Welcome to the Customer Portal!Managing a variety of applications can be a daunting task for even the most experienced IT profes-sional. That’s why we created a fresh one-stop-shop resource for all your security needs.

You’ll find what you are looking for in the Customer Portal. The Portal allows you to customize and manage services based on your business needs. Here is a list of the services that we offer in the Customer Portal.

● SpamLab – This service prevents spam, phishing scams, viruses and other Internet pollution from impacting email operations.

● SmartHost – This outbound filtering service cleans internal emails before it exists a corporate network, reducing the risk of improper routing, incompliant messaging and misuse of company resources.

● Web Protection – This service shields your network and employees from Web-based viruses, malware, and offensive content.

If you would like more information about one of these services, please contact our Sales Department.

Help conventionsThe following conventions are utilized to help the user locate and identify information within the indi-vidual instructions of the Customer Portal Help System.

● Bold – Represents menus, submenus, buttons, check boxes, pop-up window titles, dialog box titles, tabs, and options.

● Text Hyperlink – Represents textual hyperlinks. Just click the underlined text to jump to the associ-ated topic

Getting Started

Initial SetupThe Customer Portal provides customers and partners with a single-point of entry for all services. Once an account has been created, you may access the Customer Portal at any time and view indi-vidual account information. To access the Customer Portal, please follow the below steps:

1. Enter your customer portal login address in any Web browser. A Customer Portal Login page will appear on your screen.

2. Enter your email address and password in the appropriate text boxes. (Note that you may select the Keep me signed in today check box if you do not want to re-enter login information every time you launch the Customer Portal.)

3. Click the Log In button to launch the Customer Portal home page.

Change your Password

1. If you forgot your password or want to change your password, select the forgot password? link on the Customer Portal login page.

2. From here, a Forgot your password? dialog will appear. Enter the email address that is associated with your account, enter the distorted words, and then click Send Password Reset Email.

3. The page will refresh. Click the back to login link to return to the Customer Portal login page.

4. You will immediately receive an email with password reset instructions.

Lock the Top Menu Bar

1. Select the lock icon on the Navigation bar at the top-right of the screen.NOTE The lock icon appears when you mouseover any part of the navigation bar.

2. When you scroll down a Portal page, the Navigation bar will NOT disappear from the Portal page.

View/Modify User Profile

1. Click the user name in the Navigation bar.

2. You will be redirected to the My Profile page, which is located under the Portal tab of the User Area. From here, you may change the settings, password, and/or display and email set-tings for an end user.

Open Context-Sensitive Help

1. Click the Help icon on the Navigation bar at the top of the screen.

2. From here, click the Read help documentation link to launch the Customer Portal Help System.

View Release Notes

1. Click the Help icon on the Navigation bar at the top of the screen.

2. From here, click the See what’s new in the Portal link to open the latest CP Release notes. Please note that the release notes display the last two CP release updates.

How to Log Out

Simply, click the Log Out icon on the Navigation bar at the top of the screen.

Customize settingsThe Customer Portal allows customers and partners to modify a few of the portal display settings. If you would like to change the Portal Start page or theme colors, please follow the below steps.

Change Portal Start PageThe Customer Portal allows you to change the landing page in the Customer Portal. The default land-ing page is the Home page under the Portal tab.

1. Select a page in the Customer Portal that you want to be the start page every time you launch the Customer Portal.

2. Click the Make this my portal start page link at the bottom of this page.

3. A Success pop-up window will appear on your screen.

4. Click the Close icon to close the pop-up window.

Access Service Navigation MenusThe service navigation menus allow the administrators to navigate through the service tabs without having to drill down through several layers of UI.

1. Hover over the service tab to expose an arrow down icon for the navigation menu.

2. Click the arrow down icon to display the expanded menu.

3. Once the menu is visible, the administrator may select the appropriate link to reach the feature quickly.

Administrator ServicesBy integrating an entire technology suite into a single unified interface, we have dramatically simplified the on-demand delivery and management of your in-the-cloud security services. Simply, login to the Customer Portal and get started. Here is a list of our available services:

● Portal Workspace – This workspace provides administrators and end-users with a one-stop-shop resource for all email security needs. The Customer Portal eliminates complex processes that you may face as you manage your messaging environment.

● SpamLab – This service prevents spam, phishing scams, viruses, and other Internet pollution from impacting your email. Not only does SpamLab utilize more than 60 types of filtering tech-niques, but it employs multiple anti-virus engines.

● Web Protection – This service protects your network from Web-based threats. It provides a combination of web proxy, filtering and malware protection that can be deployed from a single PC to an entire enterprise through a reliable, hassle-free security-as-a-service deployment option.

If you would like more information about one of these services, please contact our Sales Department.

Portal WorkspaceThe Portal Home page provides the administrator with a dashboard of available account management and service statistics and features. From here, they may manage all of their accounts. The following features are included in the Portal Admin tab:

● Home – This page provides the administrator with account management and service statistics and features.

● Users – This page allows administrators to manage their users and available services from one central location.

● Audit Logs – This page allows you to track and manage detailed information about key account events and actions that have occurred within the Customer Portal.

● Portal Settings – This page allows you to reload your domain data and settings after changes have been made and/or set a verbal password

● Support – This feature contains support contact information, Web Help link, and a tutorial video collection for administrators.

HomeThe Portal Home page provides the administrator with a dashboard of available account management and service statistics and features. From here, you can manage all of your accounts.

View Audit LogsThis section displays a Audit Logs list, which allows you to track and manage detailed information about key account events and actions that have occurred within the Customer Portal. (Please see ‘Audit Logs’ on page 25 for detailed information.)

Check Status of Available ServicesThis section displays individual service status activity for the user. There are three available service status modes:

• Active – This service is being used now. There are no problems.

• Alert – Click for more information.

• Suspended – This service has been suspended. Please contact the Support Team.

Access Domain Accounts and ServicesThis section displays a tree view that represents a hierarchical view of individual services.

1. Click the + plus icon beside the domain to expand (open) the available services.

2. From here, select a service from the list and then you will be redirected immediately to the select-ed service in the Customer Portal. OR

3. Click the – minus icon to collapse (close) the domain in the tree view.

UsersThe Users page allows administrators to manage their users and available services from one central location. The following features have been integrated into the Users page to enhance your customer experience:

● Add and/or delete users ● Add and/or remove services ● Edit user settings with associated services ● Enable Held Mail Reports and Alerts

Add New Users

1. Click the Add User button to create a new user.

2. An Add a New User pop-up window will appear on your screen. From here, the administrator must enter email address, first name, last name, and password to set up a portal user account.

NOTE Administrators may create users without assigning passwords. If no password is entered by the administrator, a password will be auto-generated for you. Simply enter the email address, first name, and last name; select the Ask user to reset password check box; and then click the Add User button. The user will immediately receive an email with password reset instructions.

3. Once this information has been entered, the administrator may add the following services and/or permission options to a user.

NOTE The available services in the User Services section are dependent upon initial account setup.

• customize SpamLab Held Spam Report (HSR) settings• grant administrator rights• reset password

4. If you want to send the user a password reset request email, select the Ask user to reset password check box.

5. Once the appropriate services, permission options, and/or request email options have been select-ed, click the Add User button to save your information.

6. Once the user account has been created, a success pop-up window will appear on your screen. Click the X Close icon to close the window.

7. The Portal Users list will refresh with the newly added user. OR

8. Click Cancel to return to the Portal Accounts page.

Delete a User and Their Services

1. Select the user that you want to delete.

2. The user details will expand on the Users page.

3. From here, click Delete User to delete this user and all of their services.

4. A pop-up window will appear on your screen. Click Yes, delete them! to delete this user and their services. (Once this button has been clicked, this user and their services can NOT be unde-leted.)

5. Once the user has been deleted and their associated services, a Success pop-up window will appear on your screen. (Note that once you delete this user, it will not appear in the Users list anymore.)

6. The Users list will refresh on the Users page. OR

7. Click No, cancel this! to close this window and return to the Portal Users list.

Delete All Users

1. Select the check box next to the Users column header.

2. Once you do this, the Portal User list will refresh with all users selected.

3. In the Actions drop-down list box, select Delete selected users.

4. Click the Delete Users button.

5. A pop-up window will appear on your screen. Click Yes, delete them! to delete all users and their services. (Once the Yes, delete them button has been clicked, all users and their services can NOT be undeleted.)

6. Once the users have been deleted, a Success pop-up window will appear on your screen. Click the X (close) icon to close the window.

7. The Portal Users list will refresh. Once you delete all users, this list will be blank until you add users. OR

8. Click the No, cancel this! button to close this window and return to the Portal Users list.

Edit ServicesTo modify a users settings and/or services, select a service status icon within the SpamLab service. The administrator may edit this service at any time. (Note that green dots represent enabled ser-vices and gray dots represent available services that have not been utilized yet.)

Modify User Details

1. Select a user from the Portal User Accounts list. The user summary will expand on the Users page.

2. Click the Settings icon to view the details for this user.

3. A pop-up window will appear on your screen. From here, you may view and/or modify the user details.

4. Once you have updated the details, click Update User Details to save this information.

5. A Success pop-up window will appear on your screen. Click the X icon to close the pop-up window and return to the Users Page.

Change Username

1. From the Portal User Accounts list, select the user that you want to change the username

2. Click the Settings icon to view the details for this user.

3. A pop-up window will appear on your screen. From here, click User Rename.

4. The window will refresh with the current username displayed.

5. From here, enter a new username. (Note that if you rename a user, it will change the users’ Customer Portal login, Outlook and OWA login, and create an alias address for the original username.)

6. Click the Rename User button.

7. Once the new username has been saved, a Success pop-up window will appear on your screen.

8. The pop-up window will refresh. [Note that the username has been updated (renamed) with the new username.]

Copy User Email Addresses

1. Select a user from the Portal User Accounts list.

2. The user summary will expand on the Users page.

3. Below the user account name, click anywhere on the email address. (Note that the email address is highlighted.)

4. Open any email software and place your cursor in the To... box.

5. From here, click Ctrl+V to paste the email address into the To... box.

Link User Account Services to Another UserThe Link User Account Service feature allows administrators to grant a user with limited access/per-missions to another user’s account (services) within the Customer Portal. This feature is used primar-ily for user-to-user accounts. This feature allows the administrator to link a user to another account without giving him/her administrative rights to the domain within the Customer Portal. The Spam service is available for linked accounts. (Note that Administrators may link up to 20 accounts per individual user.)

Administrators should use the Impersonate Mode to manage another user account. (See the Impersonate Mode for more information.)

1. Select a user from the Portal User Accounts list. The user summary will expand on the Users page.

2. Click the Settings icon to view the details for this user.

3. A pop-up window will appear on your screen. From here, click the Link Accounts button.

4. The pop-up window will refresh with the linked services.

5. Click the Link a user account button to link a user with another user’s account and associated services.

6. From here, enter a username and select a domain from the drop-down list box.

7. Select a service, and then click the Link button. A Success pop-up window will appear on your screen.

8. The Users page will refresh and the Linked Services list will expand with the newly added linked user account. (Note that only one user and service may be linked at a time.) OR

9. Click Cancel to stop this operation and return to the Link Services page.

Remove Link From a User

1. From the Portal User Accounts list, select the user that you want to remove the account link.

2. Click the Settings icon to view the details for this user.

3. A pop-up window will appear on your screen. From here, click the Link Accounts button.

4. The pop-up window will refresh with the linked services.

5. Click the Remove icon to delete this link. Once the account has been unlinked, a Success pop-up window will appear on the screen.

6. The Linked Services page will refresh. There are no longer any services linked with this user.

Add/Delete Administrator RightsOnce a user account has been created, the administrator may add or remove administrative rights to a user account at any time.

1. Click the Admin icon next to the user that you want to grant administrative rights.

2. Once the user has been granted administrative rights, the Admin icon will turn gold next to user in the Users list. OR

3. Select a user from the Portal Users list, and then click the Grant Admin Rights button to grant administrative rights to an existing user account.

4. Once administrative permissions have been added, a Success pop-up window will appear on your screen.

5. Click Close to return to the Portal User list. Once a user is an administrator, an Admin icon will appear beside the user account on the Portal Users list. (To ensure that the rights are updated immediately, click the Reload button under Portal Settings. This button reloads your domain data and any changes that have been made.) OR

6. Select an administrative user from the Portal Users list, and then click the Remove Admin Rights button to remove administrative rights from an existing user account.

7. Once the administrative permissions have been removed, a Success pop-up window will appear on your screen.

8. Click Close to return to the Portal User list. Once a user no longer has administrative rights, the user account will appear on the Portal Accounts list with an Admin icon. (To ensure that the rights are updated immediately, click the Reload button under Portal Settings. This button reloads your domain data and any changes that have been made.)

How to Impersonate a User or be a Guest AdministratorThe Impersonate feature is used by an administrator to manage and/or troubleshoot user accounts. This feature allows the administrator to login to the Customer Portal as another user and examine a particular account for problems/issues.

1. From the Portal Users list, click the user that you want to impersonate.

2. The Users page will refresh with the associated user account. Click the Impersonate User button.

3. Once you click the Impersonate User button, you will be redirected to the Customer Portal as another user; i.e., the user account that was previously selected in the Portal Users list. (Note that a Impersonate button appears in red on the Navigation bar.)

4. You may now recreate the user scenario and/or troubleshoot the issue for a possible solution.

5. When you are done, mouseover the Impersonate button and click the Stop Impersonating button to close the account and return to the Users page.

6. If you discover a problem/issue with the Customer Portal while managing and/or troubleshooting an account in the Impersonate mode, please contact our Support Team.

Manage SpamLab User Settings

1. In the Actions drop-down list box, select the SpamLab User Settings option

and click the Manage SpamLab User Settings button, respectively.

2. This will open a secondary page that displays a summary of the HSR settings and Email Format preferences, and a user alias count.

3. From here, select a user that you would like to view his/her settings.

4. Once you do this, a secondary pop-up window will appear on your screen.

5. From here, you may modify the HSR and/or User Aliases settings. (See also ‘Customize Held Mail Reports (HMRs) and Alerts’ on page 22.)

View Users and DomainsThis feature allows you to view four display categories in the Portal User Accounts list: All Users, Admins, Non-Admins, and Locked Users.

1. Select a display category in the display drop-down list box. (Note that All Users is the default display category.)

2. Select a domain from the Domains drop-down list box.

3. Once you select a display category and domain, the Portal User Accounts list will refresh with the associated category and domain displayed in the list.

Unlock Users

1. Click the expand arrow next to the lock icon of the user that you want to unlock.

2. A Service detail menu will expand. From here, click the Unlock this service.

3. Once the account has been unlocked, the lock will disappear and a green enable status icon will appear in the column.

Search Users or Domains

1. Enter all or part of the username or domain in the Search text box.

2. Click the Search button. The Portal User Accounts list will refresh immediately with the applicable search items.

Clear Search

1. To delete a previous search, click the Clear search link below the Search button.

2. The search text box will refresh immediately.

Update Settings and Services

If you’ve changed any user settings or services but they do NOT appear in the portal, click the Reload icon to update the Customer Portal with the latest changes.

SpamLab ServicesThe Customer Portal allows administrators to view SpamLab settings, change passwords, or custom-ize Held Mail Report and Alert settings from one central location.

Change Password

1. Select a user from the Portal Users list.

2. The user details will expand on the page.

3. Enter and confirm a new password, and then click the Save Changes button.

4. Once the password has been changed, a Success pop-up window will appear on your screen.

5. Click Save Changes to save the new password, and then click Close to return to the Users list.

View User Aliases

1. Mouseover the SpamLab service status icon, and then select the down icon to expand the list.

2. From here, select the View Service Summary icon.

3. The SpamLab section will expand with a list of associated user aliases.

Customize Held Mail Reports (HMRs) and Alerts

1. Mouseover the SpamLab service status icon, and then select the arrow down icon to expand the list.

4. To receive account alerts and a HMR, select the Receive Alerts and Receive Held Mail Reports check boxes

5. If you want to send reports in an HTML format, select the Send HTML version check box.

6. If you want to send a report even though there is no held mail, select the Send when no mail is held check box.

7. Click the Resend Last Report button to re-queue a previously sent HMR. You should receive it within 15 minutes. (Note that a Success pop-up window will appear on your screen when the HMR release is ready.)

8. Click Save Changes. Once the settings have been saved, a Success pop-up window will appear on your screen.

9. Click Close to return to the Portal Users list.

Add Domain Aliases

1. Mouseover the SpamLab service status icon, and then select the down icon to expand the list.

2. From here, click the View Advanced Settings icon. An Editing SpamLab Settings pop-up window will appear on your screen.

3. Click the Add alias button.

4. The Alias list will expand. An empty text field will appear on the list.

5. Enter the alias that you want added to the Domain Alias list. Click Save new aliases. OR

6. Click the Add alias button to add additional aliases to the Domain Alias list. Once you finish add-ing filenames, click Save new aliases.

Audit LogsThe Audit Logs page allows you to track and manage detailed information about key account events and actions that have occurred within the Customer Portal. Logs are displayed in a chronological sequence, but you may refine your search with several search categories: Date, Username, Account, Service, and Event Name.

View Audit Logs

1. To view all portal audit logs, click the View all Audit Logs link or select the Audit Logs tab on the Portal Home page.

2. Double-click an individual log event in the Log list to view the details for the individual event:

• LogID – Displays a log ID. A Log ID is generated when an event occurs.

• Log Date – Displays the date and time that the event occurred.

• User Name – Displays the user that created the event.

• Service Type – Displays the service that was effected by the event.

• Event – Displays an abbreviated event description

• Message

• Details – Displays a detailed event description

Search Audit Log OptionsThis feature provides two search methods: Simple and Advanced. (Note that the Simple option is the default search option.)

● Simple Option – This feature allows you to search logs by three categories: Date, Username, or Domain.

● Advanced Option – This feature provides you with two additional filter search categories: Ser-vice and Event Name.

Portal SettingsThe Portal Settings page allows you to reload your domain data and settings after changes have been made and/or set a verbal password. (Note that sometimes the cached view is out-of-sync with the actual data; therefore, you may need to reload the domain data and settings.)

All features in the Setting page have been broken out into side menu options. An Account Contacts page is now available for administrators.

Cache Domain Data and Settings

1. Click the Reload button to reload (cache) your domain data and settings in the portal.

2. An Are you sure pop-up window will appear on your screen prompting you for an answer.

3. Click OK to reload the domain data and settings.

4. A Success pop-up window will appear on your screen. OR

5. Click Cancel to close this window and return to the Portal Settings page.

Set Your Verbal Password

1. Click the Verbal Password button. From here, enter a password and click the Save Password button.

2. Once the password has been saved, a Success pop-up window will appear on your screen. (Note that all telephone change requests to support will require you to provide this verbal pass-word.)

Modify Account ContactsThe administrator may maintain the Name, Phone Number, and Email for the Primary, Technical, Billing, and Emergency contacts on the account in the Accounts Contacts section. (Note that the Account Contacts page is only available to Direct and Referral customer types. The page is not available for Resold customers at this time.)

1. Click the Accounts Contacts button. (Note that this information was initially created when your account was set up by our Sales Department.)

2. Simply modify the information as needed.

SpamLabSpamLab Service prevents spam, phishing scams, viruses, and other Internet pollution from impacting your email. Not only does SpamLab utilize more than 60 types of filtering techniques, but it employs multiple anti-virus engines. The following features are included in the SpamLab Service:

● SpamLab Dashboard – This feature displays account-specific SpamLab statistics. From here, you can manage your SpamLab accounts and view the latest Zero-hour virus alerts.

● Alerts – This feature displays warning and error notifications associated with your SpamLab account(s).

● Spam Quarantine – This feature provides a temporary storage location for messages that have been identified as spam. You may view, release, and/or delete a quarantined spam message from here.

● Virus Quarantine – This feature provides a temporary storage location for messages that may contain a virus. You may view and/or release a quarantined virus message from here.

● Released Mail – This feature provides a temporary storage location for all detained emails, which may be viewed, released, and/or deleted by administrators or individual users depending on the configuration selected by the administrator.

● Trash – This feature provides a temporary storage location for all deleted messages. You may view, re-release, and/or permanently delete a trashed message from here.

● Filters – This feature allows the administrator to create and customize filters, which will then auto-matically filter mail according to a chosen category.

● Settings – This feature allows the administrator to view and/or customize SpamLab settings for a portal account.

● Tools - This feature displays inbound and outbound log information and includes a LDAP import program. From here, the administrator may manually run LDAP or schedule an automated process to add and remove users.

● Statistics – This feature displays message-specific statistics. From here, the administrator may alter the visual display and/or print the individual charts. The Statistics page includes message count, size, type, country origin, recent users, and export quarantine.

View SettingsThe SpamLab Status section reviews your SpamLab settings and displays any incorrect settings. (Note that a red box will appear in the SpamLab Status section if there are any incorrect SpamLab settings.)

1. Click the Review & Fix Problems text link in the SpamLab Status section.

2. You will be redirected to the Alerts page. From here, you will be redirected to the section with the most alerts. The Spam Alerts and MX Records links will display the number of outstanding alerts beside the link. (See ‘Alerts’ on page 33.)

Pending Whitelist RequestsThe Pending Whitelist Requests section graphically displays the number of outstanding whitelist requests.

1. Click the Review text link to open the Whitelist Requests page.

2. From here, all outstanding whitelist requests are displayed on the page. This feature allows the administrator to manage whitelist requests from one central location. (See ‘Whitelist Requests’ on page 51.)

MX RecordsThe Account Information section allows you to view basic account information, including MX records.

1. Click the Primary MX records text link to open the MX Records page. (See also ‘MX Records’ on page 34)

1. Click a link under the Zero-Hours Virus Alerts section to view the latest information for that particular alert.

2. Click the X Close icon to close the virus alert and return to the SpamLab Home page.

Search Quarantined SpamThis feature allows you to search messages by three categories: Sender, Recipient, or Subject.

1. Select Sender, Recipient, or Subject in the Search drop-down list box.

2. Enter applicable keywords in the Search text box.

3. Click the Search button to begin the search.

4. Once the search is done, you are redirected to the Spam Quarantine page with a list of applicable search results. (See also ‘Spam’ on page 35.)

3. From here, you can make the necessary corrections to the SpamLab settings.

MX RecordsThis page displays all associated MX Records alerts and it will tell you if your MX records have been configured correctly with your DNS or if your MX records need to be changed. If any changes are made to the MX records, it will be displayed in the Customer Portal within minutes.

Check MX Record Status

1. Select a domain from the list on the right-hand side of the screen. (Note that a domain may be selected from any of the SpamLab pages.)

2. Select the Alerts link under the SpamLab tab.

3. From here, click the MX Records link. The correct MX Records are highlighted in a green font.

Forward MX Records List

1. Scroll down to the bottom of the MX Records page.

2. From here, select a domain from the drop-down list box and then enter an email address. OR

3. Click the Send MX Records button. A pop-up window will appear on your screen once the email has been sent.

4. The email should appear immediately in the inbox of the requested email address.

Locate Additional MX RecordsAn alert and error message will appear on the MX Records page when additional/backup MX Records are detected for any domain on an account. Please have these additional MX records removed as soon as possible.

SpamThe Spam Quarantine page provides a temporary storage location for messages that have been identified as spam and that should not be delivered to a user’s mailbox. All messages are classified as some sort of spam. The icons, which are displayed in the Results list, identify why the message is displayed in the list.

NOTE Inbound and Outbound buttons will only appear in the SpamLab Service if you purchased our SmartHost Outbound Email Filtering Service.

Our outbound email filtering service, SmartHost, cleans internal emails before it exits a corporate net-work, reducing the risk of improper routing, incompliant messaging and misuse of company resources. (Please see our outbound filtering section for more information.)

View Quarantined Spam ResultsThis feature allows you to display results by two categories: date and number of items per page.

1. Select a date boundary in the Date drop-down list box. (Note that the default is Last 7 days.)

2. Select a number in the Per Page drop-down list box that you would like to display in the Viewing Results list. (Note that the default is 50 Per Page.)

3. Click the previous/next or numeric icons on the pager control to navigate through the listed mes-sages.

Export Quarantined Spam

1. Click the Export Quarantine icon.

2. You will be redirected to the Export Quarantine section on the Statistics page. (See also ‘Statistics’ on page 106.)

3. Select a date.

4. Select a direction type.

5. Select a quarantine type.

6. Click the Download Quarantine to CSV file button. (Note that a status will appear on the page while the download is in progress.)

7. Once the download is complete, the data will appear in a secondary window.

View an Individual Spam Message

1. Hold down the Ctrl key and click the message to view in another window. OR

2. Hover over the message and a icon will appear beside the message. Click to open the message in another window. OR

3. Click the message in the Viewing Results list.

4. The portal page will refresh with the displayed message.

5. From here, several options are available:

• Show/Hide Headers – Click this button to view/hide the supplemental data that is placed at the beginning of the block of data being transmitted in the message.

• Show Raw – Click this button to view messages in a Raw format (original source).

• Display blocked content – Click this button to display a questionable image/link in the message.

• Show Whitelist & Tools – Click this button to expand the Whitelist and Tools sections. From here, you may create a domain whitelist or you may utilize one of the available SpamLab Tools (i.e., Check RBL, Analyze Headers, or IP Whols) or download a message in a MBX or EML format.

• Delete – Click this button to delete this message.

• Release – Click this button to release this message.

• Back to Spam Quarantine – Click this button to return to the Quarantine page.

Clear Search

View Message Country Origin

1. Select the individual message or column header check box in the Viewing Results list to view an individual message or all messages, respectively.

2. Click the Country (show) column header.

3. The Viewing Results list will expand with the originating country displayed in the list.

Select a Range of Messages

1. Hold down the shift key and select the check box next to the beginning range message.

2. Continue to hold down the shift key and select the check box next to the ending range message.

NOTE All messages between the beginning and ending messages are selected too.

Release Spam Messages

1. Select the check box for the individual message that you want to release. Once you do this, the quarantined spam message will appear highlighted in a gray color on the Viewing Results list.

2. Click the Release button.

3. An Are you sure pop-up window will appear on your screen prompting you for an answer.

4. Click OK to release the message.

5. From here, you are redirected to a page that states that the message has been released. (Note that once an email message has been released, it will appear in the user’s inbox shortly.)

6. Click the Back to Quarantine button to return to the Spam Quarantine page or click the Add items to the Whitelist button for more Whitelist options. OR

7. Click Cancel to close this window and return to the Spam Quarantine page.

Delete a Spam Message

1. Select the check box for the individual message that you want to delete in the Viewing Results list. Once you do this, the quarantined spam message will appear highlighted in a gray color on the Viewing Results list.

View Quarantined Virus ResultsThis feature allows you to display results by two categories: date and number of items per page.

Remove a Deleted Email Message

1. Select the check box for the individual message that you want to delete permanently in the Viewing Results list. Once you do this, the deleted email message will appear highlighted in a gray color on the Viewing Results list.

2. Click the Delete button.

3. An Are you sure pop-up window will appear on your screen prompting you for an answer.

4. Click OK to permanently delete the message. OR

5. Click Cancel to close this window and return to the Trash page.

Delete All Deleted Email Messages

FiltersThe SpamLab Filters page allows the administrator to create and customize filters and whitelist requests from one central location.

NOTE An incorrectly entered exception list item or allowing all addresses from large domains similar to @msn.com may open the Spam floodgates! Do not add your own domain in the exception list since several spam messages use the To: address as the From: address. Please contact the Support team if you are not sure.

Acceptable Entry Examples:

[email protected] (but not @hotmail.com since many spammers use hotmail.com and yahoo.com From: addresses)

[email protected] (or just @smith-cpas.com since you want all mail from this domain and not hotmail)

● @newsletters.onlinenews.net (but not [email protected] since the From: address changes with each email)

The following features are available for the administrator:

● Whitelist Requests – This feature allows the administrator to approve and/or deny whitelist requests from one central location.

● Email Addresses – This feature filters mail according to email addresses. The administrator may add or remove email addresses from the allowed and blocked lists.

● Domains – This feature filters mail according to the domain. The administrator may add or re-move domains from the allowed and blocked lists.

● IP Addresses – This feature filters mail according to the IP address. The administrator may add or remove IP addresses from the allowed and blocked lists.

● Filenames – This feature filters mail according to the attachment and link filename. The adminis-trator may add or remove attachment and link filenames from the blocked lists.

● Text – This feature filters mail according to the text. The administrator may add or remove inbound text from the allow and blocked lists. Additionally, text may be filtered for outbound mail too.

● Countries – This feature filters mail according to the country. The administrator may add or re-move countries from the blocked list.

● Invalid Users – This feature filters mail according to the username. The administrator may add or remove users from the Invalid Users list.

Remove an Allowed Email Address

Export Email Addresses

1. Select the export link next to the email address list that you want to export.

2. A pop-up window will appear on your screen.

3. Simply, click and drag your mouse cursor over the information you want to export.

4. From here, click Ctrl+C and Ctrl+V to paste the information in the appropriate file. OR

5. Click the Download a CSV file link. A pop-up window will appear on your screen.

6. Select the Open with option button, and then click Browse to select an application that will view the csv file.

7. Once you locate an application, click OK. OR

8. Select the Save File option button to save the file to your desktop.

9. A Save As pop-up window will appear on your screen.

10. Select desktop and then click the Save button.

Change the Email Address Name

1. Mouseover the email address that you want to change. Click the Edit icon next to the address name you want to change.

2. The Email Address list will expand.

3. Modify the email address name, and then click the Save button.

4. Once the email address has been modified, a pop-up window will appear on your screen.

5. The Email Address list will refresh. (Note that the newly modified email address is displayed in the list.)

Search Email Addresses ListThis feature allows you to search email addresses from the Allowed and Blocked Email Addresses lists.

1. Enter an email address in the Search text box. (You may enter part or all of the name.)

2. Click the Search button. OR

3. Click enter on your keyboard to automatically begin the search.

4. The list will refresh with the selected search item displayed.

Clear Search

Filenames FilterThis feature filters mail according to file extensions or filenames. The administrator may add or remove filenames from the Blocked Attachment and Link lists. Once a message has been blocked by the Filename Filter, it is moved to Virus Quarantine.

Add Blocked Attachment FilenamesThis feature allows you to block attachments (files) that are associated with a message.

1. Click the Add button.

2. The Blocked Attachment Filenames list will expand. An empty text field will appear on the list.

3. Enter the filename that you want added to the Blocked Attachment Filenames list. Click Save. OR

4. Click the Add button to add additional filenames to the Blocked Attachment Filenames list. Once you are finished adding filenames, click Save.

Enable Global Banned File Extensions for Attachment FilenamesThis feature allows the administrator to globally block a select set of file extensions: .vbe, .scr, .pif, .vbs, .hta, .cmd, .com, and .cpl.

1. Select the More Options link in the Blocked Attachment Filenames list.

2. The Blocked Attachment Filenames list will refresh. Select the Use the global banned file extensions check box.

Add Blocked Link FilenamesThis feature allows you to block links (files) that are embedded in a message.

1. Click the Add button.

2. The Blocked Link Filenames list will expand. An empty text field will appear on the list.

3. Enter the filename that you want added to the Blocked Link Filenames list. Click Save. OR

4. Click the Add button to add additional filenames to the Blocked Links Filenames list. Once you are finished adding filenames, click Save.

5. A pop-up window will appear on your screen.

Add Blocked Linked Filenames in Bulk

1. Click the Bulk Add button.

Enable Global Banned File Extensions for Link FilenamesThis feature allows the administrator to globally block a select set of link file extensions: .hta, .scr, .pif, .vbs, ie7.0.exe, Greeting Postcard.exe, flash postcard.exe, Love Card.exe, With Love.exe, Postcard.exe, and Love Postcard.exe.

1. Select the More Options link in the Blocked Link Filenames list.

2. The Blocked Link Filenames list will refresh. Select the Use the global banned link extensions check box.

Modify Filename Filter

1. Click the Advanced Filters... link at the top right side of the Filenames page.

2. You will be redirected to the Mail Rules page, which is located under the Settings tab. (Click here for more information about Mail Rules.)

Export Filenames

1. Select the export link next to the Filenames list that you want to export.

2. A pop-up window will appear on your screen.

3. Simply, click and drag your mouse cursor over the information you want to export.

4. From here, click Ctrl+C and Ctrl+V to paste the information in the appropriate file. OR

5. Click the Download a CSV file link. A pop-up window will appear on your screen.

6. Select the Open with option button, and then click Browse to select an application that will view the csv file.

7. Once you locate an application, click OK. OR

8. Select the Save File option button to save the file to your desktop.

9. A Save As pop-up window will appear on your screen.

10. Select desktop and then click the Save button.

Change Filenames

1. Mouseover the Filename that you want to change. Click the Edit icon next to the filename you want to change.

2. The appropriate Filenames list will expand.

3. Modify the filename, and then click the Save button.

4. Once the filename has been modified, a pop-up window will appear on your screen.

5. The Filenames list will refresh. (Note that the newly modified filename is displayed in the list.)

Text FilterThis feature filters mail according to text. The Text Filter will allow or block words or phrases inside a message that you want to bypass spam filtering. This filter may be used for inbound and outbound email.

Add Allowed Inbound Text

1. Click the Add button.

2. The Allowed Text list will expand. An empty text field will appear on the list.

3. Enter the text that you want added to the Allowed Text list. Click Save. OR

4. Click the Add button to add additional text to the Allowed Text list. Once you are finished adding text, click Save.

5. A pop-up window will appear on your screen.

6. The Allowed Text list will refresh. (Note that the newly added text appears in the list.)

Countries FilterThis feature filters mail according to country. The Countries filter will ban any message as spam if it flows through any of the listed countries. If that country is contained anywhere in the route of the mes-sage, it will be held as spam.

Add Blocked CountriesAll available countries may be moved to the Blocked Countries list, but warning alerts will appear on your screen if you choose to block Canada, United States, Unknown, or United Kingdom. Blocking these countries may prevent you from receiving any valid mail.

1. In the Available Countries list, select the check box next to the country that you want blocked.

2. The selected country will immediately move to the Blocked Countries list. OR

3. Click the Select All link to move all of the available countries to the Blocked Country list. We do not recommend that you block United Kingdom, United States, or Canada. Many valid Web sites pass through these countries, regardless of where you live. Blocking these countries may prevent you from browsing common Web sites.

4. To restore the original allowed/blocked countries filter settings, click the Reset Changes button. If you click Save Changes before Reset Changes, the original countries filter settings may not be automatically restored. You will need to manually restore the settings yourself or contact support for help.

5. Click the Save Changes button.

Remove a Blocked Country

1. In the Blocked Countries list, clear the check box next to the country that you want unblocked.

2. The selected country will immediately move to the Available Countries list. OR

3. Click the Select None link to move all of the blocked countries to the Available (allowed) Countries list.

4. To restore the original allowed/blocked countries filter settings, click the Reset Changes button. If you click Save Changes before Reset Changes, the original countries filter settings may not be automatically restored. You will need to manually restore the settings yourself or contact support for help.

5. Click the Save Changes button.

Search Country List

1. Enter a name in the Filter Country List text box. As you enter letters, applicable countries will appear in the Available Countries list.

Invalid Users FilterThis feature filters mail according to the username. The administrator may add or remove invalid users from this filter list. Once you add a user to this filter list, any email directed to this user will be logged as an invalid addressed message and deleted immediately.

Add Invalid Users

1. Click the Add button.

2. The Invalid Users list will expand. An empty text field will appear on the list.

3. Enter the username that you want added to the Invalid Users list. Click Save. OR

4. Click the Add button to add additional users to the Invalid Users list. Once you have finished add-ing a user, click Save.

View Filter Summary

1. Select the Summary button on the Filters page.

2. Select a Filter Category (Email Addresses, Domains, IP Addresses, Filenames, Text, Countries, and Invalid Users) to display all associated block and allows lists for that individual filter. OR

3. Select the Expand All button to collapse all filter categories and associated block and allow lists. OR

Outbound Filtering

SmartHostSmartHost™ cleans internal emails before it exits a corporate network, reducing the risk of improper routing, incompliant messaging and misuse of company resources. It will

• Reduce the chance of regulatory violations and penalties

• Provide information asset tracking tools

• Stop abuse of email resources

• Improve email deliverability

• Reduce processing load on email servers

The SmartHost service is available with the following SpamLab options:

• Spam – This feature allows the administrator to release or delete any outbound spam mes-sages.

• Released Mail – This feature allows the administrator to re-release or delete any detained outbound spam messages.

• Trash – This feature allows the administrator to release or permanently delete any trashed outbound messages.

• Text – This feature allows the administrator to block any outbound messages that contain sensitive information.

View Outbound ResultsThis feature allows you to display results by two categories: date and number of items per page.

1. Click the Outbound button.

2. Select a date boundary in the Date drop-down list box. (Note that the default is Last 7 days.)

3. Select a number in the Per Page drop-down list box that you would like to display in the Viewing Results list. (Note that the default is 50 Per Page.)

4. Click the previous/next or numeric icons on the pager control to navigate through the listed mes-sages

Clear Search

View Message Country Origin

Outbound Spam QuarantineThe Spam Quarantine page provides a temporary storage location for outbound messages that have been identified as spam and that should not be sent to outside sources.

Export Quarantined Spam

1. Click the Export Quarantine icon.

2. You will be redirected to the Export Quarantine section on the Statistics page.

3. Select a date.

4. Select a direction type.

5. Select a quarantine type.

6. Click the Download Quarantine to CSV file button. Note that a status will appear on the page while the download is in progress.

7. Once the download is complete, the data will appear in a secondary window.

Outbound Released MailThe Released Mail page contains all detained outbound emails, which may be viewed, released, and/or deleted by administrators or individual users depending on the configuration selected by the admin-istrator. Released mail is held for 7 days.

Delete a Released Outbound Mail Message

SettingsThe Settings page allows the administrator to view and/or customize advanced SpamLab settings for a portal account

● Domain Options – This feature allows the administrator to restrict mail for any users associated with a domain. Additionally, the administrator may assign users to receive weekly domain reports, service alerts, and whitelist request notifications.

● Scan Options – This feature allows the administrator to customize the SpamLab scanning con-figuration settings and set the actions for the scans.

● Filter Policy – This feature displays the default inbound and outbound filter policies, which have been automatically configured for current optimum settings. Although these configurations may be changed, we strongly recommend that you contact our Technical Support Department before alter-ing the default settings.

● Mail Rules – This feature allows the administrator to define inbound and outbound rules that sort, filter, or redirect mail when received.

● Disclaimer – This feature allows the administrator to add a legal disclaimer to all inbound and outbound messages.

View SpamLab services in the Original VersionIf you are not as familiar with SpamLab and the Customer Portal, you may view and manage your SpamLab services in the previous version.

1. Select the Settings link under the SpamLab tab.

2. Click the Go to original version button. You will be redirected to the previous SecureTide Service version.

Domain OptionsThe Domain Options page allows the administrator to restrict mail for any users associated with a domain. Additionally, the administrator may disable SpamLab filtering or assign users to receive weekly domain reports, service alerts, and whitelist request notifications. (If you are unsure of these settings, please contact Technical Support for any questions.)

Domain ModesThe Domain mode operates in two modes:

● Open – This mode makes no restrictions on users. If you select this mode, email for any user will be treated as a valid account. (Note that this is the default mode.)

● Closed – This mode restricts any email from entering your network, which may or may not be a user in your user list. This mode will not bounce a message or let spammers detect valid email ad-dresses. Instead, it will delete incoming messages for users that are not on your user list after they are received. Additionally, you will need to add and remove email addresses to this account as you add and remove the addresses from your server.

Optional Domain SettingsThe Domain Options pages contains several domain configuration settings.

● Allow Users to Disable their own filtering – This setting allows end-users to disable spam filtering for their email address. End-users must have login access to their personal quaran-tine to disable filtering. Virus filtering cannot be disabled.

● Allow users to submit whitelist requests for this domain – This setting allows end-users to submit whitelist requests to the administrator. Once the requests have been approved, they will be added to the appropriate filters. (Note that the administrator may turn this option off at anytime. Once the administrator turns this option off, the end user may release messages only.)

ReportsThis section provides a list of available reporting options. You may add or delete users from these dis-tribution lists at any time.

● Send a weekly report on this domain from the SpamLab – This setting will add a user to the Weekly report mailing list, which includes an attached Domains Statistics report that summarizes email activity for a domain and its associated aliases. Additionally, this report includes weekly and monthly email statistics, pending allowed sender requests, top spam victims, and spam released by end-users.

● Send email notifications for whitelist requests – This setting allows the administrator to add a user to the whitelist mailing list, which notifies the user of any whitelist requests. (Please select a user that has administrative permissions.)

Delivery NotificationsThis setting allows the administrator to add a user to the delivery notification list, which will alert him/her of any outages or email delivery issues. If email cannot be delivered to your server(s), it is auto-matically encrypted and sent to the Delivery Queue section under the Tools tab.

How to Operate in Closed Mode

1. Add all user names and aliases to the User list, which is located under the Portal Admin tab.

2. Once this information has been added, select the SpamLab Admin tab, and then click the Settings link.

3. Select the Closed Mode option button, and then click the Save Changes button.

4. Once the changes have been saved, a Success pop-up window will appear on your screen.

Send Weekly Domain Statistics Reports

1. Click the Add button to add an email address (user) to this list. An email address text box will expand. (Note that an initial user has been assigned to receive reports, alerts, and notifica-tions when the SpamLab service was added. You may add as many users to this list as you would like.)

2. Enter the email address of the user that you want to receive weekly reports. Select the applicable check boxes in the Options dialog box.

3. Click Save Changes. OR

4. Click the Add button to add additional email addresses to this list. Once you finish adding email addresses, click Save Changes.

5. A Success pop-up window will appear on your screen.

6. The Settings page will refresh. (These users should see a Domain Statistics Report in their inbox shortly.)

Send Delivery Notifications

1. Select the Enable Delivery Notification check box. The Options dialog box will expand.

2. Select a number from the Minutes drop-down list box.

3. Enter a email address in the text box. (Please use a notification SMS or another email address on a domain not handled by the SMTP server that we deliver mail to.)

4. Click Save Changes. OR

Scan OptionsThe Scan Options page allows the administrator to customize the SpamLab scanning configuration settings and set the actions for the scans. (If you would like to change any of the default options and actions, please contact Technical Support for details.) These scanning options include:

● Enable spam scanning – This feature allows end-users to disable spam filtering for their email address.

● Enable virus scanning – This feature allows end-users to disable virus filtering for their email address.

● Enable vulnerability scanning – This feature scans email vulnerabilities of a certain type. These messages are normally sent to Virus Quarantine. This option may be used for inbound and outbound mail.

● Hold messages branded as “suspicious” – This feature scans messages for virus charac-teristics. Normally, these messages will not fit a virus definition but may contain some of the same characteristics of a virus. Additionally, this feature will catch some zero-day viruses but may contain some false positives too. This option may be used for inbound and outbound mail.

● Use the global banned file extensions list – This feature allows the administrator to glob-ally block a group of file extensions: .vbe, .scr, .pif, .vbs, .hta, .cmd, .com, and .cpl.

● Use the global banned link extensions list – This feature allows the administrator to globally block a group of link file extensions: .scr, .pif, .vbs, .hta, ie7.0.exe, Love Card.exe, With Love.exe, Postcard.exe, flash postcard.exe, and Greeting Postcard.exe.

● Use the global IP block list – This feature allows the administrator to globally block a group of IP addresses.

● Use slow processing on unknown messages .

Available ScansThe administrator may change the action taken for the following scans. If you change an action in the original default settings, then your domain may be susceptible to spam. (Please contact Technical Support before changing the default scanning actions.)

● Allowed Senders and Domains – The administrator may allow or disable this scan. Allow is the default action.

● Blocked Senders and Domains – The administrator may hold, delete, or disable this scan. Hold is the default action.

● Allowed IP Addresses – The administrator may allow or disable this scan. Allow is the default action.

● Blocked IP Addresses – The administrator may hold, delete, or disable this scan. Hold is the default action.

● Invalid Users – The administrator may hold or delete this scan. Delete is the default action.

● Blocked Attachment Filenames – The administrator may hold, delete, or disable this scan. Hold is the default action.

● Blocked Link Filenames – The administrator may hold, delete, or disable this scan. Hold is the default action.

● Allowed Text – The administrator may allow or disable this scan. Allow is the default action.

Filter PolicyThe Filter Policy page displays the default inbound and outbound filter policies, which have been auto-matically configured for current optimum settings. These policies include a condition and an action to be taken when the condition is fulfilled. (Although these configurations may be changed, please con-tact Technical Support before altering the default settings.)

● Weight Checking – The Weight policy uses a configured numerical weight for a particular check to record the overall spam score for a particular email message. The Weight Checking policy is di-vided into four rules: WEIGHT10, WEIGHT15, WEIGHT20, AND WEIGHT30. (Note that WEIGHT20 is the default spam filtering quarantine weight.)

● Content Tests – The Content Tests policy blocks or allows messages based on content analy-sis. These tests evaluate the content, information contained in the mail body, or mail headers to classify, accept, or reject a message. The Content Tests policy contains over 30 rules.

● Sender Verification –The Sender Verification policy scans messages for valid email address-es. The Sender Verification policy contains six rules.

● Blocklist – The blocklist rule, SPAMCOP, allows everyone access except blacklist members. SpamCop is a free spam reporting service that creates and distributes a list of DNS-based black-lists and Spam Uniform Resource Identifier (URI) Real-time Block lists. SpamLab uses these lists to create a blocklist rule.

● Regional Dialects – The Regional Dialects policy scans messages for text that contain charac-ters from specific dialects. The Regional Dialects policy contains six rules.

● Tagging – The Tagging feature is NOT a spam-filtering policy. If this feature is selected, all mes-sages will be caught and tagged with SpamLab filtering information for troubleshooting.

Available ActionsFilter policies include the following actions:

● Warn – This action tags the header.

● Allow – This action cancels any hold for spam for the message.

● Quarantine – This action sends the message to the spam or virus quarantined lists.

● Delete message – This action deletes the message.

● Tag Header with ... – This action tags the header with specific information.

● Tag Subject with ... – This action tags the subject with specific information.

● Redirect message to ... – This action redirects the message to another email address. This email address may represent a user or a group of users.

Display a Filter Policy

1. Mouseover and click the filter policy that you want to display individual rules. OR

2. Select the Expand All button to display all filter policies and associated rules.

Set Automatic Filter Policy ConfigurationTo save the automatic configuration for your account(s), these steps must be performed for inbound and outbound mail.

1. Click the Manage my policy for me button.

2. The Filter Policy page will refresh. (Note that the Manage my policy for me button has changed to Manage my own policy now.)

3. Once the Manage my policy for me button has been selected, all tests are greyed out. You may view all filter policies but may not modify them.

Mail RulesThe Mail Rules page allows the administrator to define inbound and outbound rules that sort, filter, or redirect mail when received. Please allow 15 minutes for the filter servers to update the changes before testing new rules. (Please contact Technical Support for assistance when creating a custom rule.)

Mail Rule OrderMail Rules are processed sequentially until a condition is met and the rule is applied, or the last rule is encountered and the default rule takes effect. SpamLab mail rules are evaluated in the following order.

● All rules are run against each message. Rules do not stop running when a match is made.

● Each condition is evaluated and appropriate action is scheduled if the condition is true.

● A later rule can cause an earlier rule not to work. Such as a DELETE canceling a rule COPY or FORWARD.

● Rules are numbered and rule match information is actually written to the message header.

● A Message bounce will inform the bounce recipient of the rule number only.

Delete an Inbound Mail Rule

1. Select the check box next to the rule that you want to remove from the list.

2. Click the Remove button. OR

3. Select the icon next to the rule that you want to remove from the list.

4. Once the mail rule has been removed from the list, a Success pop-up window will appear on your screen. (Note that the recently deleted mail rule has been removed from the Inbound Rule list.)

Change Inbound Mail Rule Order

1. Mouseover the number of the rule that you want to move. Drag the rule number up or down the list.

2. Click Save Changes.

3. A Success pop-up window will appear on your screen.

4. The Mail Rules list will refresh with the modified order.

Create an Outbound Mail Rule

1. Select the Outbound button.

2. Select the Add button. The Rule list will expand.

3. Select a condition and definition, enter a parameter in the text box, and then select a action.

4. Click the Save button.

5. Once the mail rule has been added to the list, a Success pop-up window will appear on your screen.

6. The newly created rule will appear in the Outbound Rule list.

Delete an Outbound Mail Rule

1. Select the Outbound button.

2. Select the check box next to the rule that you want to remove from the list.

DisclaimerThe Disclaimer page allows the administrator to add a legal disclaimer to all inbound and outbound messages. Corporate emails that contain standard disclaimers add a layer of protection against legal action. Lack of a disclaimer can open the door to potential liability problems resulting from regulatory violations or breach of contract.

Add an Inbound Disclaimer

1. Click the Disclaimer button under the Settings tab.

2. Place your cursor in the Inbound Disclaimer text box, and then enter a disclaimer statement. Example: * ¨ * ¨ * ¨ * ¨ * ¨ * ¨ * ¨ * This is an inbound disclaimer. * ¨ * ¨ * ¨ * ¨ * ¨ * ¨ * ¨ *

3. Click the Save Changes button.

4. Once the inbound disclaimer has been saved, a success pop-up window will appear on your screen.

Add an Outbound Disclaimer

1. Click the Disclaimer button under the Settings tab.

2. Place your cursor in the Outbound Disclaimer text box, and then enter a disclaimer state-ment.

Modify a Disclaimer

1. Place your cursor in the Disclaimer text box and select the disclaimer statement that you want to change.

ToolsThe Tools page displays inbound and outbound log information and includes a LDAP import program. The LDAP import program allows the administrator to import a list of email addresses from your direc-tory server into a Users List. Additionally, the administrator may manually run LDAP or schedule an automated process to add and remove users.

● Logs – This feature allows the administrator to trace the path of specific emails as they travel through his/her network.

● LDAP (Manual) – This feature allows the administrator to manually run an import job for your LDAP server.

● LDAP (Scheduled) – This feature allows the administrator to customize and schedule an auto-mated import job for your LDAP server.

● Bulk Add Users – This feature allows the administrator to add SpamLab users in bulk to a specific domain. An administrator may import up to 100 users at a time. (Note that once users have been added, passwords will be automatically generated for each account.)

● Delivery Queue – This feature displays all messages that have been delayed and have not passed through your server.

Log SearchThe Log Search page allows the administrator to trace the path of specific emails as they travel through his/her network. This feature allows you to search messages by three categories: date, mail type, and search term. Search results will display only the first 1,000 results. If the list contains more than a 1,000 messages, a message will appear in the Log Search list prompting you to refine your search. Please refine your search if you can not find the message.

Search Inbound Logs

1. Click the Logs button.

2. Select the Inbound Logs option from the Logs drop-down list box.

3. Select a date from the Date drop-down list box.

4. Select a type from the Mail Type drop-down list box.

5. Click the Search button.

6. Once the search is done, a list of log search results is presented in the Log Search list. (Note that valid messages are displayed in green.)

7. Click the view message link to view individual message details, i.e., headers, raw source, and/or blocked content. (Note that only quarantined messages have an associated view message link.)

Search Outbound Logs(Note that Inbound and Outbound Log options will only appear in the SpamLab Service if you pur-chased our SmartHost Outbound Email Filtering Service.)

1. Click the Logs button.

2. Select the Outbound Logs option from the Logs drop-down list box.

3. Select a date from the Date drop-down list box.

4. Select a type from the Mail Type drop-down list box.

5. Click the Search button.

6. Once the search is done, a list of log search results is presented in the Log Search list. (Note that valid messages are displayed in green.)

Export Logs

1. Click the Logs button.

2. Select the Inbound Logs option from the Logs drop-down list box.

3. Select a date from the Date drop-down list box.

4. Select a type from the Mail Type drop-down list box.

5. Click the Search button.

6. Once the search is done, a list of log search results is presented in the Log Search list.

7. From here, click the Export button. (Note that a status pop-up window will appear on the screen.)

8. Once the server logs have been exported, an Opening logs.csv pop-up window will appear on the screen.

9. Select the Open option button and click the OK button to view the file immediately. OR

10. Select the Save option button and click the OK button to save the file to your desktop.

LDAP (Manual and Schedule)The LDAP (Manual) import program allows the administrator to import a list of email addresses (users) from your directory server into the Portal Users list. The LDAP option may be implemented manually or run by the system on a schedule, in which the administrator will automate the process by adding and/or removing users. (Note that the LDAP protocol supports three server types: Communigate, Microsoft Exchange Server, and Novell Groupwise v5.5 or newer.)

Import Users and Schedule Import SettingsIf you would like to view the LDAP tutorial video, click here.

1. Click the LDAP (Manual) button under the Tools tab.

2. Select Communigate, Microsoft Exchange Server, or Novell Groupwise 5.5 from the Server Type drop-down box. Once you select a server type, the TCP Port and Email Address text boxes will populate the appropriate information. (Note that 106 is the default TCP Port for Communigate and 389 is the default TCP Port for Exchange and Novell.)

3. Enter the fully qualified domain name of the server that hosts your user accounts in the LDAP Server text box.

4. Enter your password.

5. When you are done, click the Get users & go to next step button.

6. The LDAP (Manual) page will refresh with a list of users to import.

7. Select the check box beside the user(s) that you want to import using LDAP. OR

8. Select the Select All check box to highlight the whole list.

9. Click the Import Users button.

10. The LDAP (Manual) page will refresh with the following list at the top of the Import Users dialog box: number of successfully imported users, number of duplicate users, and number of failed imported users.

11. Click Done. OR

12. Select the Save as a scheduled job check box.

13. The Import Users section will expand. From here, you may create a recurring import job for your LDAP Server. The administrator may schedule a job every 1 to 24 hours. (Note that 1 hour is the default run schedule setting.)

14. When you are done, click the Save Scheduled Job button. [Note that once a job has been scheduled, it will appear in the LDAP (Scheduled) section].

Change Scheduled LDAP Run IntervalsThe LDAP (Scheduled) import program allows the administrator to customize and schedule an auto-mated import job for your LDAP server.

1. Click the LDAP (Scheduled) button.

2. Select an hour run interval from the drop-down list box.

3. When you are done, click the Save button.

Bulk Add UsersThe Bulk Add Users page allows the administrator to add SpamLab users in bulk to a specific domain. An administrator may import up to 100 users at a time. (Note that once users have been added, passwords will be automatically generated for each account.)

Add SpamLab Users in Bulk

1. Click the Bulk Add Users button on the Tools page. [Please note that the Send Held Spam Report (HSR) option is enable by default for Direct customers and disabled for Resold cus-tomers.]

2. Select a domain from the drop-down list box.

3. From here, enter the users in the Usernames text box. Remember to enter one username per line and separate each username with a comma.

4. Select the Ask users to reset their password option if you want the newly added SpamLab users to reset their password in the Customer Portal. OR

5. Select the Send emails in HTML format option if you want to receive emails in an HTML format. OR

6. Select the Held Spam Report emails option if you want the newly added SpamLab users to receive a daily HSR in their inbox.

7. Select the Send even when no spam is held option if you want to receive a HSR even if the report is empty.

8. When you are done, click the Add Spam Users button.

9. Once the usernames and options have been saved, the Tools page will refresh and display a green user status box.

10. The users are added in real-time and will appear in the Users section, which is located under the Portal Admin tab.

Delivery QueueThe Delivery Queue page displays all messages that have been delayed and have not passed through your server. From here, you may reject all of the messages or release the messages.

Deliver Queue StatusesThe following statuses will appear on your screen:

● Mail Server is working correctly and currently no mail is being queued.

● Mail Server is working correctly. Please attempt delivery or reject the message(s).

● Mail Server is not working correctly and we are unable to deliver mail.

● Your inbound mail has been put on hold.

StatisticsThe Statistics page displays message-specific statistics in a graphical and tabular format. From here, the administrator may alter the visual display and/or print the individual charts. The Statistics page includes message count, size, type, country origin, and recent users.

● Message Count – This feature graphically displays an area chart with the number and per-centage of messages per day for the last 30 days. Additionally, a tabular chart is provided and it contains the number of emails that have been identified as valid, spam, or virus-infected email for the last 12 months.

● Message Size – This feature graphically displays an area chart with the size and percentage of messages per day for the last 30 days. Additionally, a tabular chart is provided and it contains the message size and percentage of emails that have been identified as valid, spam, or virus-infected email for the last 12 months.

● Message Type – This feature graphically displays a pie chart with the type and percentage of messages for the last 30 days. Additionally, a tabular chart is provided and it contains the message type and number and percentage of messages.

● Countries – This feature includes two pie charts that graphically display a list of valid and blocked countries for the last 30 days. Additionally, tabular charts are provided and they contain a list of valid and blocked countries and number of messages from the associated country.

● Recent Users – This feature displays a list of recent users that are associated with a domain. The list includes the user name, last date of usage, and total number of messages.

● Export Quarantine – This feature allows the administrator to export inbound and outbound Spam and Virus quarantined mail logs. Note that quarantined messages are retained up to seven days.

Export Recent Users

1. Select the export link next to the Recent Users list that you want to export.

2. A pop-up window will appear on your screen.

3. Simply, click and drag your mouse cursor over the information you want to export.

4. From here, click Ctrl+C and Ctrl+V to paste the information in the appropriate file.

Export Quarantined Mail Logs

1. Select the Export Quarantine button on the Statistics page.

2. Select a date.

3. Select a direction type.

4. Select a quarantine type.

5. Click the Download Quarantine to CSV file button. (Note that a status will appear on the page while the download is in progress.)

6. Once the download is complete, the data will appear in a secondary window.

Print a Chart

1. Place your cursor over the chart that you want to print.

2. Right-click your mouse, and then select Print Chart.

3. A Print pop-up window will appear on your screen. Select the appropriate printer, page range, and number of copies, and then click the Print button.

View Two-Dimensional (2D) Chart

1. Place your cursor over the pie chart that you want to change to a 2D view.

2. Right-click your mouse, and then select View 2D.

3. The pie chart will rotate to a 2D view.

Enable Slicing Movement

1. Place your cursor over the pie chart that you want to enable slicing movement.

2. Right-click your mouse, and then select Enable Slicing Movement.

3. The pie chart will refresh. Select the piece(s) that you want to enable.

Enable Rotation

1. Place your cursor over the pie chart that you want to rotate.

2. Right-click your mouse, and then select Enable Rotation.

3. The pie chart will refresh with the rotated pie chart.

1. Select the video that you would like to view.

2. A secondary pop-up window will appear on your screen. The video will begin immediately.

3. Click the fullscreen icon to view the video in the full screen mode or leave it in the existing screen mode.

4. Click the volume icon to increase or decrease the video volume.

5. Click the pause icon to pause the video.

6. When you are finished viewing the video, click the X close icon to close the video and return to the Self Help page.
