HOW TO USE THIS GUIDE?
This guide will equip you to volunteer at ease from home with simple guidelines that you can follow
This documents tells you all about Tata Volunteering Week, how to get started,a few volunteering ideas and reporting guidelines
You may refer to this document along with the idea bank to know all about your role and responsibilities

Participating in activities conducted for the company’s permanentemployees. However, participating in activities for contractemployees from economically disadvantaged backgrounds could beconsidered as volunteering
Senior leaders mentoring the community development team in aTata company
Attending company townhalls or department meetings in whichvolunteering activities are being planned and discussed.
WHAT IS TVW ALL ABOUT?It’s a biannual volunteering activity
Each Tata Volunteering Week (TVW) is celebratedgroupwide across a four week period, twice in a year– March and September
it encourages and inspires Tata volunteers toexperience volunteering
It is also extended to family members and retirees
Volunteering initiatives encompass a wide variety ofactivities, such as conducting health and hygienesessions for women, donating blood, teachingstudents, planting saplings, etc.

A FEW FACTORS TO CONSIDERBEFORE STARTING
You may choose a cause that is closely related with the company’svision towards the community and environment. For example, ifyour company seeks sustainability, then you can curate volunteeropportunities relating to green initiatives, awareness sessions onleading a sustainable life, etc.

SAFETY MEASURES FOR ON-SITE ACTIVITIESRealize that many volunteers are over age 65 and at a higher risk for contracting the virus.
Consider having an isolation space ready in case anyone shows up with symptoms.
Screen all volunteers and clients as able and before using them.
Make sure you have the proper PPE available, and make sure you train volunteers on its proper use before allowingthem to do any tasks that require PPE.
Make sure all volunteers understand any risks associated with the task you like them to do and understand if theyare not comfortable with that level of risk.
Keep 6-10-foot social distance rules in place during tasks if possible.
Hang posters in facilities with best practices, social distancing, hand washing, etc.
Provide sufficient and accessible infection control supplies such as hand-hygiene products, sanitizing wipes, andreceptacles for their disposal in all locations.
ONLINE ACTIVITY PREPARATIONChoose the right activity. ”Choose an activity that would benefit the NGOs and something that you can offer them
Choose the way to share your knowledge: It could be a lecture, workshop, recorded video etc.
Check the platform that you will be suing and be comfortable with it
Prepare before hand with the NGO coordinators to see if everything is in place
Make sure that you set a time limit and check for sound and other technical issues
THINGS TO TAKE CARE BEFORE THE ACTIVITY
Ensure that you do a dry run before to check for sound, video quality and other technical aspects
Provide a brief introduction about the organisation, agenda for the session and a thank you note at the end.
Recording and screenshots that can be taken to share with the Tata Engage team.
Share a list of confirmed attendees from the Non profit to get a rough estimate of the participation
Follow up with volunteers to get feedback and snippets of the session

Update participation details if you are organizing the activity (no. of participants & duration of activity) against theactivity in the reporting format

DO'SENSURE you are fit, healthy and prepared for the volunteering task in all respect.
TREAT every individual equally without discriminating on the basis of age, race, culture, religion, caste, disability, gender or sexuality.
REFRAIN from volunteering if you or any of your family members are feeling unwell.
REFRAIN from making statements to the media/press.
USE adequate protection including masks, gloves and practices like social distancing and sanitization as advised by the health authorities.
MAINTAIN proper conduct as you are representing your company.
REFRAIN from any activity that will affect the reputation/image of the company or Tata group.
DONT'SSHOW any kind of affiliation to any religious or political institution.
PROMISE anything on behalf of the Tata Group or your company.
MAKE commitments you may find difficult to keep.
DISREGARD people if they are unwell. Politely, request them to get tested.
BUILD a relation (if you do so, make sure you can give time to the relation).
TAKE photographs or videos at the volunteering venue without taking permission of the non-profit and the beneficiaries
Tata Engage will be sending a bi-weekly update via email and will put itup on Tata Engage website
Share your pictures and experiencesin order to be featured in thebiweekly updates
