MINUTES Aberystwyth Community of GamersCommittee Summer MeetingConference Call Service: Skype28th June 20119:00pm

Welcome

Apologies

Sam sends his apologies for not being able to participate during the conference call due to other

commitments.

Minutes approval

The minutes from the previous meeting were approved without any objections.

Actions from last meeting

The amount of sponsorship asked for was increased from £150 to £200 as requested at the last

meeting, and letters with the new amount were sent out.

Meeting with the owner of the Angel did not happen, a letter was left for him. Nick will be

talking to the owner again.

Inventory of equipment has started to be made, an e-mail will be sent out to members asking

about equipment they could let the society borrow at events in September.

The BBC room was investigated, it was found to be lacking in plug sockets.However Keiran failed

to go with Liam to investigate the room.

Overall a ranking system has yet to be created, however Liam has some ideas for a ranking

system already, this action is therefore ongoing.

Keiran has been in contact with the NUEL

Keiran has not been in contact with other universities as he feels that competing through the

NUEL is better for the society

E3 Streaming event was carried out, although for a small number of people.

Ben did not ask Huw about Civilisation 5, Ben will find out what is needed to be done for the

next meeting.

Nick has spoken to Santhosh, he is interested, they will talk about servers etc. It will all be sortedbefore 1st week before term Question sheet has been constructed for the quiz. It has been completed with questions. The

quiz has several rounds on different subject areas.

Mailing list for committee was not created, communication e-mails will be handled by Rhys.

Actions to be taken

Keiran and Liam will go to the BBC room to check out all information about plug sockets

Off icial Society status

Society does not yet have official status. The following documents need to be handed in

Constitution and Mandate form.

F orms will be handed in to the guild by August at the latest

Membership

Due to Sams absence it was decided that this item will be deferred to the next meeting

Finances

In regards to finances some discussion was made on the event fees, and possible a spectator fee

being introduced for no more than a £1 and possible reduction in cost for non-members to

attend events.

Due to Sams absence this item will also be on the agenda for the next meeting.

Freshers fayre

Actions

Due to the large nature of the discussion about freshers fayre, there will be its own dedicated

meeting held in future.

Sponsorship

We have secured sponsorship from Toys n Gadgets, to the tune of 5% discount for our

members, there is a possibility of renegotiation if it proves that we provide an increase in

business for them.

Cambrian would love to talk us, however this will not take place until early September. It is

hoped that Nick and Keiran will talk to the Cambrian in the second week of September.

The Mill and The Ship and Castle are sponsoring as many as they can, so sadly unless something

changes there will be no sponsorship from them.

Hopefully it will be possible that Monster and or RedBull would be willing to sponsor us however

it could be dependent on getting our name out there by competing with the NEUL

It could be possible to add an advert on the back of the our membership cards for taxi firms

Due to the response from pubs about sponsorship, there will be a big push for sponsorship

during in September.

All committee members will e-mail Rhys with the date they are going to be back in Aberystwyth

Hoodies

Logo has not yet been finished.

There have not been enough hoodie orders to make an order with the company, as a result theorder will be pushed until enough members sign up for them.

Lisa to get t-shirts for Freshers Fayre

First event of the year

The first event of the new year will be held on the Friday after fresher week. Both new and old members will get to decide on what games are played, there will be spits

reserved for games voted in by freshers at the fayre

Since Sam is responsible for finance it was decided that Sam or whoever Sam trusts be in charge

of the door, to make sure the correct money is being taken is correct and issue stamps on

peoples hands once they have paid entry.

Equipment should only be brought once asked for to limit the risk of damage and theft to

unused equipment and gives us more space to work with.

Actions

Ben will research licence issues with valve games

Nick will talk to union tomorrow and Keiran to send email about items to be discussed

Liam to interview people for referees for next year

Poddo / Pongo

Business management tool. It was decided that is was too much hassle for we would use it for,

so the project has been scraped

Inter-uni league / NUEL

Kerian has joined the NUEL forum, explained to the organisers who ACOG are. Overall Keiran is

on good terms with NUEL.

Although it is currently lacking members it was pinned down to marketing and its current beta

state.

Currently it doesnt offer an extension of what we do, it is for online gaming which can be a

problem with the internet connections in Aberystwyth. Also they are aimed at PC gamers while

ACOG is aimed at all gamers.

NEUL offers us marketing opportunities if we become a part of them.

It has been decided that they are worth being a part of however, there should be limits on how

far we get involved s we dont end up running it in a few years.

Avatar use for online

Using game avatars for online meetings to give a connection and allow people to become

involved in the meetings more easily

Skype Review

Skype worked well for the purpose we were using it for. It has been decided that we will

continue to use the service for online meetings.

Any Other Business

Social

Looking tie the first social of the year with the first event. It was decided that all future socialswill be held weekly with the day to be decided based on sponsorship deals.

Other possibilities include bi-weekly gaming socials which would take place instead of the casual

gaming events. These would be gaming events with drinks, where by youd have say one-life and

then pass it on to the next person.

They would be held between Keirans, Nicks and Liams houses.
