines
Number of letters required 4-5 (instead of 5-7) for tenured appointment, advancement
to Above-Scale or promotion to Assoc. or Full Prof/ClinX/InRes or equiv. positions (Prof Teaching series).
At least 3 letters department nominated and non-conflicted
New AP-11 form includes a place to identify and explain relationships. Conflicts may include: Advisor/Mentor at any level, family members Substantive collaboration in last 4 years: Substantive collaboration includes past or pending grant
collaboration, co-authorship Team science co-authorship grants not necessarily conflicted but
must explain incidental or minor nature of relationship
Tentative Decision Letters
Tentative decision letters requesting additional information will be optional, not mandatory, when there is disagreement in recommendation at one or more level of review for non-promotion files
CAP expects to continue using this mechanism but has the option to move forward
If either CAP or VPAP requests additional information, the request will go all the way back to the candidate as per current process
Acceleration Deadlines
Faculty requesting accelerated merit/promotion must have the file submitted to Dept/school by internal deadlines and/or submitted to AP by our deadline. If file is late and review is required, file will be considered for
exception but this will count in total of no more than 15% late files accepted per school
If file is late and review is not required, file will not be reviewed
If Dept/Chair/Dean recommends acceleration, an extension for submission to AP will be considered but this will count towards the total max of 15% late files per school.
Hiring into Tenured Positions
Excellence in teaching is a required element for hiring a faculty member into a tenured position. If senior person has not taught recently but has a good
record of past teaching that would be considered.
If an individual does not teach in their regular position but has an adjunct appointment where there is evidence they are effective as instructors (student evaluations and/or peer evaluations) this would be considered.
However, if someone has no teaching experience, then approval for appointment to a tenured position would be extremely unlikely.
Non-collegiality in Merits &Promotions at UCI
Background Questions during 18-19 review cycle about how to consider non-
collegial behavior in the merit/promotion process VPAP/AP/P&T reviewed guidelines at other UCs and ruling from
OGC, and with CAP/leadership drafted recommendation for revisions of APP 3-60H
Revision Highlights If faculty under review engages in persistent behavior that
disrupts their own or others’ ability to provide effective service, this can be considered in evaluating the service contributions
The Chair and/or Dean letter should be specific about disruptions and document steps taken to address offending behavior

Schools can request visit Contact AP and we will coordinate timing with CAP School equity advisor facilitated meetings in the past have
been very useful

Step VI and Above Scale Files
Advancement to Prof Step VI or Above-Scale Review profile since last promotion Generally submit teaching evaluations and
creative materials for the past 5 years

A resource tool for faculty to access their myDataand course information in a variety of formats (https://facultyhub.ap.uci.edu)
Download a comprehensive Review Profile (Word document) to capture all data in myData
Access course information from the Registrar as provided previously in myData

General Advice Analytic and Accurate: Make the case as succinctly as possible
We judge the file, not the faculty member
Explain irregularities Note Family/Medical Leave, Active Service Modified Duties, other leaves Avoid sharing confidential or inappropriate information
Accelerations CAP generally requires a 2nd leg to exceptional research and a satisfactory
3rd leg (2nd leg to teaching for Professors of Teaching) Be explicit in naming and justifying 2nd leg Higher levels/bigger asks = highest standards

Prep Tip: Retention offers and salary are not CAP’s concern.
Research Explain contributions and independence
Identify graduate student collaborators if appropriate Describe role in “Team Science”
Explain value “Impact” and analytics are not the only standards Highlight the value/accomplishments of the work Accurately contextualize
Grants are a means to scholarship, a mark of stature, not generally equal to research productivity
Prep Tip : Reproducing External Reviewer comments is not useful. CAP reads the letters.
Teaching Reflective Teaching statement (RTS):
Show engagement with teaching evaluations (student and/or peer) Acknowledging (your) problems is a positive; explain how you address them Explain mentoring activities rather than listing students.
Presenting Student Evaluations of Teaching (SET) Include Numeric scale Pay attention to response rates Avoid cherry picking; offer overview of patterns.
On Student Evaluations of Teaching (SET) CAP regularly discusses biases and related concerns Many CAP members view numerical evaluations as only broad indicator Welcome to include additional materials or transformed SET information.
Prep Tip : Explaining regular dept/school teaching load is useful. Prep Tip: Reproducing student comments is not helpful. CAP
reads the SETs.
Service
CAP expects substantial and continuing campus and professional service at higher steps CAP generally expects more school/campus service CAP does not require Academic Senate service specifically
Explain and situate service Explain school/dept standards for faculty level Explain context: e.g., editorial Board: 5 or 50 members? Compensated or volunteer? (both count)
Inflated claims OR lack of explanation can backfire
Prep Tip: Listing service assignments in reports and letters is not helpful. CAP reads the AP10 (so please fill it out completely and accurately).
Diversity, Equity and Inclusion CAP notices and values DEI work
CAP prefers discussion of DEI work as part of Research, Teaching, and Service and entered on AP-10
CAP views DEI statements as a way to highlight significant contributions Describing your life experiences and beliefs is less persuasive List discrete, pro-active activities, e.g., explain what you have done to
recruit/support URM students rather than listing names.
Prep Tip: Listing URM people you encounter in your daily work is not an impressive DEI claim.
