    GSA Administration

    Improvements made since January 2009:

    Online application system Training Handbook, combines program regulations with instruction

    More staff. The Regional and head offices now have the support tomeet the needs of the largest specialty training program

    Improvements to be made in 2010 / 2011: Quarterly Trainee Newsletter, first issue March 2010

    SET introduction sessions for 2011 trainees, to be held in each

    state in November 2010 Online trainee forum. Currently under construction, this will be a

    one stop information hub for trainees in all regions

    GSA database. Currently under construction, this will be interactivewith Trainee log in and provide a Trainee platform for information

    about their own program progress, rotation details, log book andassessment information and a lot more!

    What it takes to be selected..

    For the past 2 years of Selection to the General Surgery

    SET Program: The average overall scores of those selected were 73.50 in

    2008 and 74.48 in 2009 (out of 100) The average CV scores were 12.75 in 2008 and 10.60 in 2009 (out

    of 25) The average referee report scores were 35.05 in 2008 and 35.96

    in 2009 (out of 45)

    The average interview scores were 24.11 in 2008 and 25.25 in2009 (out of 30)

    The new online application

    W hy t he change?

    The volume of enquiry during the application increasesenormously, especially in the week preceding application closure.The queries are often related to the generic, and therefore unclear,layout of the RACS application system

    Utilising the same system as other surgical specialties causedconfusion about differing requirements, resulting in more errors

    GSA staff had no control over the level of service offered toapplicants

    The new sy st em : Prompts the user to query anything the system does not permit

    Provides section by section guidelines unique to the GeneralSurgery application

    Requires less data entry, requiring applicable information only

    for a maximum 3 points

    Com m on M ist akes Spending too much time adding irrelevant information. The guidelines arecontained in the Selection Regulations. For example; you are only going to bescored on awards for excellence in a medically related field, so please dont attach

    Math Prizes from Grade 5 or Girl Guide Awards from 1989

    Adding documentation that does not match the application or not attachingany at all. We check al l attachments, you will not receive points for certificates thatare invalid or do not state adherence to the criteria

    Attaching documentation that is insufficient in content

    Contacting us after the application period to add a recent course, awardor qualification to your application. Only items completed prior to submitting theapplication will be considered

    Referee Reports

    Sect ion 5 of t he Regulat ions

    Changes

    - The way we choose referees. You will be requested to select 10 refereesfrom the supervising consultants listed next to your rotation details, and toprovide the email and postal addresses for 10 referees. The BiGS will select5 primary and 5 alternate referees your list.

    - Not contacting the referees you plan to use- Providing old contact email addresses- Selecting referees who are on leave or have no email address during the

    referee report collection period- Nominating referees you worked with irregularly or a long time ago. It is

    important to contact all 10 referees, as we regularly receive notificationfrom referees that they do not remember the applicant

    We contact referees with reminders to complete referee reports during the process,however assume no responsibility for reports that are not returned.

    Note:Contact the RACS SET Enquiries department if you or a referee experienceproblems, as this is part of selection is not run by GSA

    General Mistakes

    Trying to submit after the closing time - midday Friday 6th AprilAEST (Melbourne / Sydney time!)

    Not checking the application has been successful. If you do notreceive a confirmation of both your payment and submission,

    please contact us before application close time

    To summarise

    To maximise your chance of being selected:

    Be prepared!

    Familiarise yourself with the online application system assoon as you get your log onand make notes of the

    documentation and details that you will need to gather Start as soon as possible, remember you can log in and out

    as often as you like before submitting the application

    Use the entire application period - contact referees, double

    check their email address details and have time to read yourapplication in full before submission

    Send your queries to GSA before the last week ofapplications

    Be aware of all applicable dates (interviews, referee reports,offers and etc..)
