“We, Regina School of Chinese Studies, appreciates SOHL’s support on our in-house workshop and culture camp, youth bursaries to our volunteers and many workshops for our teachers.

SOHL also played a key role in the local heritage language communities in the past years.”

- Raphael Wang (Regina School of Chinese Studies)

“With SOHL I am able to see my role as a school coordinator in a bigger concept and I feel taken seriously in the vision and mission of our school.

I am not a single voice in the community, but have a mouthpiece for all those who want to keep their heritage language and culture alive, on my side.

SOHL takes over the part of networking with important institutions in the province and makes it much easier for coordinators to run a language school. Also through the SOHL bursary, I had the opportunity to achieve an online teaching certificate, something that - as a single mum - I could never have done on my own.”

- Sabine Zagoricnik-Wecker (Das Schulhaus German Language School)

"SOHL has been helping and supporting our school all the way from the birth to the current success.

SOHL has guided us to grow from informal teaching to formal and professional education. SOHL has also provided excellent opportunities to diversify our school activities. I will like to congratulate SOHL for its incredible contributions to retaining heritage languages and culture." - Ben Liu (City East Language School)

s

“The SOHL heritage language program has helped me spread greater awareness of the cultural aspect of Pakistan and in doing so helped me realize the many wonders the country held as well as how the world is indeed a global village and that it just takes a little reaching out to foster greater ties between people of all colors, creed and nationalities.”

- Mehwish Altaf (Mini- Language Lessons instructor)

Throughout our thirty year existence in Saskatchewan, we have worked with countless dynamic groups and individuals. They have all contributed greatly to

SOHL’s vision of ‘Keeping Languages Alive’. Without the hard work and dedication of numerous volunteers, SOHL would not be where it is today. Thank you !

1) Call to Order: Meeting was called to order by V. Arora at 1:05 p.m.

2) Adoption of Agenda: MOTION: To adopt the agenda as presented. ICA/Salvador Allende Spanish School. CARRIED.

3) Minutes of Previous AGM: MOTION: To adopt the minutes of June 22, 2013 as presented. MLAR/Bangla

School of Regina. CARRIED. 4) Business Arising from Minutes: None was identified. 5) Reports:

a) President’s Report – Ved Arora. The full report is on page 12 of the Annual Report. V. Arora thanked everyone for attending today, and directed everyone to his full report in the document. He wanted to highlight some important items, starting with Saskatchewan’s continuously growing population. As a result of this rapid growth, SOHL has been receiving more and more requests about opening new schools, and nine new schools were added to SOHL’s membership over the last year. Two schools have opened just within the last month or so. SOHL has been working on improving its public profile and increasing the public awareness of both SOHL and its schools. One significant event that SOHL is planning, that will help increase public awareness, is a heritage language film festival which will be held in conjunction with the Annual Conference this year. SOHL has also redesigned its website and staff is exploring various options including making forms available to be submitted online. SOHL’s Mini-Language Program has continued to be extremely popular, and SOHL is aiming to substantially increase its size in 2014/15, so that over 100 classrooms can participate. This program matches volunteer language teachers with regular classroom teachers throughout the province so they can introduce the students to their language and culture. Over 1,500 students have participated this past year, and this number is expected to go up considerably. SOHL has also been transitioning towards a hybrid governance model, and the Board has been working with a facilitator to make this transition as smooth as possible. He reminded everyone that all regular members of SOHL must be registered as non-profit corporations by June 2015 – SOHL has given the schools a couple of years to transition to this. V. Arora thanked the board, staff, committee members, and all of SOHL’s members for making the organization such a success. He thanked SOHL’s funding agencies, particularly the Ministry of Education, SaskCulture and SaskLotteries for their ongoing support. This will be his last report as President; he has enjoyed his terms and looks forward to moving into his new position as Past President.

b) Personnel and Finance Committee – Chanchal Sethi. The full report is on page 20 of the Annual Report.

i) Treasurer’s Report: C. Sethi introduced herself, stating that she has now completed one full year with

SOHL and is pleased to present the financial report today. She gave a brief background on the committee, including its role in providing direction with the preparation of the budget, monitoring expenditures and reviewing SOHL’s financial statements, among other responsibilities. SOHL also has an Audit Committee, which is currently a subcommittee of Personnel and Finance. It can consist of the same committee members or other board members can be appointed. Currently, herself and Natalie Owl are the members of SOHL’s Audit Committee, and have recently been looking into some

Page 11: 1985-2015 30 YEARS OF KEEPING LANGUAGES ALIVEheritagelanguages.sk.ca/fileadmin/sohl/storage/... · 2017-03-28 · 30 YEARS OF KEEPING LANGUAGES ALIVE 1985-2015 SOHL ANNUAL “We,

of SOHL’s HR policies such as salary scales, performance evaluations, etc. She thanked the other Personnel and Finance Committee members, Shakeel Akhtar, Natalie Owl, and Ved Arora for all of their hard work this year. She also thanked SOHL’s funding agencies, in particular SaskCulture via SaskLotteries and the Ministry of Education.

ii) Financial Statement/Auditor’s Report: C. Sethi reported that the committee has done a thorough internal review of the organization’s financial statements, and has not found any discrepancies. There was only one small concern this year regarding the overall deficit, but this was due to a deficit from the Ministry of Education’s funding grant to the language schools. SOHL is working very hard to obtain additional funds for its programs, considering the major growth to its membership over the last few years, and will continue to request increases from its funding agencies. SOHL’s books were audited by Sandra Jackson, SOHL’s external auditor. She completed her audit on May 22, 2014, and the committee then met with her on May 23rd without the staff present.

C. Sethi reviewed the financial statements in detail, going page by page. She mentioned that SOHL is now part of the ChangeIt Program, and encouraged everyone to look into signing up for this program as a simple way to make donations to SOHL. If anyone wants to know more, they can reach out to her, the SOHL staff, or visit SOHL’s website. She opened the floor for questions, and when there were none, thanked the SOHL board and staff, as well as all of the members. MOTION: To accept the audited financial statements and auditor’s report as presented. C. Sethi/MLAR. CARRIED.

iii) Appointment of Auditor: MOTION: To appoint Sandra Jackson as the external auditor for the 2014/15 fiscal year. C. Sethi/MLAR. CARRIED.

c) Policy and Planning Committee – Girma Sahlu. The full report is on page 18 of the Annual Report.

G. Sahlu recognized Tony Harras as his co-chair, and thanked the other committee members, Zaheed Iftekhar, Ade Akintunde, Chanchal Sethi, and Ved Arora. This committee has been working on reviewing a number of SOHL’s policies, which will be highlighted in the proposed changes to the constitution. The SOHL Board has been transitioning from a hybrid governance model to a primarily policy-based model, which is a major undertaking and will continue to be in 2014/15. He reiterated the importance of hearing from the membership on any concerns they would like the Board to address. He encouraged everyone to communicate with the Board and give feedback. G. Sahlu thanked Tamara for all of her assistance and participation in the committee’s work, as well as Malinda. This committee has likely met more frequently than even the Board of Directors in 2013/14, so there has been a lot of work involved.

d) Research and Skills Committee – Omar Aschim (Presenting on behalf of Chair Mary Kolitsas). The full

report is on page 16 of the Annual Report. O. Aschim thanked Mary Kolitsas for always being a great leader to this committee. He has already announced the recipients of SOHL’s key programs earlier today, and they can all be found in the detailed written report as well. As there were no additional questions, he thanked the committee, stating that it has been a pleasure to work with everyone.

e) Promotion and Membership Committee – Zaheed Iftekhar. The report is on pg. 19 of the Annual Report.

Z. Iftekhar thanked his co-chair Liza Padia, who could not be here today, and Eriko Parker who is no longer with SOHL’s board due to personal reasons. He stated that SOHL is planning to pilot a Heritage Language Film Festival in conjunction with the fall conference in October 2014. If it is successful, SOHL hopes to hold it in Saskatoon the following year. He thanked everyone for all of their passion and commitment, as SOHL is lucky to have dedicated individuals like Omar Aschim, Santos Garcia, etc. He recognized Ashley Crampton, who used to work on SOHL’s staff, and has now come back to volunteer with the Saskatoon Norwegian School. He stated that it has been a pleasure to work with everyone. MOTION: To accept all of the committee reports as presented. ICA/Das Schulhaus. CARRIED. V. Arora added that there was an error on page 2 of the Annual Report. The chair of the Nominating Committee was actually Mr. Tony Harras, and Ved Arora was an ex-oficio member.

6) Changes to the Constitution: V. Arora invited Girma Sahlu and Tony Harras to lead this process. T. Harras made some introductory remarks, stating that all proposed constitutional amendments have been sent to the membership in advance, as per SOHL’s bylaws. Everyone is welcome to provide feedback, but he also encouraged the comments to be brief and to the point, as there is a lot of material to cover. If there is great opposition for something, it can be brought forward at another time. For voting purposes, there are a total of 42 voting members, and since SOHL’s bylaws state that ¾ or 75% of member votes are required to pass a motion, 32 votes are needed in order for a motion to pass.

G. Sahlu added that the Policy and Planning Committee and SOHL Board have spent a lot of time reviewing all of these policies in detail. He explained that changes in the document are shown as a strike-through for proposed deletions or in red for proposed new additions. The membership has the power to approve, amend, or strike down any of these proposed changes. He proceeded to review the document point by point. Any changes that did not elicit discussion were considered to be agreeable by the whole group, and will be passed together at the end. There was a discussion on the proposal to change from having two voting members per organization to one vote per organization. B. Pino stated that attendance has been an issue in the past, so this may reduce attendance even more. G. Sahlu responded that SOHL will still encourage multiple guests to attend and that there are several benefits, including logistical (easier to count), that it is more fair toward smaller schools who may not have more than one representative to bring, and that it encourages members to stand as one voice. He added that this is also what most organizations, including SaskCulture, utlize. S. Garcia and A. Matus stated that they feel this would reduce democracy and take away voice from the membership. A vote took place, and this motion was defeated. There will continue to be two votes per organization.

Regarding the proposed new clause on using electronic means of communication, S. Garcia asked what would happen to schools who do not utilize this method of communication? T. Ruzic clarified that SOHL’s membership forms now have a check mark where schools can indicate if they prefer written or electronic communication. The majority of SOHL’s members have been requesting a switch to electronic means of communication, but the office will continue to send paper communication to those who so wish. There was a discussion on the proposal to change from having regular members nominate candidates for the SOHL Board of Directors to utilizing an application form that anyone who is interested could submit. G. Sahlu indicated that the primary rationale for this was that the Board wants to be completely transparent and fair. If an individual is interested in serving on SOHL’s Board, there should be no reason to block them from running in the election. Some members expressed concern that this would take SOHL away from its

Page 13: 1985-2015 30 YEARS OF KEEPING LANGUAGES ALIVEheritagelanguages.sk.ca/fileadmin/sohl/storage/... · 2017-03-28 · 30 YEARS OF KEEPING LANGUAGES ALIVE 1985-2015 SOHL ANNUAL “We,

membership, by potentially allowing anyone to run for the Board. G. Sahlu replied that the membership will still have to elect the representatives in the end. T. Ruzic added that with the current process, if a non-member expresses interest in serving on SOHL’s Board, she has to introduce them to a regular member, so that they could nominate them, which seems like a needless process. J. Leskun noted that if this motion went through, it would also affect item 1b under Membership, since anyone would be able to hold office including associate members. More discussion took place, and the motion was put to a vote. This motion was defeated, so members will continue to nominate candidates for the SOHL Board. Next, a discussion was held on the proposed new motion stating that after serving three consecutive terms (6 years) on the SOHL Board, an individual must take a break from the Board for at least one term (2 years), with the exception of Past President. I. Khan stated that he disagreed with the special clause regarding the Past President, saying they should have to follow the same policy as the other positions. G. Sahlu explained that the reason for this clause was due to the Past President possibly being required to stay on longer than 6 years, depending on the time they took over the Past President role. For instance, if someone was President for two terms (four years), then the next President also held office for two terms, the Past President would technically have to serve a total of 8 consecutive years. J. Leskun recommended that the following be added to the end of the current clause for the purpose of clarity: “...who must take a one term (two year) break at the conclusion of their term as Past President. MOTION: To amend the motion to state “After serving three consecutive terms (6 years) on the SOHL Board, an individual must take a break from the Board for at least one term (2 years), with the exception of Past President who must take a one term (2 year) break at the conclusion of their term as Past President. MLAR/Salvador Allende Spanish School. CARRIED. MOTION: To accept all of the other motions that were not defeated or amended. Salvador Allende Spanish School/ICA. CARRIED. The office will adjust all of the numbering, and will send out the updated document along with the minutes. T. Harras and G. Sahlu thanked everyone for their participation.

7) Report of the Nominating Committee and Election of Officers:

T. Harras, Chair of the Nominating Committee, welcomed everyone and thanked the members of this committee, Natalie Owl, Gabi Harrison, and Ved Arora, noting that Iftekher Khan had resigned because he is running for the Board. The Slate of Candidates was circulated to the membership in advance, and the biographies of all candidates are included in everyone’s package. He added that SOHL had indicated in its April 2014 AGM notice that no nominations from the floor will be accepted this year. Each candidate will have two minutes to speak on their own behalf or someone else may also speak on their behalf. He instructed all voting members to hold up their voting cards clearly when the time comes for the ballots to be handed out. A clear check mark or x should be placed beside the name of the individual for whom one wishes to vote for.

MOTION: To appoint Judy Buzowetsky and Malinda Meegoda as scrutineers. MLAR/Bangla School of Regina. CARRIED.

PRESIDENT: There was one nominee, Girma Sahlu, who was nominated by the Regina Language Circle. Girma Sahlu was elected President by acclamation. He spoke briefly, and thanked the Regina Language Circle for nominating him. VICE PRESIDENT: Three candidates have been nominated: Iftekher Khan was nominated by the Bangla School of Regina, Adesegun Akintunde has been nominated by the Yoruba Language School Saskatoon, and

Nish Prasad was nominated by ICA. All three candidates spoke on their own behalf. A vote was held, and Adesegun Akintunde was elected Vice President by majority ballot.

DIRECTOR SOUTH: Four candidates have been nominated: Chidiebere Odoh has been nominated by the Igbo Cultural Association of Saskatchewan, Ben Liu was nominated by the City East Language School, Li Wang has been nominated by the Chinese Language School Regina, and Md Jashim Uddin was nominated by the Bangla Heritage Language School, Regina. Li Wang and Md Jashim Uddin spoke on their own behalf. Ben Liu and Chidiebere Odoh were unable to attend today, and nobody was present to speak on their behalf. A vote was held, and Li Wang was elected Director South by majority ballot. DIRECTOR: There was one nominee, Yanlai Zhang who was nominated by the Chinese Language and Culture Academy. Yanlai Zhang was elected Director by acclamation. Unfortunately, she could not be here today. MOTION: To destroy the ballots. MLAR/Salvador Allende Spanish School. CARRIED. V. Arora read the names of the new 2014/15 SOHL Board members, stating that two more directors have yet to be appointed by the Board shortly after the AGM. He thanked everyone for making his term so enjoyable, and invited the new President to say a few words. G. Sahlu stated that he has big shoes to fill, but is looking forward to the experience, including the changes and the challenges. He thanked everyone for their participation and feedback today. 8) Other Business: None was identified.

9) Adjournment: The meeting was adjourned at 3:40 pm by V. Arora.

On behalf of the Board of Directors of Saskatchewan Organization for Heritage Languages (SOHL), I am pleased to welcome you to the 2015 Annual General Body Meeting being held in Regina.

Congratulations to all SOHL members, Board and Staff alike as we celebrate the 30th Anniversary of SOHL this month. SOHL has come a long way in the last three decades growing from a hand-full of heritage language schools with over 75 members in the current year; and those numbers are still growing!

For the last five years the influx of new immigrants to Saskatchewan has brought many new challenges and responsibilities for the SOHL board. To fulfill this responsibility, SOHL assists groups to open new schools and provide them necessary training, workshops for their teachers, and also continue to allocate extra resources to enhance their teaching skills. Besides providing training, SOHL also provides its members funding for the heritage language teaching program, language camps, online University of Calgary certificate program and youth bursaries.

SOHL also provides in-service training to its volunteer teachers through language specific workshops arranged by the language schools themselves. We also encourage these teachers to gain experience by teaching in SOHL’s Mini-language program in regular schools in the province. SOHL has expanded its visibility by organizing a Film Festival in the province, by attending members meetings and programs and also encouraging newly arrived immigrants to open language schools to maintain their language and culture.

In October 2014, SOHL hosted the first Film Festival in Regina to promote cultural diversity and the teaching of heritage languages in Saskatchewan.SOHL has reviewed and approved its Strategic Planning report, created with guidance from Wayne Hellquist, President of Future Quest Consulting. The board has adopted the “Policy Governance Model” to run its business. There was agreement to conduct Strategic Planning sessions for the board

and staff every 3 years to ensure adherence to the Strategic Plan and the Governance Model.I am glad to report that SOHL’s funding is currently secure despite an economic turndown in the province. The Board gratefully acknowledges the financial assistance from SaskCulture and Saskatchewan Lotteries, the Ministry of Education and other partners for their support.

I would like to recognize the good working relation SOHL has with all its partners such as SMCA, MLAR of Regina, SIA of Saskatoon, Saskatchewan School Boards, SaskCulture, Ministry of Education, Confucius Institutes, and more. The support provided by these partners, in coordination and delivery of programs and services is remarkable.

SOHL is truly a great organization to work for. As we celebrate SOHL’s 30th birthday this year, I often reflect on the wonderful people I get to interact with on a regular basis and on the important work that we all do collectively. Working with you makes my job enjoyable even during the busy and demanding times.

The past year has definitely presented some challenges, as SOHL and the Ministry of Education introduced the new self-assessment templates to all heritage language schools in Saskatchewan. This has been a large project, and I would like to thank our consultant Loraine Thompson and Nadia Prokopchuk from the Ministry of Education for their hard work throughout the past year, from the creation to the implementation phase. I would also like to thank all of you for embracing this new requirement and disseminating the information to your teachers, students and parents.

These templates are meant to depict the progress students are making in their language studies. They also greatly support a school’s curriculum by demonstrating important teaching areas, and providing guidance as to which areas teachers may need to focus more attention on. It is ultimately our goal to link students’ studies in their heritage language schools to their regular school studies, which is something that all those involved in heritage language education would surely agree is important to strive for. Large group workshops were held at SOHL’s AGM last year, as well as the Annual Provincial Conference in the fall. In addition, SIA and MLAR each administered group workshops on this topic over the past year.

Finally, SOHL offered intimate small-group workshops with Loraine Thompson in the spring, both in Saskatoon and Regina, as a final opportunity to provide assistance and allow you to ask questions

regarding the self-assessments. It is now expected that all schools should be adequately prepared to implement these templates in their own classrooms.

There will be some flexibility this year due to the pilot, but for the upcoming 2015/16 year, schools will be expected to provide student numbers and conduct self-assessments with each student (apart from Pre-K/K). SOHL recommends that you request the student numbers on your school’s registration forms for next year.

I would briefly like to update you on the “We are SK” PSA’s, which were formally launched in November 2014 to celebrate the 40thAnniversary of Saskatchewan Multicultural Week. The footage for these PSA’s was gathered from local community members during Culture Days and comprised stories of people’s experience with immigration and integration.

The PSA’s were also broadcast on several television stations, and we are pleased to share them with you at this year’s AGM. This project has been a collaboration between several multicultural organizations, and it is our hope to continue sharing them in the future. For more information and to view the PSA’s, please go to www.wearesk.ca

SOHL’s programs and events have once again been very successful, and we continue to encourage our members to take advantage of the various opportunities. Thanks to some additional funds from the Ministry of Education, SOHL was able to increase its budget for the University of Calgary Teaching International and Heritage Languages (TIHL) Certificate Bursaries, the Youth Instructor-Helper Bursaries, Language Camps, and Workshop Grants over the past year.

will offer further details on these wonderful programs.

The Heritage Language Day Celebrations, both in Regina and Saskatoon, were once again very well attended and enjoyed by all those in attendance.

The past year also marked the pilot of SOHL’s Heritage Language Film Festival, which was another large-scale project that took considerable time and effort. A big thank you to Malinda Meegoda, Trudy Stewart, and Mike Rollo for all of the work they put into organizing this festival, which featured 12 films comprising both short and feature-lengths screenings over 4 days.

In addition, a film-making workshop for youth was held as part of the festival, which was reviewed very favourably by the participants. Unfortunately, due to some recent changes within SOHL’s staff, which includes the departure of Malinda Meegoda (SOHL’s Program Coordinator of 3 years), SOHL has decided to pause the Film Festival this year. We very much hope that we will be able to run it again the following year. For the time being, Nadia Akbar Kamal has been promoted to acting Program Coordinator, and has been doing an excellent job in her role. I also want to thank Sahar Khelifa, who was SOHL’s temporary Public Engagement and Program Assistant over the summer of 2014. She was a wonderful addition to our staff, and we wish her all the best in her continued studies.

The Mini-Language Lessons Program continues to flourish and grow. Each year, between January and March, the program matches volunteer language teachers with elementary school classrooms throughout Saskatchewan so that teachers can deliver lessons on their language and culture to the students. SOHL is always looking for new language teachers from all over the province to participate in this program, so please contact the SOHL office if you are interested in participating next year.

In 2014/15, SOHL was pleased to welcome the following new organizations to our membership: Chinese Language and Culture Academy in Saskatoon, Burundian Community of Regina, Saskey Practical Chinese School, and Kaniyasihk Cree Culture Camp.

If you are not doing so already, please follow SOHL on Facebook, Twitter, and LinkedIn. It is a great way to stay in touch with us and also to read about many interesting language-related topics. SOHL has also recently started sending a monthly e-update, and we want to encourage you to continue sending your notices, events and stories to be included on our various social media platforms.

I would like to sincerely thank SaskCulture and SaskLotteries, whose continuous support is the primary reason SOHL has been able to carry out its valuable work over the years. We are also very grateful for the financial support received from the Government of Canada, Government of Saskatchewan, Confucius Institutes, the Saskatchewan Association of Teachers of German, SaskTel and SaskEnergy.

Thank you to SOHL’s Board and committee members, volunteers and the entire membership, all of whom contribute so much to the success of this organization. I would also like to recognize Dulcie Puobi and Krystal Lewis, who have done an excellent job administering school visitations for the second year on SOHL’s behalf.

I look forward to another great year ahead!

Sincerely,Tamara RuzicExecutive Director

The Personnel and Finance Committee had another successful year. The committee comprised of six members: myself (Treasurer) as the Chair, Ms. Natalie Owl (Secretary), Mr. Nishchal Prasad (Director), Mr. Chidiebere Odoh (Director), out-of-Board member Mr. Murtoba Ali, and Mr. Girma Sahlu (President as an ex-officio member). The committee met twice this year to discuss and allocate Heritage Language Teaching Program funds, Language Camp funds, and review of budget. Additionally, the committee was able to review a number of personnel and administrative items.

As a result of strong and consistent efforts of SOHL Board and Staff, SOHL is excited that one of our major sponsoring organizations, Ministry of Education granted an additional funding of $35,000 to help us meet our increasing school program needs and administration. Due to increased funds, the committee was able to allocate a part of additional funds towards Heritage Language Teaching Program and Language Camp Funding. To accommodate the funds, firstly the per-student base formula to allocate Member Funding was increased by $5 per student. Secondly, the committee devised a structured formula, for the first time, to follow a consistent approach to grant the Language Camp funds and ensure fair and efficient process.

Under Personnel and Finance Committee, a new ad-hoc committee called HR sub-committee was formed for a short duration. The sub-committee included three members: myself (Treasurer) as the Chair, Ms. Natalie Owl (Secretary), and Mr. Chidiebere Odoh (Director). The sub-commit-tee met and discussed a number of outstanding administrative items, including but not limited to, HR Policy revisions, staff salary and benefits reviews, staff performance evaluation process, and SOHL new staff resource. The committee has successfully delivered the majority of its objectives fructifying SOHL staff’s satisfaction.

With such great milestones achieved over the past fiscal year, I would like to extend my sincere gratitude to the Personnel and Finance committee members, HR sub-committee members, SOHL Board, and SOHL Staff for their encouraged support, valuable time, and endless contributions. Without the committee’s efforts, all these successes would not have been possible.

To help SOHL continue to fulfill its objectives and serve its best, we request all the school members to abide by the guidelines and application deadlines in all aspects.

Your contribution will not only strengthen SOHL staff work, but would also support SOHL Board to make timely and informed decisions to serve its members in much effective manner.

Sincerely,Chanchal SethiTreasurerChair, Personnel and Finance Committee

Taking a full-fledged status of Standing Committee the past fiscal year, the Audit Committee has successfully been able to fulfill all functions in its financial capacity.

The committee was comprised of four members: myself (Treasurer) as a Chair, Ms. Natalie Owl (Secretary), out-of-Board Member Mr. Murtoba Ali, and Mr. Girma Sahlu (President as ex-officio member).

The committee met twice to review SOHL’s financial statements on a bi-annual basis and performed a thorough review of all financial transactions, including but not limited to cheque logs, invoices and receipts, balance sheet, profit and loss statement, accounts receivable and accounts payable documents. All the finances were reviewed in great detail and with extreme attention. The committee is pleased to inform that there were no discrepancies noted in SOHL finances.

The committee met with the External Auditor Ms. Sandra Jackson on Thursday June 11, 2015 to review SOHL audited statements without the presence of any staff member. Due to less than expected used funds in one of the Programs, the last fiscal year turned out to be a positive financial year with a slight surplus of $5,856.00. During

the current fiscal year, the Board will discuss an action to utilize the unused funds towards the benefits of the school programs and services.

SOHL is confident that the audited statements shared today are correct. After a productive discussion with the Auditor, the committee is glad to inform that the financial status of SOHL has been reported to be in great shape.

An immense thanks goes out to all committee members, SOHL Board, and the staff for making this a smooth and successful year!

Sincerely,Chanchal SethiTreasurerChair, Audit Committee

Any regular member of SOHL in good standing is currently eligible to nominate candidates for the SOHL Board of Directors. It is always our goal to have a fair and transparent process. Each year, we encourage all individuals who are passionate about heritage language education to consider letting their name stand for a position on SOHL’s Board. As per SOHL’s Constitution and Bylaws, the Slate of Candidates, which contains brief biographies for all candidates, was circulated to the membership over 15 days in advance of the meeting. Candidates will also have a brief opportunity to introduce themselves to the membership at the AGM, and indicate why they are strong candidates for the Board. It is impor-tant to note that SOHL no longer accepts nomina-tions from the floor.

I would like to thank all those who have allowed their name to stand for election this year. The positions of Treasurer, Secretary, Director North and Director are up for election, and we are pleased to have a full slate to present. In 2014/15 the Policy & Planning Committee, with input from the Board, reviewed SOHL’s Constitution & Bylaws as well as the organization’s governance model. In both cases recommendations were made to the Board throughout the year.

With respect to the Constitution and Bylaws, proposed amendments & Bylaws are being presented to the membership for their approval. The amendments as being presented have undergone extensive review by the Policy & Planning Committee and Board and the preparation of these were facilitated by our consultant Wayne Hellquist.

As for the organization’s governance model, the Board has decided to move away from a ‘working’ Board to a ‘policy’ Board. As a result, this past year considerable time was spent, with the assistance of our consultant (Wayne Hellquist), in developing the governance model as well as specific governance policies. These have since been reviewed and formally adopted by the Board. Following the AGM, the remaining policies will also be finalized.

In order that the Bylaws and governance policies of SOHL are consistent with the needs of our member organizations and their membership, it is important that your Board receives feedback from the membership. To achieve this, a session

with the membership was arranged for the morning of our Annual General Meeting giving all an opportunity to discuss the changes.

The Committee wishes to thank the Board and the staff for their continuing support during this past year and looks forward to making significant progress in the years to come on the above noted items and any new ones. The Co-Chairs wish to thank the other members of the Committee - Nish Prasad, Chidi Odoh, and Girma Sahlu (Ex- Offi-cio) for their contributions.

Sincerely,Ade Akintunde and Tony Harras Co-Chairs, Policy & Planning Committee
