    PROGRAM REGISTRATION PROCEDURES1. Check out all of GSHNJs programs, listed in this book or online at www.gshnj.org.

    2. Based on your program age level, decide with your troop/group or on your own which

    program(s) you want to attend. (Remember, bridging troops may participate in a program

    of the next level.)

    Daisy: Grades K-1 Junior: Grades 4-5 Senior: Grades 9-10

    Brownie: Grades 2-3 Cadette: Grades 6-8 Ambassador: Grades 11-12

    3. Complete a Program Registration Form. The two-page Program Registration Form may be found online under Programs or in

    any of the three Service Centers.

    Complete one form per troop/group or individual per program. Separate payment is

    required for each program registration form (i.e., You cannot pay for 2 different

    programs with one check.)

    Program registrations may only be submitted during the appropriate registration period.

    (CheckProgram Registration Opening Dates listed on page 5 for this information and

    remember program registration closes two weeks prior to the program.) When adding participants to an already submitted program registration, complete a new

    Program Registration Form in its entirety listing only the additional participant(s) and

    check the box in the upper right-hand corner.

    Note: Only forms completed in their entirety

    and with full payment enclosed will be processed.

    4. Mail the completed form (postmarked NO EARLIER than the registration opening date)

    with full payment* to:

    *Program payments will be receipted immediately upon arrival. Receipted

    payment does not confirm space in the program - only a program confirma-

    tion letter/email from the Program Data Management Specialist confirmsspace in a program. If your payment was receipted and you did not get into

    the program, a refund will be issued.

    5. Wait patiently.

    Program registration forms will be processed on a "first-come, first-served"basis (according to the postmarked date for the first 3 days after a

    registration opening date).

    If the number of registrations received on any given day exceeds the

    opening spaces remaining for the program, a lottery system will be used.

    The lottery will include only those registrations received that day.

    Approximately 5-7 business days after submitting your registration form,

    the Program Data Management Specialist will send you either a programconfirmation or a program regret letter via email or mail (depending on

    the option you selected on the program registration form). The adult-in-

    charge listed on the registration form will be the recipient of the program

    confirmation or regret and is expected to alert all registered parties.

    PROGRAM REFUND POLICY: Once a Program Registration Form is proc-essed and your space is confirmed, there are no refunds of program feesunless the Council cancels the program.

    PROGRAM CONFIRMATIONS: Program confirmations must be brought to theprogram/event as proof of registration. Troops/groups or individuals that do

    not bring their program confirmation may not be able to participate in the

    program. The purpose of providing your program confirmation is to ensure

    that you have registered for the program in advance (no troops/groups or

    individuals may attend a program without registering unless otherwise noted

    in the program description).

    COOKIE REWARDS: Cookie Rewards are accepted for Council programsunless otherwise specified.

    REGISTRATION OPENING DATES: Three opening dates for program registra-tion occur throughout the year. Program registrations will not be accepted if

    postmarked before these opening dates. The opening dates are listed below

    for programs occurring in the following months:

    September, October, November, and DecemberThe registration opening date is Aug. 23, 2010

    January, February, March, and AprilThe registration opening date is Nov. 1, 2010

    May, June, July, and AugustThe registration opening date is Jan. 3, 2011

    Submit your registration forms and payments as

    soon as possible according to the dates above.

    They must be submitted/postmarked

    no later than 2 weeks prior to the program .

    SAFETY REQUIREMENTS: Each troop/group or individual must be accompanied by the required

    number of adults, according to Safety-Wise, to provide supervision and

    leadership to the girls and remain with them throughout the duration of

    the program. Under no circumstances should girls be left unattended or

    unsupervised at any program unless otherwise specified by the facilitator.

    (Please refer to Program Standard 13 of Safety-Wise for the appropriate

    girl-adult ratio or see the chart below.)

    All adults participating in overnight programs with girls must be registered

    and are required to have completed the volunteer application process andhave passed the background check.

    SAFETYWISE RATIOS: There must be a minimum of two adults for up to: 5 Daisy Girl Scouts plus one adult for each 3 additional Daisies12 Brownie Girl Scouts plus one adult for each 6 additional Brownies16 Junior Girl Scouts plus one adult for each 8 additional Juniors20 Cadette Girl Scouts plus one adult for each 10 additional Cadettes 24 Senior Girl Scouts plus one adult for each 12 additional Seniors24 Ambassador Girl Scouts plus one adult for each 12 additional Ambassadors

    TRANSPORTATION: All participants are responsible for providing transporta-tion to and from the programs unless otherwise noted in the program

    description. Remember to take advantage of public transportation whenpossible. The train and bus lines run near several of the program locations!

    PROGRAM CAPACITY: Each program has a minimum and maximum capacitylisted. If the minimum capacity of a program is not met,

    the program will be cancelled.

    JULIETTES/INDIVIDUALS: Juliettes and girls attending programs as individu-als must be accompanied by a parent/guardian, who must remain on-site for

    the duration of the program.

    OUT-OF-COUNCIL GIRL SCOUTS: In order to serve members of our Councilbest, out-of-Council Girl Scouts may register only 4 weeks in advance of aprogram. This provides in-Council girls the opportunity to register first.SIBLINGS, TAGALONGS AND ADDITIONAL ADULTS: Girl Scout programevents and activities are designed for girls at the age level specified. Due toinsurance regulations and safety, siblings, tagalongs, and additional adults

    cannot be permitted at Girl Scout program events or activities unless other-

    wise noted.

    DROPPING OFF GIRLS FOR EVENTS: Under no circumstances should a girl beleft unattended or unsupervised at a program. If you are not planning on

    staying for the program, be sure to stay with the girl(s) until an adult listed on

    the Program Registration form is present.

    SERVICE PROJECTS: The long awaited GSHNJ Hearts of Service program willbe introduced this year! This program was developed to track the 1,000s of

    service hours girls in the Council complete throughout the year. These

    numbers are extremely important for GSHNJs Fund Development Depart-

    ment when they are writing grant proposals to obtain funds to support our

    GIRL AWARD INFORMATION:Gold Award Senior and Ambassador Girl ScoutsThe Girl Scout Gold Award is the highest award a Girl Scout can earn. Butwhat is the Gold Award really? The Gold Award is a leadership award where

    girls in grades 9-12 go into the community and address the root cause of an

    issue. Community resources are then used to create a lasting impact that will

    be on-going long after the project is completed.

    In addition to leaving a lasting impact on the community, you will be

    impacted, too! Through the Gold Award project, you will further developyour leadership skills by planning, organizing, and leading other people. You

    will develop patience, time management, confidence, and other skills that will

    carry over into school and your career. You will stand out in the sea of peo-

    ple applying for college because you will have unique, real-world experience

    to reference in your essays and interviews.

    Thank you to everyone who has supported the Council!One hundred percent every penny of your donation to the Annual Family

    Campaign is used in our service area to strengthen and deliver the dynamic

    programs that will help your daughter build courage, confidence and

    character, to make HER world a better place!

    It costs about $220/year per girl to deliver Girl Scouting to girls in volunteer-led troops in central New Jersey. These dollars help our Council support Girl

    Scout experiences, including:

    maintaining camp properties

    training new and experienced volunteers

    developing online tools

    conducting background screening for adults working with girls

    operating retail shops and program centers

    We raise about $178 of this cost through program fees, camp fees, property

    rentals and product sales. The remaining $42 per girl requires fund raising -

    and that is why the Annual Family Campaign is so important.

    Girl Scouting in your daughters life by supporting this important cause.
