Introduction and TimelineThe2021InstitutionalUpdatewilltakeplaceMarch1–April2,2021.SubmissionoftheInstitutionalUpdateisarequirementformaintainingaccreditationorcandidacywithHLC.

Thisdocumentprovidesthequestionsforthe2021InstitutionalUpdate,aswellasinstructions,definitionsandfrequentlyaskedquestions.

Questions about the 2021 Institutional Update should be directed to [email protected].

Who should I plan to talk to in order to gather the information I need? TheDataUpdateCoordinatorwillneedtotalktoseveralpeopleonyourcampustocompletetheInstitutionalUpdateaccurately.Thecoordinatorshouldworkcloselywiththoseindividualswhosubmityour IPEDS Data and Title IV requests. In many institutions, these responsibilities are carried out by the InstitutionalResearchandFinancialAidoffices.Inaddition,theInstitutionalUpdaterequestsspecificfinancialdetail.Thus,thecoordinatorwillneedtoconsultwithyourinstitution’schieffinancialofficerorwhoeverisresponsibleforyourinstitution’sbudgetsandaudits.

Can I save a partial entry and complete it at a later date? Yes, you may save a partially completed Update and complete it at a later date.

DEFINITIONSOwnership of the Institution Ownershipoftheinstitutionisthefullnameofanentitythatownsorcontrolstheinstitution.Suchentitiesincludetheultimatecorporateparent,denominationorotherorganization.Iftheinstitutionisapublicinstitution,enter“NotApplicable.”

DEFINITIONSChief Executive Officer (CEO) Theprincipaladministrativeofficialresponsibleforthedirectionofallaffairsandoperationsoftheinstitution.Theofficialwhodirectsthepost-secondaryeducationcomponentoftheinstitution,andwhomayreporttoagoverning board.

Chief Academic Officer The senior academic administrator at the institution.

Chief Financial Officer Theprincipaladministrativeofficialresponsibleforthefinancesoftheinstitution.

Accreditation Liaison Officer (ALO) Theindividualappointedbytheinstitution’sCEOtoserveastheprimarycontactbetweentheinstitutionandHLC.TheALOcommunicateschangesattheinstitutiontoHLC,respondstocommunicationsfromHLC,andprovides oversight for the currency, accuracy and timeliness of institutional information submitted to HLC, including the Institutional Update.

Data Update Coordinator Theindividualappointedbytheinstitution’sCEOtoberesponsiblefortheaccuracyandcompletionoftheInstitutionalUpdate.TheCoordinatorservesasthecontactbetweentheinstitutionandHLCregardingtheInstitutional Update and is responsible for the timely submission of the Institutional Update.

STUDENT ACHIEVEMENT INSTRUCTIONSInstitutions are required to disclose student achievement data that address the broad variety of its programs, both undergraduate and graduate, as applicable, including student achievement data from each program level. See HLC policy PublicInformation(FDCR.A.10.070) for more information.

• This information must include, at a minimum, retention and completion data. It may also include other information appropriate for the mission of the institution and its goals for students.

• Individuals must be able to navigate to the information easily from the homepage and through a search ofrelatedtermsonthewebsite.Inaddition,informationshouldbepresentedinplainlanguagewithany technicaltermsdefinedandanynecessaryinformationonthemethodusedtocompiledataincluded.

DEFINITIONSSemester Anacademicyearthatconsistsoftwotermsofabout14–17weeksofinstruction.Theremaybeanadditionalsummer semester.

Trimester Anacademicyearthatconsistsofthreetermsofabout15weeksofinstruction.

Quarter Anacademicyearthatconsistsofthreesessionsofabout12weekseach.Therangeistypicallyfrom10to15weeksasdefinedbytheinstitution.Theremaybeanadditionalquarterinthesummer.

Four-One-Four (4-1-4) Plan The4-1-4calendarconsistsoffourcoursestakenforfourmonths,onecoursetakenforonemonth,andfourcoursestakenforfourmonths.Theremaybeanadditionalsummersession.

Modular Coursesaretypicallyin4-to6-weekblockswithspecificstartandendtimes(frequentlycohort).

Continuous Coursesarenotdefinedbyspecificstartdates(usuallyappliestodistancedelivery).

DEFINITIONAdditional Location Afacilitythatisgeographicallyapartfromthemaincampus,whereinstructiontakesplaceanditispossibleforstudentstodooneormoreofthefollowing:

• Complete50%ormoreofthecoursesineducationalprogramsleadingtoadegree,certificateorotherrecognizededucationalcredential.

• Complete50%ormoreofadegreecompletionprogram(evenifthedegreecompletionprogramprovideslessthan50%ofthecoursesleadingtothedegree).

Anadditionallocationmayqualifyasabranchcampusundercircumstancesthatmeetthedefinitionofthebranch campus.

There is no base or threshold number of students or distance from the campus necessary for a facility to qualifyasanadditionallocationunderthisdefinition.

Anadditionallocationtypicallydoesnothaveafullrangeofadministrativeandstudentservicesstaffedbythefacility’spersonnel.Suchservicesmaybeprovidedfromthemaincampusoranothercampus.

AfacilitymayprovideaccesstoinstructionrequiringstudentstobepresentataphysicallocationthatreceivesinteractiveTV,videooronlineteaching.Itisconsideredanadditionallocationwhen50%ormoreofadistancedeliveryprogramisavailablethroughoneormoreofthesemodalitiesatthatfacility.Note:Thisrequirementdoesnotapplyforlocationsinwhichthereisageneralcomputerlabthatstudentsmightusefordistance delivery courses.

Anadditionallocationhasactivestatuswhenstudentsareenrolled.Itsstatusisinactivewhenstudentsarenotenrolled.ThestatuscanchangebetweenactiveandinactivewithoutapprovalfromHLC.However,alocationmayonlybeclassifiedasinactivewithnostudentenrollmentforamaximumoftwoconsecutiveyears.Atthatpoint,HLCwillrequiretheinstitutiontoclosethelocation.

How do I edit program information at additional locations? FollowthelinktoupdateadditionallocationsintheLocation and Campus Update System. AccreditationLiaisonOfficerscanmakechangestoexistingadditionallocations,includingprogramsoffered.Allprogramsmustbeenteredusingthe2010CIPCode(iftheinstitutionhasbegunusingthe2020CIPcodes,refertotheNCESwebsitetofindtheclosestequivalent2010code).Additionalapprovalsmayberequired.HLCstaffwillcontactyouifadditionalinformationisrequiredtoprocessthe change.

How do I add an additional location? InstitutionsmustreceiveHLCapprovalpriortoopeninganewadditionallocation.SeeHLC’swebsitefor more information about the substantive change process.

My institution moved an additional location down the street; everything else is the same. Why can’t I enter this change in the Institutional Update? Movinganexistingoperationdownthestreetconstitutescreatinganewadditionallocation.Thecurrentlocationmustbelistedas“closed”or“inactive”intheLocation and Campus Update System andapprovalshouldbesoughtforthenewlocation.Inordertoassurethattheinstitutionisincompliancewithfederalregulations,HLCapprovalforthenewlocationmustbeobtainedbeforestudents start receiving Title IV funding.
